Comments: Despite internet delays, ICA Notes are professional looking documents that can be customized. It is also economic. It helps to practice on a fake client to learn the system but once you do (it took me about 10 times and trust me, I'm not computer savy). I can now do a progress note in about 3 minutes. Plus, there is no paperwork to worrry about losing.

Pros: I like how professional my documentation looks. I also like that I can add my personal touch and that I can there are screenings available to keep track of my client's progress.

Product works great WHEN IT WORKS! So frustrating that it has so many glitches (almost weekly)

Pros: I love the ease of documenting a well organized psychiatric note. HOWEVER I'M ON THE PHONE WITH IT AGAIN THIS MORNING!!! I feel like I have to come into work early just in case ICAN is down.

Cons: So many times (again almost weekly) that I have to call IT about server issues that slow down my practive. Can't access records or patient schedule. UGH!! AND even they never compensate you for the time that their product is not functioning!

One the best EHRs I have ever used including the "big names".

Comments: Simply the best customer service of any company I have had the pleasure of working with. Throughout the whole company everyone is constantly working to accomplish some not so simple things (well as I see anyway) and this is to work for the providers to meet all the requirements of federal, state and private insurance sources while accomplishing meaningful use standards to get the provider paid appropriately for the level of services medically needed at all levels of Mental Health Service. Some companies just talk, not this one. They are always there when I need them and I have been with them for 4 years. Now I am just one provider but so far as I can see this company ICA NOTES could handle all you needs no matter how large. Michael Southern Board Certified Psychiatric APRN Garden City, Kansas. elementsofchangemsouthern@gmail.com.

Pros: So many things but the biggest pro for me as an individual provider is not having to type and still reach the highest medically correct billing. The ability to auto post payments from the clearinghouse right into ICA Notes is worth gold to me.

Cons: The only con to this program is it does yet have the ability to let customers self schedule or reschedule but I think this may be in the works.

Slightly satisfied.

Comments: We would appreciate a patient portal or mobile capabilities (i.e. tablets, smart phones, etc).

Pros: We appreciate the versatility with creating initial assessment or progress notes (i.e. tabs, buttons, etc.).

Cons: We have had consistent troubles getting claims correctly prepped. Information will be dropped or added incorrectly. Current example with ticket #: 104307

Pros: It's easy to use.

Cons: It's geared to psychiatry, not psychology (it's like non prescriber use is an afterthought). Although they say you can customize it, I haven't found that to be true in practice.

Overall: IcaNotes is clearly written for psychiatrists primarily so it is less flexible than I would like as a psychologist. Still, it is a good value, my notes get done quickly and the printout always looks professional.

Pros: The program does everything we need. All tasks can be completed with the features encompassed in the program.

Cons: Minor issues......
1- I find the appointment book is extremely slow. I was told it would improve several months back but, the staff reports this most often and is the most reported issue that becomes time-consuming for staff scheduling and is frustrating for clients waiting on the phone.
2- Populating the Treatment Plan - when completing a follow-up treatment plan it populates every treatment plan into the new one created. This becomes costly if you have a client for 3 years +
Ex. A treatment plan every 6 months for 3 years and an average of 4-5 pages per plan x 6 treatment plans printed for a client, the last treatment plan cumulates to 30 pages. It doesn't allow the plan to start over with a fresh slate for a new treatment plan without including the old ones as well. (Unless I haven't figured it out, which may be the case) :)

