### "Game Changer for National Art Programs and Non-Profits"

Artwork Archive has been an incredible fit for our program, Rare Artist, a nonprofit-led art and advocacy program through the EveryLife Foundation for Rare Diseases. The program highlights artists who use art to share their lived experiences and advocate for the rare disease community. Since 2009, we have displayed artwork through WordPress portfolio/masonry pages and even tried experimenting with virtual galleries. We consistently ran into the same pain points: limited or no searchability, difficulty organizing artists and themes, and no meaningful way to geographically visualize our community. As soon as I heard about Artwork Archive, I immediately knew it would solve many of those challenges, and it's done more than I anticipated. The team also consistently offers wonderful webinars and educational opportunities, so we know support and guidance is always available. \[sensitive content hidden\] in particular has always been incredibly kind, responsive, and willing to help problem-solve with us. I’m really looking forward to continuing to grow our usage of Artwork Archive in the coming years. My goal is to one day use the Call for Entry feature for Rare Artist submissions, instead of relying on a separate contest platform that has consistently been difficult to navigate. Artwork Archive genuinely feels like a light at the end of the tunnel for many of the organizational and accessibility challenges we’ve faced trying to manage a growing national arts program. Truly grateful!

Pros

The search and tagging features have been game-changers for us. We’re now able to easily organize artists, rare diseases, advocacy themes, mediums, and more in ways we never could before. Families can search for keywords to find art pieces that are similar to their own journey. The map feature has been our favorite! Our organization does advocacy work on both the state and federal level. Our advocates, and even our team, love being able to quickly see where artists are across the country. It has created a much stronger sense of community and visibility for our advocates. It also helps save the need to pull internal reports to identify advocates for local advocacy opportunities! It also helps us quickly see what regions of the country we need to focus on reaching to encourage program growth and reach. I also really appreciate how user-friendly the platform is. We've had 3 people, including myself, a high school volunteer, and a grad school intern, easily navigate the platform. The flexibility is also phenomenal. We don’t list collections or artwork for sale, but we were still easily able to adapt the platform to fit our needs. We also love that we can upload video links alongside artwork, which has been incredibly valuable for storytelling and advocacy.

Cons

I can't even think of one, honestly, so I'll share something I worried about that ended up not being a concern. We’re using Artwork Archive less as a sales/collection platform and more as a searchable artist archive, advocacy tool, and community showcase. I was worried that, because this is different from what was intended, it would not work. I quickly learned that the platform is flexible, most fields aren't marked as required, and incomplete information isn't even shown or noticeable when published.

We have been very pleased with the internal inventory management, ability to share ideas and artworks with outside curators and museums, and run various detailed reports and portfolio sheets on individual artworks. The inventory reports also have been useful for our insurance. As a small estate and foundation, Artwork Archive has been an indispensable component of our operations. We use the platform regularly and appreciate the level of customer service and care their team provides to deliver a seamless experience.

Pros

As an artist's estate and foundation, bringing together various artworks all in one place for curators, exhibitions, and catalogue planning has been absolutely essential to streamlining our workflow and collaborating with museums and galleries. Most partners who view our shared "private rooms" are incredibly impressed with the amount of information each artwork record holds. Having centralized details on each artwork also ensures consistency and accuracy in promotional and print materials for exhibitions, publications, and events. Furthermore, our inventory management has been much improved through Artwork Archive's platform for the estate and foundation. This initial inventory system will lay the groundwork for a more robust catalogue raisonné for the artist in the years ahead. The Artwork Archive online platform is easy to use, and amazingly, the \[sensitive content hidden\] has been amenable to adding new features to fit our needs. Since we first became a customer, they have released several valuable enhancements to improve our experience. The training and resources available online have been helpful when we have questions, and their customer service is very responsive.

Cons

The platform took a little getting used to for our small- to medium-sized collection and limited staff, and considering we were starting pretty much from scratch. The training and onboarding were very helpful, though, and the\[sensitive content hidden\], has been incredibly helpful to make sure we get up and running with what we need.

