### "SmartWebs is a smart move for your HOA "

I wound recommend SW to any HOA management team. I would remind them that “garbage in , garbage out “ when working with the implementation team to make sure they had clean data to import as this is critical to their success with SW. I wound also recommend they have someone staff as a super user. This person should be the expert in all things SW. This would be beneficial to their daily operation

Pros

The best feature of this software is not something written in the software but rather it’s the customer service provided by the SW employees. We had yearly face to face meetings with the president of the company and could contact anyone at the office when ever we had an issue. We have the direct phone numbers of several senior level people and can contact them when needed. I have a background in software testing , from a previous job , so when I found some items that needed enhancements , I was able to work with the developers to create new items and processes within the software.

Cons

It’s my belief that the software was not created for large scale HOAs. We have an enormous amount if data snd when running reports the software would not be able to accommodate the output. The system wound either crash or it wound just spin and spin and never give any results. I would have to contact SW Snd have someone there run my reports. This was very frustrating and time consuming

### "Smartwebs usage"

It use to be good, but now there are so many "flaws" that we are finding that we are going to be using a different software program that incorporates the same type of usage as Smartwebs.

Pros

I like that it is easier for the staff to do compliance checks in the field. The off-line app lets us supply them with tablets that do not need phone numbers in order to run the app.

Cons

It is frustrating to have to use the same category/sub-category for a different violation for the same property and because of the way Smartwebs works, it won't let you, so you have to end up creating a new category/sub-category, which is then for the whole company and not just that community. We have had some very severe synching issues in the past 6 months which, at least some, have never been resolved as of yet. We can't even get them to let us know what the issue is and everytime we call or email, there is either a non answer or no answer at all.

I have enjoyed using Smartwebs so far and look forward to continuing to use this software in the future.

Pros

The product is user-friendly and much easier than tracking with physical papers. I like that it is accessible remotely. Committee members are easily able to view ARC applications virtually without having to attend meetings in person. Smartwebs support is always easily reachable, friendly to speak with, and does their best to resolve any issues. If they are not sure of the answer immediately, they will call you back once they find a resolution. You can count on them.

Cons

I like that violation letters have auto-drafted text, which saves a lot of time when sending notices. However, I wish ARC letters had the same features. There is text particular to each kind of project that needs to be included in the notices. This is manually inputted each time, but would save a lot of time if the text was also auto-drafted.

Very user friendly and easy to navigate

Pros

Ease of Resident submissions and responses to submissions Saving all the submissions information electronically instead of using paper notifications of all submissions sent to residents confirming accepting of requests Ability to use personalized templates for ARC response letters Search functions for past submissions are very easy Ability to keep a written paper trail of all correspondence to homeowner without having to create folders for all communication. Don't have to worry about being responsible for paper submissions that could get lost or accidently thrown away All resident info is already in the system which saves time when writing letters Immediate response from ARC instead of using post office to mail letters Reminders for ARC Committee members who need to vote instead of having to send out emails individually. Saves time. Easy to navigate from ARC to Violations in same program which saves time Easy to personalize letters if needed Easy to add or delete new committee members and admin status Easy to create new template letters Quick response from help desk for any issues that come up Letters are emailed so nothing gets lost in the mail.. Similar communities were using it for ARC and Violations. The new property management company had recommended it for our community as it is very large and ARC and Compliance are very time consuming without the program.

### "Smartwebs in a Nut Shell"

Adding Smartwebs to our business software moved our office out of the dark ages into an almost paperless environment. With files being easily accessed with a few clicks, we are able to decrease our response time.

Pros

Compliance & Arc are user friendly applications. The mobile version allows property managers to record and send violations in little time with a simple follow up process. The ARC software cuts application processing time in half, which allows staff to focus on other projects. We have had positive feedback from committee members.

Cons

New homes added after initial set up are not placed on the map properly. The only way to fix this is manually move the home. When communities of 100+ are being added, this can be cumbersome. The email function is great, but if two emails are in the system separated by a ";", the system does not recognize them as separate emails. You are unable to "Queue" letters in ARC like you are in the violations portion of Smartwebs. If your committee requires approval of letters before they are sent out, this lack of function requires you to repeat the process twice before the letters are sent.