Overall: We have been using the ICANotes program for 4 yrs. The customer service has been exceptional and courteous. They offer webinars and training for all aspects of the program and include tutorials on their website which is great when hiring new staff. ICANotes has assisted us with issues and accommodated our needs when modifications/adjustments were requested to suit our practice needs. The team at ICANotes has responded and implemented several options we suggested to improve our service delivery to clients. In addition, ICANotes has added many features to the program to meet the growing demands in the field of behavioral health.
I love the fact this EMR was created by Dr. Richard Morgenstern, a psychiatrist. This program was specifically designed for behavioral health and not a modified version or altered from a medical model template. It is also a plus that one of the offices of ICANotes is within 30 min from our agency. Their staff was available to visit us and provide support when we opened in 2012. I have seen this company grow rapidly in 4yrs. since using this program which as benefited us in our growth as well. I gave ICANotes for every category primarily because it is well deserved for their hard work in keeping up with integration and the ever changing guidelines with coding, billing, and documentation etc., in behavioral health, which has made my life so much easier with running my business.
However, the I gave for the value of money is a double edged sword.....And in no way do I want this to reflect as a negative connotation to the program. The rating is not entirely due to the cost of ICANotes program but also includes regulation guidelines set forth by many Insurance providers. The reimbursement rates set by insurance providers are not increasing at a rate they should be to providing services in behavioral health field. An increase in rates would tremendously help offset the additional costs accrued for agency's to remain in compliance with state, federal and local regulations thus, allowing agencies to add additional features that could really benefit service delivery.
**Just an idea.......maybe to see some type of incentive programs offered to exist ICANotes customers who are growing and continue to add clinicians and features to their ICANotes program. That would be great.
All in all, this is a phenomenal program, and I would highly recommend it to all behavioral health clinicians and practices.

Recommendations to other buyers: 1- It would be great if the electronic signatures were displayed on MacBook. Mine always shows an ERROR msg. Although, the signature is still there on other window computers in the office. I can't print and send docs to other offices with this bc it looks like the client did not sign correctly, with the ERROR msg by the signature. 2- I was recently mad aware the TOPAZ signature pad now has a wireless signature pad. It would be great if it was compatible with the ICANotes program. I have had to replace 2 pads due to the cord becoming twisted from clients signing and moving the pad back and forth. The NEW wireless TOPAZ would eliminate this issue and have saved me $1060.00 for 2 signature pads. And TOPAZ does not offer a replacement cord. There is a charge over $100.00 to send it back to be repaired. No issues thus far with 3rd party add one, Dr. First works well. I canceled SFAX due to poor customer service and excessive cost, and ongoing failed faxes. Approximately 6-10 in any given day. It was a nightmare. Spoke with the tech at ICANotes, I 'll wait for ICANotes to initiate their own fax program.

Overall: I have used ICN for almost 4 yrs now and I continue to be very pleased. It is an excellent EHR for behavioral health. The format is easy, documentation is quick and also very easy. Cons: That you can't hit enter when typing in a patient name in search mode and there is to much mouse clicking for a lot of things, otherwise no complaints

Whenever I have had problem with ICANotes, anyone who answered the phone has been freindly and very willing to help with any matter. I would recommend this to anyone.

Comments: I have reviewed this system for 1 year prior to purchasing. The ease and functionality of the electronic health system is helpful for new employees. Also, the availability to create customized areas that are suited to your company's needs is superb! Last but not least, the customer service is amazing! Comments: I have been working within ICANotes for approximately 2 years, having transitioned from two different EMR systems. Overall, I have found ICANotes to afford a much broader spectrum of clinical flexibility for progress notes and new assessments. Care procedures, symptoms, medications, and historical data are all-inclusive and well organized for ease of use, which is vital for a fast-paced environment such as the one I work in. My particular job involves scribing for psychiatrists during back to back assessments for an acute psychiatric care hospital. This involves obtaining important historical data, current client concerns, daily medication changes, progress, and treatment plan options, all which have to be captured as quickly as possible as client is seated in assessment room. Having such an organized system helps me maintain an accurate and quick speed, which is crucial to my work. This is the first program I have used that caters to this need.

Pros: I appreciate the ability to build algorithms, to quicken my pace, and ICANotes affords me this ability. The various chart screens are easy to maneuver and contain clear and thorough guideline categories that require just a click of a button to incorporate into the notes. The medication areas are user-friendly and contain a broad selection of medications to choose from. At each chart front page, it is easy to see allergies and medical concerns in one glance, which promotes safety and easy recall to providers, when necessary.

