### "From Spreadsheets to a Streamlined Program!"

Prior to purchasing the WizeHIve software, our institution was using multiple layered spreadsheets to manage scholarship applicant intake and selection. Then, manually sending communications to applicants using Microsoft Outlook. Our ability to access data and generate reports was also limited as it also was a very manual process. Introducing the concept of a scholarship portal to our students has been a great experience. We are improved our efficiency internally but more importantly; we are providing a better user-experience for our students.

Pros

The ability our scholarship application portal with our student information system provides a more user-friendly experience for applicants. Additionally, it ensures the critical information used on the application to determine applicant eligibility is 100% accurate. The integration functionality and ability to customize the application fields using conditional logic has transformed our scholarship program entirely, helping us to be much more efficient with our selection processes.

Cons

The process for closing an application cycle, and starting a new one that essentially mirrors past years is very involved. However, the WizeHive support team was very helpful as we transitioned from our first cycle using the software into our second. The process will likely become more clear with each new cycle/academic year.

### "Review of WizeHive for Application and Grant Management"

Overall, we have had a positive experience with WizeHive. The staff are responsive to our needs, and take the time to understand what we need from the system in order to meet our goals. As noted about, our implementation lead went "over and above" in developing customize forms/processes to help our grant making process go as smoothly as possible. He also took a lot of time ensure our organization's staff were well trained on how to use the system.

Pros

We used WizeHive to manage several different application processes, and a grant management/reimbursement process. For the application process, we liked that both the application and the review process was built into the system, allowing for a more streamlined process for both applicants and reviewers. We also liked that the forms and fields were customizable to ensure we were collecting the information we needed.For our grant management/reimbursement process, we had an extra level of complexity to what we needed the system to do given how we reimbursed our grantees. Our WizeHive implementation lead worked with us to understand how to set up the system to best meet our needs and customized various forms and processes within the system to meet those needs.

Cons

One feature we think would be helpful is if there is a way that applicant organizations could allow multiple staff within their organization to access their organization's applications or reimbursement forms. Currently, an organization is limited to one username/password to access their application portal. Unless the organization shares that username/password with others within their agency, this means that they are limited to only one particular individual having access. It would also be helpful if the system allow an organization to have an overall organization account, and then within that account access various funding oppournities. Presently, each funding opportunity essentially requires a different account. As we have the same agencies that apply for various funding opportunities, they have to create (and remember) different log-in information for each separate funding opportunity.

### "My Zengine Experience with WizeHive"

It has been wonderful. I've launched my share of platforms in my career and this was as well-planned, structured, and executed as any of the best I've experienced.

Pros

I like everything about WizeHive, but hands down the cherry on top was our implementation lead, \[sensitive content hidden\]. Maybe all the leads are exactly the same -- I hope so, for the sake of everyone else -- but the success of our platform and launch is credited to the team leader. I cannot say enough good things about his intelligence to build, troubleshoot, test, reconfigure, and train me all while thinking of our needs, what we would need next, and what I didn't yet know. His technical talent is matched by his patience and priority of wanting our foundation and me to be set up for success from start to finish. I got that impression also in my calls with \[sensitive content hidden\]; instead of giving me bullet points of all things WizeHive, he asked questions about what we had, what we needed, what we wanted, and what we saw as our future needs. \[sensitive content hidden\] seems to be on that same wagon and I am thrilled to have the support system for this product.

Cons

I can't really think of anything I would consider a con. I would have liked to know more going in, but our foundation's timeline did not allow -- we were coming up on our next scholarship cycle and there was no time to waste -- but having training modules is very helpful. I refer back to them and hope they keep coming.

Reason for choosing Submittable

The best fit -- I looked at who had education foundations as clients, worked with scholarships and grants similar to ours, I was impressed with the amount of control and advanced reporting we would be able to do, and I thought it would work well being updated each year as we restructure our scholarship process.

The last one we used was EForms and, as wonderful as the developer was, it did not work. At all -- no filtering candidates or matching, so we had to do hundreds manually, we were limited on assigning reviewers, no guarantee every application was seen by at least one reviewer, etc. The year prior to 2023 was wrought with issues and I think they ran out of time to rebuild for 2023 -- we were not involved on the back end and could not do anything in the system. 180° from what we can do in Zengine.

