Cons For SkedPal to work at its best, I have to be able to estimate how long tasks will take - which is hard (and pretty inaccurate!). There's quite a steep learning curve to getting up and running with SkedPal and though I'm functioning well with it, there are even more advanced things I'm sure I could be leveraging that I just don't know how to do - or how to get help to find out. It gives me more peace of mind and overview. It also gives insight into the unrealistic amount of tasks you plan. It forces me to plan and expect more realistically. Also, knowing that the moment I fail to complete a task, it is automatically rescheduled gives peace of mind. The important thing is to make a commitment to largely complete your tasks, otherwise it will only pile up. I use it every single work day. The User Interface could be improved though. Pros I really love the auto-re-scheduling - that was actually the argument for me to buy the year-subscription. To have it as integration with my outlook calender is really helping me to actually do the tasks in the timeblocks I assigned. Cons It's not really intuitive. There are so many options and you have to click every single one to find what is possible with it. Tasks can be created in various places, and they do not get listed in one single list. The priority setting sometimes is off, scheduling tasks that have a lower priority than others. If it were also fast, I would be telling all my friends about it, but it's not... yet. I hope it gets there soon. Pros The automatic scheduling feature is what sets this app apart. I love the way it uses priority level, task duration, and time maps to find a time slot for the most important things I have to get done. Cons My only real complaint is how slow and laggy it is on both with web and iOS versions. For the price, it seems like it should be much snappier, regardless of how many tasks I have. I'm sure it takes a lot of compute power to run this app, but it's not the greatest value without that speed element. I think I would even be willing to pay a little more if SkedPal got everything running quickly. Without it, the app feels a little amateur, which is sad because the functionality and features are anything but amateur. They are phenomenal. That is the only reason I am willing to put up with the lag, at least for now. There are other AI powered apps coming, though, so SkedPal is going to have to keep improving if they want users to stick around. Owner Design Used the software for: 6-12 months ### "Best Calendar and Task Management Software Out There" October 15, 2023 5.0 I used to have my calendar and my to do list. I would waste time sorting my to do list to figure out what I needed to do at that moment in time. I then switched to putting to do items in my calendar, only to not complete some of them and then end up playing daily Tetris trying to go grab them from past days and put them into future days, it was horribly inefficient. Skedpal acts as my assistant, aware of what I need to get done when, planning my schedule out multiple weeks and allowing others to see when I am available and then planning around those meetings. A huge win for me is seeing what my bandwidth looks like so I know if I can take on new tasks or meetings so that I don't overcommit myself. Pros Skedpal is the most feature rich task and calendar applications I have ever tried. This means that the learning curve is high, but once you get the hang of it, it's amazing how well it flows everything together. Outside of work, I am a private pilot and Skedpal feels like a really good air traffic controller that can talk to planes (all my tasks and events) coming from all directions, at different speeds, different altitudes, different priorities, and line them all up "in sequence" so they land on time, in the right order and without delay. Skedpal saves me enough time each day I would be willing to pay well over $100/month for it. Cons Skedpal could improve (and I know they are working on it now as they keep users well up to speed on new features through the slack channel) their mobile applications. The natural language processing for sorting tasks in the programs inbox only really work well on the web app which means when I have a few spare minutes dozens of times throughout the day, I would love to be able to sort some tasks but lack the power to do that in the mobile app. Hopefully the new updates address that, at which point, it will be such a powerhouse application! I use it every day. Pros As one of the church leaders of a new and growing church, I have a job that is multi-faceted, amorphous, irregular houred and complex. I used to hate looking at my to-do list, for no matter how well I organised it, I was still faced with the challenge of working out what to do when. Too often the urgent drove out the important. SkedPal was just what I needed. With SkedPal, not only did I get an massive upgrade in basic task management, with it's intuitive and yet highly configurable interface and layout, but also automated task scheduling. This was groundbreaking for me. Once I'd told SkedPal when I wanted to do certain types of tasks or projects, then all I do is type in a task name, give it an estimated duration, when I want it done by (and optionally started from), assign it to a category, and hit the magical 'Update Schedule' button. SkedPal then crunches the data and outputs an optimised