### "Fantastic Inventory Tool and MORE"

Our family trust’s mission is to support and encourage fine art appreciation in local public schools. We aim to bring the museum to the students, fostering their minds and broadening their horizons beyond graphic novels. Many of these students would never have the chance to visit Houston’s formal museums. By incorporating these programs into the school’s library, children are exposed to art spanning Renaissance to Impressionism, accompanied by artifacts and unique minerals, presented in an accessible format within their familiar surroundings. The results have been incredibly positive. Numerous students have written us heartfelt notes expressing the profound impact of the program. In fact, just a few weeks ago, I received an email from the school with a note from an elementary student who was so captivated by the art that they invited their family to join them on the public night. Their father responded, “This is above my paygrade, If you want such nice things, you need to get a better job than I have. .” The child concluded, “So, I’ll stay in school and work hard to have beautiful things like this in my home.” In essence, there’s no greater reward than witnessing the opening and enlightenment of a single mind. Our artwork archive database has proven invaluable. It now enables the organizer, typically the District art director, to review our public collection at their own pace and curate an exhibition aligned with their teaching objectives. Previously, we relied on sending lists via email from our outdated Excel spreadsheet inventory system. Unfortunately, this antiquated system posed significant challenges in accurately evaluating our collection. Consequently, educators often created exhibitions that lacked cohesion, pizzazz, and often lacked a central message. Now, with Artwork Archive, we have a powerful system equipped with search tools that enables them to literally create an exhibition. We can then curate a private collection for a specific event, create a public-facing link, and send it out in advance to teachers within the district and parents. Additionally, we can print museum display cards that schools can print and place next to each piece, featuring a QR code that explains the artist’s history and the piece itself. This QR code link can be accessed on a phone allowing them to view in their palm theirs and take the information home as well as share with family and friends. The system’s capabilities are truly impressive, surpassing those of some major institutions. Artwork Archive has become an indispensable component of our program, enhancing the “Museum On The Go” initiative. Its ability to catalog our art, provide multiple photographs, and include the history of each individual piece has made it a valuable tool in our educational endeavors, as well as our internal record keeping and sometimes just to refresh our memories.

That’s not really a fair question there are always items that one would like that are not offered however that does not rise to the level of what I like least.

Overall, since using AA, I can now appreciate the breadth and depth of what I've been able to achieve in my art practice. I credit that to entering the information into the archive and seeing it reflected back. I still have hundreds of pieces to enter, but I'm happy with what I've been able to acheive thanks to the introductory webinar and the excellent help of the staff.

Pros

I'm thrilled that I am able to store so much information from size and price of a work, to the location and the expenses occurred along the way. It didn't take long to learn how to create a "piece" record for an individual artwork, but it took several days for me to appreciate the amount of data I could enter! I'm excited to begin the new year charting all of my expenses and income on AA and happy that I no longer have to spend minutes searching my computer for whatever file holds the information I'm looking. I'm also grateful that the staff of AA respond quickly - important as sometimes transactions with art are fast moving. Overall a great value.

Cons

I think that the public profiles on AA could be more aesthetically pleasing. In comparison to the website templates on a site like SquareSpace, the visuals are a bit stiff and the way in which the art populates the portfolio appears crowded.

### "Recommended over Past Perfect"

As a former museum curator and more recently a hospital art collection manager, I think Artwork Archive beats Past Perfect for ease of use and value for money. It can be used as a one-stop database for artworks, locations, donors, artists, organization members, etc.

Pros

Artwork Archive delivers great value for the money. As a collection management tool, it offers everything you need - the categories for data management line up perfectly with everything you need to record. It's also very easy to master.

Cons

I've been using the Artwork Archive for 10 years as a collection management tool. My experience post-dates my museum work, so I can't speak to how a current museum would find it for their public databases.

Handling the amount of artists and artwork that we do, Artwork Archive allows us to operate seamlessly through all of our curations. Everything all in one place that helps us upload, track, report, sell, and archive.

Our favorite component about Artwork Archive is how organized we can maintain everything all in one place. We are able to navigate the program effortlessly and efficiently.

My least favorite thing about Artwork Archive is when I have to work with an artist that doesn't use it!

The staff are SUPER responsive, helpful, and really try to see your point of view. They also carefully consider every request or need from any user and VERY helpful with instruction when there is an aspect that I did not understand or know to use. I would panic without having Artwork Archive to use.

Pros

At this point I believe Artwork Archive is the perfect tool for an artist just the way it is! I have asked for stupid things in the past, like offer websites and such, but have grown to realize (read: learned to use) Artwork Archive that it is the most helpful thing in my life. I recently rebuilt a new website on a new service (Squarespace) and so many options are open now it's almost overwhelming.

Cons

After years of use, still nothing, no "cons" at all! They produce helpful videos, host helpful webinars, and are quick to offer friendly assistance in every jam. If that's the worst thing I can say as a grouchy, critical human being, then the choice for you is obvious- subscribe to Artwork Archive!

The customer service is perhaps the best part of Artwork Archive. They are very responsive and helpful.

