Overall, ClickUp has been a core part of how we operate and scale. It’s not perfect, but the flexibility and customization far outweigh the downsides. If you’re willing to invest time upfront in building the right structure, it can replace multiple tools and significantly improve team alignment and execution. That said, it’s not a “plug and play” solution—you need someone who understands systems and workflows to really get the most out of it. For growing teams or agencies managing multiple clients, it’s one of the better options out there.

Pros

ClickUp is one of the most flexible project management tools I’ve used. It allows us to build systems that actually match how our team works vs. forcing us into a rigid structure. We use it across multiple clients and internal workflows, and the ability to customize views, statuses, and task organization is a huge win. It’s especially strong for fast-moving teams that need visibility across a lot of moving pieces—everything from high-level strategy to day-to-day execution can live in one place. When set up correctly, it becomes a true operational hub.

Cons

Two main issues: Lack of subfolders — this becomes a real limitation as you scale more complex client or project structures. You end up having to hack organization in ways that aren’t always intuitive. Stability after major updates — every time ClickUp rolls out a large update, there tend to be bugs that can disrupt daily workflow. For teams relying on it as a core system, even small issues can slow things down.

Pros

I absolutely adore this software! The flexibility, the customizing, the millions of ways you can use this to serve your specific needs, it's a no brainer for me. The value you can create out of the minor expense far exceeds what you can do with other similar tools.

Cons

While super intuitive and easy to modify, there can be somewhat of a learning curve for those less technically savvy.

Overall, it has been very pleasant to work on ClickUp and get organized in a 200 FTEs organization. Yet, it has been necessary to streamline our way of working and centralize how to use the tool as it can become quickly messy if you don't administrate it.

Pros

Clickup is really easy to use but also really customizable. We have several teams in my company and each of them has its way of working, ClickUp is enabling us to fit their requirements. Also, it's very visual and there are a lot of automation possibilities, helping us to gain significant time.

Cons

The UX is sometimes too heavy: it can become difficult to navigate from one view to the other as there could be lot of items on a single page. Also, it can become difficult to go through icons list, especially if you set lot of different possibilities - the system does not help managing replicates at scale.

I mainly use ClickUp for managing my email marketing workflow, coordinating with my team, planning content, and handling client approvals and feedback. What I really appreciate is how everything can live in one place...Tasks, comments, drafts, deadlines, and client notes. It makes it much easier to keep track of what’s done, what’s pending, and who’s responsible for what. For content planning, having different views (like Calendar, List, and Board) helps a lot when organizing campaigns and seeing the bigger picture. It also saves time because clients can leave feedback directly inside tasks instead of going back and forth through email.

Pros

What I liked the most about ClickUp is how flexible it is. My clients managed 6 brands, and I can create different spaces for each and manage simple to-do tasks. The customization options are great (views, fields, and automaitons let you shape the workspace to fit exactly how you work. As an email marketer, my clients and team appreciate the different views (calendar, lists...).

Cons

The only thing I'd point out is that it might feel a little bit too complex for someone who isnt very comfortable with technology.

Overall, it's a good system for managing workload, especially for a diverse remote-working team functioning in three different time zones. I know what I'm doing even when I don't know what I'm doing.

Pros

It makes it easy to manage tasks, to-do lists, and priorities across a whole team. As we collaborate together on our project, ClickUp keeps everyone on the same page. I don't just have my own list, but I can see my coworkers' lists and keep tabs on upcoming items I can start if I have time. I can prioritize and organize with flags, custom tags, and the ordering of tasks. It also helps us keep up with our calendar as we can set deadlines and see our progress on that front.

Cons

Sometimes the process of moving tasks around within the site is tedious. I'll be trying to move a task within a section and it gets sucked into being a subtask instead. The subtask tracking is something I want to like, but I don't, because the subtasks end up with less visibility and some confusion about what's done or not done.

I have been loving using ClickUp. It has helped me be more organized and efficient in my work so that I can offer my clients a better service. I love having it and using the automations to keep me working at my best.

Pros

I work independently but like having a project management software that helps me keep all my tasks organized and helps me run everything smoothly. Most other software's you have to pay for at least 3 seats to start but with Click Up I was able to pay just for 1 seat so I can use it!