Cons: A primary concern has been connectivity continuity. Our office has had to switch to a web based launch, as opposed to remote log-in, due to considerable interruptions and stalls, which were were very time consuming and frustrating, given the pace that my work requires to be maintained. However, the connection options we have now are much improved, overall. For the purpose of creating a tidy note, I also would prefer that categories to be left-align in each section so that the headers would not appear to be floating in the middle of the page. This may seem like a small thing, but, when creating over 30 notes a day and spending time left-aligning each category of use, this can be a time hindrance.

Pros: I think the form letters feature is wonderful but beyond that I am so utterly frustrated with ICAN it's difficult to come up with much I do like.

Cons: It never works. It's clear the server space is insufficient for the amount of traffic. I am constantly getting thrown out or having to deal with a frozen screen, regardless of whether I'm at the office or at home. Saturday afternoon is the really the only time ICAN works. Unfortunately, I'm on ICAN on Saturday afternoon because it is too difficult to use while at work. I wish I could get back the amount of time I spend working on weekends due to ICAN's lack of performance.

Recommendations to other buyers: ICAN isn't worth the frustration. I have to keep Word open during intakes and regular sessions because the only thing I can count on is that ICAN will freeze and stop working.

Comments: ICANotes has been a solid system providing the flexibility and compatibility needed in today's complex healthcare system(s). Initially and even today, ICANotes promotes itself as a behavioral health platform. However, as a larger Integrated Care private practice with over 30+ users and a multidisciplinary team of professionals this EHR has been able to meet every need we have had and more. The platform does require improvements to hopefully navigate away from being accessed through RDP (remote desktop) only, but this among other things the ICA team tackles head on and I cannot say enough about their support team(s) from sales to development and EDI. We continue to use ICA with confidence knowing that if/when we have a need it will be met promptly by a team that is knowledgeable in today's ever changing healthcare world, but a team that is also small enough to care making us feel they are truly "Pro-Provider" which is rare among the corporate world of electronic health record systems. We use every feature daily including e-Rx., assessment & clinical documentation, billing and laboratory result integration. ICANotes has nearly every feature for full clinical practice management outside of specific accounting capabilities and a time-clock - everything else happens in ICA. Our practice has been satisfied overall based on our direct experience with the software and our relationships with the people behind it. EHR can be a scary leap to take (especially for the one(s) paying the bills), but I am confident we made the right choice based on our unique practice and needs.

It has been extremely frustrating to use this product.

Pros: I can't say I like anything best about the product, it would meet our needs if they could increase the speed of the program and make the Schedule portion usable.

Cons: The schedule is non-functioning, useless. The support team is available but not knowledgeable about their product and problems that arise from it.

Recommendations to other buyers: Don't take the tutorials at face value, they work great in training mode but ask to see real time demonstration or ask for referrals of others using their product. I asked for that with this product but was denied, I should have recognized that as a red flag.

Pros: I like the preset options that are available. I use many of them to speed up note taking. I also like the ability to add my own quick key options. My notes can be done very quickly with this program. I have a Macbook air and it works wonderfully. One thing that is important to me is customer service. I have used the online chat as well as called the support number. I am extremely impressed with the staff. They are fast, friendly, and knowledgeable. I always know when I contact support it will not take long and they will solve my problem.

Cons: I think the old 2008 windows interface could use some updating. There is probably a better flow they could come up with for placement of buttons but once you get used to where everything is it doesn't matter. Learning any notes program takes time at first.

Recommendations to other buyers: If customer service is important to you then this is the company for you. If you like the ability to click on a few buttons and design your own phrases to be in a program you will like this EHR system.

Pros: I like the layout of the documentation. Technical support are friendly even when my needs are not being met

Cons: This product has a lot of technical issues. I spend so much time trying to re-log in. This has been extremely frustrating to work with. This problem started about 2 months ago. I have called technical support on numerous occasions to resolve this issue but there seems to be no progress. I have come to believe that the team is not capable of resolving this serious issue.

