### "Payroll for our company is handled via OnPay"

March 6, 2023

5.0

Payroll is processed, taxes are paid and filed, and year-end reports are generated all through OnPay. The reason I went with OnPay is that they provide a turnkey service at a reasonable price. The onboarding process was painless, and customer service has been superb.

Pros

Thanks to OnPay, I can now run all of my commissions once a week, which is considerably more convenient for both my clients and my team. After a lot of research, I settled on OnPay, and I couldn't be happier with my decision. It was smooth sailing all the way through the transfer they facilitated for me in the middle of last year.

Cons

I'd like new hires to use the app to fill out more information, such as their Emergency Contact information. Instead than needing to log in and check, it would be great to be alerted when a candidate has accepted a proposal.

I received first-rate assistance and service from them. Allow you to easily conduct payroll whenever you like, as often as you need, and for a flat rate per person and per month.

Fantastic! Moving from our old payroll system to this one was a huge upgrade. The transition was so simple and any time I call with a question, it is answered quickly and kindly.

Pros

How user friendly it is. If anyone is afraid to go to an online payroll system, I recommend this one. It’s extremely easy to navigate.

Cons

The reports aren’t as user friendly as I would like. I have to print off several different reports to get all the info I need.

### "Product is "meh", Customer Support is subpar."

January 27, 2021

2.0

On-boarding was great while in the actual software. A day later I received a support e-mail welcoming me to OnPay and asked me a few questions to understand how I was going to use the product and help me get up and running faster. Nowhere in that e-mail did it state a response was required and if I didn't respond I would forfeit the capability of direct deposit. I have since attempted to get that capability via support ticket no less than 5 times to never get a response from OnPay. The software usability is ok. I don't find it as user friendly as it could be. Simple things like a getting a payroll summary after the fact seem impossible. I can get check reprints but once I exit out of the payroll run I cannot seem to get that PDF of the payroll summary. I spent an hour one evening looking to no avail. The dashboard is "meh". Customization is almost non-existent. There is stuff there I'd like to remove but can't and stuff I want there that isn't available. For on-boarding a new employee... you can create a task to have the employee complete the I9 online and have a supervisor review it. However, I still have been unable to find that I9 to review it. If the employee loses or deletes their invite, you have to delete the invite and recreate it.. you can't simply resend the invite. Sometime I suffer from OCD and if the employee misspells a street name or is inconsistent in capitalization you can't correct it or you delete all the W4 data the employee typed in.

Pros

I was able to get up in running and execute an actual payroll in less than an hour. No two to three week, multi-step jump hooping process like competitors (Wagepoint, for example.)

Cons

The customer support is awful. I send e-mail after e-mail to their customer support addresses and never get a response. When I finally get a hold of someone they say they have no record of getting my e-mails. Yet when I respond to their e-mails they get them just fine. The last time they opened a ticket on their side I asked them to look into why I could not open tickets via e-mail. Absolutely no response. At the end of December they sent an e-mail asking me how likely I was to recommend OnPay. On a scale of 0 to 10, I gave them 0. The prompted to me as to why. My response was that they never respond to my support requests. At the end of the form they stated someone would investigate and get in touch with me shortly. A few moments later I received a blank/empty support ticket. I thought "finally, we'll get this fixed." A week passed.. the two... So I responded to the blank support ticket asking for an update. Nothing.

Alternatives considered

[Gusto](https://www.capterra.com/p/131882/Gusto/)[Wagepoint](https://www.capterra.com/p/138169/Wagepoint/)

Reason for choosing OnPay

Mostly cost. I didn't trial Gusto because of the cost. Wagepoint's on-boarding process was beyond ridiculous. After three weeks of jumping through hoop after hoop and tried OnPay and was up and running in an hour. Cost was also a factor after I did the math based on bi-weekly payroll.

### "Strong Customer Support and Smooth First Payroll Experience"

January 15, 2026

5.0

OnPay has been proactive, responsive, and clear at every stage. As a first-time payroll user, their support and communication made the process much easier and gave us confidence that payroll was being handled correctly.

