### "Powerful and flexible, but needs better stability and structure at scale"

April 14, 2026

4.0

Overall, ClickUp has been a core part of how we operate and scale. It’s not perfect, but the flexibility and customization far outweigh the downsides. If you’re willing to invest time upfront in building the right structure, it can replace multiple tools and significantly improve team alignment and execution. That said, it’s not a “plug and play” solution—you need someone who understands systems and workflows to really get the most out of it. For growing teams or agencies managing multiple clients, it’s one of the better options out there.

Pros

ClickUp is one of the most flexible project management tools I’ve used. It allows us to build systems that actually match how our team works vs. forcing us into a rigid structure. We use it across multiple clients and internal workflows, and the ability to customize views, statuses, and task organization is a huge win. It’s especially strong for fast-moving teams that need visibility across a lot of moving pieces—everything from high-level strategy to day-to-day execution can live in one place. When set up correctly, it becomes a true operational hub.

Cons

Two main issues: Lack of subfolders — this becomes a real limitation as you scale more complex client or project structures. You end up having to hack organization in ways that aren’t always intuitive. Stability after major updates — every time ClickUp rolls out a large update, there tend to be bugs that can disrupt daily workflow. For teams relying on it as a core system, even small issues can slow things down.

Alternatives considered

[Airtable](https://www.capterra.com/p/146652/Airtable/)

Reason for choosing ClickUp

Airtable is great for organizing data, but it breaks down when you try to run day-to-day operations through it. We needed something that could handle actual execution—not just store information. The biggest gaps with Airtable: Weak task management — it’s not built for true task ownership, dependencies, or real-time execution No real workflow engine — you can structure data beautifully, but actually running projects gets clunky fast Too many workarounds — everything requires automations, interfaces, or duct-taped systems to function like a PM tool Lack of native visibility for teams — not intuitive for designers, devs, or account managers to live in daily

Switched from

[Asana](https://www.capterra.com/p/184581/Asana-PM/)

Asana is great when you have simple workflows and a smaller team—but it started to fall apart as we scaled. We needed more flexibility in how we structured projects, tracked work across clients, and tied strategy to execution. The biggest limitations were: Rigid structure — it’s hard to truly customize workflows beyond a certain point Fragmentation — strategy, tasks, and communication felt disconnected Lack of depth for complex ops — managing multiple clients, timelines, and dependencies became messy fast ClickUp gave us the ability to build systems that actually reflect how we operate—custom statuses, multiple views, deeper hierarchy, and better visibility across everything. It’s definitely more work upfront, but it scales way better for a fast-moving, multi-client environment.

### "ClickUp centralizes sprint management and documentation in one place"

August 25, 2026

4.0

ClickUp streamlined our dev workflow by keeping docs, bug tracking, and sprint tasks synced. It reduced administrative overhead and improved team alignment.

Pros

Git integration links PRs directly to tasks, automating status updates. Kanban boards and Docs simplify sprint tracking and API specs in one place.

Cons

Occasional UI latency when loading large sprint boards. Search performance can slow down significantly when querying deeply nested task hierarchies.

### "A messy product"

July 26, 2026

1.0

Pros

There's a lot of interesting stuff happening with the AI integration, this software is pushing what the agentic integrations can do and I enjoy the prospect of automations in my project management software

Cons

I can't understand how this was created, the tools here are incomprehensible. Things get lost in ClickUp so easily and it frustrates myself and all my coworkers to have to track things down every single time we have a conversation outside a top level task.

### "Transform work into results with Clickup, A smarter way to manage, collaborate and deliver "

June 18, 2026

5.0

We've been using Clickup for over 2years as our primary work management platform and it has become one of the most valuable tool in our day to day operations. Before adopting Clickup we explored other platforms but ultimately found that Clickup offered the right balance of flexibility, functionality and value for our business needs. Since implementation, it has helped us streamlines processes, improve visibility across teams and create an organized way of managing our work and projects. The platform continues to evolve with new capabilities and the support experience has been positive whenever we needed assistance. For the cost and range of functionality, Clickup has exceeded our expectations and has helped us to rethink and improve how we manage our workflows across the business

Pros

We have leveraged Clickup extensively to improve work management and operational visibility across our real estate business. One of the biggest advantages has been it's reporting and dashboard capabilities, which allow us to monitor key metrics such as sales pipeline, project completion rates, team productivity and overall business performance. It also provides us with a centralized digital workspace that has simplified data management by consolidating property listings, contracts, client communications and supporting documents in one location, making retrieval easier. Workflow visualization tools including Kanban boards, gantt charts and calendar views help us map sales activities, manage marketing campaigns , monitor deadlines and keep priorities visible to the team. Collaboration has become more efficient through builtin tools such as Docs, whiteboards, task comments and real time chat that make it easier for business teams, agents and brokers to coordinate without losing context across conversation and deliverables

Cons

There are no many major issues, but one area that requires additional attention for our business is security governance. Clickup's security controls are strong on paper, however because we manage sensitive business information such as property documentation, financial records and client identification data, we found that stronger security measures were necessary to align with our data handling standards and had to reinforce permission structures and tighten access management practices by adopting other security tools.

