To have 100's of grant applications in one place and be able to manage archived and current applications with ease has cut my work by more than half. Pros The customer service is unmatched. From billing to IT, messages are returned on the same day. For me, that is better than the program itself. I never speak to a BOT or an AI rep. I can actually still speak/email with a human and that makes me stay with Wizehive. Cons I haven't run into any issues using Wizehive. Review Source AR Adam R. Setup, while intensive, has been pretty painless. We have strong expectations for usage. Pros We're just on the finishing end of launching our database, transitioning out from another database provider we've used for the past 7 years. While that provider required learning the liquid coding language or contracting with their team to make any changes, WizeHive offers incredible flexibility and ease of use. As the sole staffer of a foundation, I need the database to run smoothly and for changes to be made easily, so that management does not take up too much time. WizeHive's team has been excellent in helping us get off the ground and prepare the system for launch. Work with our previous provider was kind of a nightmare in comparison. Using the system seems like it will be pretty seamless from both an administrator and grantee perspective, but we will find out once it is put into use in a few weeks. We considered WizeHive when we made our previous selection 7 years ago, and the company has grown in a way that we believe will address all our needs in an elegant way. This seems like a solution that was able to be right-sized for our needs, without additional feature bloating that complicates some of the other options on the market. Cons There are a few features that are still coming online that will be essential for us, including document and email merge field capability within the system. Our previous system was strong on graphic capability, we will see how Wizehive is in use in terms of being able to quickly view and access data in a clean way. The system was also overbuilt for our needs. The roadmap of future development and incremental updates did not warrant the annual price increases which led us to explore other options in the marketplace. I find myself spending so much time going through their help center documents. When I don't find a solution to my problem, I have no choice but to contact customer service which is a headache. It takes them about 24 hours to reply to urgent matters and most of the time they provide a complicated solution which they assume we would know how to do. We pay thousands of dollars every year not to have 24/7 customer service or for WizeHive not to make better improvements to the system. The only major change that they have done this year was redesigning the login page. Pros It does the basics that every other platform does. The application from the applicant side and review portals are easy to use. Cons \-There's no support provided via phone unless you email them first and schedule a meeting (which takes a few days for urgent matters). -Emails usually end up in spam folders. -You can't duplicate applications or move them to the next year's cycle which is frustrating if you've deferred an applicant. -The letter generator plugin is not the greatest. You can't insert certain information which means you will probably have to do write the letters manually. -Recreating all the forms for each year -Submitted and incomplete (unsubmitted) applications are all saved in one place. -The system does not automatically email applicants about the final decision. You will have to do this manually via your own email. -The survey form has very limited functions. -Applications that are submitted but do not have transcripts and letters of recommendations show up as completed on the back-end. You will have to go through every submitted application to make sure they have completed 100% of your requirements. This again takes a lot of time to go through if you have a lot of applicants. I've launched my share of platforms in my career and this was as well-planned, structured, and executed as any of the best I've experienced. Pros I like everything about WizeHive, but hands down the cherry on top was our implementation lead, \[sensitive content hidden\]. Maybe all the leads are exactly the same -- I hope so, for the sake of everyone else -- but the success of our platform and launch is credited to the team leader. I cannot say enough good things about his intelligence to build, troubleshoot, test, reconfigure, and train me all while thinking of our needs, what we would need next, and what I didn't yet know. His technical talent is matched by his patience and priority of wanting our foundation and me to be set up for success from start to finish. Reason for choosing Submittable The best fit -- I looked at who had education foundations as clients, worked with scholarships and grants similar to ours, I was impressed with the amount of control and advanced reporting we would be able to do, and I thought it would work well being updated each year as we restructure our scholarship process. Even though their development times are typically longer, they were willing to adapt to our timeline and still delivered the forms a week earlier! We hardly had to do any of the development ourselves, despite this being a last-minute request. As a small team with limited spare capacity, this was a lifesaver in being able to keep to our grantmaking timeline. Pros From the demo to go live the people at WizeHive have been great to work with! The implementation team has been fantastic to work with. They are knowledgeable, patient, attentive and have been willing to do the lion share of the work when building out forms and customizing rules. Any time we have ran into a roadblock, the implementation team worked to find a suitable solution or workaround They have also used their experience to be proactive about helping us avoid pitfalls of setting up software in ways that might be challenging down the road. When you are going into new software, you don't know what you don't know... but they took the time to understand and listen to what we were trying to accomplish and consulted with us on the best use of the software why some of our ideas may not have been the best long term! It was refreshing to work with a knowledgeable team who was invested in our success! Cons If I had to name a con, it would be some limitations with customizing the user interface. I would have liked to make the user experience a bit more friendly or modern. (fonts, layout, colors, etc) But in all my research into other software platforms it was a trade off, you