I think the ability to streamline and automate our grant using WizeHive made the process move faster, allowing us to get funding out to our applicants sooner! Having all the information that we needed for this grant housed in one place made is super easy and efficient for me to keep my 300 plus applications, that were in various stages of the grant process, organized!

Pros

The product was easy to use, and our implementation lead \[sensitive content hidden\] was amazing! He did a great job of making sure that the product was customized for our needs. He also did a great job of making sure that we were comfortable with using the software for not only managing our grant but creating or editing our custom forms and templates. Having the option to use different folders and the auto emails that were generated when an application moved to a new folder was super helpful in automating our grant process and keeping our applicants informed.

Cons

The biggest thing that we got negative feedback about was the inability to have multiple users access the same application. Having someone that is an admin user and could grant user access to another person would be helpful or if there were a way to allow multiple users to access the same application. We have a situation where there are sometimes multiple people involved in the application process and they were frustrated by the inability to all have access the application.

### "It Changes The Way I Do Things"

Awesome. Very helpful, easy to use. Simple and straight forward interface. It saves a lot of my time and really help me organize my submissions, and the best of all, which I didn't expect to find, is the plethora of contests I didn't find anywhere else (or it will take me a lot of time to find).

Pros

I wish I found Submittable earlier. I used to look for writing competitions through google and other search engines. The problem is they are sometimes outdated, inaccurate and very limited search result. I also have tons of bookmarks to help me remember which competitions I sent them too. When I submit a lot, I lost count and all I did was just wait for emails that inform me about the results. I found Submittable when some of the contests required me to use Submittable. It became a delight because the interface is very use friendly and I started to explore more, and I was in for pleasant surprises. I like the way it organizes my contests, I no longer forget which and where I submit them to, and the great thing is I'm also able to track the feedbacks for those contests instead of rummaging through my emails about forgotten or non-existent results. But the best thing is I can find way more contests through Submittable, and filter them the way I want to, from entry fees to genres. It saves a lot of time and effort and there are tons of contests.

Cons

None so far. I haven't had chance to explore other functions like creating my forms, but from what I use Submittable for, everything is satisfactory. It's an apps that does what it promises and more.

This product has significantly reduced the administrative time we spend on grantmaking. We have more than earned back the cost of the license in time saved.

Pros

We had a last-minute need for an online granting process and needed an affordable tool where we could get everything running quickly with minimal input from our end. Even though their development times are typically longer, they were willing to adapt to our timeline and still delivered the forms a week earlier! Throughout the entire process, their support team has been amazing--always available, always happy to help and incredibly fast to turn things around. We hardly had to do any of the development ourselves, despite this being a last-minute request. As a small team with limited spare capacity, this was a lifesaver in being able to keep to our grantmaking timeline.

Cons

While the functionalities are enough for most organizations' granting needs, there are a few customization options, such as greater flexibility with repeating questions, which we would have liked. However, the support team helped us find acceptable workarounds.

Reason for choosing Submittable

Wisehive was one of the less expensive options, and unlike the other options in the price tier, offered hands-on support to get our program up and running. Their sales team was also much more thorough in understanding our needs and were honest about what they could and couldn't deliver. Although we had a cheaper option, we decided to go with Wisehive because of the support we would receive and our positive interaction with the sales team.

Pros

Live in-person training during the implemenation phase. The implementation lead was able to change/edit things along the way in both of our scholarship portals.

Cons

We were not able to use one portal for the scholarships we have.

Great. Easy to use, user friendly. Good solutions for our company. Help desk gets back to us promptly, if we have questions.

Pros

It is easy to use and implement. User friendly for the applicant and for the administration.

Cons

There is no way to edit an email address for a recommender if the applicant put it in wrong, unless you open the whole application for editing. We don't run into this issue often, but it can create problems. But, the benefits outweigh the cons.

The WizeHive Team is thoughtful, intentional, and focused on excellence in their product and their customer relationships. I know several team members by name and consistently receive personalized, immediate, and knowledgeable support. From the beginning, WizeHive provides a customized experience for every client, and the support and personal touch do not end after the contract is signed. Our team is excited about all of the time and systems we have saved by switching to WizeHive.

