Pros I've used Submittable for over 5 years, entering various competitions and creating philosophical and healing poetry. Also, writing short stories (entered into competitions). I find myself spending so much time going through their help center documents. When I don't find a solution to my problem, I have no choice but to contact customer service which is a headache. It takes them about 24 hours to reply to urgent matters and most of the time they provide a complicated solution which they assume we would know how to do. We pay thousands of dollars every year not to have 24/7 customer service or for WizeHive not to make better improvements to the system. The only major change that they have done this year was redesigning the login page. Pros It does the basics that every other platform does. The application from the applicant side and review portals are easy to use. Cons \-There's no support provided via phone unless you email them first and schedule a meeting (which takes a few days for urgent matters). -Emails usually end up in spam folders. -You can't duplicate applications or move them to the next year's cycle which is frustrating if you've deferred an applicant. -The letter generator plugin is not the greatest. You can't insert certain information which means you will probably have to do write the letters manually. -Recreating all the forms for each year -Submitted and incomplete (unsubmitted) applications are all saved in one place. -The system does not automatically email applicants about the final decision. You will have to do this manually via your own email. -The survey form has very limited functions. -Applications that are submitted but do not have transcripts and letters of recommendations show up as completed on the back-end. You will have to go through every submitted application to make sure they have completed 100% of your requirements. This again takes a lot of time to go through if you have a lot of applicants. I've launched my share of platforms in my career and this was as well-planned, structured, and executed as any of the best I've experienced. Pros I like everything about WizeHive, but hands down the cherry on top was our implementation lead, \[sensitive content hidden\]. Maybe all the leads are exactly the same -- I hope so, for the sake of everyone else -- but the success of our platform and launch is credited to the team leader. I cannot say enough good things about his intelligence to build, troubleshoot, test, reconfigure, and train me all while thinking of our needs, what we would need next, and what I didn't yet know. His technical talent is matched by his patience and priority of wanting our foundation and me to be set up for success from start to finish. I would have liked to know more going in, but our foundation's timeline did not allow -- we were coming up on our next scholarship cycle and there was no time to waste -- but having training modules is very helpful. Reason for choosing Submittable The best fit -- I looked at who had education foundations as clients, worked with scholarships and grants similar to ours, I was impressed with the amount of control and advanced reporting we would be able to do, and I thought it would work well being updated each year as we restructure our scholarship process. Administrators, applicants, and reviewers all report positive experiences with using WizeHive. Pros WizeHive has proven to be a wonderful solution for our program. We are currently running a large multi-year grant funding competition and needed a system that could meet our needs for proposal collection, application review, reporting, and other elements of grant management. We have more than earned back the cost of the license in time saved. Pros We had a last-minute need for an online granting process and needed an affordable tool where we could get everything running quickly with minimal input from our end. Even though their development times are typically longer, they were willing to adapt to our timeline and still delivered the forms a week earlier! Throughout the entire process, their support team has been amazing--always available, always happy to help and incredibly fast to turn things around. We hardly had to do any of the development ourselves, despite this being a last-minute request. As a small team with limited spare capacity, this was a lifesaver in being able to keep to our grantmaking timeline. Cons While the functionalities are enough for most organizations' granting needs, there are a few customization options, such as greater flexibility with repeating questions, which we would have liked. The system functions as advertised and it has enabled our youth development program to administer what has historically been in-person events and activities into a digital format. That has saved time and travel expenses for our employees and volunteers. Pros I love the clean design, ease of use, and functionality. The projects and forms are easy to create, highly customizable, and user-friendly for clientele. The ease to which project assignments can be made and tracked is another great feature. We started using Submittable to help us manage a sizable photography contest, and have since been finding ways to migrate other activities/contests (like public speaking, leadership applications, and videography to name a few) into this platform. Cons I would like to see some type of organizational structure within forms, projects, and the team to help keep different groups or activities separated. Currently, those lists are becoming quite long and clutter up the pages. A folder system would be ideal that might include activity groups as well as a means to archive forms and projects. Perhaps to help de-clutter, I would like for other teams admins to only see the projects, forms, and reports they created. Team member A doesn't need to see everything that team member B has created. Unless they are a level 5, they only need to see their own work. Reason for choosing Submittable I considered many other products (can't remember the names of them). You are a US based company, so there is no lag in communication. The system had every function I needed. Judgify is based in Singapore so there was a big lag in communication. Granted, Judgify is significantly cheaper, and honestly if it functioned like it should have, I would have stayed with them. Prior to that, we imbedded Google Forms and photos into a website and created our own judging platform. It was cumbersome and error-prone to say the least. Review Source BB Barby B. Communications Non-Profit Organization Management Used the software for: 1-2 years ### "A solid management system for grant applications" February 15, 2024 4.0 Overall we've been pleased with Submittable because of its features and capabilities, but the prices is intimidating. That being said, we've felt that it is comparable with other similar services out there. Pros Submittable's application forms are very customizable and they allow for a multi-step application process and submitting grant reports. We're able to create customized reports and export the data easily, although there is a bit of a learning curve to set up the reports. Collaboration is built-in, allowing reviewers and admins to leave notes for each other and see reviews. We also liked that that collaboration can be locked down so that applicants can either see or not see that feedback. The implementation team that worked with us was great and provided very valuable training as part of our implementation project. Cons We've found the email's generated by Submittable have formatting issues and are often blocked by anti-spam software, so there have been some deliverability issues and some problems with reading the system-generated emails. The development team is aware of the issue (for 2 years) but nothing