A\* Pros The best dance school management software I have come across. The features available continue to impress me - they have thought of everything. They are incredibly open to new feature ideas and suggestions - which I love! This software really is a gamechanger! I have used many different products to run dance schools over the years but this truly brings together class management, class registers, trials, website integration, payments, communications etc. Many dance schools steer away from software as they work in term time only. The software manages voided dates to cater for half terms, holidays etc - great! Parents can login to their own area and see agreements, classes enrolled, documents, report absences etc - again brilliant! A very comprehensive package at a very reasonable price irrespective of your school size. No glitches or issues so far. As some one who has developed large website and online software - I know that there has been a huge amount of investment and development is this - Well done guys! Cons When I signed up, I was somewhat uncomfortable with there not being any specific telephone support, particularly for onboarding. It took me a little while to get to grips with platform, and I am still learning, but I will say that there email support is excellent with a very quick response. Having now got used to the setup and support methods, I certainly cannot complain. Pros The customer support is very good and responsive. I like that i can tailor plans as some of my families have different rates. Cons I would like to have an absent reporting button where it comes to the coach to mark as authorised or non authorised, and then maybe a feature where it gives a weekly/monthly overviiew of what absences are coming up. The search section also, i wouuld like it to remember your current 'search' so if i'm looking at registers within a certain week, if i click into a register and come back, i have to re-select the search options. It's not perfect, nothing ever is but we are very happy. Pros Our athletic club (400+ members) was moving over to a new way of collecting fees and we wanted to find a cost-effective solution that would handle annual fees, monthly direct debit subs and one-off payments. We also wanted a platform to handle availability requests and set up registers for coaches. The free trial at the start allowed a few of the committee members to have a play around with it to see if it would work for our club. Setting up everything in Coacha has been relatively easy. Their help guide is extensive but if we have had to ask a question their team is super helpful and replies usually within 24 hours. Our parents and athletes have had no issues signing up using our tailored sign up form All of our coaches have been able to navigate the system including one who prefers pen and paper! It's really easy to see who hasn't paid and the automatic reminders are really helpful. Saves an admin job! A few members accidentally cancelled their direct debit and sending them a new link to set up the direct debit again was really quick. We are using the "Broadcasts" feature to send out our club newsletter which is working well. We wanted to be able to run a specific report in Coacha which wasn't one of the options available. We messaged the team and they have arranged for it to be enabled which is amazing. It's nice to use a system where it's a case of let's see what we can do to help you (and then to get a message to say yes we can help you!) rather than sorry, that's not possible. Cons The app is not quite as good as we would like, the desktop version has all of the functionality. If you are expecting the app to be like Spond, it isn't. However Spond did not handle everything we wanted so we went with Coacha instead. They are always developing to improve and we love the new additions to the app, Pros How user friendly the app is, it’s easy to navigate, lots of options for ways to invoice and get payments from clients, easy to add coaches and staff to view certain elements. Love the store and subscription options, great use of teams and courses, easy to edit and change, great customisation of colours, we just love it! Have no interest in trying anything new as Coacha has it all! Cons I would say it’s needs a way for non clients to do one off courses or events but not sign up for an account, so a link to pay and click to agree to t&c photos etc but not be a signed up client. We were previously using MemberMojo which was extremely complex and required a lot of administration time to get working as we needed. It also had issues with billing and other areas. The team at Coacha have been there for us at every step. We have had the most amazing support - and we have been able to communicate with the co-founders. It is obvious that the whole team at Coacha really care for their customers, and they are willing to discuss enhancements for the whole Coacha community. They really have made me feel that nothing is too much trouble. Their openness and fair dealing are very refreshing in these times. The levels of support offered are the best in the industry. In my other life, I teach technology at the highest levels. I also have worked in technology at the highest levels throughout the world. This is how a product should be designed and launched. The support and the roadmap are great, new features are constantly added, the community has a voice (though there could be more options to formalise this) and overall we are extremely pleased with everything they do. If you run a sports club, this software will make your lives a lot easier - for very little cost. Pros Simple to use, easy to onboard, very easy to transfer from other more complex solutions which were not meeting our needs. The Coacha system has allowed us to remain in contact with our members during the pandemic and to ensure that we have been able to provide some services. As we return to normal, the software has ensured that our administration is quick and easy and we can get on with the work required by Club members. Cons For less technically able members of the team, this was a small step up. It would be useful if there was a printable guide available for those who are not tech-savvy, or maybe some "How To" videos. Otherwise, the solution has really helped our Club. Head Coach Sports Used the software for: 2+ years ### "Membership management made easy" November 11, 2024 5.0 We are not fully utilising all its functions but it is still much better than our previous systems that did the same tasks. Shout out to the support team who are good and have resolved all my queries when I got stuck on something. Pros Originally signed up to replace some appointment software used during Covid to book range time so we avoided too many people down the club at the same time. We used the Lite version to start with so we had time to get familiar with it. Then went to the Premium version so we weren't limited on the number of members. As a shooting club we have to comply with some specific legal requirements and Coacha means we can now easily track people through the early process of the Enquirer, Police Approved, Trainee, Applicant stages just by changing the group they belong to. It's also easy to then archive those that