Pros: Allows for project tracking and control. Easy to add/drop users assigned to it. Allows for templated tasks and projects to be utilized to save time.

Cons: User flow isn't organic and requires MANY clicks in order to navigate to and take specific actions, which is time confusing.

PWF has made scheduling many products very easy. It is easy to use and the calendar view is great.

Pros: It is very understandable & logical to use. The information can be archived. The calendar view is a plus.

Cons: This is a small thing - when I create a template and copy it to a new project, I still have to plug in the dates. They don't automatically populate, but that's probably ok.

Pros: It generates project numbers, it's pretty user friendly.
We like how we are able to track projects efficiently.

Cons: It would be nice if the timeline could be exported into an excel spreadsheet as a gant chart.
It would also help if we could have artwork proofed in the system so multiple users can proof the artwork without having to have a login.

We also would find it beneficial if we could enter individual item numbers and attach them to their respective UPC/barcode numbers

We want the option to not have to include time, since this isn't a feature we use. We should be able to disable it and have it not display at all.

When I am on the projects page/dashboard, I should be able to hide/minimize customer projects that I don't want to see. You are able to do this, but when you leave the page and return, the list is once again extended. It would help if we could save our own view of the dashboard to show only what we want displayed.

Pros: We love:
- how easy it is to add time to projects
- the overview of projects, tasks, time
- that fact you can personalise your own tasks
- how you can set your own tabs for project status

Cons: Contractors can't add time to tasks set, very frustrating to have to buy another licence for this when they are only in for a week.

No onsite training available.

Overall: Ease of time tracking and meeting project deadlines

Pros: Ease of use, visuals for tasks and projects, ability to create project templates and customize project categories

Overall: ability to see what upcoming tasks I have easily, ability to categorize tasks and projects, and the ability to display my workflow which allows me to plan in advance

The software does exactly what I need it to do - it's not too complicated and it's not too basic. The price is great for the features.

Pros: Ease of use, very easy for employees who have never used a project mgmt software to get started. Also easy to set up from an administrator standpoint. Low barrier to entry in that there isn't a huge up-front cost and the ease of use

Cons: Reporting tools are limited. They've designed it as open architecture so companies can customize it how they want, but we aren't a company that wants to get into developing software for apps and reporting. Would like a few more out of the box. While customer service is good, it is tough that they are 18 hours ahead of us so every question is answered the next day.

Pros: Projects are easy to set out and track time spent on each task within the project. Being able to adjust the templates and ensure that they can be used for each type of project is extremely helpful and saves time.
Being able to customise our reports to show only the information we need is a huge help.

Cons: The minimum of 5 users for the full software suite is a severe price increase for our small organisation of 3 users.

Pros: Love the customer service. They are so helpful and always get back to us quickly. The user interface is easy to understand and being able to supply access to the client to see the project is great for our business.

Cons: There are a couple of features that I would like to see included - one would be assigning available hours to staff individually as we have flexible working arrangements so not everyone has the same availability. The other would be the ability to set individual tasks as dependent tasks. At the moment, we can only set all tasks in the one project as dependent or not which is not realistic for our projects.

Overall: Tracking and scheduling projects, assigning and tracking staff time and client access to the portal

Cons: This software hasn't evolved in the 3 years I have used it (across three different companies). The reports are not-intuitive and very static - easy things I want to track as the admin are difficult to build or don't produce exactly what I need without offline manipulation. Basic functionality like filtering all tasks by project manager (not just assignee) have never been introduced.

Pros: Project management, work scheduling, standard reports, quality of support service; response times to emails; time sheets; time widget;

Cons: Financial reporting - being able to export expenses information, in an excel format, functionally - including expense title; description, cost, dated entered into PWF and invoice/d status.
Being able to see the status of the expense on the front screen, rather than drilling into the individual expense would be very beneficial.
Employee Leave - as a time management / project management tool, recording / reporting leave has been overlooked;
There is no ability to duplicate a project.
Recording an employee's hourly rate. There is no provision to record an individual's hourly rate. It would be great if this could be included in Staff Users & Permission profile for each employee and then be exported as part of a report which reports project income against wages expense.
Financial comparisons / breakdown information. It would be great to be able to have a standard report which reports on project income, project expenses and project wages expenses as separate items, in excel format.
Custom Reporting - it is very difficult to discern / interpret how to draft a custom report. The process is ambiguous.

Overall: The benefits of day to day performance of PWF software far outweighs the lack of adequate financial reporting. Appreciating that this tool is project management / scheduling focussed, some basic cost analysis is necessary when scheduling projects which have gone over estimates,etc. Overall, we are satisfied with the product and would happily recommend it to people we know as being one of the better ones to consider.