Pros

It is a great value, I like being able to keep everything in one place (including all maintenance records, etc) and being able to sort by different fields and generate different types of reports. The fact that is Cloud-based allows us to access it anywhere. And the format is very clean and easy to read.

Cons

Sometime the fields don't align with our needs. They seem more appropriate for a commercial gallery than a non-profit.

### "Best organizer ever for the busy artist"

I have been able to take my Adobe Lightroom and Lightroom Classic images and organize them in a way that it's easy to find what I need and include excellent descriptions. I can add Artist Archive to my website so visitors can see all my work cataloged in a searchable database. Now I can be more selective with what items I want to highlight, but still show more of my work for review.

Pros

The Artwork system is so well organized and fits my needs so well that it's almost like they created it for me.

Cons

Only that I didn't find Artwork Archive earlier. I've lost many images in Lightroom when upgrading my systems because Lightroom is not very intuitive.

Artwork Archive allows to have everything in one platform and keep an accurate inventory of my work over the last 20+ years. It also allows me to set up galleries and share links to share so that colleagues, curators, gallerists, collectors, etc can see specific work available.

Cataloguing my work with Artwork Archive has made the process much easier, efficient and almost enjoyable. The tutorials are really helpful whenever I'm trying out a features that are new to me.

Finding the receipts that are editable to add payments but those payments don't show up on my sales receipt that Im able to share with my client.

We wouldn't be able to run a successful art collection the size of ours without the software and support that Artwork Archive has provided over the last few years. Their team is exceptional and they genuinely care about their users both great and small.

Pros

Keeping track of your art business, inventory and collection is complex and time-consuming. Artwork Archive takes the pain out of art business management and makes your non-art business interactions look like a million dollars. It's simple and easy to use and will grow with your career. Customer support is second to none. The founders often reach out and have conversations with their users.

Cons

Customizable fields and definitions. Better integration with personal websites not using embed codes. A plan and functionality for estate collection managment.

I use Artwork Archive to inventory my artwork, create catalogs for galleries, make collections to get a better overview of my work, store images of my work for easy access on applications. I've also used it to create an inventory of family estate items to make the process of disbursement easy and without drama among family members. Priceless!

It's easy and fun to use and provides easy access to all info about my work making it easy to share.

Artwork Archive effortlessly gives us a professional public face, and gives us many tools to work with our art collection in many ways. Hats off to the team at Artwork Archive for making a superb, affordable product.

Pros

This is the kind of software company that gives software companies a good name. Artwork Archive has a great private face for us to track our non-profit, permanent, public art collection of 1500+ works (in 10 campus buildings) and growing; and it has a great public face for our students and the community to study and learn more about the art collection. In terms art collections software management, I don't think you'll find better than the team at Artwork Archive. They are superbly responsive and help out well when you have a question (and I have a lot of questions). The software does everything we need art collection software to do, and they keep coming up with new features we didn't know we needed but turn out to be super helpful. I have worked with other art collection software that's fabulously expensive (you know who they are) and nowhere near as good. Artwork Archive is a tremendous value for the money, and I am hugely grateful for the great team at Artwork Archive making this great product.

Cons

I am old-school: I come from the middle of the last century when everything had a paper manual. In fact, in the 1980s I helped write an early computer manual. Given my venerable seniority, I deeply miss paper manuals. I know no one makes them anymore, and no one else misses them. That being said, the Artwork Archive software is so easy to use, and the Artwork Archive team responds so fast to questions that I can't complain about them. I'm just letting you know that if you're a dinosaur from the last century, you can work well with this software. I do. My zippy and hip young assistant thinks it's good too.

Artwork Archive has been an instrumental partner in helping take Children's Hospital Colorado's arts program to new heights. Through the innovative partnership between Artwork Archive and Children's Hospital Colorado, we have increased access to art across our System of Care and created a new standard for stewardship of our fine art collection. Through the generous donation of Artwork Archive's suite of services we are able to create virtual exhibitions, catalogue every piece of art, track donor and artist information, and more easily implement pieces for the greatest benefit of our audiences. Access to creative arts in the hospital provides inspiration, respite, and joy. Artwork Archive goes above and beyond a partner or vendor, they are true collaborators who recognize that a compassionate touch makes all the difference. Their team is always looking for ways to strengthen the work we do, and it is very appreciated.

Cons

My only wish is that we were able to better integrate Artwork Archive's virtual exhibitions and collection into our existing web presence, which has proven difficult due to internal limitations on how we are able to share and produce public content.

We use Artwork Archive and find it an invaluable resource. I began working with the Van Every/Smith Galleries just over a year ago and Artwork Archive was already in place. It is cloud based which makes it easy for our numerous interns to use and update it. As well as for us, and any other college department, to pull up the collection of approximately 4,000 works at any time and from anywhere. Artwork Archive support staff is also terrific to work with, answering inquiries quickly and consistently adding to their page with support and how-to articles.