seems to have been done about it. Documentation is limited, and they charge for support after your initial setup period. We end up having to pay for 10 extra user licenses for our grant reviewers beyond the 2 months those licenses are really used. This is because only 10 user licenses are available in our subscription tier, and you can only purchase extra licenses in block of 10 (not individually). So far, Submittable has worked with us on the pricing to be affordable but it would be nice to have the option of adding on temporary licenses for reviewers, or even not having to pay for that level of user since they are typically only needed for 1-2 months. Pros From the demo to go live the people at WizeHive have been great to work with! The implementation team has been fantastic to work with. They are knowledgeable, patient, attentive and have been willing to do the lion share of the work when building out forms and customizing rules. Any time we have ran into a roadblock, the implementation team worked to find a suitable solution or workaround They have also used their experience to be proactive about helping us avoid pitfalls of setting up software in ways that might be challenging down the road. When you are going into new software, you don't know what you don't know... but they took the time to understand and listen to what we were trying to accomplish and consulted with us on the best use of the software why some of our ideas may not have been the best long term! It was refreshing to work with a knowledgeable team who was invested in our success! Cons If I had to name a con, it would be some limitations with customizing the user interface. I would have liked to make the user experience a bit more friendly or modern. (fonts, layout, colors, etc) But in all my research into other software platforms it was a trade off, you could have a more sleek or custom user interface but not as much functionality. Compared to other tools I've used, Submittable makes it easier and faster to create projects, improves our administrative workflow, and creates a better experience for applicants. Pros Submittable allows us to both accept submissions and integrate custom review and scoring and manage reviewers all in the same portal. I love the customization features and the user experience for applicants, reviewers, and administrators. Cons I wish there were a way to set a deadline for reference forms to be received. August 11, 2023 5.0 Prior to purchasing the WizeHIve software, our institution was using multiple layered spreadsheets to manage scholarship applicant intake and selection. Then, manually sending communications to applicants using Microsoft Outlook. Our ability to access data and generate reports was also limited as it also was a very manual process. Introducing the concept of a scholarship portal to our students has been a great experience. We are improved our efficiency internally but more importantly; we are providing a better user-experience for our students. Pros The ability our scholarship application portal with our student information system provides a more user-friendly experience for applicants. Additionally, it ensures the critical information used on the application to determine applicant eligibility is 100% accurate. The integration functionality and ability to customize the application fields using conditional logic has transformed our scholarship program entirely, helping us to be much more efficient with our selection processes. Cons The process for closing an application cycle, and starting a new one that essentially mirrors past years is very involved. However, the WizeHive support team was very helpful as we transitioned from our first cycle using the software into our second. The process will likely become more clear with each new cycle/academic year. Having all the information that we needed for this grant housed in one place made is super easy and efficient for me to keep my 300 plus applications, that were in various stages of the grant process, organized! Pros The product was easy to use, and our implementation lead \[sensitive content hidden\] was amazing! He did a great job of making sure that the product was customized for our needs. He also did a great job of making sure that we were comfortable with using the software for not only managing our grant but creating or editing our custom forms and templates. Having the option to use different folders and the auto emails that were generated when an application moved to a new folder was super helpful in automating our grant process and keeping our applicants informed. Cons The biggest thing that we got negative feedback about was the inability to have multiple users access the same application. Having someone that is an admin user and could grant user access to another person would be helpful or if there were a way to allow multiple users to access the same application. We have a situation where there are sometimes multiple people involved in the application process and they were frustrated by the inability to all have access the application. September 14, 2022 5.0 As I learn more about the software and the tools you have, it really has made the process overall from launch of the scholarship season, to the close and then the information from the system is essential for marketing to potential future donors. Pros I am very used to having to learn new software, through out my positions in the last several years. The reason I love Submittable, not because it's easy for me, BUT BECAUSE it's easy for submitters and judges to use. If I had to review the how-to's prior to every season to a new set of judges, it would take so much time and energy. That only is worth the fees we pay! Cons I do wish the forms had a little more ability to make them a bit prettier to look at. The size of the fonts is either super small, or HUGE. The best experience I have is when I can speak with a person at Wizehive for what are complicated questions that I have. It's hard to express your issues in a support ticket, because of that you don't always get the right answers and have to keep asking thru the support ticket. If you could speak with someone, they better understand what you're trying to do and your issues. Pros That the applicant can log in to their application and see what they did last year, they can also see where their application is in the process, emails are simple to send and you have control over the emails being sent Cons I wish that Wizehive had an 800 number - a number you can call and speak with someone. I don't like that I have to send an email stressing that I need to talk to someone. The attachments can be viewed from all the above devices. Super happy with WizeHive! Cons We still need to build our reports. Not a con, only thing that isn't perfect yet. Using Wizehive allowed us to put 3 different workflows, used by 3 different teams/roles all in one place. And the experience for the user is a lot easier than other systems for processing applications. Cons The only thing I didn't like was testing out the views for different roles within my workspace. I have so much time to discover and explore more on this software in order for me to use it more productively towards my projects with clients and other personal uses. Pros I'm new to this platform when I made my multiple submissions of poems to the different online magazines worldwide. I never thought it would be like an automatic forms to be filled up and there is nothing to worry about doing it all over again since I'm not used to it. I'm glad that I can avail a free version on such and do the submissions clearly. Cons I don't have much anything to say about the lacking but I would like to commend that it must be all for free of use as much as I would want to. However, it is not possible then.