Pros

The customer service has been excellent. Communication has been very prompt and clear, and the team was proactive in helping us get our first payroll processed successfully. This was my first time running payroll, and I really appreciated how approachable and supportive they were throughout the process.

Cons

As a new user, I don’t have any significant complaints about OnPay at this time. The platform has met our needs so far, and the customer support has been very strong, which has helped offset the learning curve.

### "Easy to use program"

April 8, 2025

5.0

Pros

It is very user-friendly. I do not have a ton of experience with running payroll. However, I had to step in when our bookkeeper was unavailable and it was extremely easy. The interface is very intuitive. It is also easy to figure out how to set up direct deposit. I love that employees are able to create their own login and download their own paystubs, W-2, etc. They also send reminders about running payroll early if there is a holiday, which is very helpful.

Cons

I honestly cannot think of anything I don't like. It's been a great experience. If anything, it would be nice to customize the layout of the W-2 to a different format.

### "Great Experience "

September 2, 2025

5.0

Overall, very pleased with the experience! Had some reservations about the process; as an accountant I'm used to doing the data entry. It ended up being a great experience and I was so happy to have a direct point of contact to ask questions and check in on the process.

Pros

Serves agricultural clients, fair pricing. Pleased with the onboarding specialist who was very helpful in answering questions - having a direct line to them ended up being more valuable than I expected.

Cons

Requirement that they enter the data as it really tightened up my timeline to transition (but it worked great in the end)

Pros

OnPay has made setting up my payroll easy and manageable. I was assigned an account manager, a real person, who met with me to understand my payroll needs and walked me through the set up process from start to finish. Overall, a wonderful experience!

### "OnPay Usage "

November 10, 2025

4.0

Overall, it worked for us with the transparent pricing and predictable costs. Very easy to use and we wanted something you can get up and running quickly. It handles payroll across a few states, but I don’t need a huge enterprise HR/Pay ecosystem.

Pros

The setup is quick and painless, the interface is intuitive, and it doesn’t take tons of training to get going. It supports unlimited monthly pay runs for W-2 employees and 1099 contractors, handles multi-state payroll, direct deposit/check/debit card payments. Great customer support, especially during onboarding. Great fit for small businesses. Good value with a set base price.

Cons

While it integrates with accounting/time tools, the number of integrations is fewer than many competitors. Also, there isn’t a strong native mobile app for employers. For companies that need robust timeclock, scheduling, or job-costing features built into payroll, OnPay might require external tools.

November 29, 2022

5.0

OnPay's system frees up time for us to be able to do our work without a lot of the manual processes of setting up and paying employees and taxes in each state. It is so fast and easy now!

Pros

OnPay sends invitation so employees and contractors can onboard themselves; it easy to change pay rates or benefits for employees; the standard reports are very helpful and well laid out; it's so great that OnPay handles all of my tax payments to four different states; end of year reporting is so simples and employees can log in and see their forms without admin help; monthly charges only for those employees/ contractors who get paid that month

Cons

Better help documentation or maybe info blurbs on how to make changes to a pay run at various stages, or how to delete and restart, or how to run the payroll run with the employees that were missed

### "Beats all the other platforms for Accountants"

June 6, 2022

5.0

Overall it has been amazing compared to where we have come from. Patriot, Accountants World, Intuit are nightmares. Even Gusto doesn’t care about their partners like this company. Thank you OnPay. We will be sticking with you as we grow.

Pros

They actually care about doing what they say they will do and professionalism. This is a strong contender for Accounting professionals. In fact, the best experience we have had. There are many out there that will make you pull your hair out. This company has incredible support staff and they really care about their partnerships.

### "Great Payroll Software"

June 8, 2020

5.0

I have really enjoyed using this software. It is our companies third payroll software vendor and as long as they continue to operate the way they do it will be our last.

