My experience with ClickUp has been very positive now that we’ve got it dialed in. It’s highly customizable, which means you can really make it match your team's unique process, but you have to be willing to invest the time to set it up properly. If you want a simple, 'out of the box' tool, this might be too much, but if you want complete control over your project management workflow, it’s an excellent choice.

Pros

ClickUp is incredibly powerful and flexible. I love being able to view my projects in so many different ways. List, Board, Calendar, and Gantt charts all in one place. It’s a true 'all-in-one' hub, which has helped us stop jumping between five different apps to manage tasks, documents, and collaboration.

Cons

The flip side of having so many features is that the platform can feel very cluttered and overwhelming at first. There is a definite learning curve, and it takes some serious time and effort upfront to get your workspace set up in a way that actually makes sense for your team.

I have had a really good experience since starting to use ClickUp in October 2025. I came from a role which had never used a system like this and after a few weeks it all felt very natural to use. I used customer support once and got an answer i was after straight away too.

Pros

I like how seamless it works between desktop, mobile and tablet. I also like how I can set tasks for people and have different views for field staff, invoicing etc. Depending on the view only suitable information is displayed without information overload.

Cons

That some of the ClickUp AI features aren't standard. I really liked the automatic notetaker which recorded and gave a summary of notes even when i wasn't active in the meeting. It would go on my behalf.

Overall I was not very pleased with my experience. I used it for a while, but was frustrated with the interface and flow of tasks. It almost felt like more of a task to manage my tasks. My notes app could work better it many situations. I'm not a big proponent of this software.

Pros

ClickUp has some good features. Their dashboard is nice and pretty easy to navigate. The collaboration is high quality too. I'm able to communicate well with my supervisor on projects we have to accomplish on a timeline.

Cons

ClickUp is clunky at best. It's challenging to navigate and the process automations aren't intuitive or effective in my opinion. Managing many clients/locations of our business is challenging and the boards and timelines don't work easily. There was little to no support with set up and the customer service didn't seem to be the most responsive. Although it is fairly cheap, it shows in the quality. Value for money isn't worth it in my opinion. We switched to another project management software and have had much better success.

Overall, ClickUp has been a core part of how we operate and scale. It’s not perfect, but the flexibility and customization far outweigh the downsides. If you’re willing to invest time upfront in building the right structure, it can replace multiple tools and significantly improve team alignment and execution. That said, it’s not a “plug and play” solution—you need someone who understands systems and workflows to really get the most out of it. For growing teams or agencies managing multiple clients, it’s one of the better options out there.

Pros

ClickUp is one of the most flexible project management tools I’ve used. It allows us to build systems that actually match how our team works vs. forcing us into a rigid structure. We use it across multiple clients and internal workflows, and the ability to customize views, statuses, and task organization is a huge win. It’s especially strong for fast-moving teams that need visibility across a lot of moving pieces—everything from high-level strategy to day-to-day execution can live in one place. When set up correctly, it becomes a true operational hub.

Cons

Two main issues: Lack of subfolders — this becomes a real limitation as you scale more complex client or project structures. You end up having to hack organization in ways that aren’t always intuitive. Stability after major updates — every time ClickUp rolls out a large update, there tend to be bugs that can disrupt daily workflow. For teams relying on it as a core system, even small issues can slow things down.

We needed more flexibility in how we structured projects, tracked work across clients, and tied strategy to execution. The biggest limitations were: Rigid structure — it’s hard to truly customize workflows beyond a certain point Fragmentation — strategy, tasks, and communication felt disconnected Lack of depth for complex ops — managing multiple clients, timelines, and dependencies became messy fast ClickUp gave us the ability to build systems that actually reflect how we operate—custom statuses, multiple views, deeper hierarchy, and better visibility across everything. It’s definitely more work upfront, but it scales way better for a fast-moving, multi-client environment.

It's definitely made our departmental project management and tracking easier with ClickUp. It may take time to configure up to begin with, but when it is, it is great for keeping teams on track and on schedule. The automation capabilities have saved us tons of time on repetitive tasks, and the team collaboration tools kept us informed across teams. It's a wise thing to invest in businesses like ours, which are small to medium sized.

Pros

ClickUp has helped a lot for organizing our department plans and projects. We have the flexibility to customize task views which helps when it comes to managing cross team workflows. The constant task of automation is useful for maintaining regular administrative tasks. In addition, the calendar function is helpful in coordinating deadlines between departments and the company's overall roadmap.

Cons

The first time installation was daunting due to the many available features and took more effort than anticipated to get set-up as needed. There was a problem with slow loading times while performing larger projects in which the numbers of subtasks to be worked out were high, reported by some team members. Onboarding would be less cumbersome for less tech-savvy colleagues, which would help adoption rates in all positions.

What I liked least about ClickUp was that it can feel a bit overwhelming at first. Good but it can be a lot better. When you set up something well, it’s nice. But that takes a lot of doing to get right. Features that are half baked are letdowns.

Pros

I like how you can format things in more than one way. You can choose should something be a folder, or just a list for example, and have it make sense either way.

Cons

I think the pros are also the cons. It’s so flexible that you can get lost in the flexibility sometimes and build things the wrong way. The templates are lacking. There are features that exist but have terrible UX like the mind map and the whiteboard or whatever it’s called. Very hard to use.

Good value for the money, usefull and easy to get started. Make tasks and content as well as time tracking available for the entire team

Pros

Ease of use, simple to get started in, easy to keep of both small and big projects coordinated within the team as well as using it for content scheduling

Cons

It can be easy to forget about certain tasks that dont have a date and are low priority and some things are hard to use fully unless you have a dedicated PM

I love it. I was put on to it when I was a VA. And I switched from notion. I love how everything connects together, and how you can keep everything in one place. I love the native automations too. It helps me a lot and how you can customize ClickUp to how you work.