Recommendations to other buyers: Committing to a software is very serious as it is not easy to jump from one to another once established. I would recommend that you talk to other providers or clinics that uses the program before signing up.

Pros: Know that my best choice was to throw in the towel and cut the losses.

Cons: After 8 months of endless problems and little support from technicians, we discontinued using the software. The extra expense of paying for mistakes made by a poorly conceived and slow-running program, for which the technicians and management would not and/or would not remedy, is unfortunate. The vendor refused to compensate for lost revenue due to poor programming.

Recommendations to other buyers: Stay away. Do not waste your time and resources on this clumsy, slow and poorly designed EHR. Promises made were not kept.

Cons: It used to freeze up a lot, but it seems like they have been working hard figuring the issue out, because it has gotten better the past few months.

Recommendations to other buyers: If you are a mental health provider, the billing system is very user-friendly once you've learned to use it.

Pros: It has quick and accurate session notes. Many standard statements are pre-programmed onto buttons, and there are many customization options. The company has a real focus on customer service. They do a great job of advising customers if there are any performance or other problems. Customer communication is outstanding. I have increased my productivity by as much as two sessions per day in the time I save using this product.

Cons: Nothing. The product is easy to use, the interface is intuitive, and the support is outstanding.

Recommendations to other buyers: Just do it. I l have looked at many other products, and this is hands down the most complete, accurate, and easy to use.

Comments: The staff is very friendly and do their job quite well... Unfortunately for a year my Icanotes freezes on a daily basis due to "traffic". We even attempted getting a faster internet connection and I was still told it was from the internet connection although it def isn't.
Otherwise it is a great program, friendly staff and easy to use.

Vendor Response

by ICANotes on October 01, 2014

ICANotes requires a steady Internet connection for security reasons. Any interruption in signal is interpreted as a potential hack which may signify a security problem, Internet connection problems while beyond ICANote's control are easily mitigated by our IT department. Our staff tests connections and works directly with clients IT resource and or Internet Service Providers in identifying and fixing network problems. Freezes are symptoms of broken connections between a clients computer and our servers. These are easily remedied by a cooperative effort between ICANotes and individual practices.

Comments: We had our re-certification evaluation by the state. The agent said they are the "best progress notes he has ever seen". We told him we credit ICANotes. He said to give some credits to ourselves. The program is very user friendly for the therapists. Our office manager has had some difficulties with billing but the company was supportive of her inquiries and assisted her with the glitches.

Pros: Loved the ease of downloading to my computers and finding video instruction for using the program. The support staff has always been extremely helpful and friendly. I like the features that allow me to tailor my progress notes to the way I focus on treatment issues. Progress notes can be completed very easily and quickly. Appointment book and patient account features are easy to learn and use.

Cons: The billing on HCFA forms will only print one service per form and I would like to be able to print and bill weekly or monthly with several charges on one form. If you subscribe to clearinghouse for billing this is not an issue.

Overall: Overall, I am very pleased with ICANotes for electronic mental health records. They appear to be keeping this product current to meet the everchanging needs within the mental health field. I have recommended this product to other professionals in my area.

Pros: I shopped for months to find an affordable and adequate program to assist me with keeping my documentation up to date. When I found ICANotes I was very pleasantly surprised to find it has exceeded my initial expecations. Once I got caught up with documentation, I found it takes only minutes to document after each session, adding the individual's unique comments and my observations easily to the appropriate sections allowed in the format. So easy to edit, save and print. I am a very grateful therapist!

Cons: Since I am one who does not enjoy reading manuals, I was happy to learn from videos provided by ICANotes. However, I would have preferred to have just "explored" the software and figured it out, I did sit through a few hours of video training to discover how to do what I needed to do. (I must admit I am happy to have those videos available for swift research, when needed.)