Pros

The fact that you can modify employee information, add/subtract new employees, and make changes all while right in the middle of running a payroll. It is also very valuable that they allow you to run as many payroll instances as you need. For instance if you have an employee that forgot to add to their time sheet you can go back and generate another payroll for that one employee with no additional charges.

Cons

Some of the elements of the software are not intuitive and it is very difficult at times to deal with tax related issues through the software. Customer service is usually really helpful and most questions can be answered through chat.

### "Time-saver!"

July 5, 2020

5.0

Doing payroll now takes minutes instead of hours! The program pays for itself, not only in time saved, but due to less expense from the accounting firm.

Pros

All I have to do is enter the hours, overtime, and any bonuses- - -all the calculations are done automatically. It is a relief not to have to calculate the withholdings, write the checks, figure out how much to pay the state and federal government, then pay it. As our staff grew, I didn't have time to spend on payroll, then had to pay my accountant to double-check everything. OnPay takes care of everything! I am not very computer-savvy, so it was nice to be able to get assistance from their friendly service people. Now I can figure out most things on my own!

Cons

Sometimes new employees miss the part about setting up direct payment into their accounts. It must not be obvious, because about 1 out of 3 will miss it. Getting set up was fairly easy. They took the information from my old system (which was mostly "by hand" and converted it easily. When I didn't understand something, their customer service was able to talk me through it.

Pros

I didn't like anything about OnPay. The customer service was abysmal. The dashboard was cumbersome and convoluted.

October 21, 2021

It’s been a challenge and a satisfying one. Just when I think I’ve used all that OnPay has to offer, I discover another service to integrate into my shortcuts and improve information availability.

Pros

OnPay has evolved over the years with new versions and added more services. The more I have seen upgrades the more I love OnPay. HR integrations, time management, workers compensation, benefits, and more. I love the challenge to incorporate and enhance new reports and learn the value of OnPay’s intentions for their customers. I also appreciate their support staff. They are well trained and friendly and professional with good attitudes.

Cons

I had a learning curve to go thru like any one might. The support staff was helpful but I wasn’t feeling very confident. It wasn’t long before I understood more & more about their trajectory with the software. I grabbed that knowledge and searched for more that was availability. I’m still on that path and still learning more and more.

### "Spectacular-quality software"

August 19, 2021

5.0

We also implemented a Worker's Comp system that integrates seamlessly with OnPay. We simply calculate the payroll amount and the fee for Worker's Comp is charged to our company each week so there's no annual deposit or reconciliation at the end of the year because it's all handled week by week.

Pros

OnPay is extremely easy to use, extremely fast, and flexible. We use it weekly to handle our payroll needs. It is so simple and intuitive, and whenever I've contacted OnPay with a question, their consultants were very helpful. I really can't say enough about how pleased I am with OnPay. Our payroll used to be a nightmare and OnPay made that into a nothing burger. We literally handle our payroll in less than 5 minutes a week. I mentioned it's also very flexible. We pay staff by performance. The way we do it is to calculate the gross income they generated for the company each week, divide by the number of hours, then put that $/hr into their payroll amount (so this number changes slightly each week). Then we simply set the number of ours they worked and their pay is calculated instantly with proper deductions and all the complicated bits handled automatically.

Cons

When we first implemented their Worker's Comp system into our Payroll, the first year the Worker's Comp people tried to charge us extra because they were counting my wife and myself (owners) as being covered by Worker's Comp in addition to our employees. This was not what we wanted and never requested to have that, so it seemed like a bit of a sketchy effort maybe, but was easy to fix. We simply contacted the Worker's Comp people, asked what the extra charge was for and had them remove it. They said we needed to sign a paper stating we did not want to be covered by Worker's Comp policy since we were owners. Okay, we told them that in the first place, and they never mentioned the need to sign any document. Anyway, it was easily fixed and that was the ONLY downside we have had and technically, it wasn't with OnPay, it was with the Worker's Comp company they partner with.