Pros: I started using ProWorkflow as a project management tool for marketing teams. They liked that it was well designed and extremely easy to use. There is so much flexibility -- such as entering Time Spent -- that users have options in finding what workflow suits them best.

What I personally like most is how quick and easy it is to navigate between the different screens. Practically everything is a link, so it's very efficient moving around within, and between, projects.

Cons: If I HAVE to identify a shortcoming with ProWorkflow, based solely on my own preferences, it would be the reporting tools. They are very robust, even including a custom report builder, but it's never been as intuitive as the rest of the software.

Overall: Introducing Project Management in a Marketing environment is very difficult. This is a group of people that don't typically like to be dictated timelines and held accountable for documenting their hours and progress on projects.

ProWorkflow was the only Project Management software I found that had the robust features I needed to effectively document projects and manage resources, while providing an intuitive interface that creative team members would embrace.

Pros: ProWorkflow ticks all the boxes and we have had a look at a few different Project Management systems and ProWorkflow met all our requirement; it was able to put everything we need in one place and in detail and without being overwhelming but very compressive at the same time.

Cons: Pricing because I have such a big team using ProWorkflow! Would also love it if you had a CRM module with it.

Pros: The best thing about ProWorkflow would have to be the ability to track where we're at during any projects in advance this would be our favourite feature.

Cons: Reporting functions that we want to do better. We had issues with the function in messaging which we think needs further development.

Pros: We chose ProWorkflow because it's just the right product we're after, when we were looking at different products on the market ProWorkflow was the easiest to use and there wasn't an overload of features that confuse the customers and it's straight to the point.

Cons: One thing I would like to point out is the task dates and due dates and when they are completed aren't all visible on one page. I wish there was one page that I can see this all on rather than having to click on the task.

Pros: It's got all the functionality we need! Min Lee is great, answers all our questions and fast. For anyone that wants to manage multiple projects, ProWorkflow is definitely a multi-functional tool. We love how transparent it is and has a great reporting functionality.
I'm currently training a new staff on it and it's so easy to learn It's fantastic, we love it, our clients love it and we couldn't be happier. We are ProWorkflow's biggest fan!

Cons: Not all the reporting capabilities for part of our industry. So we needed something to be made! This isn't even a criticism but adapted very well!

Pros: We run over 500 projects a year through this system. It works great to keep our projects organized and workflow going. We love using the quoting feature and then being able to turn that into a project works really smooth and quick. There are a ton of features we don't use that they offer like allowing clients to access their projects. So this review is limited to our use of quoting, running projects and invoicing. For these 3 functions it works great!

Cons: Because it is online, some times it is slow to load, especially the quotes as we have several 100 of of them.

Customer service is amazing. Willing to offer solutions to meet our needs.

Pros: The support. They teach new tips and tricks to utilize the tool better. The tool offers all we need at the right price.

Cons: The one complaint I receive from my team is the ability for staff members to pull reports on their own clients, so they can manage hour allocation. It would be nice if they can see tasks, hours, and team members for those clients they manage in a report they pull themselves.

Pros: It really keeps the creative team responsive and organized when it comes to completing projects for other areas of the business. It's easy for everyone to use and it ensures collaboration.

Cons: Certain aspects of the messaging service can be confusing. When someone sends me a message, it comes to my email but I'm not sure if I can just respond to the email or if I have to go into PWF to respond.

Pros: Comprehensive features. Ability to set up complex templates for workflows.

Cons: The interface isn't as clean or graphic as I would like. I also don't like having to pay for features I don't use which made it expensive for me on a per user basis.

Overall: ProWorkFlow is a great platform for anyone seeking a project tracking platform that integrates multiple parts of your sales and service delivery processes.

On the upside, there is very little it can't do in terms of keeping track of sales, invoicing, tasks, deadlines and team communication; they've basically thought of everything. A solid solution for architects and consulting services (legal) that deliver time-based invoices over long project timelines.

On the downside, the interface isn't as clean and pretty as others; a little like an excel spreadsheet surrounded by widgets. If you already have solutions you're happy with for invoicing (Xero/Paypal), communication (Slack) and data (GDrive/Dropbox) you will find yourself doubling up a lot and/or having to change the way you work in order to use just one platform.

Pros: Flow of the tool, captures all items required for Project management, budgeting, workload, etc

Cons: timesheet and expense entry way to complicated and hard on the eyes. Does not limit the resources to only see their projects they are allocated too, which makes it difficult for resources to review only their workload. Does not allow timesheets and expenses to be locked once submitted, which results in the risk of hours being edited once invoiced. Does not allow for mandatory comments against each time entry which is key for our consulting business and invoicing. Does not integrate with QuickBooks Canada online.

