Owner Health, Wellness and Fitness Used the software for: 2+ years ### "Our Experience with Katana MRP – Why We Left After 6 Years" February 5, 2026 1.0 We were early adopters of Katana MRP, using it as our primary manufacturing resource planning system for over six years. In the beginning, Katana delivered exactly what we needed - solid functionality, reasonable pricing, and an easy-to-use interface that worked well for a small manufacturer like us with modest sales order volume. Initially, the pricing was fair and manageable. But once Katana began taking on outside investment and aggressively scaling, things started to change. Over time, they revamped their pricing model multiple times. At first it was tied to relatively simple metrics like number of users, but later it shifted to limits based on sales order line items, then to sales orders and gross merchandise value (GMV). What sounded sophisticated in their marketing quickly became a huge headache for us: as a small shop selling mostly items around $10 each, our high order count, not our actual revenue, automatically bumped us into higher pricing tiers. So we ended up paying almost the same as companies doing $50 million+ in annual sales, despite using a fraction of the features and resources. We’ve also experienced price changes mid-subscription period without meaningful notice, and being forced into annual negotiations simply to keep our plan. Year after year, it became clear that the company didn’t care about smaller customers anymore: their strategy seems squarely aimed at upmarket customers with big order volume and deep pockets - which pits small manufacturers like us at a disadvantage. Frankly, the model feels punitive, not proportional. If your business sells a lot of small-ticket orders, you get punished with pricing far beyond the value you actually consume - and that’s simply not sustainable for a real small manufacturer. In the end, after dealing with repeated increasing costs and painfully going around in circles with account reps who didn't take the time to understand our business, we pulled the plug and took the time and effort to migrate to a different MRP that met all our requirements. It is faster, easier to use, and roughly ¼ of the cost of Katana’s current pricing. That switch has been night and day for our team - not only financially but also operationally. On the plus side, Katana made it easy for us to export our data and we performed the data migration and cut-over to the new system entirely in-house. Bottom line: Katana may still work for some companies, especially larger, growing SMBs with high-priced items and few orders, but for small manufacturers with many sales orders and modest item prices, their current pricing strategy simply doesn’t make sense anymore. Pros Decent user interface and basic manufacturing features, with adequate inventory tracking and production planning for small teams. Cons The company has become increasingly difficult to work with, shows little understanding of small manufacturers’ realities, enforces punitive order-based pricing, changes terms mid-contract, and prioritizes larger customers over long-time users. It wasn't too much and it wasn't too little, it was just right. I was able to create our product recipes and input all of our sku's relatively easily and get us onboarded quickly. It allowed us to see shortages earlier and remedy them before they became issues. Saved us time and money. Pros Katana provided the right level of specificity for us. It wasn't too much where it overwhelming to get setup, but it was enough to track everything thing we needed. Cons Honestly the hardest part of Katana for us was getting correct daily counts from employees. CEO Health, Wellness and Fitness Used the software for: 2+ years ### "Stay Away from Katana" July 5, 2024 1.0 Stay away from this software. There are plenty on the market that won't try to rob you. Cons Katana is one of these SAAS that looks pretty and attractive on the surface only to hide the worst possible customer policy, pricing plans and billing methods i have encountered in 15 years of professionnal digital experience. We are a small size company making ±1.5M€ in revenues. We choose Katana in 2021 as the functionalities at the time seemed to match our needs. The price was decent (199$ a month) and despite we felts like it was already quite a budget (±2400$ a year), we decided to subscribe. For a few month, things have been relatively fine despite frequents technical issues (front end lags, data not updated, locked order status, ...). Then came reality. Without a warning, Katana first increased the subscription to 349$. Ouch. You just lost 1800$ overnight. We really didn't appreciate that but all the manufacturing data of our company was inside Katana, our employees were trained and used to the software, so we swallowed the pill. A few month later, the subscription was up to 899$. Yes you read that right. Again, without a warning, without getting approval, they just start to bill your payment card with 899$ every month. You just lost another 7800$ overnight (per year, 23400$ for 3 years usage). Right there we have understood Katana trapped us. Katana's company hook you up with a sense of affordability only to charge astronomical price hikes whenever they feel like it. Despite the fact that this is highly irregular and most certainly illegal and fraudulent at least in Europe, the break of trust and the leverage made over the customer data is disgusting. Wait, it's not over yet ! Once you decided enough is enough and you can't give your data and your trust to a company acting like a MAFIA organisation, you migrate to another software (i really recommande MRPEasy for those wanting to leave or looking to a safe solution), and you cancel your subscription. And surprise (or not) ! Katana tries by any mean to charge you with another 1 month subscription (899$) after your cancel it. An absolute disgraceful method to squeeze any $ left in your wallet. The reality is that Katana is an highly unprofitable company established in Estonia that lost more than 7.5M$ for just 3.5M$ of revenues in 2022 (accounts are public, go check) and they desperately need to rebalance their accounts. They do not have that much customers, so they decided to go Kamikaze and raise prices until something breaks. Obviously, this is exactly the kind of chaotic experience you want to avoid to your company and your staff. Any service looking remotely unsafe should be kept far away from you manufacturing process and Katana definitely is one of them. There are some features we would like to see implemented, and those have been passed onto to their support team. But the