It was a bad experience due to tax errors and integrations that did not work. The net result is OnPay caused our small business to receive hundreds of dollars of fees and interest plus more in accounting costs. Pros OnPay is fine as long as you don't need any support. Their support team is slow and error-prone. If you are doing payroll for a small business you probably need some level of support. Cons The problem with OnPay is this... They often misfiled wage withholding with state government. Sometimes they made calculation errors. Other times they filed a day or two late. Either way, it cost fees, interest, and time to resolve the issue. The biggest problem was how long it took OnPay to even respond to these issue. For example, I once submitted a ticket on on \[sensitive content hidden\], and had OnPay submit a response on \[sensitive content hidden\] . For another incident they simple never responded. Also, OnPay did not honor the first month free that they advertise. Review Source ME Michael E. Pros We like being able to add new contractors and allowing an invitation to go out to the employee to log in and finish their own set up by adding their banking information. We like being able to see a payment history made to the employee. We like the ease of making direct deposit to employees. Cons We would rather enter contractors as contractors rather than employees which is easier to set up. Right now we have to add the 1099 Misc payment addon. Switched from [QuickBooks Payroll](https://www.capterra.com/p/174981/QuickBooks/) We wanted a company to do all the heavy lifting for us, and have the ability for employees to have access to their own tax documents that they can download themselves as they need. The cost of not having to mail out 1099 misc forms covers a major portion of the cost of OnPay. Review Source SI Steve I. Since we are working throughout many states and cities across the country, OnPay makes this all so simplistic and easy to maintain compliances. Pros Simplistic integration with our existing employee database, user friendly to add new employees and contractors, Customer service is exceptional when called upon for help. Cons Cost is a bit on the high side, but I attribute this to the outstanding support and ease of use. Both factors which are paramount for our industry and the constant changes from state to state regarding payroll reporting etc. Reason for choosing OnPay Presentation and explanation of services was inviting and seemed to be what we needed. Business Manager Health, Wellness and Fitness Used the software for: Less than 6 months ### "Great Value in my opinion." April 22, 2021 5.0 OnPay is a great company to work with. Representatives reached out to me very early on to help me with any questions that I had and even to offer to do as much of the onboarding process as I would like for them to do. They have continued to reach out to ensure that everything is going as planned and to make sure any new questions I might have are answered and addressed. Pros This is incredibly easy to set up and manage. The team at OnPay will even do as much of the work as you would like onboarding at no additional cost to you. Cons The only things that I have run across so far is that it would be quite nice to be able to see an employees length of time with the company in their profile. Their hire date is there so it should be easy to calculate and display alongside that hire date. The second thing I would like to see improved is the creation of time off calculations. That section was a little confusing during set up and still does not seem to be working perfectly yet for us. Reason for choosing OnPay We did consider 3 alternatives. Two were pretty competitively priced and one was about double the cost of OnPay. I really liked the simplicity of the OnPay interface and also it's ability to connect to our time management service. A pleasant after the fact benefit has been the sincere interest the OnPay team has expressed to us, wanting to make sure all is set and functioning as we want and expect. Review Source SB Silvia B. I have trouble with paperwork, and OnPay has been a lifesaver. It's extremely easy to set up and use, and once set up, most features are automatic. Reports are easy to create and review as well, great for end-of-the-year admin and taxes, and reminders keep me on track. Pros Ease of use, automation and reminders. I love the fact that they take care of payroll reporting and tax obligations. Entering new employees is a breeze, and so is running the payroll. Cons After several years of use, I honestly couldn't find anything wrong with this service. It saves a lot of time and is easy to navigate. Pros Onpay takes a task that would normally be complicated and simplifies it while making the whole process very streamlined. The features and functionality make it easy to do everything you need to do. Cons Sometimes it is slow to load pages. The navigation to get to previous tax filings are a little bit confusing for client users. Reason for choosing OnPay We've done payroll using several platforms and Onpay has been great. Pros What I like most about OnPay is how easy it is to use the tool. I do not have a payroll background and I was able to figure out how to process payroll with getting frustrated. It's very intuitive and easy to use. I also like that chat functionality. They respond instantly and are incredibly knowledgeable/helpful. Cons I wish we could integrate it with our HRIS platform so I wouldn't have to switch between 2 different systems to process payroll (401k contributions and approve non-exempt time cards, etc.) Alternatives considered [Gusto](https://www.capterra.com/p/131882/Gusto/) Reason for choosing OnPay CFO liked OnPay's cost and functionality better than Gusto. During our search process, they were very willing to answer questions and provide demos. Once we selected OnPay, they helped us during the transition process until we were up and running. We process payroll biweekly, and it is a pleasure to use. Adding new employees is easy - we love the option to invite employees to add their own information to the system. Taxes are paid on time, and the W-2 feature is quick and easy. We have been very pleased with our decision to partner with OnPay! Pros OnPay is easy to use, and provides easily accessible help articles when needed. It allows us to process our biweekly payroll in minutes. They also provide helpful messaging to remind us when payroll needs to be done early due to holidays. Cons The onboarding process could have been smoother, perhaps due to crossed communications. Cons I would like to see more of an official quarterly report of employee paystubs available. There are very few issues or errors and, when there are issues, the OnPay team has solved them in an expedient manner. Over the years we have realized significant cost savings due to the ease of use of OnPay. General business or managerial staff can easily run the system instead of paying a service or hiring a payroll professional to manage payroll for larger groups. Pros OnPay is easy to use with an intuitive interface. It was a good product for a small company of just a couple people and it has continued to work for us as we approach 20 people. It is also reasonably priced and does not overwhelm users and administrators with too much complexity. Cons The thing we like least about OnPay is the way paid time off (PTO) accrual growth is calculated. We grow PTO accrual every year of employment up to 20 years and that requires employees to be moved into new PTO growth categories every three years. We could just choose to do our PTO differently, but we wish OnPay had the PTO growth flexibility to accommodate our preferred methods. This is a tremendous advantage for my business. I was willing to quit using Intuit which gave me ability to pay my people in 1 business day, but it was worth it for reasons stated below. Pros It was easy to Onboard contract workers. Cons I had to get used to 2 day direct deposits, formerly I had 1 business day direct deposit functionality with intuit. Also, it wasn't super intuitive on the "check date" when I try to do a payroll run with my 10-99 contractors. I think they should have a feature for paying contract workers that isn't actually called a "payroll run" Reason for choosing OnPay Superior customer service and willingness to solve problems with small business owners. Pros Easy to Use Great Support Inexpensive Handles multiple local withholdings easily Saves me a lot of time dealing with multiple tax filings Cons I didn't like that there might be multiple w-2 forms for one person in some cases, but honestly it wasn't a big deal to just add them together for tax prep. Treasurer Non-Profit Organization Management Used the software for: 2+ years ### "Perfect Payroll Service for Small Nonprofit" March 1, 2022 5.0 For many years we used a CPA firm to handling bookkeeping, payroll and IRS reporting for our small nonprofit organization with 1-3 employees. For payroll they computed the amounts but did not actually write any checks. We had to do that. Also, we had to make the tax payments to the IRS and the State. And for this they charged over $150/month. And when they prepared the Quarterly Payroll reports, they charged about $150 as well. We let them go for another reason....but when we did we still needed to deal with payroll. With OnPay we decided to do it ourselves. The differences is like night and day. OnPay handles the computation of payroll, moves the payroll funds and taxes from our bank account and Direct Pays the employees & contractors and files and pays the IRS and State taxes all as part of their normal charge. Not only did we save a lot of money in the process, but we also saved a lot of time compared to what we had to do before OnPay. For our nonprofit it was the perfect fit. Pros Assuming everything is set up for the employee or contractor, all that we need to do for each payroll run is just enter the hours. OnPay takes care of the behind the scenes transfer of money as well as the Direct Deposit to the accounts of the employees or contractor and all the related payments and reporting functions. Simple and easy to do. Cons It is not a problem for our small organization but I can see how the software would be very cumbersome if the number of employees or contractors to be paid would be very large. Probably over 25 would be pushing it on the input. Reason for choosing OnPay Cost.....we have a small number of people subject to payroll. OnPay fits better. Review Source AH Alisha H. Pros What I like most about the software is the ease ofnavigation. Being able toggle between areas is helpful to verifying information. But I feel that this companies best feature is their customer support department. Every time I have had to call, their representatives are always polite and can fix any of my problems. I’m extremely satisfied with the product and their service. Pros Onpay makes doing payroll so simple once you get it set-up and start using it. The learning curve was pretty easy overall. It’s not complicated to use. Cons When using a tablet instead of a computer, you may not be able to access everything. It’s still very easy to process payroll, but you can’t chat with customer service or access some of the lesser used features.