Pros

WizeHive replaced our applicant tracking system, time tracking software, onboarding app, CRM, survey administration app, contact management app, mail merge app, and countless spreadsheets, docs, and graphs stored in Drive and Dropbox. The software has incredible functionality, and the WizeHive Team functions as an extension of our team - responding promptly and supportively to every request, helping us learn how to use the system more effectively, and requesting feedback for how to improve their support!

Cons

WizeHive has a potential learning curve if you want to take full advantage of all of its potential. However, the Implementation Team works closely with every client to plan the implementation that aligns with your goals for not only usage but also management. My only complaint, which the Support Team has graciously heard and recorded, is that whitelisted/vanity email addresses and system addresses are not available. We solved this challenge by using Zapier to connect our email accounts and Rebrandly to create a web address that is branded, but if I could change one thing, this would be it.

As I learn more about the software and the tools you have, it really has made the process overall from launch of the scholarship season, to the close and then the information from the system is essential for marketing to potential future donors.

Pros

I am very used to having to learn new software, through out my positions in the last several years. The reason I love Submittable, not because it's easy for me, BUT BECAUSE it's easy for submitters and judges to use. If I had to review the how-to's prior to every season to a new set of judges, it would take so much time and energy. That only is worth the fees we pay!

Cons

I do wish the forms had a little more ability to make them a bit prettier to look at. The size of the fonts is either super small, or HUGE. It would be nice to make the page look a bit prettier and closer in line with our branding.

1\. Implement an idea into a fully functional solution in Production within minutes. 2. Correct and modify configurations with clients and end-users in real-time. 3. Designed to empower system owners and administrators to meet the demands of their clients and super users. 4. While the system's capabilities to scale are incredible, there are some missing features or issues that haven't been addressed yet that would add a greater measure of use by both Administrators and end users. - Unable to conditionally require Date fields to be before or after another Date field - End users are unable to print/save full applications once completed. (Review Portals only recently received this capability) - Workspaces (Databases), are unable to connect to each other to share data and improve reporting capabilities - Built-in Reporting Functionality, while extremely helpful, has limitations that cause it to be very bulky, restricted, and can make it difficult to use - Features and configurations can often be buried deep within menus and take time to navigate to - Unable to bulk upload or download attachments to or from records - Unable to send attachments by Bulk Email - Review Portal, user-directed configurations limited What is extremely important for the reader to understand from my items listed above is that when you have a system that is capable of achieving almost all of your business needs and opens the door to a million possibilities, it can become incredibly frustrating when small or specific aspects of the system are not capable of being configured or scaled. It is the give and take of using an incredible configuration management system. Once you get used to having the ability to configure almost anything you want, its hard not to want even more!

With Wizehive, the grant management process at our foundation has changed for the better drastically. To have 100's of grant applications in one place and be able to manage archived and current applications with ease has cut my work by more than half.

Pros

The customer service is unmatched. From billing to IT, messages are returned on the same day. For me, that is better than the program itself. I never speak to a BOT or an AI rep. I can actually still speak/email with a human and that makes me stay with Wizehive.

Cons

I haven't run into any issues using Wizehive.

### "Perfect for DIY Grant Management"

Overall, our team is very happy with Wizehive, and we would absolutely use Wizehive again and recommend the platform. I hope that the software team continues to make aesthetic and functional updates, but as it is the platform does 98% of what we need it to, very well.

Pros

Wizehive has all of the features a grant administrator needs to centralize everything from communication with grantees, to the application itself, to the review process, to the final decision-making. It's been incredibly helpful for managing a program with >100 applicants, and we can track every submission from beginning to end, all in one place. The data view in particular lets you filter and cut applicant data every which way, and all of the forms relevant to one applicant are linked to each other, so even that is centralized. During the implementation process, our point person was flexible, fast, and responsive, and lived up to what we expected from our salesperson. For its price, Wizehive was the only platform we looked at with such an in-depth level of implementation support, and for that it's definitely singular.

Cons

Because Wizehive comes with so much customization, it takes a while to get the hang of, so a team definitely needs a dedicated person to spend some time getting familiar with the platform. Options and consequences are not always intuitive, so you might change something without realizing that you are breaking something else, especially among the submission portal, forms, review process, and review portal. I also wish that the data view would let you batch-select applicants--with so many, it's fairly tiring to move them into different folders one-by-one. Finally, summarizing review information from a review form only lets you do a certain menu (averaging, summing, etc. scores), and I wish that could instead be a custom formula.

