I get updates on a regular basis. I am not waiting months and months for an update CD, I can pull the updates down as they are available. Pros Instead of having to go to our outside legal firm, I am able to quickly search and find any of the retention laws that may be relevant to our business by searching by keywords, business activity, jurisdiction, and/or regulating agency. Cons It is a blank slate. The only thing in the software when you start is the collection of citations. Reasons for choosing Versatile Retention Usability and previous experience with the product. I recently signed up for the online webinars by Zasio, thinking I was going to learn about the Retention software, very disappointed that was not the case. Pros The Web application and ability to be utilized by users throughout our company. The ability to link current legal citations and have them available to map out the purpose of the RRS. Cons As the administrator, I feel as if I have to relearn it every time I sit down to modify or update a retention. Currently in the process of changing to a functional bucket RRS, very time consuming. Upon implementation we were utilizing a multi-paged excel workbook that was converted in under User Defined Fields. That being said modification and the addition of legal citations can be a bit time consuming. Then reconstructing the reporting feature to meet the criteria of the information. If a legal citation has been added, but not in the initial USF then the report has be modified. This is a great product if you have an individual who's sole responsibility is managing this and retention alone. I'm a one person show, also overseeing the management of our ERS as an administrator there as well. Reasons for choosing Versatile Retention Seemed like a easier product to manage, initial overhead of implementation was lower, sales rep was great. We understand that many of our clients wear many hats. We have a couple of different options available to users who only periodically access the tool. There are free built-in tutorials that are subject searchable, and with current annual maintenance and support, our Support Team is available Mon-Fri 7a-6p MT. We also offer online training that is customized to address your individual needs and can be recorded for future training purposes/reference. The ZTech webinars that you referenced are for our records management solution, Versatile Enterprise. The sales team was very consultative and not at all overly-salesy or pushy. They were helpful and used an “evaluation plan” document created specifically for our project that made the whole evaluation predictable and without surprises. Our VP of IT said it was one of the better vendor experiences she’s had in 20+ years. Pros We are a large publicly traded financial services company that does business globally so we needed a solution that wouldn’t just organize our data retention schedule, but also provide up-to-date legal citations for the hundreds of jurisdictions we do business in. Versatile Retention International provided citation coverage for 130 countries, 5 “admin” users and unlimited “end-users” (web based access for business users/searches/requests, etc). We found this to be highly convenient and an excellent cost value. We were able to easily import and normalize our rather complicated Excel retention schedule and the Zasio team were pros. Cons Zasio offers both a SaaS and on-premise versions of their Versatile Retention solution. They are essentially identical but the SaaS version will cost you a lot more over time. I realize SaaS is how software is often delivered today, but the cost difference isn’t minor. We went with SaaS after IT specified this as their preference.