Overall: Proworkflow has many of the feature we are looking for in our organisation to manage resources, performance and workload. However the tool lacks many features as well and not customizable to suite the needs of our company. Some time has passed since our first review and based on the follow up review a year later, not many features have been updated/changed/added , e.g. locking of timesheets and comments , easy entry of expenses against a project, integration of calendar with Outlook.

Recommendations to other buyers: Would like to see the future roadmap and upcoming improvements to the tool.

Pros: Ease of use once the project plans are complete. The ability to attached documents to a specific task is a nice touch.

Cons: The very repetitive nature of setting up a project plan, the software is not very mature in this area. There is no automation in assigning a starting date from the template and having the plan populate you dates based on the task duration in the template. No ability to plan out all tasks and dates in excel type software then import. The mobile phone app will not allow you to make tasks as complete, this is a major issue for those who really want buy in from their contractors!

Overall: Really like the cloud based aspect of the tool and the ability to involve key stake holders from both the sellers and buyers teams with little efforts.

Recommendations to other buyers: Great customer support, plenty of help videos and almost instant response from tech support.

Overall: Work are a growing, highly productive print studio / communications department that services both internal clients in our large organisation and many external clients. It is hard to find a Production Management System that is 'one size fits all'. But, for the most part, ProWorkflow is very diverse and adaptable. After researching and comparing ProWorkflow with other PMS's, this was the most comprehensive and adaptable to our needs.

We implemented ProWorkflow about 1 month ago and have not looked back. With the ease of an all-in-one space for us and our clients to lodge jobs and interact with projects and accounts, tracking, quotes and invoices and CRM. It makes our very heavy work load so much more manageable and accurate. Nothing can fall into the cracks of our frantically busy schedule and be missed with all deadline tracked. Clients no longer have a long delay to be invoiced via combersome manual processes between us and our accounts department, as this is now all integrated as part on our professional work flow using this system. Over all, it has fixed a lot of work flow issues for our very time poor, small team.

The support is great. The training, general customer service and support, and follow up (yes - actual follow up) well surpasses my expectation of online software - in fact any interaction I can think of to do with software or online service.

They are always taking on board my input to better the software to make it more flexible and adaptable as best they can, and are often updating and bettering the system.

So far - really good.

Recommendations to other buyers: - I know this is first and foremost a PMS with some accounting tacked on. But, the quote/ invoice data base could be more comprehensive and refined. Would really like to see the addition of a proper price list / cost data base where you could manage line items at the cost unit price with with a adjustable margin to come to the sale unit price. Really would help when managing hundreds of items / products Profit / loss margins etc.

Pros: Ease of use - organization, etc.

Cons: There are 2-3 things we struggle with:
1) there is not a real space to keep client information , we are web development company and need logins and other areas of reference that cannot easily be located. Sort of a bummer that we have a workaround for, but the larger we get the more unlikely it will be a good solution.

2) the inability to create & link "Tasks" single tasks to a client - we often have trouble tickets where we don't need a full project but do need the documentation of work being being and completed, we haven't figured out a good solution for this and hope SOON you have something to offer. We have the Maintenance or General task but it doesn't link to the client from what we can find anywhere.

3) a wishlist item, storage space - although we use the cloud we don't have a universal network of our files there - so each person will need to add files to tasks, projects they it is something that isn't an issue now, but can be in the near future.

Overall: The support staff is amazing! They reply quickly and with solutions to anything we have needed so far.

Recommendations to other buyers: Much better than the other systems we have tried to date!

Pros: Easy to use, and very customizable. We can track all of our jobs and keep a record. I am able to track my time so my coworkers understand how long a project can take. (Its not really magic!) I made job templates with key information so that my clients dont forget details, each type of project as a different template!

Cons: nothing!

Overall: For a long time my company didnt want to spend any money on project management and insisted that an excel sheet tracker was "good enough". I complained and researched, finally finding PWF. It had everything we needed and more. The stuff we didnt need wouldnt be a hinderance either. I work in house so we dont need to do any billing or invoicing. After doing some time saving analysis and working through a trial period I finally convinced my company to subscribe. I easily set-up the account details and the PWF team helped us separate the accounts into our 3 divisions. Each division is able to manage their own sites and job lists as they see fit which is also a huge benefit because we all have slightly different job sets. I even labeled my division header with "Project Sanity Site".

Recommendations to other buyers: By far the best investment in time saving and job tracking.

Pros: Feature rich. Looks great. Easy to use. Good for my business.

Cons: There isn't much that I don't like about it. Maybe allowing for 2 staff on the basic pricing package.

