Coacha has been great for our clubs development, allowing for an effective payment system and app for our users.

Pros

Coacha allows us to communicate effectively with our customers, along with record keeping, integrated payment systems. Development team have found resolutions to issues unique to our site and responded quickly to any queries.

Cons

Some users find it difficult when initially using the app interface. Upon log in all programmable sessions appear, when feedback has suggested the majority would ideally like their schedule (or their current bookings) to appear.

Overall Coacha has been a good app for registering our member and managing our members payments. We use gocardless as it is cheaper than stripe.

Pros

The app is very convenient for me to use as center manager for our table tennis club. It is easy for members to sign up and contains lots of good member information.

Cons

The app is not always intuitive when trying to work out parts of it for best use. Having said that Coacha are excellent at answering questions.

Many thanks Richard. We took the decision to undertake a implement a complete ground up rebuild of our Apps which includes a complete rework of the interface as well as the actual code itself to bring them much more in line with the full web version of Coacha. This will also enable us to update the Apps at the same time as the web version of Coacha. This has been and continues to be a rather mammoth task; however, we have a lot of our development resources on this at present. The new apps will include, in app payments, in app notification, push notifications as part of the broadcast system, and a massive expansion for both the member and the admin / staff. Plus, lots, lots more. We expect to be rolling these out near future.

Love coacha, there could be more improvements as time goes on. However the team are always looking to help and improve with suggestions.

Pros

Coacha is great value for money when using the upgraded version. The time is saves is wonderful. The support you get from the Coacha team is great. Quick response times, and always willing to improve on different features based on suggestions.

Cons

When you write a broadcast, is doesnt save as drafts so you loose it and have to write it again.....

### "Nothing else like Coacha out there"

I've used Coacha for years as a coach at a gymnastics club and the platform is full of really straightforward participant profiles which can be edited by parent and coach. The ease of setting up classes and editing them is a luxury, with a good behind-the-scenes view of attendance. Depending on tier purchased, the payment record of Coacha is super useful, keeping all class payments and one off purchases in one place is simple as a higher up in the club. I'm now starting my own club and the Coacha team have been so supportive of answering my questions and have taken their time to ensure I am comfortable using their platform so I cant recommend the customer service enough. The feature I most appreciate as a new club owner is the new member sign up form that can be fully customised with all the forms and waiver you need new sign ups to fill out before they join your club. This then allows the coach to add them to whichever team register they need. I know of no other platform that could perform like Coacha so I will always recommend it to any sport club.

Pros

The simplicity of use, ease of setting up and all of the features that come with the app exclusively.

Cons

Finding your way around the back of the platform was initially tricky, but with the extensive list of video tutorials and the search bar, this became super easy to navigate.

Really good, helpful and it has meant everything can be in one place, less chasing for payments. We have also been able to add our uniform store to this, which has maximised our clothing sales.

Pros

Easy to use and set up, has minimised admin tasks for us at our club. Can take payments through the system, allowing us to do less chasing regarding payments and check easier if people have or haven't paid.

Cons

We would like to create waiting list/interest lists for classes that haven't been launched yet but the system doesn't offer this.

Fantastic. It has cut my admin time down considerably, I would be absolutely lost without the software.

Pros

What I like most about Coacha is how much it simplifies the running of my business. It makes tracking payments for each member so easy, and I really appreciate how securely it stores all their information. The automatic payment retry feature has been a game-changer – I no longer have to spend time chasing missed payments. Plus, the automated email reminders are a huge help when juggling everything that comes with running a busy club.

Cons

There isn’t much to put here. Sometimes, it would be useful to see what email our members are receiving when using things like ‘request an update’ button so I can see exactly what are members are getting and help with their questions.

Overall, i've had a good experience. Quick and efficient onboarding, quick answers if i need help. Even spot checks from Coacha to make sure everything is going well for us etc

We love how it brings all of the club's admin and functions into one place and allows all of our club leaders to manage the club from wherever they are.

Cons

There really isn't anything that stands out. I will say the app has a few less functions than the desktop version but Coacha are currently addressing this with a new app scheduled, i've been told.

Pros

We have been using Coacha as our member and event management tool. Its very versatile and easy tool to administer.

