Pros

Artwork Archive’s Private Rooms and Reporting tools have been crucial toward the goal of helping my client donate art from their collection. Thanks to the easy functionality of the site, within minutes I can generate a professional-looking document to share available pieces with interested organizations.

Cons

Not really a con, but I wish I had included the entirety of the information from my existing spreadsheet during my initial data migration to their website. Then I wouldn't have had to go back and add it later. At first I only added what needed to be visible on the website. I didn't realize at the time how much I would end up using their other features!

Our experience with Artwork Archive has been excellent. The team has been extremely helpful in making sure our needs are met, and the platform allows us to maintain our collection at the level of professionalism we expect. As a small non-profit, we also appreciate that it’s affordable without compromising on quality. We highly recommend it to other organizations looking for an intuitive, well-supported collections management tool.

Pros

Artwork Archive has been an invaluable tool for our organization. The platform is intuitive and easy to navigate, which has made day-to-day use seamless for our team. Since adopting it, we’ve been able to streamline and improve several processes for organizing and managing documentation about our collection. It has brought efficiency, clarity, and consistency to our work, and we’re grateful for the way it supports both our internal needs and our broader mission.

Cons

There have been a few times when we’ve gotten stuck trying to generate the exact report we needed or wished there were more advanced filter options. That said, the support team has been excellent—quick to respond and committed to helping me find a solution each time. The ease of accessing support makes a big difference and offsets any challenges.

Reason for choosing Artwork Archive

The walkthrough with their rep was very impressive. They offer some really great features that could streamline the loan process, including private viewing rooms with favoriting options, so potential borrowers could pick from pre-selected groupings. They also have a calendar/reminder feature, the option to upload video links as well as QR code and tagging features. That's all in addition to the usual inventory features, and everything (or sections of data) can all be shared with the public via website embeds at no additional cost.

Pros

I like everything about artwork archive. Over the years, I have learned to adjust to various changes to the program , but they always made managing my art business easier and mor professional.. Today \[sensitive content hidden\] helped me out of dillema thaat was caused by my website and my server disallowing me access to one of my email accounts. I have found that i always have gotten personal and helpful service when needed and the staff is always open to new ideas on how to assist artist users.

I do understand the presentation and workflow of the Artwork Archive. However, I discontinued my use with the product as it seemed unnecessary. However, I do have a belief that they can change their options in the future.

Pros

This product review actually resonates perfectly as part of my career involves organizing visual archives. I decided to give this product a chance to shine as I was curious about what it would present. I do enjoy the clean, minimalistic appearance it prides itself in. In addition, I find myself inspired by its ease of guidance with a tutorial-listic approach to instructing its users.

Cons

I feel that, because this software gives off the impression of a community-based site, I do wish it would carry an option for users to showcase their work at a more open portal in a free plan (where they can share their work, without having to pay a large sum just to do so). It would be fair enough to provide a free plan to show your work, with limited options.

### "Great for small Non-Profits in need of low-cost organization tools"

I have loved using Artwork Archive so far! We first started using the database in April and have ramped up recently, aiming to publicly launch the online website in February for our customers! It has been incredibly easy to use and easy to get accustomed to for a first-time learner.

Pros

I love finding new features, like the bulk editing tool, which has been a life saver! The program is also incredibly affordable, which was super important to us as a small nonprofit that needed a database but could not shell out a ton of money for one!

Cons

The database can be a little limiting at times, as you can only edit the backend so much, for example certain drop downs are set. But the Artwork Archive team is very responsive and open to feedback!

We quickly knew moving our database to Artwork Archive was the right thing to do and we were right. No regrets.

Pros

Artwork Archive was very easy to use and I quickly felt I could move around it it confidently. The learning curve was not steep at all. It is easy to manage the artists in our collection, easy to manage our different collections, and we are beginning to use it to manage our exhibitions in each of our galleries.

Cons

There are not many cons to Artwork Archive from our point of view. Perhaps the only one being that we can't "thumb" through images of our collection with the click of an arrow.