Overall: ProWorkFlow has turned out to be the perfect application for my consulting business. I manage short term systems implementation projects. I needed a feature rich system that allowed me to share the Project Timeline and Task list with anyone I assign. I also needed all assignees and myself to access the system from anywhere rather than on a spreadsheet. Great service. Great looking product. I highly recommend this product.

Recommendations to other buyers: Meeting agenda, and having the ability to pull a full report that includes the Timeline and Basic Task list together into one PDF document.

Pros: I love the ability to see everything that is going on within our team.

Cons: The only thing we'd change is making it easier to push dates on tasks collectively when an entire project shifts on our timeline.

Overall: It originally started as a tool for our design team so that we could manage all incoming project requests.
Previously, we were working with an excel sheet and were having problems seeing the bigger picture. If we received a project that was high priority with a short deadline, it was difficult to see what work could be reorganized to get things done.

PWF gives us the opportunity to see everything going on and we've actually started using it for our entire marketing and product development team.

It's opened up communication and provided a central place for everyone to receive and provide updates so that we are more aligned with events and product launches.

Comments: I've used this tool before, a few years back. They've made some improvements since then (and have more in the works to come). I'm impressed it is so versatile and fits just as well with my new company's workflow as my previous. Customer service is stellar, and it's pretty intuitive to navigate once you get a tour. Looking forward to using this tool again.

Pros: It's not hard to come up with pros: *Great, responsive service, especially considering they are based in New Zealand (NOT Australia!) *Flexible options allow you to give access to clients and contractors without additional charges. *Gantt charts and reporting for those that love charts and stats.

Cons: My cons are pretty use-case specific: *I wish it had a ready-made ZenDesk integration, but that's not a deal breaker. Zapier to the rescue! *The upgraded plan has great features, but has a minimum of 5 licenses. Can be hard to justify for tiny teams.

Comments: Made for web designs, developers and anyone that has a lot going on! Here's a quote "Nathan and I rarely get excited about project management software but..... we are enjoying ourselves!!!!!" Proworkflow makes an easy and fun job of everything. From creating quotes, to easily converting them to projects and tasks, then creating invoices from time, quote or just on the fly. We've tried a huge list of systems over the years and in these early days I am incredibly impressed.

Pros: Feels like it was built for us - we're already saving time and energy. I like: Quotes Invoices Task and projects - we're working differently due to the software, much better in fact Messaging we have yet to use but it looks very good Xero integration is excellent! Reports I have hardly used but also look excellent

Cons: None yet! Everything is easy and clear and all the issues I have come up against have a good solution.

Comments: I've been looking around for all-encompassing project management systems for over 2 months now. Invariably things are missing, part-baked or an additional cost. ProWorkflow was the exception to the rule as it has it all beautifully interlinked and comprehensively covered. Time tracking, desktop widget, phone image uploads, contact management, project (and task) templates just for starters - amazing. Well done!

Pros: Where to start?! Let me first say that the customer service has been beyond anything I'm used to experiencing. The fact that, within an hour of my contacting support, they had tracked down and installed my logo AND branded my account without me even asking - made a huge positive impression. The amount of online videos which guide you through how things work is great, along with the interface itself being very intuitive. I love the fact that the mobile apps are free and really support constant usage of the website and help to get the maximum from it. The ability to add as many contractors and/ or clients a you like or need removes the restrictions imposed by many other Project Management systems and allows you to concentrate on delivering projects.

Cons: It can be a bit onerous to setup, simply because there is so much of the behemoth to configure to your business - but I believe this to be a one-time investment of time which will continue to reap rewards long into the future.

Comments: Our marketing agency had evaluated time tracking tools in the past and ended up scrapping the tool shortly after installation due to lack of support from the vendor. It was a significant time and money investment that was essentially wasted. With that history, we approached a new tool with great caution and extreme due diligence. Unless you are going to hire developers and build your own solution, there will always be compromises and a constant state of development and upgrades. We started with a list of 50 vendors, whittled it down to 5, and ultimately went with ProWorkflow. The PWF team is stellar. Beyond stellar really. From the get go, our contact Ivan was incredibly patient with our extreme due diligence. He was readily available to understand our needs and answer questions. Besides being impressed with the platform, we were very drawn to the lack of implementation fee or contract. Highly unusual compared to the other vendors we evaluated. We loved this commitment to happy customers and they have more than proven that they are interested in happy customers. Our Implementation Specialist Dena has been super helpful in getting everything set up correctly. Our Support Specialist Jack is easily accessible and often answers questions with a quick screencast which is super helpful. The platform itself is easy to use and the internal team has migrated to it well. We have set up over 20 project templates which has aided our project team tremendously saving time creating schedules and making the steps relatively consistent between projects. The design team loves having fully built out schedules with clear expectations and deadlines. One compromise we did have to make is in regards to reporting. Due to client agreements, we cannot give financial visibility of projects to all team members and the advanced plan didn't work for us as we have resources that span multiple clients. This has left some managers without the ability to pull their own reports which took some getting used to but they are adjusting.