Cons

I found it a bit tricky when 1st starting with it, but once I worked with it more and more I was able to guide myself through it well.

We needed a tool that could help track and manage daily work and projects. We needed something exactly like Click Up where if you are collaborating on a project, you can assign tasks, a due date, can track how far the task is and can attach files as well. You also have the ability to customise Click Up to your liking, which was a winner for us. I also love the fact that you can create workspaces, sub-tasks and with the notetaker, it makes it easier to get minutes from meetings that you can easily access and you have all the action items from meetings and can easily convert them to tasks that you can track. ClickUp is an awesome tool and I love using it

Pros

Click Up has made life easier for my team as we can collaborate remotely and always be in sync. It’s very easy to manage projects, assign roles and tasks and makes it easier to track these. It’s very easy to customise and user friendly and with the new Notetaker feature, it just makes Click Up more desirable as a tool for managing daily work and projects

Cons

There is nothing I do not like about Click Up so far. It does everything we wanted it to do and has improved efficiency in our team and made collaboration way easier

It’s transformed the way we manage our documentation and tasks. We’ve integrated it with QuickBooks for a custom invoice approval process that submits receipts and invoices to be paid to the receipts queue. Keeps us organized and on top of everything!

Pros

It’s incredibly feature rich, with a very pleasant and intuitive UI. It’s inexpensive and covers so many of our needs ranging from process documentation to simple task management to complex project management and automated integrations with other systems.

Cons

I would love an incoming on the documentation instead of having to go into history and find my previous version and copy/paste it back in.

Good but it can be a lot better. When you set up something well, it’s nice. But that takes a lot of doing to get right. Features that are half baked are letdowns.

Pros

I like how you can format things in more than one way. You can choose should something be a folder, or just a list for example, and have it make sense either way.

Cons

I think the pros are also the cons. It’s so flexible that you can get lost in the flexibility sometimes and build things the wrong way. The templates are lacking. There are features that exist but have terrible UX like the mind map and the whiteboard or whatever it’s called. Very hard to use.

It can be easy to forget about certain tasks that dont have a date and are low priority and some things are hard to use fully unless you have a dedicated PM

The entire company uses ClickUp now. We moved different teams from different tools (Trello, Basecamp, Google spreadsheets, etc) years ago and combined everything into ClickUp, which brought all teams to the same platform, which is easier for cross-team training and consistency across the company. ClickUp is also easy to use, easy to train new users, easy to customize, and serves all different needs from different departments across the company. Their customer support team is also excellent. Any time we needed support, they were available and helpful.

Pros

ClickUp is extremely easy to use and adaptable to different needs. Since we have multiple (distinct) departments with very unique needs and processes, we like the fact that we can customize pretty much anything (custom fields, custom statuses, custom structure/hierarchy), etc. This also makes project collaboration a lot easier. Now, with AI and automations, we're taking our project management to the next level.

Cons

Some features and update requests take months to be implemented by their development team, and sometimes, upvoted features are never considered.

ClickUp makes project collaboration really simple. It syncs smoothly across all team members, and it’s easy to share files, updates, and messages in one place. Cons

Pros

Overall I was not very pleased with my experience. I used it for a while, but was frustrated with the interface and flow of tasks. It almost felt like more of a task to manage my tasks. My notes app could work better it many situations. I'm not a big proponent of this software.

Pros

ClickUp has some good features. Their dashboard is nice and pretty easy to navigate. The collaboration is high quality too. I'm able to communicate well with my supervisor on projects we have to accomplish on a timeline.

Cons

ClickUp is clunky at best. It's challenging to navigate and the process automations aren't intuitive or effective in my opinion. Managing many clients/locations of our business is challenging and the boards and timelines don't work easily. There was little to no support with set up and the customer service didn't seem to be the most responsive. Although it is fairly cheap, it shows in the quality. Value for money isn't worth it in my opinion. We switched to another project management software and have had much better success.

Die Onboarding Hilfe war nutzlos und wusste gefühlt weniger als unser Projektteam nach ein paar Stunden Einarbeitung. Die Fragen wurden selten wirklich zufriedenstellend beantwortet. Sonst kommt man ganz gut mit YouTube Videos rein.

