Our long term employees did not want to learn a new method. I think the amount of AI talks over the last two years got them curious? So they finally agreed. Weve been using zoho for 6 months and everyone loves it. Its made it easier for the employees and WAY easier for me. I used to have excel spreadsheets with a million pdfs but now its all in one. I also can check them easily on my phone. I will literally check expenses while riding in the car or waiting in lines... it sounds dumb but I check them as they come in instead of the day before payroll. Its been a much better process for me. Cons I cant make certain edits on employee expense reports so I have reject them and make the EE change it. I would prefer full edit ability and for the ee to see what was changed. And the itemizing feature is clunky. The AI doesn't do good at that. It has done that well. Day-to-day capture and approval is quick, and month-end reconciliation went from a half-day exercise to under an hour. The limits show up when you want deeper reporting or non-standard approval logic, where you end up working around the product rather than with it. For a small team that wants solid fundamentals at a reasonable price, it is a good fit. Teams needing heavy analytics or complex multi-level approvals should evaluate more carefully first. Pros Setting it up for a small team took under an hour — no drawn-out onboarding or implementation call needed. Receipt autoscan pulls merchant, date, and amount accurately most of the time, which cuts out the bulk of manual entry. Being able to tag expenses to specific clients and projects makes billing reconciliation much cleaner at month-end. The mobile app is genuinely usable for capturing receipts on the spot rather than letting them pile up. Multi-currency handling works without fuss, and if you already use other Zoho apps, the data flows between them without extra integration work. For what it costs, the feature set is hard to beat. Fyle had a cleaner UI but lacked the depth on project and client tagging that we needed for billable expense tracking across multiple engagements. Zoho Expense was the only one that fit naturally into our existing Zoho ecosystem — Zoho Books sync alone eliminated a full manual reconciliation step. I can already tell that this is going to expedite my expense management processes! Pros I am just concluding a trial period of Zoho Expense. Originally, I had planned on using another expense management system, but side-by-side comparison of cost and user experience convinced me to try Zoho first. The user interface is very intuitive and it was easy to navigate the expense reports and the integration with Quickbooks Online was pretty seamless. Cons I wish I could manually add basic corporate credit card information, as I prefer not to connect the accounts. Most of the functionalities are there. Easy reporting Pros Zoho expense is easy to use and giving full value for money and customer support is always there heling you resolve issues with pace. Cons Not able to cope with full diversification as per the current practices as there could be additional features as tracking systems section could have more. It has been better than anticipated and I will continue. The most important benefit is by also using Zoho CRM, the navigation is similar so I never get lost. Pros Zoho expense is intuitive, so it is easy to use. Its interface is logical, so each next step makes sense. The features are exactly what I want and nothing that I dont need, so it is a great value. Cons I have run into some bugs along the way, but it might be the result of accessing Expense from my iPhone, then my laptop. Never knew this existed and the free function isn't limited either. Have yet to use the mileage function but I'm sure it'll be just as great. Pros I love how convenient it is to track expenses. Category for everything and can easily find every transaction. Cons Some categories are not deletable and autoscan function is still glitchy. Took a bit of time to learn how to use it at the beginning but after a few hours, it was smooth.