I do understand the presentation and workflow of the Artwork Archive. However, I discontinued my use with the product as it seemed unnecessary. However, I do have a belief that they can change their options in the future.

Pros

This product review actually resonates perfectly as part of my career involves organizing visual archives. I decided to give this product a chance to shine as I was curious about what it would present. I do enjoy the clean, minimalistic appearance it prides itself in. In addition, I find myself inspired by its ease of guidance with a tutorial-listic approach to instructing its users.

Cons

I feel that, because this software gives off the impression of a community-based site, I do wish it would carry an option for users to showcase their work at a more open portal in a free plan (where they can share their work, without having to pay a large sum just to do so). It would be fair enough to provide a free plan to show your work, with limited options.

### "A HUGE Timesaver"

My experience with Artwork Archive has been very positive. I've also used the chat assist feature and have gotten quick and relevant responses. Most recently, I received assistance with the reporting feature and realized that it will allow me to create pdf's of images as requested by selection committees!

Pros

I am a one-person operation. Previously, I kept my inventory, statements, etc. in Excel and Word documents, which required a fair amount of jockeying. I was on the hunt for something easier and ran across Artwork Archive. I researched a few other inventory programs and settled on Artwork Archive because it seemed the most user friendly and cost effective of the options. The program is very user friendly. I was very hesitant to start because of the amount of data - years of creative output that needed to be entered. Fortunately, I read about a data upload assist and took advantage of that service and it made all the difference. Since that initial upload, I've found it very easy to keep my inventory and activities up to date. I've also used the Private Rooms to share information requests and have received positive feedback. The recent updates allow me to add headers and personalized messages to viewers. I'm very pleased at how polished they look. Most recently, I've started to pay more attention to the training sessions and have found them to be very useful. Artwork Archive has been a big time saver.

Cons

My account set idle for a year until I found out about the data upload assist. It was a game changer and would be great if this were available for all levels. It would also be very beneficial if the inventory numbers for editions auto populated after the initial number is entered. Another thing that would be helpful is if there were a way to add exhibition data in the original edition record rather than having to do this for each item in the edition so that no matter which item in the series is selected, the viewer would see it.

Gyst - I think they are now defunct. off market due to issues with Apple products - also didn't seem nearly as user friendly Art Galleria - Closest option to Artwork Archive at the time - not integrated with Square Space, pricier for unlimited artworks. Not currently integrated, but plan to do so in the future. Artwork Archive seemed very user friendly (it is!), the reporting options was what I was looking for, and they were running a lifetime special.

The team has been extremely helpful in making sure our needs are met, and the platform allows us to maintain our collection at the level of professionalism we expect. As a small non-profit, we also appreciate that it’s affordable without compromising on quality. Artwork Archive has been an invaluable tool for our organization. The platform is intuitive and easy to navigate, which has made day-to-day use seamless for our team. Since adopting it, we’ve been able to streamline and improve several processes for organizing and managing documentation about our collection. It has brought efficiency, clarity, and consistency to our work, and we’re grateful for the way it supports both our internal needs and our broader mission.

Cons

There have been a few times when we’ve gotten stuck trying to generate the exact report we needed or wished there were more advanced filter options. That said, the support team has been excellent—quick to respond and committed to helping me find a solution each time. The ease of accessing support makes a big difference and offsets any challenges.

The walkthrough with their rep was very impressive. They offer some really great features that could streamline the loan process, including private viewing rooms with favoriting options, so potential borrowers could pick from pre-selected groupings. They also have a calendar/reminder feature, the option to upload video links as well as QR code and tagging features. That's all in addition to the usual inventory features, and everything (or sections of data) can all be shared with the public via website embeds at no additional cost.

We quickly knew moving our database to Artwork Archive was the right thing to do and we were right. No regrets.

Pros

Artwork Archive was very easy to use and I quickly felt I could move around it it confidently. The learning curve was not steep at all. It is easy to manage the artists in our collection, easy to manage our different collections, and we are beginning to use it to manage our exhibitions in each of our galleries.