value has far exceeded the cost and we are excited to get completely rolled out soon! Pros The setup is quick and easy and the customer service is nothing short of excellent. We love the simple interface which makes it easy to train others on,. The Excel templates allow for bulk uploads of all of the required data categories which doesn't need to be uploaded manually. Cons It could be more circular in that you sometimes have to jump back and forth within the system to complete a task. The production operation feature should allow you to set a default number of labor hours per task so that it isn't required with each manufacturing order setup. Reason for choosing Katana Cloud Inventory The easy-to-train interface and Excel templates were a great fit for what we wanted out of our first inventory system. March 14, 2024 2.0 horrible and I would never ever want to be in business with them again, they only see you as money bags. Pros It worked for what I was expecting, it kept track of the items I needed to produce custom embroidered items. It was able to track when I needed to re buy items from my suppliers. Cons Where do you even start. I will start with the biggest issue they have. The price. When I started the cost was around 60aud a month. Then they bumped me up to 400aud a month without any communication, then they bumped me up to $1400 aud a month without any communication. When confronted with the problem with the pricing, and the illegal practices that they were acting under, they told me it was my fault because I was using API pulls. Which I was not doing. They realised that they were charging me incorrectly, and would "refund me the difference" and I am yet to see the refund. They would have never bothered to address this if I didn't bring it up to them, they would have happily charged me 2333% more than my original subscription without batting an eyelid. How can a company honestly think that it is okay to charge 2000% more and remove functionality? Customer service will only meet you at 2am Australian time (useless) Oh, and they have a 1 month notice cancellation fee for a month to month subscription (illegal) so if you sign up for a month, expect to pay for two. Like a gym, except you didn't sign anything so they can't do that. but they will. This company is greedy and it will fail if they keep this way. Do not look at reviews from further than two months ago, as that katana is long gone. Read all reviews from recently and you will see very cleary how this greedy corperate company has failed their customers. Avoid at all costs, get a better mrp software or even a spreadsheet. Some were too clunky, others too expensive, complicated and elaborate. I felt a bit like Goldilocks. Katana was just right. Reasonably priced. Integrating with Quickbooks and Shopify was simple and efficient. The set up was fast. I no longer have to duplicate data entry onto multiple systems. This saves me times and I don't lose track of orders or inventory. I especially like the instant chat feature with their customer service reps. I can leave a quick message or screenshot of a problem and within a day or so, I have a response back and my problem resolved. No need to hire an expensive consultant, anyone could set up Katana and run it. Pros Very simple user-interface Was able to set it up quickly and efficiently Continual feature upgrades Simple integration with Shopify & QuickBooks Very responsive customer service Detailed, but not overwhelming Cons The upload from Excel was clunky and not helpful. It was faster to just enter in the data directly. There are features I look forward to having but that are not currently available. I know their team will be releasing them in the next year. It reminded me a lot of my days in 90's Windows. Lots of tabs and block colors. When I added a demo set of data in, it didn't seem too difficult to use, but it just wasn't intuitive to me. Switched from [Odoo](https://www.capterra.com/p/135618/Odoo/) Odoo is a beautiful all-in-one platform that seemed to be the perfect solution to tying my entire business together. However, it doesn't "play" well with Shopify and social media platforms which both are essential to my business. Any customization requires an extra fee each month plus the cost of the custom 3rd party app. Set up was complicated and when I needed help, I was pressed to pay $10k for a customer service package. For a small business, that's a lot to shell out. If I were a large company and could pay to have it all set up and administered correctly, I'm sure Odoo would be an excellent choice. April 9, 2024 3.0 I started out paying $128/month for this software in 2019, and that jumped to $388 in 2021. Now in 2024, that price has increased to $399, BUT they took away several features we had become reliant upon and put them into separate "add-on" packages at $199 EACH—bringing my monthly all the way to $797! Something as simple as being able to label a part number with a bin number for easy retrieval was taken out and put into a "warehouse" bundle with other features that we don't use, so now all that work that was put into cataloging our parts has been erased. I was considering keeping these add-ons, but their serial number system doesn't work very well at all. I continually had to reach out to support to get them to fix things, but that often involved a lot of head scratching on their part and then instructing me to basically undo a redo completion of certain tasks to get a desired outcome (which didn't always work). I think these add-ons are overpriced—you can get serial number tracking from Zoho for $80/month, but they expect us to pay $199/month for just an add-on. If their add-on features worked reliably I might have continued paying. I am currently trying other platforms, and I will be ditching this vendor as soon as I am able. Pros Before using Katana, I was doing everything manually. I can't express how reliant I have become on MRP software. Cons They have increased prices by 523% since we started using this service. Some of the other MRP solutions we tried were difficult to navigate and use, and training on them would have been labor intensive and costly. Katana is beautifully designed, and the batch-tracking and inventory management is easy to adapt to our business (MRPeasy/ERPAG were very clearly not designed with food manufacturing in mind, so making them even remotely functional for that purpose felt like a bit of a fools errand, whereas Katana just works). Cons While it is very user-friendly and it has the ability to track batches/lots (which is critical for us), we've had to develop workarounds to make it function the way we need it to -- it doesn't quite handle