" November 4, 2022 4.0 I'm not sure what I was expecting when I started using ClickUp, but it definitely wasn't this. It's amazing! The best way to describe it is that it's like a more advanced and customizable version of Trello.I was hesitant at first, because I'm so used to my old system, but after giving it a try I was hooked. The best thing about ClickUp is the ability to customize it to fit your needs- whether you're managing a project or just trying to stay organized.The interface is sleek and easy to use, and the support team is always quick to help out if you have any questions. Overall, I'd highly recommend giving Click Up a try- you won't be disappointed! Pros As a Team Leader, it's important to monitor the work done by others. And Click Up makes that job a lot easier. With its handy features and easy-to-use interface, I can keep track of my team's progress and performance quickly and easily. Plus, being able to see how each individual member is performing is really helpful in identifying strengths and weaknesses. Its true that in the first day you need an extra time to understand the flow of the tool and to know all the tips that you must use to simplify the process. any way, a really complete app. With a lot of features to adapt it to your projects. you are not to use it all always, but the flexibility to use it if you need it its fantastic. obviously I recomended to all the projects i work because the information of the follow up its amazing and super usefell. Can be a a bit overwhelming and overly complex, but once you get onto it (even just on the free version), it becomes a breeze. Businesses of all sizes and industries can use ClickUp as a collaboration and project management tool. A task toolbar and communication tools are probably the primary features of this app. Task assignments and statuses and alerts are also provided. Pros Probably the biggest advantage that ClickUp has on ALL other competitors is that you can try it for free, as the free version is fully-featured. Many other productivity apps come with only basic features on their free version. In addition to offering a number of features normally found in other software programs, ClickUp also includes a very large selection of additional features. In addition, the app includes various views, dashboards, proofing, real-time collaboration, task dependency, integrations, time tracking, and 24/7 support, and probably a lot more I haven't tried yet. Cons Firstly, the number of features in ClickUp is simply overwhelming. In the initial setup, the variety of features can overwhelm some users. Several teams have complained about the steep learning curve and the difficulty of using all the features. It is sometimes difficult for users to decide if they should make use of a particular tool. Secondly, the customization options are often too numerous. Full customization might be ClickUp's most promising feature. Users need to customize and select options in order to make the software run optimally, which can also be a drawback. Lastly, the user interface could be better. There are blank spaces and panes that can be confusing. There is also a lack of contrast due to the small size of the text and the faint colours. July 11, 2022 4.0 This is one of the most affordable software's of it's kind that I have found. I actually recommend to friends who have small or emerging businesses who need a Project Management System. I consult on the side for Project Management and ClickUp is always on the top of my list, especially for smaller organizations. The Free to Use accounts are great for individuals and the business plan models are priced well and include a myriad of features. I love that in ClickUp new features are always being added. You can request new features and watch them gain traction in real time and see when the feature request goes from a concept or ask, to something in process, to the launch of the new feature. ClickUp seems to be always working actively to improve their user experiences and the customer support is A+. Pros Easy to use and customize to your needs. Great price point for what you get. My teammate (Executive Assistant and Projects/Events Coordinator) can see my list and add/revise as needed. (I've given her that permission.) I can create tasks for her -- and it notifies me when she completes them and nags me to prompt her if she doesn't. We can have threaded conversations about a unique task - so it keeps everything tidy. (We honestly need to remember to do this more often. It would eliminate threads of emails that aren't attached to tasks!) Pros ClickUp updates its interface across multiple devices instantly. It looks exactly the same on the web as it does in Windows - and functions exactly the same in iPhone. It lets us do recurring tasks (with incredibly exacting control over exactly how those tasks recur). We can "email a task" to ClickUp from Outlook and finally clear out our inbox (so we don't fall into the trap of using our inbox AS our to do list - which is deadly, because one's inbox is not easy to prioritize. Who KNOWS what lies beyond the deep. With Clickup, we just go to the task, grab the unique address link for that individual task, then forward the email to the that unique address link. And it's so FAST. Nearly instantly, that email's contents and any attachments now become part of the threaded conversation (and attachments) to that task! That's EXACTLY what we would have designed if we were inventing our own task management app!! We can create a "start" date for a task. (In other words, please get this out of my sight until March 20th, 2024. On that date, start nagging me that this task needs to be completed by April 1st 2024!) Then we can forget about it for now. It's the ulimate stress-reliever. Most everything is super quick, too -- even though we have scores of tasks. The iOS app is available offline if you've viewed it. And the desktop app integrates with Outlook, they say (even though our own Outlook Exchange server hasn't given us the power to integrate outside apps, sadly). Tons more features Cons There's not a lot. I guess if I'm going to be picky, it feels awkward to me once my list has like... 50 or 70 items in the stack, to find the item I just added and try to move it manually around the list