Tim has been amazing in walking us through each step and answering all questions. I like that they listen to their clients feedback and are improving the software on a consistent basis.

Pros

The fact that it is cloud based and that they have a great customer support system that makes the transition easier.

Cons

The Ledger and insurance posting is not as user friendly to read to the average office staff. It makes it difficult to be able to understand where balances are coming from

My overall experience has been very positive. Coming from the micromobility industry, I was able to adapt quickly, and the system has made daily operations more streamlined and organized. It’s a reliable tool that supports efficiency, and the onboarding guidance played a key role in helping us get the most out of it from the start.

Pros

What I liked most is how intuitive and efficient the platform is, especially from an operations standpoint. The analytics are practical and easy to work with, and having a team that supports with pulling and interpreting data makes a big difference in day-to-day management.

Cons

There’s definitely a learning curve at the beginning, especially coming from outside the dental field, but the onboarding support helps make that transition much smoother.

Following an initial period of acclimation, I have found CareStack to be a genuinely enjoyable platform to utilize.

Pros

Treatment planning, patient check-in and check-out processes, patient portal functionality, and patient communication capabilities.

Cons

The transition from the previous platform was somewhat challenging, requiring an adjustment period to become accustomed to CareStack.

Great cloud base Product and the supports team member have been great.(\[sensitive content hidden\] ). Ease of scheduling patient and communication with patients.

Pros

Allows for remote access, making it easy to check schedules. Integrates scheduling, clinical notes, patient communication ,texting, emails and billing into one system.

Cons

The number of features can be overwhelming at times. and certain processes like treatment planning can be long.

As a practicing dentist, my overall experience with CareStack has been consistently frustrating. While it offers flexibility, it lacks the efficiency and intuitive design required for real-world clinical use. Routine tasks like treatment planning and scheduling become unnecessarily time-consuming due to excessive steps and poor workflow logic. The lack of visual clarity in charting and absence of shortcuts further compound the inefficiency, making everyday use tedious. It feels like the software was not designed with actual dentists or clinical workflows in mind. If your practice is considering switching to CareStack, I would strongly advise against it. And if your workplace adopts it—be prepared for a noticeable drop in efficiency and increased daily frustration.

Pros

CareStack offers a high degree of customisation for many smaller or non-essential features, and there are often multiple ways to complete the same task. However, it’s frustrating that while trivial aspects are flexible, fundamental clinical features, such as material colour coding, are not customisable.

Cons

Severe lack of efficiency—basic tasks require excessive clicks, with virtually no keyboard shortcuts. Even simple actions (like confirming entries) can’t be done with Enter, forcing constant mouse use. Basic workflows, especially treatment planning and scheduling, are extremely redundant. To schedule a single treatment, you must: click the tooth → add the code → drag it into a grouped code → right-click to add to clipboard → assign time → assign an operator (despite already being logged in) → select treatment type → save to clipboard. This results in ~8–10 clicks per item. Multiply that across multiple procedures and patients, and it becomes a major time drain. The interface is cluttered, with visual noise and overlapping elements that slow navigation. Charting is also poorly designed—there’s no way to customise material colours. Amalgam, composite, root canal, and crowns are all displayed in the same colour, eliminating any at-a-glance understanding. You’re forced to hover over each tooth individually just to see what treatment was done. Browser limitations further worsen usability—right-click actions are inconsistent and often overridden by the browser’s default menu instead of an in-app one. Support is unreliable. They may call during work hours for minor issues, promise follow-ups during agreed times (e.g. lunch), then not follow through. Bug reporting is inefficient—they ask for explanations and replication steps even when clear screen recordings are already provided. Despite repeated reports, issues remain unresolved even after months.

Pros

We love the text to pay feature. Insurance has been sooo much easier through carestack. There are so many cool tools and reports that i haven't even gotten into yet.

Cons

We are still pretty new to carestack and I feel like we have to use too many clicks for certain things in the clinical section. The first few weeks we would have benefited from learning from \[sensitive content hidden\] .

Overall Carestack is great. \[sensitive content hidden\] has been wonderful and patient. Once she became our trainer things really fell into place pretty quiclky for me.

Pros

\[sensitive content hidden\] was wonderful. I like how everything in Carestack is so streamlined and easy to work insurance once you know where to look for things.

Cons

I'll be honest, it was a bit rocky at the start. Our transition was not easy but once \[sensitive content hidden\] stepped in as our trainer things started to click

Wonderful! If I ever can't figure anything out I just call there support number. It does not take lng to get an answer or they walk me through how to do what I am asking.

Pros

The implemenation specilist was wonderful. She made it so much easier with all of her knowledge of the software. Always had a quuck response and explained in a way that was easy to learn.

Cons

The billing statement were hard to decipher but there was an update and now I really like the new billing statements!

She made what could have been a complicated transition feel seamless and organized from start to finish. \[sensitive content hidden\] worked closely with our office manager to answer every question and took the time to clearly explain each step to our team, making sure everyone felt comfortable with the new system. Her patience, knowledge, and responsiveness made a huge difference. We truly appreciate her support and professionalism and are grateful for how smoothly she helped make this integration happen.

Pros

I liked the all cloud based platform, the visuals of the software, the online booking and texting, the automated reminders built within the system and the automated text messages for reviews.

Cons

Billing was hard to understand and there was a large learning curve in the beginning. Felt like there was too many options and ways about doing things but was made easier once we had enough sessions with carestack employees. Only thing is knowledge of carestack was not uniform amongst their employees. Some knew about how to do things more than others.

Very user friendly. Everything in is one spot no need for multiple sites. The team is very efficient in getting you set up and helpful for your success.

Cons

Due to being a web based system, there are times where it can take a few seconds to load. This is not a common issue but may arise at times.
