Really good experience with Checkproof. Out account manager is really knowleagable of both the product and the industry in which we operate which is really useful as he is able to help and guide us with our deployment.

Pros

Ease of use and ease of deployment. Replaces legacy paperbased inspections and has allows us to reduce multiple applications & processes for inspections into the Checkproof application. System is flexible and scalable.

Cons

The reporting isn't as good as we need. The ability to build customer reports would be fantastic. We find this frustrating for audit evidence and reporting key metrics to operational managers.

Overall, CheckProof is good at what it’s built for—capturing inspections and standardising activity across sites. The challenge comes when you need flexibility. If your structure is already set, it works well. If you’re trying to merge systems or refine how things are set up, it becomes harder to work with and more manual than expected.

Pros

From my perspective, CheckProof aligns well with a governance-driven inspection model. The structure—sites, users, templates, scheduling, execution, and review—fits naturally with how we’re trying to standardise processes. The hierarchy is clear, and the audit trail is strong, giving visibility on who completed inspections, when they were done, and what was flagged. That supports compliance and consistency across multiple sites without needing to build a system from scratch. It has also helped reduce variation between sites. In our environment, different locations tend to develop their own ways of working, so having a consistent set of templates, frequencies, and outputs is valuable. It limits the drift you typically get with paper-based or loosely managed systems. The usability is another strong point. The interface is simple, mobile-friendly, and doesn’t require technical expertise, which is critical in a quarry environment. In practice, that means inspections are more likely to be completed properly rather than just recorded as done. Where it works best for us is as a data capture tool. It handles the necessity of inspections well with its workflow—capture, defect identification, and review—effectively, and can feed into a wider system landscape if used that way.

Cons

The main issue I’ve encountered is the rigidity of the system. Making changes to structure—whether that’s site setup, templates, or naming conventions—is far more difficult than expected. Once things are set up, they are not easy to adapt, which becomes a problem when trying to refine or improve the system over time. This has been particularly challenging when merging data from two companies. There is no easy way to map or restructure data when merging systems. Aligning data from different sources requires manual work rather than being handled within the platform. The lack of access to our data within CheckProof is also a limitation. We can export certain information, but not everything, which restricts how we use the data outside the platform. There are also issues with some admin controls. Selector buttons for enabling or disabling features or permissions do not always behave as expected—for example, a setting can be switched on but not actually activate. In some cases, this appears to be due to the CheckProof side not being fully enabled, which can create confusion. While not a major issue and typically resolved with support, it is worth noting.

Overall very satisfied, easy to use and very helpful staff to help with any enquiries. Help option on the desktop device very handy to ask questions.

Pros

Easy to build checklists and set up units and rounds. Phone app is easy to use for all operators. Lot of different options available

If no connection, the app does not work. Could be easier option to just store it either in device and later sync.

A great experience overall, and it continues to be so. The support is consistently available, and the initial setup isn’t something you have to handle alone—the team provides substantial assistance every step of the way.

Pros

The app is extremely easy to set up and use, with a wide range of options for capturing all HSEQ and maintenance tasks, as well as checklists. It provides excellent visibility for teams across our site, helping to streamline operations and improve accountability. The support from the CheckProof team has also been outstanding.

Cons

There have been a few glitches but nothing the team haven't resolved in a good timeframe. Overall a great positive experience so nothing more negative to raise.

My experience with CheckProof after taking it on over 3yrs ago has been overall excellent. It has enabled me to improve our tracking of Mobile Equipment, Fixed Equipment, Geotechnical and Internal management systems. This has allowed us to onboard all Quarries, wharves and depots in the business. We have also made major improvements in recording data and using odometers to capture data and automatically report deviations.

Pros

The system is extremely easy to use and has been instrumental in rolling it out across all users in the business. It has significantly improved the quality of information we receive regarding deviations on both fixed and mobile equipment, making the overall process far more efficient. By capturing insights directly from the users—where the information is most accurate—we're now better able to manage maintenance activities and plan necessary downtime for repairs and inspections.

Cons

The effort making checklists in the system without the use of AI assistance. Compliance module doesn't work as expected.

user friendly once you get your head round it easy to use and great with great customer support. The fact we don't have to print of loads of paper now to carry out our checks brings us into the 21st century.

On our site, it has helped highlight repeat failures, improve follow-up on maintenance issues, and create clearer accountability across the team. When used properly, it becomes a key part of daily management rather than just a reporting tool. It works best when there is strong leadership driving its use, clear expectations on what “good” looks like, and regular review of the data to focus on what actually impacts production and safety.

Pros

CheckProof has been a really effective tool for driving accountability and visibility across site. The ability to raise, track and close out deviations in real time has helped highlight recurring reliability and safety issues that would otherwise get missed or delayed. It’s particularly useful for linking checks directly to actions, meaning the team can clearly see what needs doing and why. From a management perspective, it gives a clear overview of where problems are coming from (by unit/area), which supports better decision-making and prioritisation. It’s also a strong tool for reinforcing standards – especially when used properly with structured inspections and follow-ups.

The system is only as strong as the discipline of the users. If checks aren’t completed properly or deviations lack detail, it can reduce the effectiveness of the data. Some areas of the interface could be more streamlined, particularly when reviewing large numbers of deviations or trying to extract trends quickly. There is also a reliance on consistent setup (rounds, standards, descriptions), which takes time to get right initially. Without that, reporting can become unclear.
