Senior Product Manager Used the software for: 1-3 years ### "OnPay is the one and only outstanding payroll software" October 28, 2021 4.0 OnPay is a great payroll software that offers great support to its users. With the help of this tool, you can easily call, chat, and even email. Moving on to the usability of this software, I think that there is a slight learning curve when it comes to payroll functionality but still thanks to my team because they helped me efficiently walk through the process. Pros Onpay is really easy to use plus printing reports and even deriving employee information is quite easy. It is one of the most efficient and effective payroll software that we have been using all across our organization. This software has easily enabled us to categorize different departments of our organization in an easy and hassle-free way. The tool is really quick in terms of responsiveness which I really admire. Onpay has always been really helpful throughout we have been a customer. All our payroll-related queries are resolved with OnPay. All in all, this is one of my essential products for our company. Cons OnPay is providing excellent services. I have not faced any big issues while using this payroll program. Review Source R Reviewer Owner Used the software for: 3-5 years ### "Spectacular-quality software" August 26, 2021 5.0 We also implemented a Worker's Comp system that integrates seamlessly with OnPay. We simply calculate the payroll amount and the fee for Worker's Comp is charged to our company each week so there's no annual deposit or reconciliation at the end of the year because it's all handled week by week. Pros OnPay is extremely easy to use, extremely fast, and flexible. We use it weekly to handle our payroll needs. It is so simple and intuitive, and whenever I've contacted OnPay with a question, their consultants were very helpful. I really can't say enough about how pleased I am with OnPay. Our payroll used to be a nightmare and OnPay made that into a nothing burger. We literally handle our payroll in less than 5 minutes a week. I mentioned it's also very flexible. We pay staff by performance. The way we do it is to calculate the gross income they generated for the company each week, divide by the number of hours, then put that $/hr into their payroll amount (so this number changes slightly each week). Then we simply set the number of ours they worked and their pay is calculated instantly with proper deductions and all the complicated bits handled automatically. Cons When we first implemented their Worker's Comp system into our Payroll, the first year the Worker's Comp people tried to charge us extra because they were counting my wife and myself (owners) as being covered by Worker's Comp in addition to our employees. This was not what we wanted and never requested to have that, so it seemed like a bit of a sketchy effort maybe, but was easy to fix. We simply contacted the Worker's Comp people, asked what the extra charge was for and had them remove it. They said we needed to sign a paper stating we did not want to be covered by Worker's Comp policy since we were owners. Okay, we told them that in the first place, and they never mentioned the need to sign any document. Anyway, it was easily fixed and that was the ONLY downside we have had and technically, it wasn't with OnPay, it was with the Worker's Comp company they partner with. This also cut out our frustrations and has helped our sanity and enjoyment of processing payroll. When your IT works, you are happy and when it doesn't, you pray for good customer service. Pros Customer Service is top-notch. They help you set up new clients. They respond to emails quickly. The Chat area is just as knowledgeable as the phone service. Yes, I did say phone service. They still answer phone calls! Cons Not as easy to set up if you are paying one employee multiple workers comp codes and on salary. They are there when I need help and have a mostly intuitive interface that allows me to take care of tasks on my own. They stay on top of tax related issues relative to Pros I like the ease of use with OnPay. And when there are issues or concerns, their team is quick to respond...sometimes even taking over my desktop to explain a process or location for a specific query. Cons I live in a municipality where a local tax is not taken out of paychecks as it only triggers after a certain income. While my household does ultimately hit the threshold for this high income when combined with my wife, right now it is not a tax that OnPay has been able to take out voluntarily, even though I would like them to. It was a bad experience due to tax errors and integrations that did not work. The net result is OnPay caused our small business to receive hundreds of dollars of fees and interest plus more in accounting costs. Pros OnPay is fine as long as you don't need any support. Their support team is slow and error-prone. If you are doing payroll for a small business you probably need some level of support. Cons The problem with OnPay is this... They often misfiled wage withholding with state government. Sometimes they made calculation errors. Other times they filed a day or two late. Either way, it cost fees, interest, and time to resolve the issue. The biggest problem was how long it took OnPay to even respond to these issue. For example, I once submitted a ticket on on \[sensitive content hidden\], and had OnPay submit a response on \[sensitive content hidden\] . For another incident they simple never responded. Also, OnPay