schedule to get all my tasks done on time. If it spots a problem, it makes a suggestion or lets you know it can't schedule one or more of your tasks. It really does take all the hard work out of task scheduling! And if you want more control over certain areas, then you can tweak it's highly customisable inteface. Another feature I love is being able to set up project templates. I have around 5-10 tasks that feature every time I lead a church service or preach a sermon. So for each of those I have a template folder of tasks that I can duplicate every time I need them. It is so easy to add tasks, events, re-prioritize and easily re-plan what is next. It also helps me see whether I can get my planned work done in a certain time frame or reprioritize. Cons It can take a bit to figure out! I feel like I am still learning the ins and outs of different features and occasionally I will want to do something that the platform does not do. That being said, the number of features and functionalities are incredible. I consider myself a fairly tech-savvy person and I love trying out new tools. I recommend this to others, but I know the complexity of the system would be overwhelming for certain colleagues - so it may not be for everyone! It's totally transformed my own planning/organisation as it means I don't have to spend much time at all manually rescheduling tasks when fixed calendar appointments change, and also means I can easily check my capacity for new work/projects/tasks by creating a dummy project or set of tasks and scheduling it to see how it affects all my existing tasks and projects. The latest (v3) version of Skedpal was a huge step forward both in ease of use / UI and functionality. Pros Ability to reschedule all my tasks almost instantly, anytime (and up to 6 months in advance), fitting them around my own Google Calendar events/commitments. Huge range of customisation options and different ways that it can be used by users. It's saved me so much time that I used to spend manually planning/scheduling my flexible tasks around fixed appointments - now I can literally do this in a few seconds automatically. Cons It's a very powerful app, although it does take a lot of learning and then careful thought and planning to set it up to suit your own unique requirements (so that it will schedule things accurately). Having said that, once that stage is done it works very well indeed and the support (directly and also in the Skedpal forum/community) is excellent - the app creator is very pro-active at listening to feedback from users and updating the app to improve or fix issues. There are a few occasional glitches/bugs when scheduling tasks, but having used all the previous Skedpal versions right from beta software, the latest (v3) app is very good and (for me) these issues are pretty rare (and the Skedpal community/forum makes it easy to report these or see quickly if anyone else is having similar issues or if it's just a particular issue with my own IT setup) Review Source Roque M. With SkedPal, I could use their time maps to recreate my ideal week digitally. Now SkedPal schedules my tasks "automagically" according to the boundaries I have set. It has decreased my planning time. I can move into action much easier. What I also love about SkedPal is the "update schedule" button. If I get off track, I can update the schedule, and like magic, I have an actionable schedule again. It is fabulous. It took me a while to figure out how to use it but after I did, it quickly became the main tool I use to organise my time. Pros I love that it tries to mostly automatically schedule everything you have on your plate, saving you time. Cons It takes a while to learn how to set things up and even after using it for a a few months I feel like I haven't quite mastered it. It's also not great at handling tasks that repeat at an exact time, rather than being flexible. I also don't like that you have to sync your tasks to a calendar to get notifications. I would rather get them directly from the app. I would also like a way to have custom colours for my different categories of tasks. I have my own palette that I always use. I'm self-employed and wear a million different hats. Having ADHD, scheduling and organization can be next to impossible. Being able to update my schedule and task list automatically when I inevitably get distracted and don't complete my list is a huge weight off my shoulders and prevents the overwhelm/shame spiral of having to figure it out myself. Same with deferring a task - if it's scheduled but I can't bring myself to focus on it that day, I can click one button and not feel bad about doing it another day. Pros The software is a perfect balance of automated control and user control. I tried a heavily advertised alternative and was frustrated that it wasn't really a "user first" experience - I was supposed to completely rely on the algorithm to schedule my day even though I was tied to a timer that would move everything around if I forgot to start it whenever I started a task. SkedPal creates my schedule but I can manually defer, change, or reprioritize things if I need to while still having the benefit of the software organizing it all for me when I need it to. Cons It's got a bit of a learning curve compared to similar products. Having a slightly longer trial to get to know the software better would be helpful (I believe it's only 14 