I must admit that I got to work with Freelo a few years ago when I returned from parental leave - out team had been working in Freelo for some time then and I felt like a boomer, completely lost. May be, that is when I built some kind of refusal and dissatisfaction with it. After several years, I was made to start again with it. Now I got to watch some introductory videos which had not been instroduced to me before, which I enjoy. I think it is really useful for those who are that much organised that they manage to make a clear structure in their tasks... (which I might not be :-)

Pros

It helps you have an overview, the check-boxes are great. I believe that for someone who needs to keep trace of time spent on each project, the function of measuring time is adorable too. There are three levels of tasks, you can write instructions when creating the task as well as write comments during carrying out of the task. But for a (all-time?) beginner, there are maybe just too many options and functions. I believe that once you take your time and set everything the way you may need, it will work great for you.

Cons

Honestly, I do not find it very intuitive. I am afraid I still do not use it the way it could be used. For me, it might take just too much time and effort to personalise all the settings so that I could make the most out of it... I tried to integrate it with Microsoft Outlook calendar but unsuccessfully which demotivated me to try the more advanced settings... Also, I often find myself struggling (and overly thinking) where to put a sub-task - hesitating between two tasks/categories on a higher level... But all of that might be just my personal problem, my incapability.

Freelo is suitable for school management and its important deadlines. Freelo is used at our school to manage mini-projects and also the administration office section.

Pros

In Freelo, adding other users was very pleasant. Most important, nobody has to be a rocket engineer to use it.

Cons

I want to have the option to easily print a plan for a meeting in paper form, with the task name and at least the first task description. I am a manager who does not like to look at a computer or tablet during meetings. I am probably old school.

Overall, Freelo is a great simple tool if you want to stay organized without spending too much time managing the tool itself. My needs are generally simple and structured so it fully satisfies my needs and the involvement in the different projects and teams.

Pros

I use Freelo for managing projects across a small team working on communications, events, and written outputs. I joined Freelo because the other team members involved in the project used it and because I needed something that would bring structure without being too complicated. I like that it is intuitive, visual and easy to switch from one project to another. It is also great that we can comment directly under tasks and tag colleagues. The communication is much easier and fluid, we don´t need emails. I am grateful for the reminders and options to have an overview of priorities. Customer support has been responsive and proactive, trying to show me all the richness and functionalities of the tool.

Cons

Sometimes you get lost in comments given to tasks and subtasks by other team members (comments in different threads).

When I was looking for a tool to manage tasks, I was searching for something clear, simple, and above all user-friendly. I know there are various tools like Asana, Trello, and so on. But with Freelo, everything feels so simple and, most importantly, very pleasant to look at. I really appreciate Freelo’s support. Any question I had was answered almost immediately. I chose Freelo mainly because it offers really great support and because it is easy to set up. At the same time, considering how much it includes and what it can do, it is probably one of the most user-friendly tools out there.

Pros

We have been using Freelo at work for the past few months, and it has significantly made the management’s work easier. We have an overview of various tasks, time tracking, and so on, all in one place.

Cons

I usually have a problem with having to use multiple apps, haha, but I like the option to send emails directly to Freelo.

After using this tool in our startup for a longer period, what I like most about it is that it’s been quite intuitive to use from the very beginning. I can always find a clear breakdown of roles and responsibilities. While it doesn’t allow for creating custom status workflows like Kanban columns, I’ve replaced that with an external solution. I did miss having a “dark mode,” because Freelo doesn’t offer any “custom themes” I could set up. A useful feature I often rely on is task comments—I don’t forget my own thoughts or those of others related to tasks. I also frequently tag my colleagues in the comments. On top of that, I often use the mobile app, which is really easy to understand, and it’s great that it’s ad-free, since ads are a big no-go for me. The biggest highlight for me would probably be the checklists, because they give me confidence that I’ve prepared everything I actually needed.

Pros

We use Freelo as a tool for measuring work and reporting. In this respect, it is intuitive and simple. It is also used for project management, where it helps with task allocation, monitoring deadlines, and team coordination.

Cons

As a non-profit organization focused on nature conservation, we have some specific procedures, so we sometimes have to improvise because standard tools do not satisfy us.

Previously, we used a project task list created in SharePoint, but over time it stopped meeting our needs, and adding or programming new functionalities became demanding and confusing for some users, so it wasn’t used much. Freelo has solved this problem for us, and as a bonus, it offers simplicity, pleasant operation, and easy modification or movement of tasks and other entities. It also makes managing meetings much simpler and more transparent. We can keep everything in one place and just link from Teams to Freelo. Overall, our experience with Freelo has been very positive — it’s a clear, efficient, and user-friendly tool that has significantly improved the way we organize and communicate within our projects.

Pros

What I really like about Freelo is its clarity and the ability to structure tasks and subtasks, including checklists. It has a very intuitive interface that’s easy to use even for people who aren’t very tech-savvy. After three months of use (some users less), we are still discovering new features and learning how to set things up effectively across different projects so that it works best for everyone. We are gradually integrating into Freelo the processes we repeat every year (e.g. creating the Annual Report, reviewing and updating documentation, and others). We are also moving here topics that were previously handled in Teams, as Freelo offers a better way to follow and manage discussions.

Cons

So far, I haven’t found anything significant. At first, I thought it would be useful to assign a task to multiple people, but I now believe it’s right and logical that there should be only one responsible person. If a task involves several colleagues, it can easily be handled through subtasks.

Freelo has been a very useful tool for our team of around 15 people. It helps us stay organized, coordinate tasks across teams, and make sure nothing falls through the cracks. We really appreciate how Freelo keeps our team organized and transparent. It allows us to communicate easily both within and across different teams—programming, production, marketing, sponsorship, and more. The ability to assign tasks, track who is working on what, and filter tasks by team members or projects makes collaboration smooth. Video tutorials were also a great help when getting started.

Cons

Although Freelo works perfectly for most tasks, its current interface is a bit too high-level for our intensive six-day festival program. We would greatly appreciate a more detailed interface or a timeline feature where all program-related information could be placed in one location and supplemented with additional details as needed. Something like a calendar from the To-Do list, but much more comprehensive and clearer than what is currently available. Perhaps we just haven’t discovered all of its possibilities and features yet.

We also have easy access to older or archived tasks, which help remind us of the current status of each task. The mobile interface is also very well designed, so I can use it anytime. Another great advantage is the ability to add text, images, or videos (e.g., screen recordings) to tasks, which makes work significantly easier. Cons

At first, setting up tasks and subtasks for more complex projects can be a bit challenging but once you work with it for a while it starts to make sense and you'll quickly set everything up exactly how you need it.
