A\* Pros The best dance school management software I have come across. The features available continue to impress me - they have thought of everything. They are incredibly open to new feature ideas and suggestions - which I love! This software really is a gamechanger! I have used many different products to run dance schools over the years but this truly brings together class management, class registers, trials, website integration, payments, communications etc. Many dance schools steer away from software as they work in term time only. The software manages voided dates to cater for half terms, holidays etc - great! Parents can login to their own area and see agreements, classes enrolled, documents, report absences etc - again brilliant! A very comprehensive package at a very reasonable price irrespective of your school size. No glitches or issues so far. As some one who has developed large website and online software - I know that there has been a huge amount of investment and development is this - Well done guys! Cons When I signed up, I was somewhat uncomfortable with there not being any specific telephone support, particularly for onboarding. It took me a little while to get to grips with platform, and I am still learning, but I will say that there email support is excellent with a very quick response. Having now got used to the setup and support methods, I certainly cannot complain. Pros The customer support is very good and responsive. I like that i can tailor plans as some of my families have different rates. Cons I would like to have an absent reporting button where it comes to the coach to mark as authorised or non authorised, and then maybe a feature where it gives a weekly/monthly overviiew of what absences are coming up. The search section also, i wouuld like it to remember your current 'search' so if i'm looking at registers within a certain week, if i click into a register and come back, i have to re-select the search options. It's not perfect, nothing ever is but we are very happy. Pros Our athletic club (400+ members) was moving over to a new way of collecting fees and we wanted to find a cost-effective solution that would handle annual fees, monthly direct debit subs and one-off payments. We also wanted a platform to handle availability requests and set up registers for coaches. The free trial at the start allowed a few of the committee members to have a play around with it to see if it would work for our club. Setting up everything in Coacha has been relatively easy. Their help guide is extensive but if we have had to ask a question their team is super helpful and replies usually within 24 hours. Our parents and athletes have had no issues signing up using our tailored sign up form All of our coaches have been able to navigate the system including one who prefers pen and paper! It's really easy to see who hasn't paid and the automatic reminders are really helpful. Saves an admin job! A few members accidentally cancelled their direct debit and sending them a new link to set up the direct debit again was really quick. We are using the "Broadcasts" feature to send out our club newsletter which is working well. We wanted to be able to run a specific report in Coacha which wasn't one of the options available. We messaged the team and they have arranged for it to be enabled which is amazing. It's nice to use a system where it's a case of let's see what we can do to help you (and then to get a message to say yes we can help you!) rather than sorry, that's not possible. Cons The app is not quite as good as we would like, the desktop version has all of the functionality. If you are expecting the app to be like Spond, it isn't. However Spond did not handle everything we wanted so we went with Coacha instead. Love the store and subscription options, great use of teams and courses, easy to edit and change, great customisation of colours, we just love it! Have no interest in trying anything new as Coacha has it all! Cons I would say it’s needs a way for non clients to do one off courses or events but not sign up for an account, so a link to pay and click to agree to t&c photos etc but not be a signed up client. Coaching Officer Sports Used the software for: 6-12 months ### "Amazing membership management software" February 18, 2021 5.0 CoachA is an amazing product and we would be struggling without it. All our member records are now updated and we are now able to email certain membership groups within the club. We have over 40 juniors on our coaching program who are now setup on a monthly direct debit scheme. The amount of time we are saving on administration is huge. The app on the phone is brilliant as the Coaches now use this for the register and we are able to check membership status on mobile devices/ipad at any time. There is no need to chase for payments as CoachA does it all. Its one of the easiest products to use. Without CoachA our club would not be able to run smoothly. Pros This is a very hard question but to keep it simple all the features are brilliant. We managed to import all our membership database within a few hours. The hardest part was actually figuring out what information we did not want to migrate to CoachA. Our members simply logged in and then reviewed/updated their records. We had also uploaded our Rules and Constitution documents. When users logged in for the first time they were asked to confirm they have read these documents. Other key documents can also be stored. Stripe and GoCardless (2 payment methods) were setup very easily followed by subscriptions plans. Within a few hours we had invoiced all our members. The email functionality and the member groups feature was very easy to use. A history of all emails sent and any bounced email errors are also logged. The Club Sign Up Form was very easy to implement and we have now got rid of our paper membership forms as new prospective members only have to click on a link and then spend a few minutes completing the Sign Up Form. Our membership secretary is extremely happy as he no longer needs to manually enter details into a spreadsheet. Our members have not complained about the new system and new members have said the process to become a member is very easy. The APP is a key feature and very easy to use. Our coaches are using the App as there is a Register feature so that we know who has attended a session. Cons CoachA allows the administrator to add customised fields however at moment unable to set these to