Pros

Artwork Archive is easy to use, visually appealing, and saves us time when producing reports. I often recommend this collection management software, it is affordable and they often add new useful features showing a responsiveness to user feedback.

Cons

At this time there isn't anything that we dislike about Artwork Archive. The ability to have a conversation with a member of the Artwork Archive team same day or next day is wildly helpful.

I've used Artwork Archive for my personal artwork and, once I opened a gallery, was delighted to learn that I can also use Artwork Archive for that! Even better, their platform makes it all but seamless to add my artists information, bio, artist statement etc. as well as their portfolio of works onto my Squarespace website. Highly recommend!

Pros

Ease of use! It is intuitive off the bat, but also offer clear directions through the Learning Center Tab.

Cons

Not a thing. However, if I ever see that they could improve something, the kind folks at Artwork Archive will be happy to consider making necessary changes that benefit the user.

My experience with AA has been very positive. I am glad to have switched away from the old software and I am pleased with the functionality of AA.

Pros

The company was very resposive and made setup simple. The site is easy to use and versatile enough to handle all of our needs.

Cons

It is clearly designed for art galleries, and for that purpose it is excellent. However, my museum has both art and historical artifacts, and using it for those can be slightly awkward.

What's been interesting is the reaction of the professionals at the auction houses I'm dealing with and the people transporting the items. The fact that you can upload multiple photographs per item, including provenance documentation and everything else, makes it a "system of record" that could be extraordinarily useful beyond its focus, which is really working with artists. Bottom line, I love this tool. It's something I tried to create for myself using FileMaker. This works better.

Pros

Artwork Archive has proven invaluable while managing the art collection that is a part of my mother's estate. The ability to quickly create private rooms focused on specific parts of our collection has been a lifesaver.

Cons

The user interface requires a lot of back-and-forth clicking to update things. There should be more shortcuts built into it to move from editing one to editing the next in a collection. Also, it's priced for professionals and could be extraordinarily useful for people with their own small personal art collections. I suspect there's a trade-off between different types of capabilities at different price points that would really allow them to expand their market.

Pros

We love how Artwork Archive allows us to manage our art and track it through the seven locations we have. This tool has become an integral part of our daily routine for our sales and inventory.

The reports for all the artwork do not have the location history, but the locations do. We could use it for all artwork.

Artwork Archive allows to have everything in one platform and keep an accurate inventory of my work over the last 20+ years. It also allows me to set up galleries and share links to share so that colleagues, curators, gallerists, collectors, etc can see specific work available.

I haven't come across something I like the least.

Artwork Archive effortlessly gives us a professional public face, and gives us many tools to work with our art collection in many ways. Hats off to the team at Artwork Archive for making a superb, affordable product.

Pros

This is the kind of software company that gives software companies a good name. Artwork Archive has a great private face for us to track our non-profit, permanent, public art collection of 1500+ works (in 10 campus buildings) and growing; and it has a great public face for our students and the community to study and learn more about the art collection. In terms art collections software management, I don't think you'll find better than the team at Artwork Archive. They are superbly responsive and help out well when you have a question (and I have a lot of questions). The software does everything we need art collection software to do, and they keep coming up with new features we didn't know we needed but turn out to be super helpful. I have worked with other art collection software that's fabulously expensive (you know who they are) and nowhere near as good. Artwork Archive is a tremendous value for the money, and I am hugely grateful for the great team at Artwork Archive making this great product.

Cons

I am old-school: I come from the middle of the last century when everything had a paper manual. In fact, in the 1980s I helped write an early computer manual. Given my venerable seniority, I deeply miss paper manuals. I know no one makes them anymore, and no one else misses them. That being said, the Artwork Archive software is so easy to use, and the Artwork Archive team responds so fast to questions that I can't complain about them. I'm just letting you know that if you're a dinosaur from the last century, you can work well with this software. I do. My zippy and hip young assistant thinks it's good too.

We use Artwork Archive and find it an invaluable resource. I began working with the Van Every/Smith Galleries just over a year ago and Artwork Archive was already in place. It is cloud based which makes it easy for our numerous interns to use and update it. As well as for us, and any other college department, to pull up the collection of approximately 4,000 works at any time and from anywhere. Artwork Archive support staff is also terrific to work with, answering inquiries quickly and consistently adding to their page with support and how-to articles.