Cons

There are not many cons to Artwork Archive from our point of view. Perhaps the only one being that we can't "thumb" through images of our collection with the click of an arrow.

What stands out most is how approachable they are — the Artwork Archive team makes it clear that your success with their software matters to them. Highly recommend!

Pros

Artwork Archive is easy to use, visually appealing, and saves us time when producing reports. I often recommend this collection management software, it is affordable and they often add new useful features showing a responsiveness to user feedback.

Cons

At this time there isn't anything that we dislike about Artwork Archive. The ability to have a conversation with a member of the Artwork Archive team same day or next day is wildly helpful.

I have loved using Artwork Archive so far! We first started using the database in April and have ramped up recently, aiming to publicly launch the online website in February for our customers! It has been incredibly easy to use and easy to get accustomed to for a first-time learner.

Pros

I love finding new features, like the bulk editing tool, which has been a life saver! The program is also incredibly affordable, which was super important to us as a small nonprofit that needed a database but could not shell out a ton of money for one!

Cons

The database can be a little limiting at times, as you can only edit the backend so much, for example certain drop downs are set. But the Artwork Archive team is very responsive and open to feedback!

What's been interesting is the reaction of the professionals at the auction houses I'm dealing with and the people transporting the items. The fact that you can upload multiple photographs per item, including provenance documentation and everything else, makes it a "system of record" that could be extraordinarily useful beyond its focus, which is really working with artists. Bottom line, I love this tool. It's something I tried to create for myself using FileMaker. This works better.

Pros

Artwork Archive has proven invaluable while managing the art collection that is a part of my mother's estate. The ability to quickly create private rooms focused on specific parts of our collection has been a lifesaver.

Cons

The user interface requires a lot of back-and-forth clicking to update things. There should be more shortcuts built into it to move from editing one to editing the next in a collection. Also, it's priced for professionals and could be extraordinarily useful for people with their own small personal art collections. I suspect there's a trade-off between different types of capabilities at different price points that would really allow them to expand their market.

I think Artwork Archive is amazing and would recommend it to anyone managing a collection, doing an inventory or working on a catalogue raisonne. It is great value for money and the staff is helpful and responsive!

Pros

I love how easy Artwork Archive is to learn and use! I've used other content management systems, and they were overly complicated and not intiutive in generating reports or in modifying fields. The private rooms are also simple to modify and the presentation of the collection looks professional and attractive.

Cons

It might be helpful to indicate that the tombstone information (provenance, exhibitions, etc) in the viewing room is expandable. A few people didn't realize that they needed to click to see more. I would also like the option to write dimensions for inches in fractions.

The staff are SUPER responsive, helpful, and really try to see your point of view. They also carefully consider every request or need from any user and VERY helpful with instruction when there is an aspect that I did not understand or know to use. I would panic without having Artwork Archive to use.

Pros

At this point I believe Artwork Archive is the perfect tool for an artist just the way it is! I have asked for stupid things in the past, like offer websites and such, but have grown to realize (read: learned to use) Artwork Archive that it is the most helpful thing in my life. I recently rebuilt a new website on a new service (Squarespace) and so many options are open now it's almost overwhelming.

Cons

After years of use, still nothing, no "cons" at all! They produce helpful videos, host helpful webinars, and are quick to offer friendly assistance in every jam. If that's the worst thing I can say as a grouchy, critical human being, then the choice for you is obvious- subscribe to Artwork Archive!

Artwork Archive allows to have everything in one platform and keep an accurate inventory of my work over the last 20+ years. It also allows me to set up galleries and share links to share so that colleagues, curators, gallerists, collectors, etc can see specific work available.

I haven't come across something I like the least.

Excellent! The team is super responsive. Never waited more than a few hours for a returned email, and phone calls answered by a human after one ring, every time! This level of service is the reason I would recommend Artwork Archive without hesitation.

Pros

The database is flexible, intuitive and easy to navigate. There are also many different features beyond simple inventory management.