### "Smartwebs is the best choice"

Pros

Pros: We selected Smartwebs for many reasons.  For starters, the letter templates ensure consistency in outgoing resident communication regarding modifications and our violations.  This coupled with expediting the work of our covenants department, the ease for volunteer committee members to review and vote on applications electronically, the efficiency of staff to send approvals to residents, and the online records storage in perpetuity all made it an easy sell.  The seamless integration with our third-party accounting software eliminated the prior problems we had with inconsistencies or errors in names and addresses when information was entered manually.  The work order software allows staff and contractors an organized way to track repairs that were previously discoursed via email with no long-term tracking logs, and the reports to the Board easily demonstrate the work load of employees and contractors.

Cons

Cons: Occasional slowness when a new release update is coming out, however we have noticed it is speeding up as the team ensured us they are working diligently to resolve this.

In general a very good program. Easy to use and makes it much faster to send out violations after an inspection, and to allow ARC committee members to review applications and comment on them without having to physically meet.

Pros

Easy to upload documents for restriction enforcement and for ARC applications. Easy for committees to review applications, comment and respond back. Easy to inspect properties, take pictures and upload notes.

Cons

Sometimes it does not link ARC applications and violations together, so it will show there are no ARC applications on a property and I will open a violation, only to find out when I am at a desktop computer that there really was an approved application on file. Also, sometimes if I am using the map it won't show me the status of some addresses.

### "Smartwebs User and Admin"

As a user, my experience has been mostly great. My only complaint is the UI for work orders and the lack of advance notice on software changes. Smartwebs would be better served by notifying users up front of upcoming changes instead of after the fact via a pop up upon login. As a Smartwebs global administrator for my company, my experience has been neutral at best. Smartwebs could greatly benefit from better communication to the global admins, and while the response time on basic issues with Support has greatly improved, the response time on more involved issues has suffered and we find ourselves repeatedly following up on requests to get an answer.

Pros

The ability to take photos and add them to compliance letters is a must and Smartwebs does this well. The ARC module is a game changer in being able to track architectural requests and send the committee automated reminders without having to involve the manager.

Cons

The work orders module is clunky at best. It is hard to navigate and not user friendly.

Pros

SmartWebs is a useful software that integrates well with our VMS. The features currently in place are intuitive, and when improvements are proposed, they are truly considered.

Cons

There are several quality of life improvements that my team and I have proposed over the years. I would love if the development sector of SmartWebs was speedier at implementing these items, as several would further expedite our work and greatly improve the software for all users.

The experience has been wonderful, as we add more associations, they have been there to help us along the way!

Pros

The thing I value the most is the constant support from the SmartWebs team, whether it is Operator error (which most of the time it is lol) or a software issue (they are ALWAYS open to feedback to make their software better) there is always someone there to support the process.

Cons

The only thing is that there is so much functionality, it takes a moment to wrap my head around all of it, but like I said, there is always someone to help us through it all. We had weekly meetings until we were all set and comfy using the software on our own!

I have been using this system for over a decade. It is very easy to use and a great time saver.

Pros

This software makes it easy to communicate with management, committee members, owner/residents, and contractors. The program is easy to use and does not require a significant amount of time to train new users. The search feature allows me to yield quick results for historical data. The reports are convenient and easy to run.

Cons

It would be good if manual updates to voting members was not required.

I love Smartwebs easy-to-use software that's accessible anywhere with an internet connection. I hope my company goes on to use other services Smartwebs provides.

Pros

It's easy to use. I spent a lot of time working on compliance and restriction violations. It's a simple process to upload photos that are integrated into the letters.

Cons

Sometimes it's slow going when setting up a new community or adding more properties to an existing, developing community, especially when there aren't other supporting maps online to assist in the process since the development is so new, but that's hardly Smartwebs fault, rather a difficult situation.

Overall, my experience is that Smartwebs makes some of the laborious tasks in association management easier through streamlining certain parts of operations.

Pros

Smartwebs is an intuitive product to learn and assimilate into the day-to-day operations of HOA management. A large portion of our job consists of Architectural Review requests and Compliance, both of which are available within this software, by address and resident. In addition, the notes feature of compliance is essential; as is the forum for committee conversations.

