We're currently in a project to migrate to the latest version. They're a good team to work with. Pros The software platform is pretty stable, a occasional to rare need for an IIS Reset, support is knowledgable, responses are quick. Cons The Capture Batch Manager should allow grouping by Batch Number like the old tool from SmartSearch Capture. Not a Con about the company though, just a place for improvement. Overall, it's been a reliable system that has improved efficiency for our team. Pros Excellent value for money compared to other solutions. The AI-assisted invoice coding is highly accurate and has streamlined our accounts payable process. Customization and workflow building is much easier than competing products. User and group management provides robust access control while remaining easy to configure. Customer support is responsive and works collaboratively to solve problems. Document management offers secure storage with robust indexing. Cons When a document gets lost or misrouted during processing, it can be confusing to troubleshoot and get it back on track. Well organized training and very open communication. The system is easy to use and access, and the AI feature is a plus. Their support response is quick, and the features of the system keep all our documents organized in one easily accessible place. Cons Cost was a little over our budget but compared to our current document management system it seems to be worth it. Pros I like Square 9 for the main purpose of getting the invoices entered and directed to the correct personal to work them, and then the process of them getting the invoices back for payment is pretty seamless. And being about to be paperless and searching for an invoice by so many different fields is nice. I also like the fact that it finds duplicate invoices so reducing accidental duplicate payments. Cons I don't like that sometimes it can be slow. Which may or may not be internet speeds or just how it is. This can cause delays in the amount of time invoices reach their destination to be worked. But, overall, I don't have too many issues with not liking Square 9. Cons As with most document management systems, there is a learning curve. Fortunately there is free training included that lays the groundwork for using the system. We have quoted other document imaging programs and the prices don't compare. For the most part, it does exactly what we need it to do and it properly stores all of our AP documents. Pros The workflow runs pretty smooth, and we are able to get these invoices to the people that need to see them, quickly. Once AP enters the invoice, they don't need to revisit the invoice until it is time to print the check. Therefore, the process is pretty easy for the AP person after the initial invoice entry. Cons There are disconnects often between Square 9 and our server. Some of the issues come from our end with the server, but when there is an issue with Square 9, it can take a while to get it fixed. I believe there aren't a ton of people working between our software company and Square 9, so that is probably the biggest issue we have. Reason for choosing Square 9 The prices didn't even compare. Pros The best part of Square9 is the visibility and fast access to documents, both in process and archived. Cons The worst part of Square9 is that we are not completely reliant on it for our Accounts Payable processing, so when the system stops working, our entire ability to move forward with processing and paying invoices is held up until it is fixed. Fixes for those urgent problems do not happen as quickly as we need them done. Reason for choosing Square 9 Square9 was a known product to me from a previous job, and I have found Square9 to be more customizable than other products I have seen. We haven't had to call Support too often and when we were deploying Square 9 they were always helpful and fantastic, treating our business like their business. Pros Square 9 is easy to use and allows us to search and locate our patient records and other documents faster then ever. We also use GlobalForms for allowing our patients complete their exams forms before they arrive for their eye exam. When that proved easy and helpful, we moved our cloud storage to Square 9. We've recently had them build an online application for us. It hasn't been put to use yet, but it will be soon. We've like the experience with them so much that when another project came up recently (a form filler), we immediately reached out to see if they could assist us. I can't say enough good things about Square 9. Pros I particularly like the people involved. The process of implementing your project is very streamlined. Communication is outstanding. I felt very confident in the projects/products we have implemented because the people we dealt with - every step of the way - had it together. I feel like the support behind the products are invaluable. Cons Honestly, it can be a bit intimidating. There's a lot of functionality that the user can access and play around with. Square 9 does offer a lot of resources to try and help you navigate it, but it still can be a lot to process. Reason for choosing Square 9 Our IT company recommended them when we told them we were interested in switching cloud storage services. Pros User friendly enough for people with low computer literacy skills. Cons No automatic cleanup options. File bloat is unmanageable. can only select 22~ docs ever minute. Max of 1,000 at a time. On own virtual server with 12gb ram. Support only suggestion add more ram, at 24gb sever is using under 30% but still move as slow and crashes when tiring to delete more than 1,000 docs at a time. If you buy this product be prepared to dump unlimited storage space to it. Online Purchase Order form for our employees. Pros We've been using Square 9 for over 10 years. Very easy to implement. Forms has enabled us to provide our users with an online Purchase Order solution. Cons Not a lot of Cons, but maybe a way to show the admins there is an update available and list what improvements are available thru updates. Pros The kickoff team was great at was helpful and informative when we reached out to them. Cons We passed our project time window but did not receive a warning we were at the end of the project time frame. Reaching out a week before with a red flag would have been great. We ended up expanding the project and addressed any lingering issues at that time.