Cons

We could have used one or two more customizable fields, but we were able to figure out a work around within the existing database structure.

Artwork Archive has been an instrumental partner in helping take Children's Hospital Colorado's arts program to new heights. Through the innovative partnership between Artwork Archive and Children's Hospital Colorado, we have increased access to art across our System of Care and created a new standard for stewardship of our fine art collection. Through the generous donation of Artwork Archive's suite of services we are able to create virtual exhibitions, catalogue every piece of art, track donor and artist information, and more easily implement pieces for the greatest benefit of our audiences. Access to creative arts in the hospital provides inspiration, respite, and joy. Artwork Archive goes above and beyond a partner or vendor, they are true collaborators who recognize that a compassionate touch makes all the difference. Their team is always looking for ways to strengthen the work we do, and it is very appreciated.

Cons

My only wish is that we were able to better integrate Artwork Archive's virtual exhibitions and collection into our existing web presence, which has proven difficult due to internal limitations on how we are able to share and produce public content.

### "NMSU University Art Museum AA Review"

Within under a year this database has truly advanced our museum database systems to another level. We are able to easily track and document all of our pieces on any laptop, ipad, or phone as needed. We can quickly create rooms to share with visiting scholars, and on campus professors which has vastly increased our ability to work collaboratively with our NMSU campus and outside. As we continue to use the software, I am certain that we will continue to find new and innovative ways in which the system provides quick and purposeful solutions to many of the issues we had with our older previous database.

Pros

The software is extremely easy to use and intuitive. The software seamlessly transferred our previous museum database information into the new software and did so in a way that provided ample space for customization where needed. The system provides easy access for searching and documenting works, and provides really detailed information regarding file uploads, artwork costs and receipts, and managing communications with artists and contacts.

Cons

I think there are a few kinks that get worked through when dealing with a collecting museum that does not sell artwork to the public, and instead focuses on the tracking and documentation of artwork in-house. Some of the tools are geared towards that specific goal, and we've worked with the team to customize and meet the goals of our own museum. The team has been so helpful in working around some of these areas, and working with us to implement some of the suggestions that we have come up with as a team.

### "An essential tool for an artist"

I now know where everything is, where it has been, and where it is going. It's fantastic for inventory and for tracking exhibitions and galleries that have my work.

Pros

I use Artwork Archive all the time. I have been a user for years, after having a disagreement with a gallery on how many of my pieces they had. I needed something better for tracking and found it. Artwork Archive keeps track of everything, and allows me to generate the reports I need for galleries, exhibitions, even for inventory purposes at tax time.

Cons

I would love some more detailed fields for tracking exhibitions since I ship most of my art, and get it shipped back to me after. (like, when do I have to ship vs when is the artwork due in the gallery, when will they ship it back vs when will it return to my studio). Overall, exhibition capabilities continue to improve which is great, but there's more that cam be done. If it could then automatically update my google calendar with entries as they are added or changed, I'd be really happy. ALthough it's helpful top see the calendar info in AA, it would be better if I can see everything in the calendar that I see on my phone and desktop.

I had spent years looking for a system to help organize my art business. Initially, all I wanted was a program to help keep track of my artwork. Finding a way to keep track of the data for each piece seemed impossible. I started using Artwork Archive in 2015 and since then they have constantly added additional features that have continued to improve their product. Also they have amazing customer service.

Pros

Artwork Archive has every feature I need for organizing the administrative side of my art practice. It is very easy to use and I can track the location and sales of every piece of art . I love that I have my collector database and art database in one spot and that it is very easy to attach a sold piece to its collector. Every sale is automatically logged so you can keep track of inventory, relationship management and income in one place. Especially helpful is that you can automatically create editions from prints and track every numbered print you produce. This is normally a real nightmare but they make it easy. Another fantastic feature is that you can just select the paintings in your inventory for a show and automatically create inventory lists, portfolio pages and wall labels for an exhibit. There really is no other art studio software anyone needs.

Cons

There really isn't anything I would want to change at this time. They keep adding elements that I didn't think I needed before.

