Owner Retail Used the software for: 2+ years ### "Square Payroll 10/10" July 7, 2025 5.0 Pros I like that staff can clock in and clock out for their shifts with Square Payroll, their tips are automatically added to their paycheck along with commission, and I receive test messages when a payroll run is about to happen so I can double check it. Staff can also adjust their time cards and send it in as a request if they forget to clock in/out which makes it super simple for me! Plus, they handle my new hire paperwork, quarterly payroll filings and TAXES. They can also request vacation through Payroll and I am sure I am forgetting other features that happen in the background! Cons I wish it Square Payroll/shifts synced up with Square Appointments so I don't have to schedule staff shifts & staff appointment windows; I am basically scheduling twice. October 24, 2025 5.0 Overall, the software is a great value and it's money well spent. It offers everyone ease of use and is reliable. If you are looking for a simple software that makes running payroll easy, then look no further.. However, if your business requires highly complex custom reporting or deeply integrated HR functions, you may find the platform too basic for your long-term needs. Pros Square is great because it's easily integrated with other systems. Because of this it is easy to use them for other things like timecards, tips, commissions, and more. The system is incredibly easy to set up and run. So far all of our team has been able to use it easily. Running payroll is easy and takes very little time since all the staff uses it. Cons We have 2 main issues with the software and that's making it more customizable and also getting customer service support is sometime difficult. Since square makes the software easy to use it sometimes lacks in certain areas. It would also be nice if customer service had extended hours because a lot of our staff works late. June 10, 2025 5.0 Square has been immeasurably helpful with getting and keeping me organized in regard to payroll. They send reminders and make sure I'm following all the local, state and federal laws, and organize my employee taxes so easily. Now that we have been using it for a year or more, its practically automated. The transition was harder for me, as my former payroll company had a more manual system, and the formatting process was harder for me to understand than Square. The other company made it too complicated, and Square is much easier to use and navigate, once you get used to the system. It was tough, but their customer service team was always there, ready with a real person to help guide me. You should try them. Pros Very easy to track and import wages. a 3 minute process. I went from a manual system to this. No more anxiety around payroll anymore. I know its correct. Taxes are shipped off and on time every time. Cons The set up was a bit tough for me, as I was in over my head with the tech at first. But they held my hand and answered every question I had. It was intuitive and easy to use to begin with, but they keep adding products and improving functionality. Pros There is so much to love about Square Payroll, but ease of use is at the top of the list. Our team members are able to clock in/out on our POS, which populates timecard info that is imported to run Payroll. I can track & pay out PTO, withhold Child Support payments, distribute tips -- it's all super intuitive and clear, for both me and my employees. I also love that they automatically withhold and remit Payroll Taxes. It gives me a ton of peace of mind! Cons Honestly, I can't think of any Cons. It's intuitive, easy to use, and affordable. Pros The dashboard of Square Payroll was very easy to use & navigate, I had ran into alot of problems when it came to time off requests & also direct deposits being made on time/payday. Cons That there were a few times that employee direct deposits were not deposited when they were to be deposited ie: payday. It files and pays our quarterly taxes, W-2's, Worker's Comp Insurance, Employee Benefits, and Wage Garnishments. Pros Square Payroll is super user friendly. It has a ton of features we use such as time tracking, direct deposit, and benefits. Cons I would prefer if we could change the cut off day time to a day later in the week but still allow for Friday direct deposits. Currently the cutoff is set to 11pm on Monday for a Friday direct deposit. Mondays are always super busy for us and there are many times I am unable to get payroll in on time, resulting in me having to write checks. February 1, 2023 5.0 Square managed to ensure that our employees could receive their salary at the right time and without any kind of delay, in addition, our company is of medium size, so the manual payroll process was quite complex, we had to spend a lot of time to inspect and make payments, plus we had to hire more people to run these payrolls, so Square has replaced all of that, with their automated Payroll system. I'm happy with the results obtained with the help of Square, I have been able to make unlimited payroll payments, I have been able to make deductions from salaries and many other things. Pros Square made the payroll process so much easier for our entire company. I loved the way this platform allows me to use the trip monitoring