### "It’s good for tracking deals, but it does take a fair bit of work."

August 12, 2026

4.0

It does what we need for managing our sales pipeline across six reps. Better than the spreadsheets we used before. Wish it was simpler to configure without technical help. The price is fair for a company our size, and it keeps everyone accountable on deal progress.

Pros

We track our B2B deals and distributor orders right here. With the custom fields, I can see exactly where each account stands, whether a proposal’s been sent, samples are out, or we’re in contract negotiations. My team handles updating the pipeline stages on their own, so I’m not constantly chasing them down. The dashboard breaks down our monthly targets versus actual closes, it’s a big help when I’m on those forecast calls with the CEO.

Cons

Too many features we don't touch - half the buttons just clutter things up. Setting up automation for our sales process took our IT guy three days because the logic isn't obvious. Mobile app is slow when I'm checking deal status between client meetings. Notifications can be overwhelming.

### "It saved us about 11 hours a week just chasing status updates across our three quarries."

September 29, 2026

4.0

Before ClickUp, I had three people emailing me the same shipping questions because nobody knew what was already answered. Now every extraction schedule, compliance deadline, and equipment service interval lives in one place. I can see exactly which quarry is behind on monthly output targets without making a single phone call. Would absolutely renew.

Pros

We were burning 11 hours weekly just tracking equipment maintenance and ore shipment schedules across spreadsheets. ClickUp cut that to maybe 90 minutes. Custom fields let me track tonnage per site, equipment downtime in actual hours, and vendor delivery dates without jumping between five different files. For a 6-person operation, the $7 per month cost pays itself back in the first day.

Cons

The mobile app lags when I'm out at the quarry sites with spotty signal, takes 15-20 seconds to load task updates sometimes. Not a dealbreaker since I do most planning from the office anyway, but I'd like faster sync when I'm checking conveyor maintenance logs in the field.

### "We're finally tracking client queries easily."

September 12, 2026

5.0

I don't usually bother reviewing software, but this one deserves it. For a two-person support operation that was drowning in scattered notes and missed handoffs, ClickUp gave us something close to a proper system without needing IT help to set up. Worth every dollar we're paying for the plan.

Pros

We handle GPS tracking support for security clients, and back before we used ClickUp, every request just lived in someone's inbox or on a sticky note. Now, I can actually see who's handling what and when follow-ups are due, so nothing falls through the cracks. Assigning tasks is super fast, too.

Cons

The notification settings took me way longer to figure out than they should have. I kept getting pinged for things that didn't even concern my queue, and trying to turn off the right alerts without missing actual client updates was just a process of trial and error for that first week.

### "ClickUp keeps my projects on track"

September 5, 2026

5.0

I love how ClickUp’s custom task status workflow lets me track my marketing campaigns from ideation to launch, automatically moving tasks when a deadline is hit, and sending a quick Slack ping to the team. It kept the whole project on track without extra meetings.

Pros

ClickUp's task hierarchy and custom views are a win for our sprint planning, and the built-in time-tracking keeps the whole team honest about hours. The integration with Slack means we get instant updates, so nobody misses a deadline. But the UI can feel a bit cluttered at times.

Cons

The learning curve for custom automations still feels a bit steep, and the documentation could be clearer. It took a bit to figure out the advanced task dependencies, but overall it's manageable. A minor annoyance is the occasional lag when loading large boards.

### "ClickUp simplified processes and brought all departments together"

April 23, 2026

5.0

The entire company uses ClickUp now. We moved different teams from different tools (Trello, Basecamp, Google spreadsheets, etc) years ago and combined everything into ClickUp, which brought all teams to the same platform, which is easier for cross-team training and consistency across the company. ClickUp is also easy to use, easy to train new users, easy to customize, and serves all different needs from different departments across the company. Their customer support team is also excellent. Any time we needed support, they were available and helpful.