to be Read Only (currently user can edit the info stored in these fields), however this is under review. CoachA team are always happy to hear our views and in most cases have already thought about my requests. Cons I have not found a way to invoice only without having to link a payment method. It would be useful if there was a way to set this up but it is not essential and the automatic payment methods save time overall with chasing late payments. Having the functions of tracking all payments coming in is very useful and being able to customise this per athlete in an easier way makes it crucial to us as a team and saves countless hours. Keeping records for our athletes in a GDPR compliant way and allowing renewal of this and user customisation and editing which automatically updates for us is a great feature. Having events and fixtures in the calendar and being able to send updates and newsletters all from the one platform means that we are a more cohesive operation and allows us to do a lot of this without having to spend so much time manually entering details or having to deal with different platforms for everything we need. We would prefer more functionality on the app as this is the primary use for some of our coaches but the benefit of just having everything together is invaluable to us and has saved each of our admins and coaches countless hours already. Pros It is very easy to use for even the most "technophobe" members, it is helpful not to have to do user videos to explain functionality as we have had in the past. The ability to keep records of our athletes including medical details and registers in the same place as we can send payment reminders and keep track of all payments due and events upcoming is what we are most pleased by, rather than having a different process and platform for each task we need. This keeps it in one place and makes it very easy to use cohesively as a team. Cons The app itself has fairly limited options, particularly when customising events and selecting attendees etc. It would be helpful to be able to send more customised emails regarding events and fixtures through that page as well as having the option for coaches to select attendees which are compulsory- for example for competitions etc where attendance is required, we still found it was asking members to select their availability or allowing them to edit this after the fact. Reason for choosing Coacha The combined value of all the functions provided was a key part of our move to Coacha, previously we had various platforms doing each task separately. Being able to store our users details such as medical records, tracking individual payment plans, sending newsletters and reminders and hold a calendar of training sessions, events and fixtures all together is great. Price-wise this suited us as a programme and the ability for each of our coaches and members to customise everything they needed to themselves is a very useful feature. We are in the process of rebuilding our Apps from the ground up so that we can add to their functionality quickly and easily as we release new feature sets, which as you know we do almost on a weekly basis sometimes. Apps always play catchup to the main web based App unfortunately, as the App stores (both Google and Apple) have very stringent approval processes and take quite a lot of back and forth with their tech teams. Pros The best thing about Coacha is having all your needs for running a sports-based business in one place. The membership database is easy to use and easy for clients to sign up, and it's very easy to organize clients into appropriate groups and set up registers. Coaches can then use the app on their phone to fill in registers, removing any need for printing as everything updates in real-time. This makes it simple to track trials, moves, and attendance for all our members. Before, things could easily descend into chaos when managing a membership group of almost 500 people a week, whereas now everything is much more structured and organized. It's also worth noting how helpful \[SENSITIVE CONTENT\] is to contact if we have any issues or suggestions for how to improve Coacha. Cons Since we are new to Coacha, there are some things we felt would add to the software, such as customizable reports to export members and additional columns to sort groups. We only had to contact \[SENSITIVE CONTENT\] and within weeks customizable reports are now part of the software and additional columns are coming soon! Lovely people to deal with. Pros Allows us to have instant access to member information regarding contact details, medical history and next of kin Allows us to create class groups and add each member to relevant class. Coaches can use the app as a register and check each person in. This allows us to see attendence levels. Setting up a direct debit for members ensures we are on top of our income and can chase up non payment I'd necessary. Cons Allow us to have pending members split into categories, ie age group and have the option to have them in date order for offering space when it becomes available. Photographic waiver box for over 18's too as sets them as default don't want Photos. August 25, 2020 5.0 Management of our class sizes and membership fees has been a huge help. We can easily track who attends class and who has paid via the money management tab. Since Covid19 restrictions have come into place, Coacha has been very beneficial to help keep on top on our class sizes and comply with government guidelines. The contact tracing tab is very useful , allowing us to select a member and have a very clear breakdown of when and who they took a class with in case of any Covid related queries. The support we have received from the Coacha staff has been exceptional. Any query we have is answered promptly with clear instructions and a very friendly manner. Their customer service is absolutely top notch. Pros Then main benefits we have found so far are management of class times and schedules , invoicing our members via email , the ability to group members together based on our own defined categories and the contact tracing feature that has just been introduced. Cons I would like the ability to deactivate a class. For instance when our timetable changed due to Covid restrictions, we had to delete our current classes to make them not visible to our members whereas a deactivate or hide option would mean we could keep class details stored but hidden for future use if needed.