function, this function was very important to me since it works in real-time and allows me to monitor all the trips scheduled by our employees, I can see the amount spent on that trip and many more details. I also liked how accurate and without delays the payroll payments are executed, this way fantastic because it allowed our employees to be able to receive their payroll simultaneously, all payments are executed through this system on the same date and same time. I liked the automated service to send payment report to our employees mail, this helped a lot so that our employees could see what debits there were in their payroll, or any added bonus. Cons The only problem with Square is that it is difficult to correctly configure this service to integrate it with the time measurement service, it was so difficult that after a weed trying to do this integration, we were not successful. However, we currently export the time reports and import them into the Square platform to execute the corresponding payments, but it would be great if this integration was easier, so that we can enjoy it in our company. The W-2 Preparation features makes tax season a breeze. Sending employees W2s is all within the app. Vacation/Leave Tracking has truly increased the productivity of payroll and bookkeeping. This is the ultimate feature for this application. Cons I feel as though with time Square Payroll will rollout a more aesthetically pleasing interface but I do not find any cons. The use of this software means that I do not have to worry about filing the various and sundry state and local tax statements quarterly and annually. This is done automatically. I also do not have to figure out the various taxes to be withheld. The software does it. Although I have a small business, I can run payroll in less that five minutes. It doesn't matter if I am in my high season, or my low season, it takes the same amount of time because of the integration. Pros I own a small gelato shop. I use Square as my POS, my time card system and for my payroll. The integration of the products is seamless. The time card system allows the employee to clock in and out and that time flows right into the payroll. The time card system also allows me to add a lunch break or correct a timecard if someone forgot to clock in or out. The flow from timecards to payroll is a click of the button. The payroll system also allows for individual benefits, both pre- and post-tax and both hourly or salaried employees. The taxes are paid by Square and are calculated and paid on-time, removing a big headache for me. The tax reports are easily accessible and can be downloaded for those time when they are needed, like for PPP or other loans. Cons The only time that I have had to call support was to find out how to put in a post-tax benefit. That was not intuitive in the software, but very easily done once you knew which button to click. Pros Hands-down is the high compliance standards for very low cost. Close runner-up reasons are ease of use, both from the employer side as well as the employee side. This software is really great, offers a lot of protection, and cuts my payroll processing manhours from tens of hours every week to roughly 45 mins of double-checking things before hitting "PROCESS". Seamless direct depositing, set-up and managed by the employees themselves (though I can go in and make changes if they need help - only had that happen once so far, but still important). Very very VERY intuitive if you have spent even a little time in any other payroll software (yes, including manual spreadsheets). Cons I haven't had a chance yet to test the multi-state or international aspects (assuming international even exists). Reason for choosing Square Payroll We ultimately chose Square Payroll because we liked its POS interface and decided to give another product by the same company we already liked a try. It's quick and easy to use, and the customer service has been wonderful, especially for someone so out of their depth. Pros Like many small businesses, payroll is not something I know how to do. I needed a quick and easy way to handle this and still be in compliance with all the laws. It's a bit daunting, but Square Payroll made it so simple. I don't have to worry about anything because they handle everything with incredible efficiency. Cons I do wish I could have the vacation tracking be done simply by the month, and not by hours worked. My team gets vacation time based on the month they work instead of the hours because we have slow months where they don't work as many hours, but I still want them to have the benefit of that time off. Now I live and work in Colorado and find the cross sector platforms of running a business so seamless and intuitive. Also in the age of remote working, now I do not fear hiring either 1099'ers or employees as Square Payroll serves as the HR master in compliance. Pros For decades I have used a variety of platforms to process payroll. Since I already use Square on the frontline as a merchant services platform, it makes sense to use the payroll application to keep transactions simple and easy. Cons The only con that I have experienced was with a third party vendor that offered insurance services as part of the add-ons. It was a short lived and minor crisis and we have found a solution.