did not honor the first month free that they advertise. It is so fast and easy now! Since we are working throughout many states and cities across the country, OnPay makes this all so simplistic and easy to maintain compliances. Pros Simplistic integration with our existing employee database, user friendly to add new employees and contractors, Customer service is exceptional when called upon for help. Cons Cost is a bit on the high side, but I attribute this to the outstanding support and ease of use. I have been them for 3-4 years Customer service knew what they are doing, there were not glitches, basically hassle free payroll. Starting September or October, we started having issues here and there. First features would get added ( and we start using them ) and then disappear. Taxes are not being filed on time or at all ( I have called them, talked to them on the phone about this multiple times ) . Integrations appear and disappear and i have to keep syncing things. Have to map quickbook chart of accounts again for every payroll item. It's been a NIGHTMARE. It's literally a nightmare. I am looking at other companies and now willing to pay more. The function to upload payroll data comes and disappears right before the payroll and then it takes one day to add it and then again it disappears We have a collection notice from our state because of these guys. Every time, i message them / email them, either they don't respond or when i talk to them on the phone they act like i am a dumb. They are terrible. Pros Cheaper price than many but I would rather pay more for a job to get done well. I have trouble with paperwork, and OnPay has been a lifesaver. It's extremely easy to set up and use, and once set up, most features are automatic. Reports are easy to create and review as well, great for end-of-the-year admin and taxes, and reminders keep me on track. Pros Ease of use, automation and reminders. I love the fact that they take care of payroll reporting and tax obligations. Entering new employees is a breeze, and so is running the payroll. Cons After several years of use, I honestly couldn't find anything wrong with this service. There are many out there that will make you pull your hair out. This company has incredible support staff and they really care about their partnerships. Pros What I like most about OnPay is how easy it is to use the tool. I do not have a payroll background and I was able to figure out how to process payroll with getting frustrated. It's very intuitive and easy to use. I also like that chat functionality. They respond instantly and are incredibly knowledgeable/helpful. June 24, 2022 5.0 We've had state tax issues that OnPay has navigated us through, and every issue we've had, they've quickly replied and resolved the matter. Pros OnPay is easy to use, and our employees love how easy they can manage their profiles. Cons The only thing we wish that OnPay did was automatically deduct payroll. June 3, 2021 5.0 Pros It’s easy to set up and easy to use. It does everything we need and at a great price. The reporting is excellent. When I’ve needed some help, I’ve chatted with customer service representatives who have consistently been able to answer my questions. Cons Not a big deal but when I’ve had to set up new employees, I’ve learned that I need to enter their workplace info first before I start to enter their personal information. I’ve made this mistake several times now which has resulted in me having to re-enter the personal information each time. There are very few issues or errors and, when there are issues, the OnPay team has solved them in an expedient manner. Over the years we have realized significant cost savings due to the ease of use of OnPay. General business or managerial staff can easily run the system instead of paying a service or hiring a payroll professional to manage payroll for larger groups. Pros OnPay is easy to use with an intuitive interface. It was a good product for a small company of just a couple people and it has continued to work for us as we approach 20 people. It is also reasonably priced and does not overwhelm users and administrators with too much complexity. Cons The thing we like least about OnPay is the way paid time off (PTO) accrual growth is calculated. We grow PTO accrual every year of employment up to 20 years and that requires employees to be moved into new PTO growth categories every three years. We could just choose to do our PTO differently, but we wish OnPay had the PTO growth flexibility to accommodate our preferred methods. After a lot of research of a variety of payroll options, we moved from Paychex to OnPay a couple of years ago and it was absolutely the right move. I can't speak for large companies, but for small and medium sized companies I do believe this is the best, most reliable and most economical service available. Pros I run a small business and onpay is perfect for processing our payroll. Some of the features we love: 1) Easy to use interface 2) Employees enter all their own bank information, withholdings, etc. 2) Employees can log in to download their own tax forms, details of previous pay runs, etc. (I don't need to print or distribute these forms or information.) 