Artwork Archive is a tremendous value for the money, and I am hugely grateful for the great team at Artwork Archive making this great product.
Their online tutorials are very helpful in explaining the softwares features. I also appreciate the fact they are continually improving the software by adding features like the private viewing room.
It is easy to use, clean and always getting better with improvements. Customer service is wonderful too.
Cons
The initial integration was clunky. Moving and editing multiple images within the same section can be difficult.
So far, I don't like the map. It needs to be able to zoom in.
My only real regret is that I didn't start using it the moment it was available on the market.
The extent of user customization is somewhat limited.

"Art Gallery Software that's perfect for small collections"
Overall: I have found them to be interested in what we are doing and willing to work with us to ensure that the software is matching our needs. We are a small gallery and so our needs parallel but they have been actively engaged.
Pros: This product was recommended to me by a colleague who also oversees a relatively small art collection. As soon as I contacted them they immediately responded with a helpful demonstration and answer to all my questions. The product is very intuitive, easy to navigate, and has a clean look. It also allows easy posting to social media. There is the additional advantage of reporting in various formats that allow for inventory analysis. A great product!
Cons: One minor issue is that there is not an easy way to distinguish historical artists from current contacts, as all are tracked in a "contacts" tab. Not a big deal, really, but you do need to ensure that you're completing the profile. It would also be nice if viewers who visit the public profile could see a biography of an artist that you may have entered in the contact profile.

Overall: We wouldn't be able to run a successful art collection the size of ours without the software and support that Artwork Archive has provided over the last few years. Their team is exceptional and they genuinely care about their users both great and small.
Pros: Keeping track of your art business, inventory and collection is complex and time-consuming. Artwork Archive takes the pain out of art business management and makes your non-art business interactions look like a million dollars. It's simple and easy to use and will grow with your career. Customer support is second to none. The founders often reach out and have conversations with their users.
Cons: Customizable fields and definitions. Better integration with personal websites not using embed codes. A plan and functionality for estate collection managment.

Overall: I do understand the presentation and workflow of the Artwork Archive. However, I discontinued my use with the product as it seemed unnecessary. However, I do have a belief that they can change their options in the future.
Pros: This product review actually resonates perfectly as part of my career involves organizing visual archives. I decided to give this product a chance to shine as I was curious about what it would present. I do enjoy the clean, minimalistic appearance it prides itself in. In addition, I find myself inspired by its ease of guidance with a tutorial-listic approach to instructing its users.
Cons: I feel that, because this software gives off the impression of a community-based site, I do wish it would carry an option for users to showcase their work at a more open portal in a free plan (where they can share their work, without having to pay a large sum just to do so). It would be fair enough to provide a free plan to show your work, with limited options.

Pros: It has so many features that make maintaining inventory and creating /selecting work for events and shows so much easier. It is a great tool for managing inventory locations and sales!
Cons: Having already had a large inventory and needing to enter data initially was a huge project. I'm really glad I did it though. It is so worth it. I just made it a part of my routine to enter a few each day or so. While existing files can be entered as a batch it all depends on your existing (antiquated software, in my case) as to just how much that will work for you.

Overall: This software is extremely user friendly and has so many usable features that have already increased the visibility of our permanent and rotating exhibits. Artist profitability has increased dramatically since we implemented this system. And sharing information is so much easier than our old system. The cost is extremely affordable in comparison to other systems out there. Another feature that helped us make our decision was the number of active users you can have on the account and customizable restrictions. Even though the thought of migrating over 4,000 records and associated images was daunting, the customer service team was right there to help every step of the way. All in all we are extremely satisfied.
Pros: User friendly, ease of use, multiple users with restrictions capability, public portal to share collections, customer service, attractive interface, openness of Artwork Archive to suggest new features.
Cons: It is hard to say because I am still learning to use the system efficiently. Customizable drop down menus would be a nice feature.

Overall: I use Artwork Archive to inventory my artwork, create catalogs for galleries, make collections to get a better overview of my work, store images of my work for easy access on applications. I've also used it to create an inventory of family estate items to make the process of disbursement easy and without drama among family members. Priceless!
Pros: It's easy and fun to use and provides easy access to all info about my work making it easy to share.

Overall: Excellent! The team is super responsive. Never waited more than a few hours for a returned email, and phone calls answered by a human after one ring, every time! This level of service is the reason I would recommend Artwork Archive without hesitation.
Pros: The database is flexible, intuitive and easy to navigate. There are also many different features beyond simple inventory management.
Cons: We could have used one or two more customizable fields, but we were able to figure out a work around within the existing database structure.

Overall: We use Artwork Archive and find it an invaluable resource. I began working with the Van Every/Smith Galleries just over a year ago and Artwork Archive was already in place. It is cloud based which makes it easy for our numerous interns to use and update it. As well as for us, and any other college department, to pull up the collection of approximately 4,000 works at any time and from anywhere. Artwork Archive support staff is also terrific to work with, answering inquiries quickly and consistently adding to their page with support and how-to articles.
Pros: Ease of entering information and the visually pleasing public facing end
Cons: Looking forward to the more detailed location and location history options that are in the works

Overall: Artwork Archive makes daily collections management tasks much easier and quicker than other programs I have used. The layout is very user-friendly, and the guest-view side of Artwork Archive looks amazing. As an academic museum, we have many undergraduate and graduate student workers come through, and this program is friendly enough that anyone can feel confident using it in no time.
Pros: This software is easy to learn and is a very user-friendly way to introduce collections management to student. I'm an undergraduate student, and this program is much easier to navigate than others my museum has used in the past. There are so many great features, and the Artwork Archive team is highly receptive to feedback to improve their product. I'm proud to be able to list my knowledge of Artwork Archive on my CV.
Cons: There are some categories that I wish could be added when labeling/categorizing your artwork. It is best set up for galleries or private artists at the moment, but they are expanding features to better serve museums all the time.

Overall: As an independent artist, I use Artwork Archive to record my work, present it for potential sale and exhibition, as well as track individual pieces as they go out for shows. Additionally I have used it to document a small non-profit’s collection that includes a diversity of work including print runs. In both capacities, Artwork Archive created a one stop place to document the collections, eliminating old spreadsheets that never got updated. Highly recommend. Affordable for working artists as well as nonprofits.
Pros: Ease of use, clean, minimalist presentation, openness to feedback from users, ever improving tools and resources.
Cons: I don’t have any complaints at all, but could see room for additional forms/reports from the data.

Pros: Artwork Archive was recommended by an art marketing guru during an on-line class and I'm forever grateful. Initially I liked it because it affirmed my sense of myself as a professional artist, helping me organize my inventory and showing me how far I'd come. But it didn't take long to see all the other benefits. It's easy to use. It's super easy to search. It's flexible. Customer service is quick to respond and helpful with your specific needs. When I've brought inventory sheets with me as I dropped art at a gallery, the gallerist wished every artist they worked with were as organized. When the invoice comes every year I'm happy to pay it - it always feels like a great bargain.
Cons: Along the way I've occasionally found certain things awkward (can't remember right now), but then I'd suggest a change to the Artwork Archive crew and they usually thought the suggestions was valid and actually remedied the problem! Your questions or issues don't drop into a void - real people respond quickly and helpfully.

Pros: I love how easy it is to add files on the fly! It’s cloud-based. So, I can access it on any of my devices. I use it in collaboration with the many stakeholders who work on the hospital’s art program with me. It’s also very easy to learn to use, as opposed to many of the databases I’ve been exposed to before.
Cons: I wish I could add more than ten photos, but there are plenty of workarounds that do allow me to store additional files elsewhere within the artwork’s profile page.