Pros: ¿ Support. The PWF team is the gold standard of customer service!! ¿ Value ¿ Ease-of-use ¿ Using the platform has broadened awareness of what it really takes to complete a project (both from a time and budget perspective) ¿ Ability to estimate jobs prior to work commencing ¿ Project templates ¿ Organization-wide project visibility ¿ Project and task visibility increases accountability because resources and deadlines are clearly articulated. ¿ Scalable platform

Cons: ¿ Unfortunately we cannot give all team members visibility to the reporting features due to client confidentiality reasons. It puts an extra burden on the admins to provide reports (which is totally manageable at this time) but ideally you could set reporting permissions on a client level.

Comments: Our large marketing department was having issues with workload balancing - swinging from overtime to downtime. Because of our poor workflow, we were also missing deadlines. We used PWF to solicit accurate time allocations from designers/writers, created task templates that clearly outlined our timeline and allowed us to set reasonable expectations for clients, and used several of the report tools for executive reporting and team member reporting. We are now much more efficient, streamlined, and have also used our new reporting tools to request additional budget/resources from management.

Comments: We are currently using Pro Workflow as our project management tool for digital creative and marketing teams. After doing trials with several other vendors we decided to move forward with PWF, very satisfied with the tool itself, reporting options, clean UI...everything you would expect from a project mgmt system. What has been utterly astounding, though, is their quality of service. We have definitely "challenged" the breadth of the system and have truly enjoyed working with PWF as a partner...very quick response times, friendly support, attention to detail and customer (our) need. It is rare to find a vendor so helpful.

Pros: Can be customized in terms of reporting options, dashboards, etc which are especially helpful with management. Clean/simple UI makes training easy and experience in-app pleasant for users. Strong customer service. Stable.

Cons: Would like to see more flexibility in native dashboard (ability to add additional columns for sort). Does not have native annotation of creative comps.

Comments: ProWorkflow is the hub of our online Virtual Assistant office at Virtual Business Assistant NZ. We used a existing project template for collaborating on our website design and development project, and have created custom templates for our main services of Virtual Admin Assistant, Virtual PA and Virtual Sales & Marketing Assistant. Internal projects such as business planning, health and safety documentation have been created and are able to be tailored to clients needs. I was looking for a product that was easy to use, cost effective and most importantly would help me track projects, connect with clients, streamline my workflow process and enable progress reports and billing information. PWF does it all! It makes sense to keep all relevant information such as files, messages and information linked to a project or specific task and sharing with workers and clients as required. The Virtual Assistant is a fairly new concept in NZ, so I needed a product that made the process of outsourcing work to a VA and working online easy for my clients.

Pros: The online tutorials, one on one training, together with fast, friendly response from the support staff ensured that I got up to speed and was operating in no time.

Cons: It is hard to fault PWF. It is comprehensive but not too bulky. The only thing I can suggest is a few options for setting up task templates to allow for changes to the structure. I.e., adding or rearranging tasks in a large project.

Pros: User-friendly interface, technology is current with a modern look. Useful apps for monitoring projects/communicating updates via mobile if out of the office.

Cons: As with any project management tool, you get out what you put in. When you don't have everyone on board with marking tasks complete/communicating project updates, the tool becomes less useful and can work against accurate tracking/reporting. Make sure those that are adopting the software are committed to keeping up with it.

Recommendations to other buyers: Go into it knowing that putting in more work up front with setting up project templates, groups, etc. can save the team time in the long run and increase adoption. If you have people in the project group that aren't going to be committed to keeping up with reporting tasks/marking complete, you will struggle keeping accurate status reports.

Comments: pro workflow is one of the handiest tools I have used so far. Comments: I have used ProWorkflow as a designer and specifically to manage projects and assign tasks. It is an efficient and easy interface to work with. It is a good interactive tool for others to be able to view the status of a project. As with anything, to be successful, it must be used consistently and properly, across the board for good success. Comments: ProWorkFlow definitely makes my job as a project manager easier. Long gone are the days of cover sheets on proofs, copy or mockups. There's no question that the functionality of the program will likely improve how you do business but the program could have more customization and a few layout/navigation changes. One example is trying to access the Project Archive. It seems that a dropdown menu for the Projects tab would be faster and more effective to access the submenu for Project Archives. Instead, you must wait for the project screen to load before being able to get to the Archive. The site is often slow or hangs, requiring refreshing of pages, interrupting workflow. All in all I am glad this is the software we use and look forward to further improvements.