to some level of prioritization. Granted, I should probably only allow 10 things on my list, but ... if I have to do 70 things and they're all high priority, what am I supposed to do? There's a dropdown box upper right that supposedly lets me assign it a numerical priority, but it doesn't appear to work -- at least to me -- because I have my filters set up to keep dates in mind, I guess? Honestly, I've never made time to ask the company why it doesn't work. So even if I say I'd like the item to be number 5 in a list of 70, it still shows up after item 65. But I'm sure it's just me. It's still not a huge deal to grab the little 'handle' on that item and slide it up in priority. (I'm just glad it lets me manually assign the priority - both in the Windows app and on iphone.) Clickup lets us organize the filters the way WE want to filter tasks. Notion can let us set up tasks in a custom database, but Notion still doesn't offer a solution for recurring tasks. Pros ClickUp's simplicity, beautiful user panel, and convenience of use persuaded us to use it in our project management, especially for handling activities and projects that require rigorous follow-up and attention to detail. One of the best ClickUp strategies is customizing the project database so all team members can develop and edit workflow diagrams together. I enjoy that ClickUp provides us with superb project management tools and a lot of collaborative capabilities. With ClickUp, we can build a project board and start adding its activities, as ClickUp allows us to prepare realistic programs where all members may contribute by inputting tasks, dates, and their relationship to other activities and adding remarks. ClickUp offers multiple views of task schedules that we may manage. Each member will update tasks and notify the others. ClickUp's automation features dynamically change dates for following tasks based on project state and past activities. I like ClickUp's reports and Dashboard, which help us determine the project's status and any concerns. Cons As for the cons, I didn't test many because ClickUp is intuitive and easy-to-use and tackles many project management concerns quickly, including communication among team members, updating tasks, and extracting reports covering all project modifications. ClickUp can't follow large projects with multiple layers of WBS and thousands of activities, which is the sole downside. ClickUp is wonderful for small projects with few tasks. I was so impressed that I upgraded to the Unlimited paid plan and intend to be a lifelong customer. I absolutely love ClickUp and highly recommend it to everyone. Pros \-Packed with features and options; advanced features are called "ClickApps" and can be turned on/off by an admin, depending on the team's needs. -Beautiful UI, with relatively intuitive layout -Lots of view options: by Time (i.e. a calendar), List, Kanban board, Box (cool idea I haven't seen before), Gantt chart (paid feature), and Reports. -I love how they allow you to minimize a task to pin it to the bottom of your window for easy access. I regularly pin my top 3-4 tasks I need to urgently work on, which could otherwise get forgotten (although their reminders and notifications system is quite robust, those help too). -The notepad feature is such a great idea. Perfect for having a convenient way to jot down rough notes, which you can later convert to a task if desired. -Fast development team: features and improvements are rapidly added. -Unlike a lot of their competition, they listen to users and are transparent with their roadmap: ClickUp uses a feature feedback tool called Canny to let users suggest and vote on features/improvements/bugs (see clickup.canny.io/). They also publish their roadmap, with regular updates, so you know what is coming (see docs.clickup.com/features/roadmap). I regularly check both of these pages and absolutely love this. -ClickUp's Support team is amazing. Large amounts of written and video content get posted regularly to teach you how to use various features. And if you get stuck, their Support team responds very quickly. Cons There is certainly a learning curve to figuring out how best to fit their many levels of hierarchy that groups of tasks can follow: ClickUp offers spaces, projects, project lists, tasks, sub-tasks, checklists, and "checked lists" (an alternative to bullet points within a description box), as well as tags and the newly-introduced goals. With all these options, it can certainly be confusing on how to structure your to-dos. My advice is to 1) watch as many of their support videos as you need to understand what they offer and 2) use only what you know you immediately need, then ignore other features until you see a need in your projects. Personally, it has helped me to be more organized and productive. I know these two words get overused like some random metaphors, but it's no less than the truth. I love that I can customize the tasks, and subtasks and collaborate with my team. The spaces feature is also very helpful. It helped us define spaces for different functions (marketing, content, devs, etc.). The tasks are also very customizable, which is great if you need to add subtasks or collaborate with others. In addition, the UI is pretty user-friendly, and the support is great. Overall, I would recommend ClickUp to anyone looking for a great task management tool. So, if you're looking for a great task management tool, ClickUp is definitely worth checking out. Cons I don't have many complaints, but if there were one thing that really annoys me about ClickUp is that it sometimes tends to lag big time when there is a lot of data on the content board or the document/editor. It becomes quite annoying when you're short of time. Apart from that, there's one more thing that makes the content board kind of cluttered. When I look at the finished tasks, I could see some of them from 3-4 months back. Now, over time, these grow and look cluttered. I wish there was a way where the finished tasks get archived or something after a month and a half to keep the dashboard clear. ClickUp has been a great tool that did exactly the things that I wanted. I want to view each project by it's Kanban Board, but then view each day's tasks in a list. ClickUp does that. I have totally