Owl Practice

## What is Owl Practice?

Owl Practice is the EHR and practice management platform built specifically for Canadian mental health professionals. Clinicians use it to run their entire practice in one place, with scheduling, clinical documentation, secure messaging, video sessions, and invoicing, so they spend less time on admin and more time with clients, while staying PIPEDA-compliant. Owl's newest feature, Smart Notes, is a built-in AI note-taker that helps clinicians turn sessions into documentation in minutes instead of hours, easing one of the biggest time burdens in private practice without compromising on clinical quality or compliance. Practitioners consistently describe Owl as intuitive and easy to learn, and point to the responsive, knowledgeable support that helps them get set up from day one. It's this combination of an all-in-one platform, real time savings, and support that actually helps that makes Owl Practice one of the most recommended EHR systems among Canadian mental health clinicians.

Excellent - I got a quick appointment and exactly the result I needed. It also gave me the opportunity to inquire further about some add-ons that I have since decided to add to my subscription.

Pros

Quick and helpful service to correct a setting I didn't realize (as a new user) wasn't set up correctly.

Cons

\[sensitive content hidden\] quickly understood and helped me resolve the issue. Some of the details of the setup are not immediately obvious, but she was able to quickly find and correct the setting.

Overall, I've had a very positive experience with Owl Practice. It has been reliable, user friendly, and has helped streamline many aspects of running my private practice. I appreciate having scheduling, documentation, invoicing, secure messaging, and video sessions all in one platform. The interface is intuitive, and it has saved me time on administrative tasks so I can focus more on client care. There are a few features that could be improved, such as the video session issue and the ability to specify appointment locations, but overall I find Owl Practice to be an excellent practice management system that I would recommend to other clinicians.

Pros

Everything is on one platform, and the program is tailored to the needs of therapists (notes, measures, billing..)

Cons

1\. Video session issue When I'm waiting for a client to join a video session, I will sometimes receive a pop-up stating that the session has already ended, even though I'm still in the session and nothing has changed. When this happens, the client is unable to join, despite the session still being within the scheduled time window. The only workaround I've found is to delete the session and create a new one for that day, otherwise the client cannot access the video session. 2. Session location field It would be very helpful to have a checkbox or dropdown menu to indicate the location where each session is being held. I work in private practice and travel between multiple rural communities in Canada. Some clients attend sessions at different office locations, so having the session location included in the appointment details, especially in the automated text reminders, would help reduce confusion and ensure clients know where to attend.

Ive really enjoyed using OWL Practice. It keeps my client files, invoices and receipts organized. The dashboard feature is also helpful to understand my client demographics and trends in the services I am providing.

Pros

What I like the most about Owl Practice is that it is easy to use and organize client files and scheduling.

Cons

What I like the least about OWL Practice are the aesthetics. It would be nice if you could customize the look of your platform to match brand colours.

This platform allowed me to systemize my intake and client-onboarding procedures seamlessly, as it integrated with my website. I would highly recommend it as an affordable platform to anyone in private practice.

Pros

User-friendly, always improving and evolving for the better, great support for technical issues or questions about the platform, great tools to support client care, integrated payment and video platforms, ability to securely record sessions, AI note-taking is an option, and user-friendly for clients.

Cons

I would say the only challenges I have experienced with Owl have been occasional, temporary glitches in the video connection.

Overall, I appreciate the time saved on the administrative side of my psychotherapy practice. The software appears professional and gives me the reassurance of the ethical considerations on client's data storage and confidentiality.

Pros

I like having everything in the same place. It's easy to see all the client information, documents, session notes, payments, etc, while having tools to communicate with them in the same secure portal (video sessions, secure messages, forms or questionnaires, receipts). Booking appointments is also easy and I love that clients can do it themselves, avoiding a back and forth trying to match schedules. Owl constantly has updates and new features (like the AI generated notes that I'm eager to try soon). Their costumer service team is very responsive.

Cons

Some settings are not as easy or intuitive to find. For example, adjusting fees, practice information versus therapist information, etc. I have had to search for the setting by clicking on different tabs before I can find what I need. With recent updates they allow for more personalized templates or options, but I had to adjust to their style at the beginning. Note for context: I have used the software for over 3 years now.

I was hesitant at first because I thought I could handle my admin on my own. Owl has allowed me more time for clients and at year end, my report takes literally 2 minutes for my accountant. Any client inquiries or balances are so easy to send.

Pros

It has freed up so many billing hours of my week and I can focus on my clients and add more actual client hours.

Cons

I would love for there to be a mobile app so I can check my schedule on my phone. Nothing other than that :)

Very good. I have a small practice and it works perfectly for keeping everything organized, and it is quite user friendly for someone who isn't very tech savvy!

Pros

It is easy to use, comprehensive, and has everything I need to keep my practice organized. The patient portal has good security and is a helpful addition to the product.

Cons

I did have some struggles with the video session component, but was able to figure it out. Sometimes the instructional videos can be a bit difficult to understand.

Overall, my experience has been positive. I often receommend Owl to other professionals in my field.

Pros

Owl is easy to navigate. I like that I can make clients apart of their own scheduling or shut that feature off, which I do. When I did have issues or questions early on, support was easy to access and were always helpful. I also like that one of concerns was taken into consideration and something was changed so that it was no longer a problem.

Cons

My only complaint is that everything that is added is at an additional cost. Thankfully none of the newer features are of interest to me.

Easy to use, supportive cornerstone of my private practice. Makes myself and my clients feel secure and taken care of. Thank you so much!

Pros

The ease with which I can create client notes, invoices, payments. User experience is wonderful. Its secure encryption is exactly what I need for my private practice.

Cons

Balancing it into my overall business costs can sometimes be difficult; it is the highest cost of my monthly necessities.

I've been using OWL Practice for several years - transitioning from a solo practice to a group practice. I've been using OWL Practice for my psychology practice for quite a while now, and it's become one of those programs I rarely have to think about—which is honestly one of the biggest compliments I can give practice management software. Scheduling is intuitive, client files are easy to set up and organize, invoicing takes very little time, and I appreciate the ability to review and export data. It keeps everything in one secure place, which has been so valuable. Whether you're a solo practitioner or have additional clinicians, it handles the administrative side of private practice really well. Customer support has also been responsive anytime I've needed help, and the system is easy enough that onboarding new team members hasn't been a challenge. I'd recommend OWL Practice without hesitation to anyone running a private practice. It saves me a significant amount of administrative time, keeps my records organized, and lets me spend more of my energy where it belongs—with my clients. The few areas I'd like to see improved are relatively small compared to everything it does well. For me, it's been a great investment.

Pros

\- Easy scheduling and calendar management - Straightforward invoicing and payment collection - Secure client records and documentation - Clean, intuitive interface - Excellent customer support

Cons

The new addition of Smart Notes has promise, but in the early stages hasn't compared to some other platforms I have tried that allow custom note templates.