Cons

The only negative I have had is being required to have Smartwebs update our template letters. This is a bit of a hand-tier.

Pros

Smartwebs made customized implementation and training for our community associations a breeze. We expected a learning curve with switching from our old management systems, but it really was so simple with very little pushback from our managers. When questions or concerns did arise, they were lightning fast to respond. They are continuously improving software features and implementations. We didn't know it could get any better! I would recommend Smartwebs to any association whether you are managing with spreadsheets or another HOA management software.

Cons

A training portal with recorded videos would be a great addition, however not necessary as the walk-through training was enough for us.

My overall experience with Smartwebs has been good. They are responsive when we have questions and are helpful in making changes if needed.

Pros

I appreciate how easy it is to navigate through the system. I can move from the violation section to look up an architectural for a home in one click. I also like that you can see any home with an open violation from the main screen.

Cons

The one feature I would like to see that isn't available is for architectural submittals . When requesting “more information” on an architectural submittal this is automatically placing the request on hold. This can’t happen as that stops the clock and we need to ensure that the calendar clock continues.

Reason for choosing Smartwebs

We felt Smartwebs offered the best product for what we were looking for.

the features, like the chair position, were liked very much by the end users.

Cons

nothing is streamlined. the requestor cannot upload their request themselves. they cannot respond to questions from the committee. a third party admin has to be involved at every step of the way.

We love how everything is on the same software.

Cons

We do not like the violation system that much, it takes a long time to create a violation or update one. We can also not see the previous photos on file.

I really like this product, I honestly don't know how managers did their inspections and ARC management without, it's a time and life saver in my opinion.

Cons

I would like the integration to be done live, having to wait for once per week integration sometimes slows me down.

It's been great. Super intuitive for the most part and if you're ever stuck the customer support is quick and amazing.

Pros

Easy to use. Graphical. Geo-Tracking for on the spot enforcement. Inclusive and responsive for Architectural reviews and a great system for tracking and issuing covenant violations.

Cons

I would love to be able to separate our community into neighborhoods as some neighborhoods have sub-associations that I don't want collaborators to have access to entire HOA.

I started using SmartWebs back in 2014/15 or somewhere around there, \[SENSITIVE CONTENT\] from Austin used this at her Management Company and introduced FirstService SA to SmartWebs and I have loved it ever since. So easy to navigate and to use the website.

Pros

It is easy to find requests and close out requests, I like how it is easy to filter the information.

Cons

I have 2 separate accounts, one for my company and one for the HOA. I cannot be signed into both at the same time and get it's frustrating having to sign in-sign out....

It's a great program, but can be cumbersome with the features not being utilized at full potential.

Pros

I like that it's easy to run reports and this it has a offline version. The reception in our area is poor. I also love the touch free mailing, that has been a huge timesaver!

Cons

The houses are never in the correct spots and we have been told the only way to reset them is to manually move them. We are in East Mesa and some of the homes end up in buckeye. Then we have to manually move them from there and place them to where they are supposed to live. The offline version used to also have tracking, but that never works properly. When escalating to the fourth notice, it skips to the 5th. I then have to manually change that to 4th when I move them to be processed. We also have different fines for different violations, so we also have to manually change that.

Having one platform for everything an HOA or management company needs just makes the managers and integrations job easier all around. Customer service and the higher up execs are all pleasant to work with and listen to suggestions or criticism should it arise.

Pros

SmartWebs is first and foremost very user friendly. Features work seamlessly, set up and integration is extremely easy, and if something goes wrong customer support responds very quickly.

Cons

As far as existing features, I don't believe there are any cons. We work with SW all the time to try and implement new features or give suggestions for improvements, but it's overall a very pleasant experience.

Pros

I like that the homeowner can submit their ARC themselves. It cuts down on handling paper. It is not a back product and over time I am sure it will get better as you get the kinks out.

Cons

The processing fee that is charged to homeowners as soon as the ARC is submitted and they do not have the option to pull that ARC back without paying the fee. Also some elderly that do not use computers cannot submit the ARC themselves. We have to chase down board members to sign in and review/approve or deny an ARC. The training for use is not always great and the trainers sometime get angry with us that need to learn.
