To have 100's of grant applications in one place and be able to manage archived and current applications with ease has cut my work by more than half. Pros The customer service is unmatched. From billing to IT, messages are returned on the same day. For me, that is better than the program itself. I never speak to a BOT or an AI rep. I find myself spending so much time going through their help center documents. When I don't find a solution to my problem, I have no choice but to contact customer service which is a headache. It takes them about 24 hours to reply to urgent matters and most of the time they provide a complicated solution which they assume we would know how to do. We pay thousands of dollars every year not to have 24/7 customer service or for WizeHive not to make better improvements to the system. The only major change that they have done this year was redesigning the login page. Pros It does the basics that every other platform does. The application from the applicant side and review portals are easy to use. Cons \-There's no support provided via phone unless you email them first and schedule a meeting (which takes a few days for urgent matters). -Emails usually end up in spam folders. -You can't duplicate applications or move them to the next year's cycle which is frustrating if you've deferred an applicant. -The letter generator plugin is not the greatest. You can't insert certain information which means you will probably have to do write the letters manually. -Recreating all the forms for each year -Submitted and incomplete (unsubmitted) applications are all saved in one place. -The system does not automatically email applicants about the final decision. You will have to do this manually via your own email. -The survey form has very limited functions. -Applications that are submitted but do not have transcripts and letters of recommendations show up as completed on the back-end. You will have to go through every submitted application to make sure they have completed 100% of your requirements. This again takes a lot of time to go through if you have a lot of applicants. It is the best application processing platform I have ever used. Their customer service is quick and reliable - for both the businesses and those filling out applications. Pros is a very intuitive platform that allows every employee to use - no matter what their skill level with technology. Adjustments to forms or applications can take mere seconds. Cons I wish we were able to search applications by more than just names. And, I wish we were able to compare applications with previous applications for similarities or duplicates. We are thrilled to be working together over the next few years on our current program and look forward to looking for other efforts we could incorporate WizeHive into in the future. Administrators, applicants, and reviewers all report positive experiences with using WizeHive. Pros WizeHive has proven to be a wonderful solution for our program. We are currently running a large multi-year grant funding competition and needed a system that could meet our needs for proposal collection, application review, reporting, and other elements of grant management. WizeHive has been a perfect fit. The training experience with \[sensitive content hidden\] was excellent. \[sensitive content hidden\] always answered questions thoroughly and quickly solved problems as we worked together to create our first fully-functioning application portal. During our application acceptance period, no applicants reported having any issues with the WizeHive system. Everything worked so smoothly! Cons It would be nice if we could have the capacity to allow multiple files to be uploaded in one question in an application where relevant. Pros It's really user-friendly and easy to set up new projects. It's not overly complicated and you can figure out how to use most tools on your own. Cons The messaging component can glitch, as I've sent messages to people who did not get them sent to their inbox, and vice versa. Pros allows us to both accept submissions and integrate custom review and scoring and manage reviewers all in the same portal. I love the customization features and the user experience for applicants, reviewers, and administrators. Cons I wish there were a way to set a deadline for reference forms to be received. This isn't a major sore spot, but it would save some administrative headaches. This allowed us to have a greater reach to high school students who might want to apply to our program. Pros Our implementation lead was great. We challenged WizeHive with how we wanted to use our system for both applicants AND ongoing students - through their entire college experience. WizeHive rose to the challenge and provided us with creative solutions. Cons The visual reporting dashboard was complex and seemed to lack some functionality (getting data from two forms, for instance). It saves a lot of my time and really help me organize my submissions, and the best of all, which I didn't expect to find, is the plethora of contests I didn't find anywhere else (or it will take me a lot of time to find). Pros I wish I found earlier. I used to look for writing competitions through google and other search engines. The problem is they are sometimes outdated, inaccurate and very limited search result. I also have tons of bookmarks to help me remember which competitions I sent them too. When I submit a lot, I lost count and all I did was just wait for emails that inform me about the results. I found Submittable when some of the contests required me to use Submittable. It became a delight