Pros

The product is easy for applicants to use, with simple forms and clear application guidelines. Generally, we have had many applicants have no issues while applying, which is definitely a positive about the platform.

Cons

For administrative staff who work grant programs on the back-end, features such as advanced reporting are sorely lacking. It's difficult to build these reports and pull through the data you need. Additionally, there are many small issues that Submittable merely provides "work-arounds" for, rather than solving problems. For example - tables that are put directly into an application form export as a separate file, and then would need to be merged in order to package applications. While the platform might make the process of applying smooth for applicants, there seem to always be headaches for our staff when processing applications afterwards.

My overall experience with WizeHive is great. Our previous scholarship management solution did not evolve quickly enough to meet the demands of our growing organization. WizeHive provides consistent updates and quality of life changes to meet these growing demands on a reliable basis.

Pros

WizeHive offers a variety of features intended to make the user-experience clear. My favorite features including autoemails set up, mass editing/deletion of records, and mass data import/export.

Cons

The most important feature I believe is missing is cross-form mapping. Right now, Profile information can be mapped to any form within a submission portal, but additional forms cannot be mapped to each other in that same portal. Cross-form logic is also missing. It would be easier to be able to link a question in a form with logic building off a question earlier in the application.

Pros

WizeHive's set-up and staff support is great-- they walk you through the steps and features of each part of the process so you understand what you can do and where and when and how.

Cons

We did not consider the reporting dashboard enough when setting up the application, so we had to redo some questions after the fact to get the right format to be able to report accurately and efficiently. This should be considered at every step along the way during the set-up process, and it felt like it was a last-minute thing to which we did not dedicate enough time. The other thing that was a disappointment is the fact that I was told that BILL could be integrated, but it turns out there is a pretty steep fee to do that, which no one seemed to know until months down the road into the process.

I liked the sales and support staff and the product seemed to meet the needs of all the complicated aspects of my grant program.

### "Great platform but could work better"

In my opinion, user experience and interface matter. Submittable has a clean look that is welcoming to users. It's not a perfect platform and we've had to work around it. The team is very responsive, however, and seems open to improving their product. If only they could move a bit faster.

Pros

Submittable is easy to use and intuitive. With drag-and-drop options, creating an application takes minutes. Logic branching also helps when you want to gather more info based on an applicant's response. The file upload features are also very helpful. Once your application is live, you can track and label applications as they come in. This is helpful since a quick perusal of an application can determine eligibility. One quick label and you can filter it out during the full review process. The reviewer portal is equally intuitive. With side-by-side views, your reviewers can read and answer questions or rate the application without having to switch screens. You can also set certain application fields (such as name, gender, etc.) to blind so that there is no bias based on these questions. Overall, Submittable is a great application portal and get your money's worth.

Cons

Recommendation letter request emails don't get sent out until AFTER the applicant submit their application. This is fine in most cases but you do have to offer a small grace period to recommenders. It would be great if applicants can enter a recommender and hit a button "Request Letter." The forms can also become rather long if you have a lot of questions. It could affect completion rates. Finally, just as you are able to remind reference letter writers through the portal, it would be great to be able to remind those with incomplete application about the upcoming deadline. Right now, you can request a list of incomplete applications but you only get name and email addresses. It would be good to see some of the data that the applicants have completed so far.

We have used Submittable to collect forms for auditions and I like that the faculty and coaches are able to review and evaluate the student in the platform. We have also used it to collect event information.

I like that you can use this platform for any different reasons and you can create many different forms so that you can really customize them for the right purpose.

Quick response and helpful for the most part. I have heard of a few colleagues across the org, not as lucky in getting timely responses and help on their forms. As noted above, poor communication in some cases.

Pros

The robust workflow and ease of creating and editing/adjusting the application form are the best feature from our perspective. Little to no need for in-house IT support.

Cons

Reporting (exporting applicant/form data) is not intuitive but fudgeable. I've grdaully learned to make it work... kind of.We also have several separate Submittable contracts across our org, but we have not been bundled to provide greater cost savings across our groups as would seem more than fair considering the amount of business we give this platform. Also, I've heard from other colleagues that the account manger tends to change frequently, sometime with no notice or handoff.

Ease of use, very efficient, and very effective.

