Pros I like Square 9 for the main purpose of getting the invoices entered and directed to the correct personal to work them, and then the process of them getting the invoices back for payment is pretty seamless. And being about to be paperless and searching for an invoice by so many different fields is nice. I also like the fact that it finds duplicate invoices so reducing accidental duplicate payments. Cons I don't like that sometimes it can be slow. Which may or may not be internet speeds or just how it is. This can cause delays in the amount of time invoices reach their destination to be worked. But, overall, I don't have too many issues with not liking Square 9. Pros User friendly enough for people with low computer literacy skills. Cons No automatic cleanup options. File bloat is unmanageable. can only select 22~ docs ever minute. Max of 1,000 at a time. On own virtual server with 12gb ram. Support only suggestion add more ram, at 24gb sever is using under 30% but still move as slow and crashes when tiring to delete more than 1,000 docs at a time. If you buy this product be prepared to dump unlimited storage space to it. Reason for choosing Square 9 Because a sales rep walked in the door while our \[SENSITIVE CONTENT\] was out and the \[SENSITIVE CONTENT\] feel for his pitch and saddled us with this burden before she was her to talk him out of it. Document History makes HIPAA required audit trails into a seamless process. The infinitely customizable index fields make storage and retrieval seamless. We have been heavy users of both GlobalSearch and GlobalForms for many years, and could not be as efficient as we are without them. Pros The ability to retrieve documents in seconds makes all of our tasks easier regardless of the department. We have moved all document workflows into GlobalForms and GlobalSearch. Their Support and Implementation Departments are second to none. Their goal is to make customers happy. Cons No, I don't have any document management needs that the Square 9 products don't solve. Reason for choosing Square 9 The people behind the company are the best in the industry. Everything is easy to use, easy to find, it stores your documents where it's easy to access. Square 9 has been the best decision. Pros It's easy to find your document once it's scanned into square 9. Cons The only issue I have had it with, was it got logged out twice and none of my documents were being processed, but opened a support ticket and the issue was resolved within minutes. Cons This is more situational than anything - in the last project we needed coded and implemented, we went through about three support specialists. We have quoted other document imaging programs and the prices don't compare. For the most part, it does exactly what we need it to do and it properly stores all of our AP documents. Pros The workflow runs pretty smooth, and we are able to get these invoices to the people that need to see them, quickly. Once AP enters the invoice, they don't need to revisit the invoice until it is time to print the check. Therefore, the process is pretty easy for the AP person after the initial invoice entry. Cons There are disconnects often between Square 9 and our server. Some of the issues come from our end with the server, but when there is an issue with Square 9, it can take a while to get it fixed. I believe there aren't a ton of people working between our software company and Square 9, so that is probably the biggest issue we have. Reason for choosing Square 9 The prices didn't even compare. Online Purchase Order form for our employees. Pros We've been using Square 9 for over 10 years. Very easy to implement. Forms has enabled us to provide our users with an online Purchase Order solution. Cons Not a lot of Cons, but maybe a way to show the admins there is an update available and list what improvements are available thru updates. Pros The kickoff team was great at was helpful and informative when we reached out to them. Cons We passed our project time window but did not receive a warning we were at the end of the project time frame. Reaching out a week before with a red flag would have been great. We ended up expanding the project and addressed any lingering issues at that time. Pros When it is setup, it just works and without any issues or problems. It does a good job of connecting multiple scanned documents to a single output file following defined naming rules. This is our main use of it at the moment, though there are lots of additional functions and processes I would like to implement. It is a new application for me and was setup before I started, so I have a bit to learn before I can add things. Cons I have found the connection to the server to be very slow and unresponsive at times. I have not been able to trace the source of the lag. There have been times the screen is unresponsive, but not clearly because the application has locked up either. They also will assist any time I just can't figure something out in programming. Pros Square 9 provided a technician to do the initial setup and training. Programming is relatively simple as new companies or users are added. Annual downloads are perfect for audits. Cons There is no retention process available, so this has to be done manually as documents meet their expiration. From Invoices, Credit Card Receipts, to Travel Requests. Initial setup can be a little overwhelming with all the information that goes along, but the knowledge base instructions and videos make it a lot easier and quicker to learn. Cons We sometimes experience bottlenecking of data being integrated between our CIS/FIS system and Square 9. This causes some hang-ups with workflows, scanning/auto indexing of documents. But what sold us on Square 9 was the OCR technology, which has automated the invoice entry process. Further, with Square 9, we are able to import that data into our accounting system.