Pros: Support is responsive to wish-list items Makes my life easier. Intuitive interface. Many functions (on desktop) are quick and easy (changing dates, editing task titles, changing project task heirarchy)

Comments: We use the software on a daily basis to accomplish a few different goals: long-term project management and daily tech support contact tracking with a client. This software allows us to track our time, appropriately, to either an on-going project or if a client emails (or calls) and wants support on how to use a product. It's helping us identify how to better serve our clients and make see how much time each client uses.

Pros: Time tracking and project organization is a huge pro. It is very easy to tell exactly where the status of a project is. It is also easy to tell what services a client received previously.

Cons: Nothing! Software works as expected - and even better than that!

Comments: We've used ProWorkflow for a while in our practice. I found it to be a pretty useful tool. I must say, customer service is spot on excellent. The dashboard is brilliant, a useful visual took from where you can guide your daily activities according to whichever project/task is due. However, the client interface is slightly outdated and not what I would call user friendly. Some features are a bit clunky and data importing can be slow. I've compared this product with others after having used it for a while and found that other tools do a better job. However, depending on your budget, this may actually be a good enough tool.

Pros: Timesheets are excellent, very useful at managing time spent with clients. I found this tool to be most useful as it helped our business visualise our time management and review our prices accordingly.The Time Tracket Widget is a pretty cool tool, works well on both Mac and Windows.

Cons: Recurring tasks has been an issue that we struggled with. It would help having more options for managing such recurring monthly tasks instead of creating a multitude of tasks - which is very time consuming and clunks up your dashboard.

Pros: The program is extremely easy to use and ramp up time is quick. My team has been growing and it's nice to have a Project Management and workflow tool that new people can jump right into and use proficiently. I also like the notification system and alerts. They help to ensure everything gets completed on time and closer to budget. The task view allows you to easily see what is due, when, so that priorities can be easily identified and work is completed by deadline. It's also easy for me to view my team productivity and use this as a tool to improve service and offer additional training where needed. Really nice product.

Cons: There really isn't much I don't like about the product. If I was forced to say something it would be that sometimes I get booted out and have to log back in. That's really just because I leave it open in the background too long.

Pros: Comprehensiveness of software.Design.I understand from others PWF support is responsive to changes.

Cons: The fact that the logout button is right near the link to change which staff member you are working with (in the header). Bad on tablets. The fact that so many features appear on hover. Bad on tablets. Slowness. Can't get to sub menus quickly without the main page for that section loading first (see above mention of slowness). Not very customizable - at least on the individual user end. Some places where there should be links (to a project, a task etc) there aren't - often requires many clicks. Needs to show a daily task allocation summary - including split time tasks. Needs to show a time allocation graph for tasks to be assigned - how many hours is someone assigned tasks is a bit question and a big time waster for us. It is very easy to NOT assign something to someone. It is very easy to NOT enter to task title or name or dates. I don't know how alerts for this might work - maybe a daily summary of tasks without people or dates and a warning - right away, because otherwise the task isn't saved - when a title isn't entered.

Pros: It does exactly what it says. It is extremely efficient. I would call it SAP for the design industry (and I have used SAP).

Cons: I'm not always sure I know when there will be update and revisions released -beforehand. That would be nice to know. Responses to messages in a task -when responded to at the project level - do not appear in the task (only if you view it in the project level). Pasting code in a message breaks it. No emojis.

Recommendations to other buyers: Make sure you are actually using it before you say it doesn't work. Your entire team needs to buy in and use it - understand the necessity of a documented process and actually use it.

Pros: I can see all the tasks that I have assigned to me in a convenient inbox and I received prompt notifications when a new one is set up.

Cons: The interface took a little getting used to but once I knew where things were navigating the program was a lot easier.

Recommendations to other buyers: I would recommend that the interested party have a clear idea of their objectives, company workflows and how their specific team dynamics work best. There is a lot that the program can do and it can feel overwhelming without being clear on what you want out of it and what it is exactly going to help your teams do or what current practices is it going to augment/replace.

Pros: I like that all of our communication is saved with the projects/tasks. Our projects have been running much more efficiently since we implemented PWF.

Cons: This is less of what don't I like and more of "what would I like to see." The three things I'd like to see the most are 1. When I receive a notification in my email of a message in PWF I'd love to see the details of that task included at the bottom of the email, and I'd like to be able to click on a link that would take me to that specific task. We have so many tasks in there that the link that takes you to the project isn't very helpful sometimes. 2. Also, it would be helpful to be able to attach documents to emails and have them added to the project, so when we receive an email notification from a designer we can do a lot of the work in our email without having to go into the software and finding the task etc. 3. I'd like us to be able to set up the amount of time a particular employee can have assigned for tasks per day and then just put a task in for them and have the software assign it for the next day they have that amount of time available. The process of going through that employees tasks to see when they have time is laborious and leads to mistakes. The way it is set up now it would be helpful to see how many hours are assigned to each person per day so we didn't have to add them up.