decide not to apply for full membership. Also using it for membership management from induction of new members where they can book the induction course that suits them, through their probationary period, and then to full membership and the different grades of membership. Love being able to email/text groups without having to manage multiple email lists via yet another bit of software. All the information is in one place which is great for GDPR compliance. Members can download their own data. Communication through Coacha with juniors is also automatically compliant with NSPCC’s CPSU (child protection in sport unit) guidelines. If you want, you can set it up to reserve individual firing points ( eg 25yd, FP3, 7-8pm) rather than just time (25yd 7-8pm). The level of detail is down to you. Cons It's writtten more for team management so you can organise and track teams. It took a little while to set it up but that would be the same for any of the alternatives. We are a small club and one person runs the whole evening. So we have a generic "Duty Officer" that runs all the sessions so we don't have to spend too much time specifying individuals. Pros Navigation around Coacha is easy and intuitive. As a new user coming to the sytem shortly after it's launch at our charity, it has been challenging to get up to speed with how it all works, but the support team have been amazing and the wealth of support documentation including videos and online guides is very impressive. Cons Would be nice to download just parts of the members profiles rather than having to export everything. E.g - just download non photo consents. Streamlines our administration and allows multiple user to access information with clear restrictions on data. Manager Sports Used the software for: 6-12 months ### "Very pleased" March 9, 2021 5.0 We have been able to connect more with members and their parents and to reduce the use of paper based administration. Once we have started our 2nd year we expect our membership renewals to be massively easier than the prolonged headaches they were before using the system. The customer support we receive is excellent, friendly, personable and quick to respond. Features continue to be added and this presents us with a favourable experience for our members who likewise benefit as improvements are made. Pros This is a very well though out piece of membership management software for clubs. It's extremely quick to use and well presented. It carries out all of the tasks our previous system did and importantly made it easier to communicate with members. The tutorials were helpful and getting started couldn't have been easier. Cons We are still adapting our processes to best use the system and find that we must take care with staff who use the system as the access level granted cannot be adjusted as finely as we would like. With some staff being less knowledgeable with technology we don't want staff to make changes by mistake. Reason for choosing Coacha Coacha was affordable for us and very importantly had a model that didn't take more of our income as we became more successful. The system also looked pleasing to the eye and appeared to have the momentum of ongoing development behind it. This coupled with the ease we have been able to schedule our direct debits for the payment of club fees is going to make a huge difference to the effort in administering the club business. Until now we have relied on our gymnast's parents paying by standing order or ad-hoc bank transfer and this always involved checking up and chasing outstanding monies. Now we have a simple way to monitor and manage our income stream and the time saved is going to be enormous. The ability to group the gymnasts for more efficient club communications is also a huge benefit and now our gymnasts and parents can login to their own private account to sign up for competitions and extra tuition. It's going to completely do away with the need for forms which need to be printed, handed out then collected and collated. No more searching gym bags for missing or forgotten paperwork and money!! Cons As with any new system, the configuration at the start is always a bit of a task. That being said the Coacha team have been on hand, even during the Covid crisis, to help with questions and guide us along so it's hard to pick any real faults. Reason for choosing Coacha We liked the fact that the developers were coaches themselves plus the cost of operating Coacha versus other system, especially for a club with a large membership body, is much cheaper that anything else we could find on the market. Pros Allows us to have instant access to member information regarding contact details, medical history and next of kin Allows us to create class groups and add each member to relevant class. Coaches can use the app as a register and check each person in. This allows us to see attendence levels. Setting up a direct debit for members ensures we are on top of our income and can chase up non payment I'd necessary. Cons Allow us to have pending members split into categories, ie age group and have the option to have them in date order for offering space when it becomes available. Photographic waiver box for over 18's too as sets them as default don't want Photos. August 25, 2020 5.0 Management of our class sizes and membership fees has been a huge help. We can easily track who attends class and who has paid via the money management tab. Since Covid19 restrictions have come into place, Coacha has been very beneficial to help keep on top on our class sizes and comply with government guidelines. The contact tracing tab is very useful , allowing us to select a member and have a very clear breakdown of when and who they took a class with in case of any Covid related queries. The support we have received from the Coacha staff has been exceptional. Any query we have is answered promptly with clear instructions and a very friendly manner. Their customer service is absolutely top notch. Pros Then main benefits we have found so far are management of class times and schedules , invoicing our members via email , the ability to group members together based on our own defined categories and the contact tracing feature that has just been introduced. Cons I would like the ability to deactivate a class. For instance when our timetable changed due to Covid restrictions, we had to delete our current classes to make them not visible to our members whereas a deactivate or hide option would mean we could keep class details stored but hidden for future use if needed. The speed with which we were able to get this implemented for our business was impressive. Our staff and customers took to it quickly and now are fully conversant with its ease of operation. Pros The ease of use was the first thing. Secondly, its ability to allow customisation and flexibility. The added value of having 24/7 helpdesk facility was also a major factor in the decision for selecting this software. The site and apps work seamlessly across variety of platforms which is another huge advantage. Cons None to think of immediately. The only slight thing , but not major one, is we would have liked little more flexibility around navigation on some hyperlinks, but a relativley minor point.
