Mail Manager has been a definite benefit to our company. It helps capture a lot of business and project information transmitted via email, which we otherwise wouldn't have access too. It's certainly helped lower our business risk.

Pros

It solves a huge problem that we have, and didn't know that such a product existed for years. I've not seen anything like it since either, so it's a unique solution.

Cons

It would be nice to have the ability to create new spaces within Sharepoint directly via Outlook, rather than having to add it separately. It may also then help reduce the need to run discover file locations so often.

The team at Ideagen made the sales and on-boarding experience a breeze. Their support team is very helpful, as well. Overall, we've had a very good experience with Mail Manager.

Pros

Mail Manager gave us an easy way to export emails from Outlook into our project folders. This helps us keep project related data together in one place and makes searching for information much easier!

Cons

While they're working on a release date, the lack of support for the new version of Outlook is keeping our users from using it and the web version.

Pros

The principal loved it to organize the emails and file them to the server by projects and personal filing space.

Cons

Customer servier is not good. They ask you to lock into 2 years contract and is very unflexable when the team shrinks and when need to reduce seats. The terms and conditions are very unfrendly and preditor like.

Switching to Ideagen Mail Manager was a positive experience, with a seamless rollout and strong user adoption despite initial apprehension. The software excels in email organisation and search efficiency, although it falls slightly short compared to its predecessor in terms of broader file search capabilities. Overall, it delivers significant benefits for managing and retrieving email data.

Pros

Extremely smooth transition from previous software. Easy for staff to adopt with minimal resistance. Powerful email search functionality. Keeps inboxes organised and clutter-free. Trial phase helped build confidence across the team.

Cons

Lacks the ability to search across all project folder files on the server (only searches emails). Only works with Classic Outlook, not New Outlook.

We were exploring options for a case management system for our in house team, and all the major providers seemed too overkill for our needs. We decided to go with a Sharepoint solution, with Oneplace used to integrate our emails into the Sharepoint file structure. This required some initial legwork, but now the system works for us. Oneplace plays a big part in that.

Pros

Oneplace allows us to save emails easily from Outlook straight into our case management system (we are a stretched in house team). Oneplace does not require any upkeep or admin. I have not changed its configuration in many months.

Cons

It can occasionally be a little slow to load our Sharepoint file structure. It also lacks the ability to save emails and attachments simultaneously as separate files.

I've had a positive experience both with the software and support.

Pros

OnePlace is great at providing additional integration features for MS Office and SharePoint. We use the OnePlace Mail Outlook add-in every day to manage uploading emails to SharePoint. The few times i've had to deal with support I have found them responsive and easy to deal with. The platform is also flexible and can be easily adapted to your environment.

Cons

Some of the features in OnePlaceMail could be improved. The upload feature works very well but the ability to browse emails stored in SharePoint from within Outlook is not well implemented, rather than allowing you to browse using Outlook natively, it simply opens OnePlace within the Outlook window which reduces usability. Not a deal breaker by anymeans but could be a killer feature for us if implementation were better. We also at times experience a bug where the OnePlaceMail add-in stops working. This requires us to delete the OnePlaceMail config file for the Outlook add-in to work. A minor issue that is infrequent and easy to fix.

The software does not work and their customer service is awful. We have many employees who are unable to use this software. We asked to cancel as we are paying for a service we cannot use and they have auto-renewed into another 2-year term. Definitely do choose mail manager. There are many other companies you can use!

Fantastic! It does exactly what we need.

Pros

OnePlaceMail does exactly what Microsoft should have done to enable users to save emails into SharePoint. The product integrates smoothly into Outlook and does not disrupt your normal email workflow. It is also quite intelligent at learning where emails should be saved so that it can make good suggestions when saving emails.

Cons

The only frustrations I have are with accessing emails once they are saved into SharePoint, but this is a problem with SharePoint itself, not with OnePlaceMail, so I can't fault the product for this. If only OnePlaceMail could replace SharePoint!

The product is simply in a class by itself. Share Point is a good product. Share Point with OnePlace is a great product. This is how Share Point was meant to be utilized!

Pros

Once it's setup, the ease of deployment is very straight-forward. It takes less than 5 minutes to setup per user and the training minimal because OnePlace follows all of the windows standard methodology.

Cons

The setup requires someone with Power Shell experience. OnePlace Solutions Support staff will do it for you but you have to schedule a time with them. I wish they had some support staff stateside.

For users it is very easy to move mail and attachments into SharePoint. As said before, also a central location to configure overall settings.

Pros

As an administrator working for different companies, I have known OPM for a long time yet. And it is always evolving and now even more easy to configure and implement OnePlaceSolutions into the SharePoint environment with settings configurable from a central place for all users or test users just by creating different profiles.

Cons

there are some improvements with some settings that can't be configured or changed but overall, it does what the customers expect. Regarding licences, it should provide only a warning when you are out of them, instead of not giving it at all. Because an automatic cleanup is not happening .. Got a script for cleaning up the SharePoint list.

OnePlaceMail is one of the best selling points of OPS. Almost all of the special functions are in this add-in.

Pros

All of its features, from OPS Mail to OPS Docs -Easy maintenance -Seamless transition between old SP and SPO platform -Easy upload and management of metadata -Client application add-in is very useful and functional (i.e. Save to SharePoint, Send and save, Insert attachment or links, etc.) -Language recognition (special characters)

Cons

\-Sometimes configuration takes longer to take effect after initial installation.

Working with the two gentlemen I did, setting up Mail Manager was easy.

Pros

The ease of storing emails, keeping exchange server clean, It's AI ability to not keep duplicates when two or more people save the same email thread. It's ability to keep just one. The search features to help find an email(s) related to a specific topic. The list goes on. This software is absolutely amazing

Cons

Can't say I really found anything negative about it yet.

Reasons for choosing Ideagen Mail Manager

One Drive, Office 365 need some work. Not very friendly, not really shareable with outside sources. One Drive, Sharepoint and 365 need to make things more user friendly.

Pros

Easy filling of emails into project folders as you go. Remembers where you last filed similar emails and prompts you to file there again