Recommendations to other buyers: For some reason a lot of project management software programs do not work well for small to mid size businesses. When evaluating software try not to be wowed by all of the features that it offers and try to concentrate on the functionality that your business needs.

Pros: Pro Work Flow is very easy to use, yet very powerful management of projects, tasks, time and resources. We tried many other solutions before we found Pro Work Flow. Nothing worked. Some were too simplistic and couldn't provide real project management. Others were too cumbersome and added unnecessary complexity to everyone's daily work. Pro Work Flow provides an ideal balance of power and ease of use. It allows us to effectively manage hundreds of open projects across a team of more than 30 people, it makes time tracking a breeze, and it effectively organizes workflow for our project managers and creative team members.

Cons: I'd like to see better and easier reporting, especially for custom reports. I'd also like an easier (faster) way for managers to drill into projects on which they are not assigned. Often, as the CEO, I need to get into project details for projects where I'm not part of the team. If I want to see into these projects, I need to change the view to either all employees or a specific person who I know is on a project, and then go into the Project and tasks. I wish there was a way to access the project data as a manager when I am not assigned to the team working on that project.

Recommendations to other buyers: Look at how you will integrate the software with your workflow. What we love about Pro Work Flow is that they system can be easily adapted to work the way we work (other software we tried forced us to change our processes to match their software). We have some team members who only work in the task view (mostly our creatives), we have others who main work in the project view (our Project Managers), and we have some people who get the best use from being in the time tracking view. With Pro Work Flow, we were able to look at how we wanted different areas of our firm to work, and then leverage the software to make each area more productive.

Pros: I have been using ProWorkflow for almost a year now. It is very easy to use and keeps me not only organized, but also on time with all my projects. On one page, I am able to view all the tasks assigned to me in the order they are due as well as the time allotted for me to complete them. I can then click on a task to view more in depth details about the project as well as who else might be working on it or who the sales person is. ProWorkflow is great with sending messages to project managers or other colleagues. Not only can you send it through the task itself, but when a message comes through your email, you can also reply through your email program. This is a huge help! Not as much back and forth between programs keeps me productive.

Cons: I do think it is difficult to search for previous tasks. In the past, I searched for a single keyword, that I know is in the task title, and the search comes up with nothing. I have never had the search work well for me, therefore, I do not use it. I will go through my timeline, clicking on previous days, until I find the old task/project I am looking for. The company I work for is a marketing company. Therefore, sometimes project managers place HTML code or special characters in the task. This breaks the whole project and you can¿t view the task anymore. If there was a way ProWorkflow could strip out formatting or special characters, that would be ideal.

Recommendations to other buyers: Once you start using this software, you'll realize how much more productive you can be with projects and communicating details to others in your company. It is super helpful.

Cons: We have had a lot of issues with the program freezing and/or kicking us out and not being able to access the program, making it a challenge to track our work or view tasks for a period of time.

Pros: Being able to see and manage tasks, projects, and notes all in the same space is great. Everything is organized relatively well.

Cons: Searching for completed tasks is more difficult than it should be and the whole process suffers on smaller screens like mobile. Pros: The timesheet page allows you to easily view your week's work at a glance. I especially like the rollover feature that highlights time billed to a specific task during the week. This is my primary lifeline with my employer (I work virtually 100% of the time), so I also like the upload/download feature for documents.

Cons: I've had an intermittent problem where time records get dropped.

Now that we have been using it for a longer period of time, we have set up our processes, templates, and best practices and we would be lost without it! I consider PWF to be a business critical tool. Cons: There are times that the interface can be a slow, particularly projects with a large number of tasks. It's minor in that you may wait a few seconds to load a page, but I need to give you some cons! I also think their reporting could be improved but we get around that by creating custom reports and accessing the API to pull data out for more complex reporting.

Recommendations to other buyers: Make sure it is intuitive and easy to use or your team will never buy into it. If you fail to get buy in, it won't matter how wonderful the product is, how super the service might be, or the amount of money invested.

Pros: ProWorkflow offers many features that are helpful when managing projects and clients. The customer service is excellent; tutorials are easy to use and feature requests are addressed. I appreciated the reporting features, the integration of invoices and expenses into the projects and the dashboard.

Cons: I could not get ProWorkflow to work our agency on a long term basis due to how contractors are handled. The role of contractor is too limited and the cost to add more team members was too high for our budget.