Overall: Since I am an individual in private practice, I cannot speak for how well this works for groups. Yet, I can tell you it is a Godsend for myself and my billing agent, who is also registered on my account and can simply look at the appointment schedule for the week, see who came in, and go do the billing for those sessions. We no longer have to make time to meet, dragging along files and flash drives. I love that it takes only 5-20 (max) minutes to document anything, from initial evalutation to routine follow-up sessions. I certainly do recommend this software for any therapist who would enjoy appropriate documentation without reinventing complete notes from scratch after each session. At professional meetings I share with colleagues routinely about this software. My mentor, now retired, exclaimed (while sitting at my side, observing the ease and speed of utilization), "Where was THIS when I was in practice?!?"

Pros: I enjoy the flexibility of the program for taking my text and formatting it professionally for letters and notes.

I like how I can use menu options and easily change them to reflect my own ideas.

Technical support is immediately available, but answers are short and there is little opportunity to get a more in-depth orientation. I took the test drive and found it to be helpful, but this hasn't been an advertised offering for current users, and I think it should be.

Cons: The options for therapy interventions and treatment planning are old fashioned and problem focused. More advanced therapeutic practices are solution focused and strength focused.

There are also very few options for reflecting relationship based problems and solutions- the orientation is almost entirely intra-psychic instead of interpersonal.

Overall: Get some psychologist or other therapist to expand the text options for other types of treatment.

Pros: -Excellent customer support
-Constantly updated and improved
-Easy to use
-Easily customized to my needs as therapist
-Set for a wide range of healthcare providers
-Integrated billing process
-Quick notes that touch on all important aspects of visit
-Economical, especially in light of how much you receive for the monthly fee

Cons: There are really very few cons that I would downgrade ICANotes about.

Overall: I have used ICANotes off and on since the early 2000's. The only reason I stopped using this powerful program was due to the constraints of where I was working. There are so many improvements over the past 10 years that when I returned 2 years ago I was amazed. Perhaps one of the best features is there customer support system. Questions are quickly answered. If you have suggestions for improvement, someone actually reviews these and even implements the better suggestions.

I could not recommend this software system enough. I wholeheartedly give this a 5 star rating!!

Pros: I've been using ICANotes for almost 5 years. I have a (mostly) solo LTC and ALF practice. I am able to work on site or do progress notes later in my office. ICANotes creates a narrative note that is readable and thorough. I get lots of compliments on my documentation and I feel more confident in my coding. Customer service is excellent. It is easily searchable.

Cons: Needs an internet/wifi connection which can be ify in rural areas.

Overall: It not only gets the job done it has enhanced my practice. Wouldn't trade it!

Pros: Lots of features. Staff welcomes suggestions for changes. Much can be done with a few clicks. Some customizability. Once you get the hang of it you can produce a reasonably good clinic note in a brief period of time. Top level management will respond if you ask. I think one of the best features is that you can access it from any computer with an internet connection, at no extra cost.

Cons: I give very frank reviews and I know something about software development, so consider that perspective in the following "cons". A little slow at times, even with a very fast internet connection. The application was not developed from the ground up using machine code. It is built on a platform that sometimes slows the process (on rare occasions frustratingly so) and limits the flexibility of developers and tech staff in creating a high level of adaptability. But if you don't mind a bit of awkward formatting and not having a couple of common keyboard functions (e.g., the Enter key on the numeric keypad), you can produce acceptable output. I suspect a competitor will emerge without these limitations in a year or two; maybe that will prompt some improvements.

Overall: The best overall dynamic documentation program I have seen so far. Learn to work around the limitations and you'll probably like the product. It does help you save time. Note, however, that if you have a low-volume practice it may not be as cost effective as it is with practices that have a high level of patient flow.

Pros: I have found it very easy to use and learn very quickly. I was able to complete almost all my notes during visits with patients by the second day of use. I also found that typing personalized information was actually easier than handwriting notes .As I see a fair number of Workmans Comp patients it insures legibility and makes for a more refined note which has to be submitted with claims. I have not yet used the customizable buttons yet (I've only been at this one week) but expect that using them will make my notes seem more like what I naturally write. I also like the ability to upload documents into patient charts. I had been exploring the possibility of moving to electronic records a number of years ago and kept coming back to ICANOTES. I had not pursued till now because I expected the learning curve to be steep and long. That has not been the case and I wish I had done this years go.