because the interface is very use friendly and I started to explore more, and I was in for pleasant surprises. I like the way it organizes my contests, I no longer forget which and where I submit them to, and the great thing is I'm also able to track the feedbacks for those contests instead of rummaging through my emails about forgotten or non-existent results. But the best thing is I can find way more contests through Submittable, and filter them the way I want to, from entry fees to genres. It saves a lot of time and effort and there are tons of contests. Cons None so far. I haven't had chance to explore other functions like creating my forms, but from what I use for, everything is satisfactory. It's an apps that does what it promises and more. Direct and quick customer support when built in Help & FAQ aren't able to answer questions. Cons While the system's capabilities to scale are incredible, there are some missing features or issues that haven't been addressed yet that would add a greater measure of use by both Administrators and end users. - Unable to conditionally require Date fields to be before or after another Date field - End users are unable to print/save full applications once completed. (Review Portals only recently received this capability) - Workspaces (Databases), are unable to connect to each other to share data and improve reporting capabilities - Built-in Reporting Functionality, while extremely helpful, has limitations that cause it to be very bulky, restricted, and can make it difficult to use - Features and configurations can often be buried deep within menus and take time to navigate to - Unable to bulk upload or download attachments to or from records - Unable to send attachments by Bulk Email - Review Portal, user-directed configurations limited What is extremely important for the reader to understand from my items listed above is that when you have a system that is capable of achieving almost all of your business needs and opens the door to a million possibilities, it can become incredibly frustrating when small or specific aspects of the system are not capable of being configured or scaled. It is the give and take of using an incredible configuration management system. Once you get used to having the ability to configure almost anything you want, its hard not to want even more! I hope that the software team continues to make aesthetic and functional updates, but as it is the platform does 98% of what we need it to, very well. Pros Wizehive has all of the features a grant administrator needs to centralize everything from communication with grantees, to the application itself, to the review process, to the final decision-making. It's been incredibly helpful for managing a program with >100 applicants, and we can track every submission from beginning to end, all in one place. The data view in particular lets you filter and cut applicant data every which way, and all of the forms relevant to one applicant are linked to each other, so even that is centralized. During the implementation process, our point person was flexible, fast, and responsive, and lived up to what we expected from our salesperson. For its price, Wizehive was the only platform we looked at with such an in-depth level of implementation support, and for that it's definitely singular. Cons Because Wizehive comes with so much customization, it takes a while to get the hang of, so a team definitely needs a dedicated person to spend some time getting familiar with the platform. Options and consequences are not always intuitive, so you might change something without realizing that you are breaking something else, especially among the submission portal, forms, review process, and review portal. I also wish that the data view would let you batch-select applicants--with so many, it's fairly tiring to move them into different folders one-by-one. Finally, summarizing review information from a review form only lets you do a certain menu (averaging, summing, etc. scores), and I wish that could instead be a custom formula. Cons We did not consider the reporting dashboard enough when setting up the application, so we had to redo some questions after the fact to get the right format to be able to report accurately and efficiently. This should be considered at every step along the way during the set-up process, and it felt like it was a last-minute thing to which we did not dedicate enough time. The other thing that was a disappointment is the fact that I was told that BILL could be integrated, but it turns out there is a pretty steep fee to do that, which no one seemed to know until months down the road into the process. This way, it is almost impossible to designate the investment for a specific purpose (for which I use Funds).(2) Allowing external contributions or donations (from non-employees) works theoretically, practically the donation button is deactivated on my external donation page.(3) No customer support during holiday/weekend, when it was really critical (this weekend!) All WizeHIve representatives were professional, knowledgeable and enjoyable to work with. Pros The development and training process. WizeHive spent time to learn our program and system before suggesting ways to set up the grant management steps. We were able to tweak it as it was developed to better align the existing process with the online portal. Cons Not being able to download proposal and report templates from the WizeHive portal. Users must visit another website to download templates. Reason for choosing Submittable WizeHive was responsible for building out the program and not me.