Pros

ClickUp is extremely easy to use and adaptable to different needs. Since we have multiple (distinct) departments with very unique needs and processes, we like the fact that we can customize pretty much anything (custom fields, custom statuses, custom structure/hierarchy), etc. This also makes project collaboration a lot easier. Now, with AI and automations, we're taking our project management to the next level.

Cons

Some features and update requests take months to be implemented by their development team, and sometimes, upvoted features are never considered.

### "Good but needs improvement. "

January 29, 2026

4.0

Good but it can be a lot better. When you set up something well, it’s nice. But that takes a lot of doing to get right. Features that are half baked are letdowns.

Pros

I like how you can format things in more than one way. You can choose should something be a folder, or just a list for example, and have it make sense either way.

Cons

I think the pros are also the cons. It’s so flexible that you can get lost in the flexibility sometimes and build things the wrong way. The templates are lacking. There are features that exist but have terrible UX like the mind map and the whiteboard or whatever it’s called. Very hard to use.

### "ClickUp is a Great New Task Management Software Upstart"

April 19, 2026

5.0

Works great for my needs. And I am using it as our task management tool for two apps, a backend api, and five other projects.

Pros

It is free! And not only that, but ClickUp is easy to use with a short learning curve. It offers multiple projects in one view, lists, and tasks etc.

Cons

The application obscurely uses AI is various ways that are hard to understand. And then it gets you to try to pay for the service based on the AI tasks being over the free threshold.

The interface is so fast, light, and visually appealing. I love the all-in-one quality but I can never really adopt an all-in-one life because of needing to be on other tools.

Pros

It is so comprehensive. ClickUp does not get nearly enough credit for the sheer numbers of tools it provides all under one roof.

Cons

Unfortunately, I can't convince everyone else at my company to use ClickUp, so I end up having to also use Notion, Google Sheets, Linear, Slack.

### "Awesome Platform, with great integrations"

July 10, 2026

5.0

Overall, my experience with ClickUp was pretty good. It packs in a lot of useful features, task management, docs, goals, time tracking, all in one place, so you're not constantly switching between tools. What stood out most was how well it integrates with other software. Whether it's Slack, GitHub, Google Drive, or various automation platforms, ClickUp connects smoothly and fits naturally into an existing workflow rather than forcing you to change how you work. That flexibility made it easy to adopt without much friction, and the breadth of integrations meant it could adapt to different project needs. While there's room for improvement in the UI and automation depth, the overall package felt solid, practical, and genuinely useful for keeping work organized in one central hub.

Pros

The ClickUp API was refreshingly straightforward to get up and running with. Authentication was simple; just an API token, no elaborate OAuth dance required for personal use cases. The documentation is clear and well-organized, with endpoints logically grouped around workspaces, spaces, folders, lists, and tasks, which maps intuitively onto how ClickUp's UI is structured. Response payloads are consistent and predictable, making it easy to parse tasks, custom fields, and statuses without a lot of guesswork or trial and error. Rate limits are reasonable and clearly documented, so you're not left wondering why requests suddenly start failing. Pagination works as expected. Within an hour or so, I had task creation, updates, and status changes working reliably. Overall, it felt like an API built by people who actually use their own product, smooth integration experience from start to finish.

Cons

Honestly, the UI is my biggest gripe, it feels cluttered and layouts aren't always intuitive, especially with nested spaces, folders, and lists. Automations also feel limited compared to competitors, setting up more complex workflow triggers often requires workarounds instead of just working natively out of the box.

### "Easy to transition into ClickUp without similar experience"

May 17, 2026

5.0

I have had a really good experience since starting to use ClickUp in October 2025. I came from a role which had never used a system like this and after a few weeks it all felt very natural to use. I used customer support once and got an answer i was after straight away too.

Pros

I like how seamless it works between desktop, mobile and tablet. I also like how I can set tasks for people and have different views for field staff, invoicing etc. Depending on the view only suitable information is displayed without information overload.

Cons

That some of the ClickUp AI features aren't standard. I really liked the automatic notetaker which recorded and gave a summary of notes even when i wasn't active in the meeting. It would go on my behalf.

### "A Powerful Tool for Task and Project Management"

February 20, 2026

My overall experience with ClickUp has been great. It keeps tasks, projects, and deadlines organized, makes team collaboration simple, and helps me stay productive every day.

Pros

I love how ClickUp keeps all my tasks, projects, and deadlines organized in one place. It’s super flexible, easy to use, and makes collaborating with my team simple and efficient.

Cons

### "A powerful, highly customisable all-in-one workspace"

June 26, 2026

4.0

My experience with ClickUp has been very positive now that we’ve got it dialed in. It’s highly customizable, which means you can really make it match your team's unique process, but you have to be willing to invest the time to set it up properly. If you want a simple, 'out of the box' tool, this might be too much, but if you want complete control over your project management workflow, it’s an excellent choice.