Pros

Ease of entering information and the visually pleasing public facing end

Cons

Looking forward to the more detailed location and location history options that are in the works

Artwork Archive makes daily collections management tasks much easier and quicker than other programs I have used. The layout is very user-friendly, and the guest-view side of Artwork Archive looks amazing. As an academic museum, we have many undergraduate and graduate student workers come through, and this program is friendly enough that anyone can feel confident using it in no time.

Pros

This software is easy to learn and is a very user-friendly way to introduce collections management to student. I'm an undergraduate student, and this program is much easier to navigate than others my museum has used in the past. There are so many great features, and the Artwork Archive team is highly receptive to feedback to improve their product. I'm proud to be able to list my knowledge of Artwork Archive on my CV.

Cons

There are some categories that I wish could be added when labeling/categorizing your artwork. It is best set up for galleries or private artists at the moment, but they are expanding features to better serve museums all the time.

As an independent artist, I use Artwork Archive to record my work, present it for potential sale and exhibition, as well as track individual pieces as they go out for shows. Additionally I have used it to document a small non-profit’s collection that includes a diversity of work including print runs. In both capacities, Artwork Archive created a one stop place to document the collections, eliminating old spreadsheets that never got updated. Highly recommend. Affordable for working artists as well as nonprofits.

Pros

Ease of use, clean, minimalist presentation, openness to feedback from users, ever improving tools and resources.

Cons

I don’t have any complaints at all, but could see room for additional forms/reports from the data.

### "I'm a big fan!"

Pros

Artwork Archive was recommended by an art marketing guru during an on-line class and I'm forever grateful. Initially I liked it because it affirmed my sense of myself as a professional artist, helping me organize my inventory and showing me how far I'd come. But it didn't take long to see all the other benefits. It's easy to use. It's super easy to search. It's flexible. Customer service is quick to respond and helpful with your specific needs. When I've brought inventory sheets with me as I dropped art at a gallery, the gallerist wished every artist they worked with were as organized. When the invoice comes every year I'm happy to pay it - it always feels like a great bargain.

Cons

Along the way I've occasionally found certain things awkward (can't remember right now), but then I'd suggest a change to the Artwork Archive crew and they usually thought the suggestions was valid and actually remedied the problem! Your questions or issues don't drop into a void - real people respond quickly and helpfully.

I use Artwork Archive to inventory my artwork, create catalogs for galleries, make collections to get a better overview of my work, store images of my work for easy access on applications. I've also used it to create an inventory of family estate items to make the process of disbursement easy and without drama among family members. Priceless!

It's easy and fun to use and provides easy access to all info about my work making it easy to share.

The business side of making art is the bane of every artist and this online tool helps to minimize that necessary part of studio life. Without it, I would spend much more time on paperwork and tracking and less time actually making art.

Pros

I like that all the parts are integrated - Contacts, inventory, and especially income and expenses. No more looking up information in various places - notebooks, Excel sheets and scraps of paper. It's all connected.

Cons

I would like a place to inventory my supplies - panels, paint, brushes, etc.

They are very responsive to feedback! I've contacted the staff several times with questions and feedback and they always get back to me promptly.

Pros

This software is indispensable for artists keeping track of work. I can track all my inventory, where it's been shown, sales, buyer info, expenses, exhibitions - everything is in one place. You can really track as much info per piece as you'd like to. My favorite part might be the reports you can generate - it's so easy to make professional-looking portfolio pages, or inventory lists, or labels that you can print or send as pdfs.

Cons

Though it's not a major part of the software, the revenue/expenses tracking portion could be a little more robust.

It gets better as I use it. The depth of functionality covers my art business needs.

Pros

Artwork Archive gives me the platform to present and manage my art in a professional manner with functional depth.

Cons

I would like to have the ability to integrate most pages from Artwork Archive into my website.

Reason for choosing Artwork Archive

I tried a few software products, but Artwork Archive gave me more functionality for less hard-earned dollars.
