"You Get What You Pay For"

**Overall:** Overall, Aesthetic Record felt more like a hurdle than a help. Frequent time-outs and app crashes slowed appointments, routine tasks required too many clicks, and exporting our own patient data carried an unexpected $1,120 fee after just two years of use. Combined with a 90-day import process and limited support, these issues convinced us the platform does not prioritize efficiency or customer control of data.

**Pros:** HIPPA compliance, sales report, patient markings for injectables are some of the reasons why we decided to use Aesthetic Record.

**Cons:** If you run a busy clinic where every minute counts, you’ll likely appreciate software that simply stays out of the way. Unfortunately, Aesthetic Record often became an obstacle rather than a helper for our team. Because the platform charges “per user,” it automatically logs each account out after brief inactivity; on our shared iPads, that meant front-office and clinical staff were re-entering passwords about twice an hour—usually in front of a waiting patient. Stability was another concern: both the iOS app and web portal crashed often enough that restarting them became part of our daily routine. Even when the system stayed online, simple tasks required a surprising number of clicks. For example, to view a patient’s consent form from the calendar you must open the appointment, jump to the Timeline tab, click “More,” choose “Documents,” then adjust date filters to reveal older files. Multiply that sequence by dozens of patients per day and the lost time adds up quickly. The larger issue surfaced when we decided to migrate to a new EMR. Aesthetic Record makes bulk data export extremely difficult and expensive. Original-resolution photos aren’t stored with standard documents, so downloading each chart manually is impractical, and the company quoted us $1,120 (!) to run an export of just two years of records. This was particularly frustrating because our data import on the way in—promised in 30 days—actually took more than 90, handled by an offshore contractor who was hard to reach and provided limited guidance. In practical terms, the platform’s design and policies create friction both while you are a customer and when you try to leave. The data technically belongs to us. We expected more ethical and professional treatment from the company upon transition. If you’re evaluating EMRs, ask Aesthetic Record (or any vendor) for written details on session timeouts, click paths for common tasks, and precise costs for full data extraction. Clarifying those points up front could save you and your staff considerable time, money, and frustration down the line.