days which is justtttttt enough time if you use it regularly). But the tutorial was very helpful in learning how to use it. I also wish the mobile app was a bit more functional - I find it harder to schedule tasks through that than I do on desktop. It is not perfect, but I love a lot of the features. I need to figure out if I can have it remind me of tasks with the mobile app. Task scheduling and batching is great. I wish the tasks could be set for less than five minutes. Some tasks are super quick. I just need the reminder. Pros I really like the task scheduling and time mapping features. The calendar combined with to do list is gold. It really helps with time management. Cons It would be nice to have an option of scheduling two tasks that are similar at the same time. Also - appearance wise - this program is not visually appealing. It would be nice to be able to customize colors more. Change fonts. Etc. it’s a functional program. It allows me to live with integrity. Everything I do goes there. It is a critical tool in my arsenal. Pros It has detailed task modeling and can deal with complicated projects and repetition. Natural language entry makes creating tasks quick. Time blocking lets me know when I will do something. It allows me to communicate with stakeholders. "I will work on your problem from 1-3 on Monday and will let you know more then." Automatic replanning deals with changes in priorities and changes in requirements. Cons Fully utilizing the software's power requires some time investment. I spent a few hours on the initial introduction, but it took over a week of use before I felt comfortable. Additionally, I'd like a smooth integration with my onsite Jira. It only takes an extra minute or two per task, but for the issues that my company tracks in Jira, it would be nice not to keep them in sync manually. Pros I love the auto scheduling and the parsing of certain parameters, so you can simply type out "by next week" and it automatically sets the start/end goal times. It's very intuitive and the deatiled features get really deep. The Asana integration is clutch too as I work as a contractor for multiple clients who all have different workspaces. Skedpal brings them all together in one view for me. Cons It's mobile experience is a little slow for me and not quite as full as the desktop browser version. I should note that I am an unusual use case and have 1000s of tasks, which may be affecting performance. It was not challenging to get my outlook calendar integrated with the app. I like how the ap functions intuitively for me- a list which can be color coded, tagged, and prioritized then moved into blocks of time that shift as you complete tasks. I've been using the app for ~5 months and have still not learned how to use the app to its full potential (I think with a little digging it would be really helpful for time sheets) and occasionally find myself not using the app because my priorities have changed quickly and I didn't change them in the app. Overall its a great tool that does take some time to get used to and take full advantage of. Cons I think there is room for improvement in integration with microsoft, and dark mode has been promised since I've been a paying user but there does not seem to be much movement on actually adding that feature (which I think would prevent many people from using the app). Pros The app’s ability to find time for your tasks with lots of relevant functionalities make it a class of its own. The app follows the productivity rule that tasks should be assigned to times slots, and does it superbly. The use of time maps and zones are very productive and still it has the ability to structure the tasks freely to the user’s own.l Cons The only thing that bothered me was the time I accidentally checked a section and all the children under it ere checked. For me, sections with unchecked tasks cannot be checked. Luckily support did an excellent job of brining them back. I have not found another tool that can claim this, and really back it up. Everything else I've used over the years has not really solved the problem of actually scheduling for your whole life. It's a game changer. I do a lot of Project Management in my life, and I've even thought about recommending the tool to folks on the teams that I manage. these are the folks who get those 1-2 week tasks assigned to them. OK, the task is assigned, now how do they schedule it into their lives? That is the part that usually doesn't go well. Pros Having a tool that ACTUALLY helps you schedule, re-schedule, and better plan your tasks will change your life. I don't know of any other tools that do this for you to the extent that SkedPal does. It is not just a pretty "Task Manager" (like OmniFocus, etc.), it helps you take all of your million-billion tasks in your work and personal life and schedule them (based on task duration, deadlines, different Time Allocations, etc.) around the rest of your "appointments," even telling you what it cannot schedule them, and giving options to "triage" the situation. Cons In the Prior version (SkedPal2) there were a lot of minor bugs and some moderate ones, as well, but the concept was well worth it, and I was still a daily user. In SkedPal3, which I am helping to Beta Test now, the concept is really implemented well, and I don't foresee the same "bugginess." SP3 also adds quite a enhancements to the concepts, as well.