could have a more sleek or custom user interface but not as much functionality. The staff are responsive to our needs, and take the time to understand what we need from the system in order to meet our goals. As noted about, our implementation lead went "over and above" in developing customize forms/processes to help our grant making process go as smoothly as possible. He also took a lot of time ensure our organization's staff were well trained on how to use the system. Pros We used WizeHive to manage several different application processes, and a grant management/reimbursement process. For the application process, we liked that both the application and the review process was built into the system, allowing for a more streamlined process for both applicants and reviewers. We also liked that the forms and fields were customizable to ensure we were collecting the information we needed.For our grant management/reimbursement process, we had an extra level of complexity to what we needed the system to do given how we reimbursed our grantees. Our WizeHive implementation lead worked with us to understand how to set up the system to best meet our needs and customized various forms and processes within the system to meet those needs. Cons One feature we think would be helpful is if there is a way that applicant organizations could allow multiple staff within their organization to access their organization's applications or reimbursement forms. Currently, an organization is limited to one username/password to access their application portal. Unless the organization shares that username/password with others within their agency, this means that they are limited to only one particular individual having access. It would also be helpful if the system allow an organization to have an overall organization account, and then within that account access various funding oppournities. Presently, each funding opportunity essentially requires a different account. As we have the same agencies that apply for various funding opportunities, they have to create (and remember) different log-in information for each separate funding opportunity. Having all the information that we needed for this grant housed in one place made is super easy and efficient for me to keep my 300 plus applications, that were in various stages of the grant process, organized! Pros The product was easy to use, and our implementation lead \[sensitive content hidden\] was amazing! He did a great job of making sure that the product was customized for our needs. He also did a great job of making sure that we were comfortable with using the software for not only managing our grant but creating or editing our custom forms and templates. Having the option to use different folders and the auto emails that were generated when an application moved to a new folder was super helpful in automating our grant process and keeping our applicants informed. Cons The biggest thing that we got negative feedback about was the inability to have multiple users access the same application. Having someone that is an admin user and could grant user access to another person would be helpful or if there were a way to allow multiple users to access the same application. We have a situation where there are sometimes multiple people involved in the application process and they were frustrated by the inability to all have access the application. September 14, 2022 5.0 As I learn more about the software and the tools you have, it really has made the process overall from launch of the scholarship season, to the close and then the information from the system is essential for marketing to potential future donors. Pros I am very used to having to learn new software, through out my positions in the last several years. The reason I love Submittable, not because it's easy for me, BUT BECAUSE it's easy for submitters and judges to use. If I had to review the how-to's prior to every season to a new set of judges, it would take so much time and energy. That only is worth the fees we pay! Cons I do wish the forms had a little more ability to make them a bit prettier to look at. The size of the fonts is either super small, or HUGE. The best experience I have is when I can speak with a person at Wizehive for what are complicated questions that I have. It's hard to express your issues in a support ticket, because of that you don't always get the right answers and have to keep asking thru the support ticket. If you could speak with someone, they better understand what you're trying to do and your issues. Pros That the applicant can log in to their application and see what they did last year, they can also see where their application is in the process, emails are simple to send and you have control over the emails being sent Cons I wish that Wizehive had an 800 number - a number you can call and speak with someone. I don't like that I have to send an email stressing that I need to talk to someone. Speaking with a live person is so very helpful and it's the one thing that I feel Wizehive is lacking...in a big way Reason for choosing Submittable I was not working at the company when they chose Wizehive - it was already installed when I started. Cons We were not able to use one portal for the scholarships we have. Pros Great Customer Service - and ease of the system for both applicant and reviewer are fantastic Cons wish they had a more comprehensive CRM - which this is in the beta stage, it doesn't work for us because we do not require our applicants to have a UEI or be a non-profit. Using Wizehive allowed us to put 3 different workflows, used by 3 different teams/roles all in one place. And the experience for the user is a lot easier than other systems for processing applications. Cons The only thing I didn't like was testing out the views for different roles within my workspace. It makes it hard to train other teams when their views look different than an admin view and I can't toggle back and forth but instead have to start playing with incognito windows, permissions, fake email addresses etc Review Source MH Melissa H. All WizeHIve representatives were professional, knowledgeable and enjoyable to work with. Pros The development and training process. WizeHive spent time to learn our program and system before suggesting ways to set up the grant management steps. We were able to tweak it as it was developed to better align the existing process with the online portal. Cons Not being able to download proposal and report templates from the WizeHive portal. Users must visit another website to download templates. Reason for choosing Submittable WizeHive was responsible for building out the program and not me.