### "Going down hill fast"

January 18, 2020

They used to be good. I have been them for 3-4 years Customer service knew what they are doing, there were not glitches, basically hassle free payroll. Starting September or October, we started having issues here and there. First features would get added ( and we start using them ) and then disappear. Taxes are not being filed on time or at all ( I have called them, talked to them on the phone about this multiple times ) . Integrations appear and disappear and i have to keep syncing things. Have to map quickbook chart of accounts again for every payroll item. It's been a NIGHTMARE. It's literally a nightmare. I am looking at other companies and now willing to pay more. The function to upload payroll data comes and disappears right before the payroll and then it takes one day to add it and then again it disappears We have a collection notice from our state because of these guys. Every time, i message them / email them, either they don't respond or when i talk to them on the phone they act like i am a dumb. They are terrible.

Pros

Cheaper price than many but I would rather pay more for a job to get done well.

Cons

on collection notice from state dep of rev because of them Non responsive Customer service ( someone will talk to you but don't get things done ) Customer service not knowledgeable ( gave me wrong information several times ) Glitch y integrations with other platforms ( you can only use WhenIWork ) Glitch y software in general Features appearing and disappearing

### "We love OnPay!"

June 1, 2021

5.0

Pros

It’s easy to set up and easy to use. It does everything we need and at a great price. The reporting is excellent. When I’ve needed some help, I’ve chatted with customer service representatives who have consistently been able to answer my questions.

Cons

Not a big deal but when I’ve had to set up new employees, I’ve learned that I need to enter their workplace info first before I start to enter their personal information. I’ve made this mistake several times now which has resulted in me having to re-enter the personal information each time.

Reason for choosing OnPay

I read up on payroll companies and found a rating service that ranked OnPay as the best option for a small company like mine. I then read some reviews and decided to give them a try. OnPay has exceeded my expectations and I am very pleased with the service provided.

### "Great (probably the best) online payroll service"

December 6, 2018

5.0

I really love this online payroll service. After a lot of research of a variety of payroll options, we moved from Paychex to OnPay a couple of years ago and it was absolutely the right move. I can't speak for large companies, but for small and medium sized companies I do believe this is the best, most reliable and most economical service available.

Pros

I run a small business and onpay is perfect for processing our payroll. Some of the features we love: 1) Easy to use interface 2) Employees enter all their own bank information, withholdings, etc. 2) Employees can log in to download their own tax forms, details of previous pay runs, etc. (I don't need to print or distribute these forms or information.) 3) Onpay takes care of all the appropriate taxes, etc. 4) Although I am on a biweekly pay cycle, I can run a payroll whenever I want. (For instance, I can make a separate holiday bonus run) 5) I can easily switch between paper checks or direct deposit if needed 6) It's easy to adjust an employees pay or add other categories of payment 7) Great customer support. Whenever I have had a question or needed assistance, I have had the answer pleasantly and quickly 8) It's a great value and you get what is promised. I don't get any emails asking me to purchase other services or upgrade or other things that I don't need. 9) The transition from our previous payroll service to Onpay was easy and seamless.

Cons

When I am out of the country, I have a hard time running payroll. I know this has to do with internet security, but I wish there was a straight-forward way to accommodate this issue.

### "This software does exactly what I need - Pay folks, keep track of the taxes."

December 7, 2017

4.0

I don't have to learn and keep up with tax laws. I don't have to pay Kelly Services to keep up with payroll for a single part time employee. It's super easy to use and my employee gets notice that payroll has been processed as soon as I submit it. We use direct deposit and employee loves that. The software saves me time and money and gets the job done right with almost no effort on my part.

Pros

I run a small business with one part-time employee. Onpay is easy to use for weekly pay. They pay my employee, allowing her to split between checking and savings. They make the deductions required by law and do the filings. In essence, they do everything except enter the time my employee worked each week. It's very, very easy to use. Useful reports are available when they are needed. I've not used customer support, that's why I rated it 3 stars.

Cons

The initial set up took a little effort, and I remembering it being not real clear. I have not had any other problems.