Pros

Gutes Konzept, viele Features, flexibles System, dass es erlaubt, viele Business-Szenarien abzubilden. Ansätze von ERP können abgebildet werden, was es zu einem guten Partner, oder, für reine Dienstleistungs-Business, fast zu einem ERP Ersatz machen kann, wenn man noch etwas Programmierarbeit reinsteckt. Aber das ist natürlich nicht der Fokus. Es erlaubt aber dadurch eine gute Verzahnung von Aufgaben, Projekten und anderen Entitäten. Die KI braucht noch etwas, aber ist jetzt schon gelegentlich sehr nützlich.

Cons

\- Es ist langsam - Es hat einige Software-Fehler (offensichtliche Fehler, die einfach etwas nervig sind auf Dauer) - Wir hatten in wenigen Monaten Nutzungszeit schon zwei Downtimes (die letzte für gut 2 Stunden) - Manchmal etwas umständlich zu bedienen - Import von anderen Programmen, auch vom ähnlichen Notion, ist sehr schlecht

The interface is so fast, light, and visually appealing. I love the all-in-one quality but I can never really adopt an all-in-one life because of needing to be on other tools.

Pros

It is so comprehensive. ClickUp does not get nearly enough credit for the sheer numbers of tools it provides all under one roof.

Cons

Unfortunately, I can't convince everyone else at my company to use ClickUp, so I end up having to also use Notion, Google Sheets, Linear, Slack.

I love it. I was put on to it when I was a VA. And I switched from notion. I love how everything connects together, and how you can keep everything in one place. I love the native automations too. It helps me a lot and how you can customize ClickUp to how you work.

Pros

I love using ClickUp to manage my business. This is how I keep track of everything from clients, content, projects, collaborations, meal planning etc

Cons

The only thing is the difference when using it on an iPad. It wouldn’t save what I wrote in a task description

Works great for my needs. And I am using it as our task management tool for two apps, a backend api, and five other projects.

Pros

It is free! And not only that, but ClickUp is easy to use with a short learning curve. It offers multiple projects in one view, lists, and tasks etc.

Cons

The application obscurely uses AI is various ways that are hard to understand. And then it gets you to try to pay for the service based on the AI tasks being over the free threshold.

So far it's been the most robust and intuitive project manager. I like how it blends project management with onboarding and document management to avoid switching between apps like Google Drive and Harvest

Pros

Customer Support has been very helplful to ensure my certifications. As a recent project manager who migrated from TeamWork, I found their interface way more resourceful because I was able to store SOPs and onboarding processes to blend them which allowed me to also enable project collaboration between team members and thus, a leaner and more intuitive team collaboration approach to avoid cluttered manual processes and enable fasten process automations without much effort. The calendar is also highly intuitive which makes time slots and bookings much more efficient and the client management also faster when we want to onboard new clients. It's ease of use makes it so accessible that even casual users may find ClickUp the best work and personal life management optimal.

Cons

It can sometimes have too many features. I have to find a good reason on a personal level to use all these features.

### "Flexible and powerful task management tool"

I used ClickUp for over a year in my previous company mainly for task management. Once we set up our workflow and got familiar with the tool, it became an essential part of our daily work. It helped improve transparency within the team and kept everything organized in one place. I’d definitely recommend it for teams that are looking for a flexible project management tool.

Pros

I really liked ClickUp’s clean and modern user interface. It was easy to navigate once I got used to it, and the ability to customize workflows and views like list, board, and calendar was a big plus. Task assignments and team collaboration were smooth and helped keep everyone aligned in our projects. Considering the features and flexibility it offers, ClickUp delivered solid value for money for our project and team needs.

Cons

ClickUp has a steep learning curve, especially for new users. There are so many features packed in that it can feel overwhelming at first. It took me a few weeks to fully understand and streamline our setup.

### "A great project management software that I've used for years"

My experience has been a positive one, and I've been a user of this software for several years now. My main advice would be to just get started with the features you need - you can always explore more functionality when you have your basic setup in place.

Pros

It's easy to setup and get started with. Pricing is also reasonable. I like how there's a lot of customisation options available depending on how you want to setup your work tasks and projects, e.g. nested tasks.

Cons

Sometime the desktop version can be a little slow, but it's not too noticeable. The alternative is to use the browser version.