Pros

Ease of entering information and the visually pleasing public facing end

Cons

Looking forward to the more detailed location and location history options that are in the works

### "NMSU University Art Museum AA Review"

Within under a year this database has truly advanced our museum database systems to another level. We are able to easily track and document all of our pieces on any laptop, ipad, or phone as needed. We can quickly create rooms to share with visiting scholars, and on campus professors which has vastly increased our ability to work collaboratively with our NMSU campus and outside. As we continue to use the software, I am certain that we will continue to find new and innovative ways in which the system provides quick and purposeful solutions to many of the issues we had with our older previous database.

Pros

The software is extremely easy to use and intuitive. The software seamlessly transferred our previous museum database information into the new software and did so in a way that provided ample space for customization where needed. The system provides easy access for searching and documenting works, and provides really detailed information regarding file uploads, artwork costs and receipts, and managing communications with artists and contacts.

Cons

I think there are a few kinks that get worked through when dealing with a collecting museum that does not sell artwork to the public, and instead focuses on the tracking and documentation of artwork in-house. Some of the tools are geared towards that specific goal, and we've worked with the team to customize and meet the goals of our own museum. The team has been so helpful in working around some of these areas, and working with us to implement some of the suggestions that we have come up with as a team.

### "Artwork Archive is a great tool for Academic Museums"

Artwork Archive makes daily collections management tasks much easier and quicker than other programs I have used. The layout is very user-friendly, and the guest-view side of Artwork Archive looks amazing. As an academic museum, we have many undergraduate and graduate student workers come through, and this program is friendly enough that anyone can feel confident using it in no time.

Pros

This software is easy to learn and is a very user-friendly way to introduce collections management to student. I'm an undergraduate student, and this program is much easier to navigate than others my museum has used in the past. There are so many great features, and the Artwork Archive team is highly receptive to feedback to improve their product. I'm proud to be able to list my knowledge of Artwork Archive on my CV.

Cons

There are some categories that I wish could be added when labeling/categorizing your artwork. It is best set up for galleries or private artists at the moment, but they are expanding features to better serve museums all the time.

### "An essential tool for an artist"

I now know where everything is, where it has been, and where it is going. It's fantastic for inventory and for tracking exhibitions and galleries that have my work.

Pros

I use Artwork Archive all the time. I have been a user for years, after having a disagreement with a gallery on how many of my pieces they had. I needed something better for tracking and found it. Artwork Archive keeps track of everything, and allows me to generate the reports I need for galleries, exhibitions, even for inventory purposes at tax time.

Cons

I would love some more detailed fields for tracking exhibitions since I ship most of my art, and get it shipped back to me after. (like, when do I have to ship vs when is the artwork due in the gallery, when will they ship it back vs when will it return to my studio). Overall, exhibition capabilities continue to improve which is great, but there's more that cam be done. If it could then automatically update my google calendar with entries as they are added or changed, I'd be really happy. ALthough it's helpful top see the calendar info in AA, it would be better if I can see everything in the calendar that I see on my phone and desktop.

Reason for choosing Artwork Archive

Arwork Archive has all the most important features I need, and at a very reasonable cost. It's a no brainer.

### "Excellent collection management tool for artists and non profits "

As an independent artist, I use Artwork Archive to record my work, present it for potential sale and exhibition, as well as track individual pieces as they go out for shows. Additionally I have used it to document a small non-profit’s collection that includes a diversity of work including print runs. In both capacities, Artwork Archive created a one stop place to document the collections, eliminating old spreadsheets that never got updated. Highly recommend. Affordable for working artists as well as nonprofits.

I don’t have any complaints at all, but could see room for additional forms/reports from the data.

Pros

It has so many features that make maintaining inventory and creating /selecting work for events and shows so much easier. It is a great tool for managing inventory locations and sales!

Cons

Having already had a large inventory and needing to enter data initially was a huge project. I'm really glad I did it though. It is so worth it. I just made it a part of my routine to enter a few each day or so. While existing files can be entered as a batch it all depends on your existing (antiquated software, in my case) as to just how much that will work for you.

The software I was using was no longer being upgraded and it was gradually becoming obsolete. When I bought a new computer it would not transfer.

I had spent years looking for a system to help organize my art business. Initially, all I wanted was a program to help keep track of my artwork. Finding a way to keep track of the data for each piece seemed impossible. I started using Artwork Archive in 2015 and since then they have constantly added additional features that have continued to improve their product. Also they have amazing customer service.

Pros

Artwork Archive has every feature I need for organizing the administrative side of my art practice. It is very easy to use and I can track the location and sales of every piece of art . I love that I have my collector database and art database in one spot and that it is very easy to attach a sold piece to its collector. Every sale is automatically logged so you can keep track of inventory, relationship management and income in one place. Especially helpful is that you can automatically create editions from prints and track every numbered print you produce. This is normally a real nightmare but they make it easy. Another fantastic feature is that you can just select the paintings in your inventory for a show and automatically create inventory lists, portfolio pages and wall labels for an exhibit. There really is no other art studio software anyone needs.

Cons

There really isn't anything I would want to change at this time. They keep adding elements that I didn't think I needed before.

Reason for choosing Artwork Archive

It was easier to use and the price was reasonable.