Pros

ClickUp is incredibly powerful and flexible. I love being able to view my projects in so many different ways. List, Board, Calendar, and Gantt charts all in one place. It’s a true 'all-in-one' hub, which has helped us stop jumping between five different apps to manage tasks, documents, and collaboration.

Cons

The flip side of having so many features is that the platform can feel very cluttered and overwhelming at first. There is a definite learning curve, and it takes some serious time and effort upfront to get your workspace set up in a way that actually makes sense for your team.

### "Reliable project management with room to simplify"

July 24, 2026

5.0

ClickUp has made it easier to manage network-related projects and daily operational tasks without relying on multiple spreadsheets or email chains. It provides enough flexibility to adapt to different workflows while keeping the team informed about progress and priorities. Although the initial setup requires some effort, it becomes a dependable collaboration tool once everything is configured. It's a solid choice for IT and operations teams looking for an all-in-one project management platform.

Pros

I use ClickUp to organize infrastructure tasks, maintenance schedules, incident follow-ups, and documentation. The ability to create custom task statuses, automate recurring work, and collaborate with different teams helps keep everything in one place. Comments, attachments, and notifications make communication much smoother, especially when coordinating with IT support and vendors. For the features it offers, I think it delivers good value for money.

Cons

The platform includes so many features that it can feel cluttered at times. Finding specific settings or configuring dashboards isn't always intuitive, particularly for new users. I have also noticed occasional lag when opening larger workspaces or reports, and the mobile experience could be more polished.

### "Click Up Review"

December 9, 2025

5.0

We needed a tool that could help track and manage daily work and projects. We needed something exactly like Click Up where if you are collaborating on a project, you can assign tasks, a due date, can track how far the task is and can attach files as well. You also have the ability to customise Click Up to your liking, which was a winner for us. I also love the fact that you can create workspaces, sub-tasks and with the notetaker, it makes it easier to get minutes from meetings that you can easily access and you have all the action items from meetings and can easily convert them to tasks that you can track. ClickUp is an awesome tool and I love using it

Pros

Click Up has made life easier for my team as we can collaborate remotely and always be in sync. It’s very easy to manage projects, assign roles and tasks and makes it easier to track these. It’s very easy to customise and user friendly and with the new Notetaker feature, it just makes Click Up more desirable as a tool for managing daily work and projects

Cons

There is nothing I do not like about Click Up so far. It does everything we wanted it to do and has improved efficiency in our team and made collaboration way easier

### "Powerful Project Management Tool With a Learning Curve"

March 30, 2026

4.0

Overall, my experience with ClickUp was positive. It is a powerful project management platform with a lot of flexibility, which makes it a strong option for teams that need detailed organization and customizable workflows. While it can take some time to get fully comfortable with the platform, once everything is set up properly it can be very effective for keeping projects on track and improving visibility across teams.

Pros

What I liked most about ClickUp was how much it brings into one place. It made it easier to manage tasks, projects, deadlines, and team communication without constantly switching between different tools. I also liked the level of customization, especially the ability to set up views, statuses, and workflows in a way that matched how the team actually worked.

Cons

What I liked least about ClickUp was that it can feel overwhelming at times, especially for new users. Because there are so many features and settings, the platform has a bit of a learning curve. In some cases, it felt like simple task management could become more complicated than it needed to be, and the interface could feel a little cluttered.

### "Project and billing workflow that makes a jewelry operation run on time."

5.0

ClickUp transformed my billing cycle management at Kilarys. The repetitive reminders are automated through process automation and the collaboration tools ensure that finance and operations are synchronized without the need to go back and forth all the time.

Pros

Being able to see my calendar across billing deadlines, team assignments in a single location allows me to no longer lose track of where things are mid-month without having to hunt everyone down to find out the status.

Cons

It has a lot of features, and it can be overwhelming at first. Honestly, it took us longer to get our finance team comfortable than the set up itself.

### "A great project management software that I've used for years"

February 12, 2026

5.0

My experience has been a positive one, and I've been a user of this software for several years now. My main advice would be to just get started with the features you need - you can always explore more functionality when you have your basic setup in place.

Pros

It's easy to setup and get started with. Pricing is also reasonable. I like how there's a lot of customisation options available depending on how you want to setup your work tasks and projects, e.g. nested tasks.

Cons

Sometime the desktop version can be a little slow, but it's not too noticeable. The alternative is to use the browser version.