different status flows for Marketing Projects than I do for Design Projects, and another totally different status flow for Print Production. ClickUp let's me set project specific Statuses - so my marketing project can be "Running" and my print project can be "At Printers". This is HUGE in my world. I want to assign Priorities within a project. Done - Priority Flags are native in the free version. I want to make a checklist that repeats on every marketing campaign, so that we have a QC checklist before we hit go on any campaign. And I want to save that checklist so I don't have to retype it on every project. Done - Checklist templates are native in the free version. I want to have nested tasks that have to be completed before other tasks can be cleared, and I want to see what subtasks are blocking projects. Done - task dependencies are native in the free version. I hope by now you're noticing a pattern here. If you're at all unhappy with your current Project Management Software, try ClickUp. It probably fixes the exact thing that you don't like about your current software. Pros My Quick Rundown of Pros - Very Robust System. Has tons of functionality - Fully Customizable. With a bit of tweaking it becomes your own custom project management software. - Great Customer Service. Very responsive with tons of help to get everything customized just for you. - Keep Adding New Features. What was already a robust system keeps getting new tools and features. - High Quality Free Version. They don't skimp on features for the free version. Most everything is included. The ClickUp Team basically took all of the things I hate about other project management tools and fixed them. Some tools only allow Done/Not Done. Some are only Board Views. Some are only Task Views. Some don't have a chat feature. Some don't let you make your own categories. On and on it goes. ClickUp does everything. Literally everything. And it's all customizable. Everything can be tuned to exactly the way I need it. If you like board views, you can have board views. If you like list views you can have list views. If you want a project status called "Waiting for Margaret's OK" you can do that. You can set ClickUp to fit your exact, custom needs. It's really incredible. The ability to customize everything to exactly what you need makes all of its robust tools actually work for your specific situation. Cons The best thing about ClickUp, full customization, is also it's Achilles Heel. There is a lot of stuff to customize and set up in order to get the software really running optimally. You can do just a simple Done/Not Done set up, but that seems like kind of a waste considering the options you have available. Nearly every time that I find a gap or need, it seems that their next update covers it. Actively developed, I'm shocked by the number of new features that come out every few weeks. I've personally recommended this system to everyone that is struggling with managing their lives in a central place. Everyone that has used it loves it. Pros 1\. The ability to see multiple views of your work depending on context (IE, I stick in calendar view, but use lists to figure out tasks that I've left behind). 2. Their calendar view is just absolutely amazing. The UX is very well thought out, and each time that I thought "man, I wish it did this", I would find the option hidden in the settings. 3. The ability to create and maintain documents and attach them to tasks is exactly what I've always wanted. I do a lot of meetings, so being able to easily attach meeting notes to the task and have them cross referenced is exactly the reason I downloaded this in the first place. 4. The "/" commands with tasks and documents really streamlined note taking and task setup. Cons Only two things: 1. Because it has so much to offer, the ux can be clunky. For instance, adding start dates and due dates to tasks takes me 30s and I haven't found a good way to cut that down yet. 2. System performance. There have been a few times when I'm doing quite a bit and the system starts locking and I need to reload. 3. Android usability and performance. Again, same as the two points above, but it takes quite a bit to add multiple tasks through android. I use this for grocery shopping for instance, and on average it can take about 10s per task to add. To be fair, I think this is the trade off of having a system that does everything. It's so simple to get it set up and makes a huge differenfce to working across different teams and projects, Pros We love the free version which we use for our smaller projects, you get all the functionality but with limits on users which works well for our smaller projects where they last shorter terms and we can recycle user "licenses" from project to project. It's pretty easy to get started and has an easy learning curve, even our most non-IT savvy clients get the hang of it quickly and use it as needed. Cons Sometimes adding new users to a space doesn't seem to work and feels buggy. If they don't get the original invite email you can end up in a bit of a rabbit warren trying to figure out how to resend, remove and re-add them in order for it to work. The company, although it still does not have a language, is at the forefront and according to our scale No. 1, but mainly thanks to the possibility of viewing all tasks and fine filtering with time and hierarchical sorting on many columns. I have not found it in MONDAY (no view for the entire work area in one place, thus filtering), in TRELLO, even with POWER UP, or in SMARTSHEET. Pros I am the author of the Blazar Excellence Scale. On our scale, CLICK UP won against other task, project and company management applications in terms of task hierarchy. However, it is still not perfect. Thanks to the application, you can see all tasks at once, filter them by tags and sort multiple columns by selecting the order of the columns to be sorted. According to our KOLEJNO H system, i.e. the perfect exemplary hierarchy - the order of tasks in work and private life fits perfectly CLICK UP. In other leading applications, we could not find this possibility to create such a sequence of tasks in which we take more account of the order of over 90 parameters to accurately and correctly do what needs to be done in the right order every day.