Reason for choosing Artwork Archive

It was easier to use and the price was reasonable.

I'm a new company and it provides me the tools to manage consignment art effectively and at a reasonable cost. What I truly appreciate about Artwork Archive is that I get the sense that this team is 100% behind their mission of supporting artists. The team seems to really care. I understand technology and how it works. The ease of use of course was a factor but I was sold on their passion for artists.

Pros

It's easy to use. I like the inventory management features for artwork. It allowed me to put my new small business online in a cost effective manner. The reports are amazing. I like the fact that the company is constantly upgrading the software.

Cons

I would like more information about how to handle consignments. Formatting options for reports would be great. I'm not really sure how to effectively use exhibitions. I would like to but it's not clear. I would like to archive photos and information about exhibitions that have already occured.

It's rare that you have an equally good experience with the product as you do the company itself...and that's been the case for us with Artwork Archive. Rather than some having some seemingly impenetrable wall that you have to breakthrough to get any help or support, they are incredibly accessible. We've also found that they follow through on their promises which is so refreshing.

Pros

Ease of use, ease of collaboration and the fact that the company actually listens to their customers.

Cons

I would have to get very nitpicky to identify a con. There have been times where I wish they had this feature or that feature, but those have been short-lived as the very thing I wanted to see usually ends up as part of one of their releases.

Reason for choosing Artwork Archive

We did look at a number of solutions and ended up choosing Artwork Archive because of it was not only easy to use, but also incredibly feature rich. The fact that they are so much more reasonably priced than any of their competitors made the decision even easier.

I'm a huge fan of the fact that I can keep track of expenses, sales, shows and competitions. Such a life-saver!

Pros

I'm not an organized person, but Artwork Archive makes me seem like I am! I've found it especially helpful when I have multiple shows I'm applying for and I need to keep track of which paintings are going where. It's also awesome that I can integrate my portfolio with my web site.

Cons

I would love it if there was a way to divvy up my portfolio so I could do collection releases and have that sync with my web site... like have a separate gallery just for pieces painted during quarantine and then be able to do a release on my site that's separate from the main portfolio. Is that possible?

They are very responsive to feedback! I've contacted the staff several times with questions and feedback and they always get back to me promptly.

Pros

This software is indispensable for artists keeping track of work. I can track all my inventory, where it's been shown, sales, buyer info, expenses, exhibitions - everything is in one place. You can really track as much info per piece as you'd like to. My favorite part might be the reports you can generate - it's so easy to make professional-looking portfolio pages, or inventory lists, or labels that you can print or send as pdfs.

Cons

Though it's not a major part of the software, the revenue/expenses tracking portion could be a little more robust.

I worked really hard to set up my own gallery on my website and I still wasn’t happy with the results. Then I saw a post about Artwork Archive from \[SENSITIVE CONTENT HIDDEN\] on Instagram and I was intrigued. I’ve found him to be a trustworthy source of information and advice so I watched his video and others I found on YouTube and I set it up. It’s been fantastic and trouble free. Also I appreciate your emails and the excellent advice in them. I wasn’t expecting that, it’s a great added bonus.

Pros

It’s easy to use, easy to set up, clients find it easy to search, I find it easy to update (even from my phone) it looks professional.

Cons

I’d love to be able to organize my paintings to appear to my customers in order of medium or some other way. I know they can search and I can have collections so this is a small thing. I had to really think to come up with a con.

Every Sunday I update my inventory with sales and new pieces which are automatically reflected on my website. Every Monday I get an email telling me about upcoming deadlines for exhibits. I know where my pieces are and can generate reports, labels, and print out my artist statement as needed. If you’re looking for a tool to help you stay organized Artwork Archive is the way to go!

Pros

It takes care of the business side of things so I can focus on painting. It’s easy to use, very intuitive, and can be integrated with your website so you only have to update things once. Also - the customer support team is great - helpful and quick to respond.

Cons

There is nothing I dislike about this software - it’s awesome!
