Setting it up took some trial and error with shared mailboxes and the HTML editor, but once the rules were published they have worked without a single incident. Signatures are now consistent, marketing controls the banners, and nobody on the team has to touch anything. Pros Centralising signatures across the whole company took an afternoon, not a project. We run 8 office users plus a shared mailbox, and the rule engine handles what local Outlook signatures never could: different templates per sender, a clean version for internal mail, and, the part that actually pays for it, conditional banners by recipient. Emails to our school customers automatically carry a school-trips campaign banner with its own UTM, so the signature became a marketing channel instead of just a footer. The Outlook add-in is the detail that sold the team on it: they see the real signature while composing, it updates live when they change the From field or add a recipient, and it disables their old local signatures. Converting cloud rules to client-side rules is one button. At 146,88 €/year for 10 licences with support included, the value is hard to argue with. Cons A few things cost me hours that documentation could have saved. Signing a shared mailbox needs a separate Exchange transport rule on top of the CodeTwo rule, the CodeTwo one only routes members of the licensed group, and nothing warns you about that. The Outlook add-in cannot be deployed from a Mac: the PowerShell module is Windows-only and there is no Graph or CLI path, so you end up doing it through the admin web console. The management panel has no REST API at all, so nothing can be scripted or version-controlled. And reordering rules is fragile — move a few too quickly and you get "Error while executing operation 'Change rules order'", after which every later move silently fails until you reload the page. Last one: the HTML editor URL-encodes placeholders in href attributes, which quietly breaks mailto links until you fix it in the HTML source. Vbeen using CodeTwo software for many, many years. From the freeware versions of Email Watchdog and Exchange Rules 2016 to the latest Code Two Email Signature 365. Pros Customer and technical support is great. Installation was well documented. If help was needed the support team was ready to email asssist within maximum one day. For a small company with 10 FTE's I needed the same uniform mail signatures. Price is very competitive for a small company. Cons I have not experienced yet. Maybe the choice between embedded logo and/or the logo to be picked up online. I'm using probably just 5% of all it's possibilities but this is of no concern.