Using DrFirst prescribing system with ICANOTES is a plus as it is integrated and quick.

Cons: It was a little difficult to be able to upload patient data - not because of ICANOTES but because other systems do not setup data to enable conversion to excel or csv files (Therapist Helper, for example). I also found that prescribing systems do not share information either (Allscripts). I fortunately did have enough data from my scheduling program(Scheduleview) to get the baics put in. I was getting a little panicked at the thought of having 700 patients entered manually. The scheduling program in ICANOTES is a little underpowered as I would like to see it have the capacity to send out reminders which I understand is being investigated.

Overall: Overall I would give ICANOTES high marks for ease of use and customizability .ICANOTES operates much faster than I expected even though the computing is done in the cloud. I had feared it would be like Allscripts prescribing system which is quirky and slow. I anticipate that using ICANOTES will allow me to go fully paperless within a year.

Pros: I have been searching for a behavioral health EMR system for over a year. Once I came across ICANotes, I couldn't believe how easy it was to use. I am now spending less time on progress notes and intake assessments which allows me more time to spend seeing clients. I would definitely recommend ICANotes to any clinician looking to go paperless.

Cons: I would like to have the ability to send appointment reminders via email, text messaging, and voicemail.

Overall: I would definitely recommend this software.

Pros: 1. Customizable easily by adding buttons you name and put in content for one keystroke entry.
2. Available on line and can be used on any PC where you have access to internet. I don't know if a download for use is available.
3. Can be rented by the month and stopped with two weeks notice.
4. Prints out scripts in standard format. This can be modified.
5. Able to paste evaluation or progress note easily into other programs.
6. Good customer support.
7. You don't have to do multiple back ups and worry about data loss.

Cons: I don't have any cons. If you don't like their presets for button data entry, you can use your own.

Overall: Much better than at least two other software programs I have had to use in doing Locum Tenens work. This enables me to not have to learn more cumbersome programs other than just enough to paste in the information.
Also much better than using Word and pasting as much faster and data base format gives ability to study data more readily.

Pros: The ease of use and excellent customer service were what sold me. Customization is also important to me and Icanotes fit the bill.

Cons: The program with minor tweaks could have been customized in such a way that would have not necessitated me buying an accounting software program to supplement my simple accounting needs, however, this is not the true purpose of the program. I will say however that the ownership and customer service people really seemed to care about my comments.

Overall: I started a second career in counseling rather late in life and had an extensive business background before venturing into private practice. I have been involved in several large software and internet based program implementations. I can highly recommend Icanotes due to ease of use, ease of customization and superior and responsive customer service!

Pros: Templates for most types of encounters. Session notes are done with a few mouse clicks on preloaded buttons. Compiled notes are very comprehensive. It is simple to generate hard copies of documentation, if required. Signature pages, release forms, and other papers can be scanned an added to the client's file electronically, allowing for complete elimination of hard copies of file contents. ICANotes team is very receptive to customizing product, and very responsive to suggestions for improvements.

Cons: None for me.

Overall: I used to spend 1-2 hours daily on documentation. With ICANotes, I spend only 2-3 minutes per session note, which frees me up for one to two extra session each day.

My practice consists almost exclusively of Medicaid clients. The documentation requirements for Medicaid are very strict in my state. I have been audited twice by the state Medicaid auditors. Half of the content audited in my first audit were session notes I created manually before switching to ICANotes. The auditors found many discrepancies in my documentation from the period I was manually creating my session notes (typos, times incorrect, wrong date, wrong CPT code, members in family sessions not identified, etc.), but none after I switched to ICANotes. The only discrepancy in the second audit, which was entirely content created in ICANotes, was one missing session note. The auditors rated my clinical documentation as the most comprehensive they had seen.