Recommendations to other buyers: Check it out! I have gone back to ProWorkFlow over the last 10 years hoping it will work for us because I do love the product. Maybe someday our needs and their features will match.

Comments: For well over a year, I searched for a PM system that had all of the features I was looking for, with excellent "reporting capabilities" being one of them. I tried everything. ProWorkFlow offers a clean, easy to setup system that in incredibly robust. Our company has chosen the higher plan because of additional features and use it constantly. Their support, both pre-sales and post sales is BEYOND EXCELLENT.

Pros: The best support I've ever encountered in online software. Easy to setup, once you take time to understand it. Excellent reporting tools Time clock for task timing Budgeting for tasks Granular categorization for better reporting

Cons: I'm not going to lie, I wish it was a little less expensive but it's worth it or I wouldn't be using it.

Comments: We have been using ProWorkflow for several years. Before ProWorkflow we spent tens of thousands developing our own project management software which never worked as it was designed. The software was never implemented or used. After that we spent another $30k setting up and training to use Microsoft Access. It took more time managing MS Access then it did managing our projects. We consistently have 100 to 200 project running through ProWorkflow at any giving time and your software has greatly improved our service, organization, communication and file sharing capabilities. Comments: I have researched and started free trials with numerous project management subscriptions, and I can't find one that enables me to actually see which projects are at which stage of completion easier than PWF. The drag and drop into categories on the Job Page has not yet been duplicated. This software really keeps me out of trouble. It seems like most Project Management websites would require me to higher a project management website manager to use them. Not sure how companies big or small could use them in their process. PWF is really, really nice. I have been with them for over a year, and I am very happy with their service.

What makes ProWorkflow stand out of the mass is its flexibility. The look of the system can also easily be changed without any problems. ProWorkflow has kept their pricing system simple: users pay for file space and staff logins. What also impressed me was the interface of this software, it seems that they have thoroughly studied what users use frequently because it is available on first sight, whereas less-often used features are some clicks away.

Pros: ProWorkflow is super feature rich. It does all I could want and so much more. I've been managing my companies account for well over a year now, and I definitely still feel great about the product. We have added quite a few employees since starting to use the product and it hasn't slowed us down at all. Overall ProWorkflow is an awesome time management solution, and I don't think I could ask for much more in a single service.

Cons: Sometimes the vast array of features can make me feel a little lost. There are really prominent features that I don't use much if ever... There are probably easy ways to turn these off, but I just haven't felt like taking the time to figure all that out! Overall the pros far outweigh the cons.

Overall: I would recommend ProWorkflow for any small to medium sized business that doesn't want to waste their time trying to reinvent the wheel that ProWorkflow has so beautifully shaped and crafted. We went through a slew of other solutions before settling on ProWorkflow and I couldn't be happier.

Pros: After looking at many online hosted solutions we chose this as it manages the Project/opportunity from the Quoting stage right to invoicing, it even dovetails nicely with our accounting software and has eliminated 90% of the need to duplicate data from a proposal / quote to the job in a management system to our accounting program. They have now a messaging system which means that we have ALL the relevant data and info in ONE place. The widget that sits on your desktop and tracks time is SOOO good and easy. Their customer service team is fast to respond to issues and seem genuine in wanting to solve things quickly. Run on any browser no need to find systems that have to run on differing platforms

Cons: Have found the odd we bug from time to time (but they did fix them up ASAP) There is still (but is happening apparently) no integration with a calendar which would make the scheduling of jobs easier for creative's and consultants to see and plan their day. Could have a more comprehensive CRM system...

Overall: The best management software at the time of looking and recently we embarked on a look top see if this was still the fact, an in my opinion it is. Love that it hosted (only once in three years did it not work...and that was in the night for us) as you get modification automatically. We didn't need to purchase expensive software (one quote we had for $4,000) and it would NOT meet our needs today.

Pros: As a long time Basecamp customer, we had been looking for the "next step" for several months but held off because of concerns that our users would struggle with a new system.

We came across ProWorkflow through a recommendation and signed up for a free trial (just like Basecamp). There was a lot more to it than we expected but the support was great, with useful training videos and REAL people on the phone!

It's a big leap ahead of Basecamp and in the few months we've been using ProWorkflow, we've been really impressed at the speed of development. A few of my team are also using the iPhone app (which is free, take note 37signals!!) and love it.

Support has continued to be terrific, the team have helped us with any questions and go far beyond what I would expect.

Cons: Coming from Basecamp, the interface is busier but with more features I suppose that is unavoidable. There are some occasions where 2-3 windows are used when 1 would do the job but I'm assured that this is being worked on and the developers haven't let us down so far.

Otherwise, it's hard to pick fault with!

Overall: A great example of online software done right, I can't see us ever moving to anything else!