3) Onpay takes care of all the appropriate taxes, etc. 4) Although I am on a biweekly pay cycle, I can run a payroll whenever I want. (For instance, I can make a separate holiday bonus run) 5) I can easily switch between paper checks or direct deposit if needed 6) It's easy to adjust an employees pay or add other categories of payment 7) Great customer support. Whenever I have had a question or needed assistance, I have had the answer pleasantly and quickly 8) It's a great value and you get what is promised. I don't get any emails asking me to purchase other services or upgrade or other things that I don't need. 9) The transition from our previous payroll service to Onpay was easy and seamless. Cons When I am out of the country, I have a hard time running payroll. I know this has to do with internet security, but I wish there was a straight-forward way to accommodate this issue. December 12, 2017 4.0 I don't have to learn and keep up with tax laws. I don't have to pay Kelly Services to keep up with payroll for a single part time employee. It's super easy to use and my employee gets notice that payroll has been processed as soon as I submit it. We use direct deposit and employee loves that. The software saves me time and money and gets the job done right with almost no effort on my part. Pros I run a small business with one part-time employee. Onpay is easy to use for weekly pay. They pay my employee, allowing her to split between checking and savings. They make the deductions required by law and do the filings. In essence, they do everything except enter the time my employee worked each week. It's very, very easy to use. Useful reports are available when they are needed. I've not used customer support, that's why I rated it 3 stars. Cons The initial set up took a little effort, and I remembering it being not real clear. I have not had any other problems. It is our companies third payroll software vendor and as long as they continue to operate the way they do it will be our last. Pros The fact that you can modify employee information, add/subtract new employees, and make changes all while right in the middle of running a payroll. It is also very valuable that they allow you to run as many payroll instances as you need. For instance if you have an employee that forgot to add to their time sheet you can go back and generate another payroll for that one employee with no additional charges. Cons Some of the elements of the software are not intuitive and it is very difficult at times to deal with tax related issues through the software. Customer service is usually really helpful and most questions can be answered through chat. Review Source R Reviewer Treasurer Used the software for: 3-5 years ### "Perfect Payroll Service for Small Nonprofit" March 3, 2022 5.0 For many years we used a CPA firm to handling bookkeeping, payroll and IRS reporting for our small nonprofit organization with 1-3 employees. For payroll they computed the amounts but did not actually write any checks. We had to do that. Also, we had to make the tax payments to the IRS and the State. And for this they charged over $150/month. And when they prepared the Quarterly Payroll reports, they charged about $150 as well. We let them go for another reason....but when we did we still needed to deal with payroll. With OnPay we decided to do it ourselves. The differences is like night and day. OnPay handles the computation of payroll, moves the payroll funds and taxes from our bank account and Direct Pays the employees & contractors and files and pays the IRS and State taxes all as part of their normal charge. Not only did we save a lot of money in the process, but we also saved a lot of time compared to what we had to do before OnPay. For our nonprofit it was the perfect fit. Pros Assuming everything is set up for the employee or contractor, all that we need to do for each payroll run is just enter the hours. OnPay takes care of the behind the scenes transfer of money as well as the Direct Deposit to the accounts of the employees or contractor and all the related payments and reporting functions. Simple and easy to do. Cons It is not a problem for our small organization but I can see how the software would be very cumbersome if the number of employees or contractors to be paid would be very large. The program pays for itself, not only in time saved, but due to less expense from the accounting firm. Pros All I have to do is enter the hours, overtime, and any bonuses- - -all the calculations are done automatically. It is a relief not to have to calculate the withholdings, write the checks, figure out how much to pay the state and federal government, then pay it. As our staff grew, I didn't have time to spend on payroll, then had to pay my accountant to double-check everything. OnPay takes care of everything! I am not very computer-savvy, so it was nice to be able to get assistance from their friendly service people. Now I can figure out most things on my own! Cons Sometimes new employees miss the part about setting up direct payment into their accounts. It must not be obvious, because about 1 out of 3 will miss it. Getting set up was fairly easy. They took the information from my old system (which was mostly "by hand" and converted it easily. When I didn't understand something, their customer service was able to talk me through it. Pros What I like most about the software is the ease ofnavigation. Being able toggle between areas is helpful to verifying information. But I feel that this companies best feature is their customer support department. Every time I have had to call, their representatives are always polite and can fix any of my problems. Cons I sometimes have issues with the pair time off or vacation algorithms. This is the feature that as given me more phone time w/ customer support.