this the way I would envision it should. There are also some minor time wasters. If there's one simple feature I wish they would change, it's being able to type in the expiration dates rather than having to scroll through the calendar manually to select the correct date. This becomes so onerous when receiving multiple items on a PO and having to manually click through/scroll through the calendar to select the correct date as opposed to simply having a field that allows you to type in the date and move on. The developers at Katana did a beautiful job of creating something intuitively designed that works well across multiple industries while also making it as clean and aesthetic as it is functional. It's a pleasure to use. I've noticed that they also seem to be regularly implementing improvements and updates, which is awesome. Customer support is friendly and responsive. Highly recommend. The support is friendly and helpful (despite only being available online) and the training videos are really well presented and easy to follow. A really good software implementation experience. Pros That may not sound very exciting, but in my experience, it's not always a given that getting the features to work is straightforward. But Katana really is both powerful and yet pretty straightforward, although just BECAUSE it has a lot of facility, I would recommend the investment of a little time in watching some of the training videos, which are excellent. Once I'd done that, it was full steam ahead and everything fell beautifully into place. The integration with Xero was completely straightforward and works like a charm. I know that as we go forward and get more and more information into the system it will provide even more, very valuable information for us. Cons I have only a couple of really minor niggles; I would prefer to be able to enter dates, rather than having to always pick them off a calendar (for someone who types fast, this slows me down). I'd also like it if when you are "making" a product, if all the components of that product's sub-assembly are available, the software would just go on down the line and automatically make right down to the lowest assembly level. But as I said, these are really minor and would not stop me from wholeheartedly recommending Katana. Reason for choosing Katana Cloud Inventory There were no other Xero-compatible applications which had anything like the positivity of reviews and feedback that Katana does. I've been working with manufacturing businesses for years, and for years I've lamented Xero's relatively weak inventory management system. Two years ago I tried literally every MRP app I could find to plugin to Xero; they were all pretty bad. Along comes Katana, which maybe was around earlier but was "new to me" just this year, and ... wow. Mostly, it Just Works. The Xero integration works seamlessly for bills and sales orders, which speeds AP/AR quite a bit. 90% of the tool's value is outside of Xero though, and I now have a permanently-pinned Katana tab in my browser for tracking everything in the production flow from raw materials purchasing, to production, to sale, to reconciliation of remaining materials and product stock. It's great. Is it perfect? Not quite. They need to do some performance work, as load times are often a little sluggish. Also, it would be nice to see finer-grained automation, and better contact syncing. But overall, I'm delighted. Pros \- It's really easy to use - Makes it easy to track materials on hand, reorder, etc - Calculates margin including labor cost - Xero integration works perfectly - Zapier integration makes it really flexible from an automation standpoint - Really lots of other stuff ... it's truly an excellent product and an outlier in a pretty clunky space. Cons It can be a little slow, and the contact syncing could be more robust. The ability to prioritize orders is very helpful for assigning inventory. Cons Identifying products that are ready to ship on each order is cumbersome. Our customer service team has to click individually into each order to see if any items are ready to ship. There's no way to easily flip to the next order. You have to close that window & click on the next order. It would be nice if you could at least toggle between orders within an order window. I'd also like to clear up how user permissions are working currently too, we have 3 levels of users; Owner - access to all functions, including billing and delete all button. User - access to all functions, excl billing and delete all button. Operator - only shop-floor app access. Additionally, it takes 4 separate steps to clear all account data in settings, including typing out your email address in full and is restricted to only the owner of the account. It even lets me add time to tasks in production so I can monetarily make sure employees are being efficient enough for my company to remain profitable. Definitely recommend. Pros Inventory and order management systems were relatively new to us when we started with our company. We evaluated and tested several web-based tools and Katana was by far the most user friendly. The interface is clean and initiative, which helped us to get up and running quickly and confidently. Cons There are some features and reporting that we would like to have that haven’t been rolled out yet (particularly around customer information) and we spent time tinkering around and then ultimately asking customer support about it. They have been very helpful and we are waiting for the enhancements. Account Manager Accounting Used the software for: Less than 6 months ### "Katana is Great for small business" December 2, 2022 4.0 Its easy to use, our warehouse knows exactly what to do and when which is great. Ordering is relatively easy so from an inventory standpoint I think its great. I think there is a lot of room for improvement in basically every other facet this software says it can deliver. Pros Its easy to use as both a user and an admin. Low learning curve with a high return of success. Cons Its really unintuitive for me at least to communicate with my users with the shop floor app. Im better off getting up and takinf the time to talk to them directly rather than leaving them notes and vice versa. Also the reports NEVER work, ive never been able to pull a report or print a packing slip for whatever reason (the link always dies) thankfully I also keep up to date on our accounting software so I can pull the report from there otherwise Id probably rate this lower. Reason for choosing Katana Cloud Inventory Inventory management seemed simple, which it was, and creating and understanding any Scope of work was much more manageable and linear.