Cons

The app version of Coacha would need to be enhanced to fully support the club administrator. Whilst it is sufficient for members, a lot of functionality does not exist in the app version of Coacha.

Coacha's free Apps were originally intended for use by members and coaches and as such were designed with more slimlined functionality as admins access Coacha via the web. However, we are now rebuilding the Apps from the ground up to include a greater amount of Admin functionality too. An epic development undertaking as it's a complete ground up App rebuild, but we promise it will be worth the wait!

### "Membership management made easy"

We are not fully utilising all its functions but it is still much better than our previous systems that did the same tasks. Shout out to the support team who are good and have resolved all my queries when I got stuck on something.

Pros

Originally signed up to replace some appointment software used during Covid to book range time so we avoided too many people down the club at the same time. We used the Lite version to start with so we had time to get familiar with it. Then went to the Premium version so we weren't limited on the number of members. As a shooting club we have to comply with some specific legal requirements and Coacha means we can now easily track people through the early process of the Enquirer, Police Approved, Trainee, Applicant stages just by changing the group they belong to. It's also easy to then archive those that decide not to apply for full membership. Also using it for membership management from induction of new members where they can book the induction course that suits them, through their probationary period, and then to full membership and the different grades of membership. Love being able to email/text groups without having to manage multiple email lists via yet another bit of software. All the information is in one place which is great for GDPR compliance. Members can download their own data. Communication through Coacha with juniors is also automatically compliant with NSPCC’s CPSU (child protection in sport unit) guidelines. If you want, you can set it up to reserve individual firing points ( eg 25yd, FP3, 7-8pm) rather than just time (25yd 7-8pm). The level of detail is down to you.

Cons

It's writtten more for team management so you can organise and track teams. It took a little while to set it up but that would be the same for any of the alternatives. We are a small club and one person runs the whole evening. So we have a generic "Duty Officer" that runs all the sessions so we don't have to spend too much time specifying individuals.

We’ve been using Coach’s for a number of years and rolled out to our clubs within the UK. The ease of administration complying with GDP ensuring all students information is current and up-to-date. Each student has access to their own information which they can update health changes so instructors are aware of any changes. Support help and guidance from culture has been outstanding. They have always been happy to help. Has reduced the administration and the need to have paper files. We have looked at many other platforms however coacha has far exceeded what other platforms can provide.

Pros

The ease of being able to monitor students attendance & progress. The ease of authorised instructors being able to access medical details in the event of an accident regardless of which club they are training at.

Cons

It would be an advantage for the app to have the same functionality as the main site however the app is still good and quick for taking the register.

The overall experience has been extremely positive. Coacha has helped revolutionise how we run our club. Coacha has been instrumental in taking us from a disparate group of teams operating in silos to 'one-club' where everyone follows the same processes and procedures. This in turn has helped us treat every member equally and built a more sustainable future for the club.

Pros

The seamless integration with payment providers, the sign-up process for new members and the ability to create custom groups for the different teams within our sports club. Customer support is fantastic and always very helpful and responsive.

Cons

The roles could do with expanding. It would be great to have a 'Team Manager' role who could have access to read-only information on their squad (including payments). If they could have access to reports limited to their squads that would also be very useful.

### "A Fantastic Membership System for Sports Clubs"

I run a basketball club with several hundred active members and numerous teams. We moved to Coacha from a competing membership system around four years ago following a review of the marketplace. Feedback from our staff found Coacha to be the easiest system to use whilst meeting or exceeding all of our basic functionality requirements. The basic functionality that clubs need to run efficiently is extremely well catered for by Coacha. It's easy to create member records, sessions, track attendance, collect and manage subscription payments, contact members, and even integrate sessions/events into your website via their public pages. Coacha has become absolutely essential for our day-to-day operation and growth as a club, and acts as the central system for our members and staff.