Cons

Not all functionalities are properly connected yet. (1) Citizen Philantropy Investments cannot be recommended to Funds, only nonprofits. This way, it is almost impossible to designate the investment for a specific purpose (for which I use Funds).(2) Allowing external contributions or donations (from non-employees) works theoretically, practically the donation button is deactivated on my external donation page.(3) No customer support during holiday/weekend, when it was really critical (this weekend!)

WizeHive makes it possible to manage our grant program and the increasing number of proposals that we receive.

Pros

Customer service is very helpful and responsive. They're helpful in answering simple fix questions, as well as brainstorming on how their software can accommodate more complex requests. Very easy to build your own application form, as well as follow-up forms. The interface can be customized to fit your organization's branding. Online help articles are very helpful and easy to follow. Easy to create and customize reports. Easy to create a new workspace - its basically a copy, paste function. Overall - if we were to go through this process again, we would make the same decision to use WizeHive.

Cons

Applicants have to create new credentials every year in order to access their application so, they have separate logins for the year they are reporting in and the year they are applying for - that can get confusing. Yearly workspaces cannot communicate with one another so doing YTD comparisons can be challenging. There are some features, such as the calendar and cascading forms, within WizeHive that I wanted to utilize but were not sophisticated enough features to make it worthwhile. Sending an e-mail to users through the WizeHive app comes from the WizeHive domain and frequently goes to the spam folder. While you can direct replies to an internal e-mail, I would like for the e-mail to also appear as though it was sent from our domain.

Regarding the communication between yearly workspaces - this is a key priority for us and is on our near-term roadmap. Cascading forms is a core feature and we'd like to further discuss any issues you are experiencing to see if there is an immediate way to support/address your needs. For clients looking for more advanced calendar functionality, we have other options we can recommend. As for emails, we heard a similar concern from another client, investigated and made some changes to our email plugins that should significantly improve deliverability going forward. Thank you again! Fantastic!

Pros

The support team did an amazing job creating our platform. They were extremely helpful and always there to guide or answer questions. WizeHive is user friendly from the admin side all the way to the grant application review teams. The portal looks fantastic on a desktop, laptop, and phone. The attachments can be viewed from all the above devices. Super happy with WizeHive!

Cons

We still need to build our reports. Not a con, only thing that isn't perfect yet.

Reason for choosing Submittable

We liked our sales guys, he wasn't pushy and gave great customer service. The price was in our zone. We liked the look of the platform the best.

### "Simple and Clean"

The Jack and Jill Foundation runs about 9 different grant programs each year and these programs overlap with the prior year(s) programs. Using a Grant Management Platform is critical to our success and sanity. We've had much success with WizeHive Select and are excited about the functionality and feature gains for our Applicants, Reviewers, and Administrators using WizeHive Zengine.

Pros

Migrating from WizeHive Select to WizeHive Zengine resulted in a simpler user interface that shows our Applicants and Reviewers what they've completed, what's due, and when - giving us as Administrators control of the language that best resonates with our Applicants and Reviewers and addresses our specific pain points. For example: because we know that mail from the WizeHive Platform could land in spam filters, we add language to the interface at the HomePage instructing Applicants to Whitelist or add to their Contacts the Zengine mailer. The information we've assembled in the Zengine interface to assist and guide our Applicants through the process is always available to them when they login, bringing clarity to the process, and reducing the time spent on searching for this information in previous emails sent. Our Applicants will always know "whose on first" and what next.

Cons

In WizeHive Select I was lukewarm to the reality that our Applicants and Reviewers had to wait for a temporary password to be sent to them when they forgot their password. A change was made with WizeHive Zengine giving Applicants and Reviewers more control over changing their password. Very happy to see this in Zengine.

### "Submittable saves us time"

Our Institute is small and is not endowed. Thus the cost is a big issue. I believe we have a discount, but I don't know how much and that question on your survey didn't allow for the "I don't know" response. I am on the front-line and the applicants seem satisfied with the process.

Pros

I like the way Submittable allows for use of multiple programs.

Cons

The restriction on the number of reviewers we can have as 'active' at one time is a royal pain! I would prefer to use 3 reviewers per applicant on one project, but I cannot because the time overlaps with another project and we have separate reviewers for each.

Reason for choosing Submittable

A discount on our purchase price was offered. I don't know what or how or why.