Pros

I love using ClickUp to manage my business. This is how I keep track of everything from clients, content, projects, collaborations, meal planning etc

Cons

The only thing is the difference when using it on an iPad. It wouldn’t save what I wrote in a task description

Works great for my needs. And I am using it as our task management tool for two apps, a backend api, and five other projects.

Pros

It is free! And not only that, but ClickUp is easy to use with a short learning curve. It offers multiple projects in one view, lists, and tasks etc.

Cons

The application obscurely uses AI is various ways that are hard to understand. And then it gets you to try to pay for the service based on the AI tasks being over the free threshold.

So far it's been the most robust and intuitive project manager. I like how it blends project management with onboarding and document management to avoid switching between apps like Google Drive and Harvest

Pros

Customer Support has been very helplful to ensure my certifications. As a recent project manager who migrated from TeamWork, I found their interface way more resourceful because I was able to store SOPs and onboarding processes to blend them which allowed me to also enable project collaboration between team members and thus, a leaner and more intuitive team collaboration approach to avoid cluttered manual processes and enable fasten process automations without much effort. The calendar is also highly intuitive which makes time slots and bookings much more efficient and the client management also faster when we want to onboard new clients. It's ease of use makes it so accessible that even casual users may find ClickUp the best work and personal life management optimal.

Cons

It can sometimes have too many features. I have to find a good reason on a personal level to use all these features.

Overall, it has been very pleasant to work on ClickUp and get organized in a 200 FTEs organization. Yet, it has been necessary to streamline our way of working and centralize how to use the tool as it can become quickly messy if you don't administrate it.

Pros

Clickup is really easy to use but also really customizable. We have several teams in my company and each of them has its way of working, ClickUp is enabling us to fit their requirements. Also, it's very visual and there are a lot of automation possibilities, helping us to gain significant time.

Cons

The UX is sometimes too heavy: it can become difficult to navigate from one view to the other as there could be lot of items on a single page. Also, it can become difficult to go through icons list, especially if you set lot of different possibilities - the system does not help managing replicates at scale.

We needed a tool that could help track and manage daily work and projects. We needed something exactly like Click Up where if you are collaborating on a project, you can assign tasks, a due date, can track how far the task is and can attach files as well. You also have the ability to customise Click Up to your liking, which was a winner for us. I also love the fact that you can create workspaces, sub-tasks and with the notetaker, it makes it easier to get minutes from meetings that you can easily access and you have all the action items from meetings and can easily convert them to tasks that you can track. ClickUp is an awesome tool and I love using it

Pros

Click Up has made life easier for my team as we can collaborate remotely and always be in sync. It’s very easy to manage projects, assign roles and tasks and makes it easier to track these. It’s very easy to customise and user friendly and with the new Notetaker feature, it just makes Click Up more desirable as a tool for managing daily work and projects

Cons

There is nothing I do not like about Click Up so far. It does everything we wanted it to do and has improved efficiency in our team and made collaboration way easier

My experience has been a positive one, and I've been a user of this software for several years now. My main advice would be to just get started with the features you need - you can always explore more functionality when you have your basic setup in place.

Pros

It's easy to setup and get started with. Pricing is also reasonable. I like how there's a lot of customisation options available depending on how you want to setup your work tasks and projects, e.g. nested tasks.

Cons

Sometime the desktop version can be a little slow, but it's not too noticeable. The alternative is to use the browser version.

Overall it's just fine. I've used others like Trello and Basecamp - I'd recommend those before ClickUp.

Pros

ClickUp keeps everything all in one place. Assign deadlines, change the scope of a project, assess timelines... you can even submit invoices if you create them right. Chats are easy to collaborate and you can also speak one on one with your colleagues. Overall, it's fairly straightforward, though not the easiest collab app on the market.

Cons

The interact is cluttered and it can be hard to navigate. Everything's there, but it's all there in ONE PLACE - no way to organize by category. For instance, if I wanted to view all of my upcoming article briefs I can not do that. I have to go back and forth to click individually on each one.

I've been using it for over 2 years, and I feel like there are still features I could learn about and improve. For example creation of automatizations and the newly introduced AI summary system. In general, ClickUp is, in my opinion, cleaner than similar platforms and more user-friendly.

Pros

I like the ease of use and constant support that the platform is offering. There are a lot of trainings which you could attend if you want to explore the more elaborate features. I think it offers good value for money and tracking tasks is intuitive and easy. The good things are also a variety of automatizations and integrations that it offers.

Cons

I don't like that after completing a task, most of the subtasks disappear or are hard to find. The old projects are also not easily retrieved, and sometimes you can lose tags and notifications in the interface.

I love the variety of things you can do on CU like taking notes, creating polls and questionnaires, managing employees

Cons

I don’t like how somethings that are changed on CU affect other things and it’s not very straightforward when you make those changes

Have been using for a couple of years for small projects with group members. For larger projects with many members ClickUp doesn't seem to be the best fit.

Pros

It provides highly flexible ways to visualize output. Uses AI very well to generate superior output with no coding required. It's available for free with sufficient features to satisfy the vast majority of users.

Cons

Feature set is so rich it can be overwhelming to a new user. For some projects the App's performance can get very sluggish. If the standard free features aren't sufficient, required ad-dons can be rather expensive.

ClickUp replaced a few tools for us and mostly delivered on that promise. Once people get past the learning curve it sticks, and the customization options mean it adapts to how your team actually works rather than the other way around.

Pros

Flexible enough to work for different teams without forcing everyone into the same workflow. Task management and collaboration features are solid, and the automations save real time once you get them set up properly.

Cons

Can feel overwhelming at first with how many options there are. Performance occasionally lags with larger workspaces and the mobile app still has some rough edges.