Pros

Coacha's support is first-rate, staff are super responsive and helpful, which is crucial given how reliant we are upon our membership system. The extensive customisation options through 'Coacha Custom' are terrific for our club, being able to brand the entire system in our club colours etc is a nice touch, but the ability to integrate Coacha into our website to advertise trials/sessions is terrific. Ease of use: Perhaps most importantly, all the key basic functions that enable clubs to run are well-catered for and easy to use. Creating member records, sessions, tracking attendance, taking fees etc is all super easy. Continual Development: Coacha has worked hard to increase the product functionality, with multiple new features released since we onboarded including, 1-2-1 bookings, invoicing, public pages, club store, broadcast templates, skill tracking, and numerous quality-of-life improvements.

Cons

There's little not to like, but there are some features that whilst useful, provide basic functionality and could be improved further. Taking the Broadcast functionality as a good example, fundamentally it works and you can easily send messages to your members, however, there's no search function so it can take time to find specific previous broadcasts without going through the history one-by-one, and the formatting can be a pain if you're trying to create an eye-catching newsletter (I find it easier to write a broadcast in Word and paste it into the new message window). I'd like the ability to include graphics and/or multiple attachments for example - or to integrate with full-featured mailing solutions like MailChimp to send regular newsletters to club members. These are minor gripes in the scheme of things though. Probably the biggest omission from a 'club team' perspective is the lack of an integrated communication tool within the mobile app. A team chat function would certainly improve member adoption of the app, and keep all comms within the Coacha system from a GDPR perspective, but it's debatable how necessary this is with solutions like WhatsApp being so pervasive.

Many thanks for such a detailed review James. You touch on some interesting points with broadcasts and communications. Our email feature was intended initially as a channel of comms for urgent and quite specific comms relating to membership management. We recognize that there have been limitations in formatting and design of emails, and we have recently improved this with the addition of ‘email templates’ that you can build yourself. We have near future plans for integration with the likes of MailChimp to afford better email marketing too, so watch this space. Finally, you have hit the nail on the head with regards to in App Chat. With the likes of WhatsApp being free and commonly used, they set the bar high in terms of features and people’s expectations. Whilst technically possible, the product dev and build time required to effectively build our own WhatsApp within Coacha is pretty epic. Doing so would see an increase in our subscription fees to, which we don't want to have to do.

Great and when we had any queries they were dealt with in clear english and promptly, but also followed up later to see if we were happy

Pros

The Coacha app and web portal has transformed how we operate and organise our Karate club, it also takes our safeguarding to the next level, we still need to add all our kit to the shopping section though.

Cons

There wasn’t really anything we didn’t like, the only thing that would give us better control would be to have same functionality as a admin when we use a phone or ipad, whereas we need to do the admin on the website.

However at present you can login via a web browser on any device and, as Coacha is responsively design, the interface will adapt to fit on your screen. We do however recommend using as large a screen as possible though (eg laptop/PC) as it is easier to see what you're doing and the options available on the page.

I have only used the system for a month, and was completely new to it, so currentlyg getting use to how it works.

Pros

Navigation around Coacha is easy and intuitive. As a new user coming to the sytem shortly after it's launch at our charity, it has been challenging to get up to speed with how it all works, but the support team have been amazing and the wealth of support documentation including videos and online guides is very impressive.

Cons

Would be nice to download just parts of the members profiles rather than having to export everything. E.g - just download non photo consents.

Some times it can be a bit clunky when looking for something and you find it and then it returns to the original search results rather than the filtered results.

Very user friendly. Covers all aspects of administration for a team. Will free up lots of time. Support have been very helpful with queries.

Pros

Dealing with multiple teams, this takes the headache out of monthly invoicing. This is help me to free up time for other jobs.

Cons

I have only been using Coacha app for the past month but not found anything yet.

Really positive, helpful and quick response time.

Pros

Having switched to a MacBook, accessibility was an issue. I raised a support ticket which was quickly and efficiently resolved. The issue wasn't the software but the browser that the MacBook was defaulting to. The support team had the knowledge and expertise outside of the software system. Very impressed!

Cons

Would like the option of waiting lists without having to create an event / session then assigning . Or, leaving the athletes in pending.

Brower versions really can be a frustration for users, but the Coacha dev team have been working their magic on the web for decades now, so glad they were able to resolve your issue. We do have a waitlists feature, but as you point out this is on a class by class basis. However. we do have plans to introduce additional waitlists that will work in the use case you describe as many clubs have requested this - we'll let you know once live.
