### "CareStack: All the Features, None of the Efficiency"

As a practicing dentist, my overall experience with CareStack has been consistently frustrating. While it offers flexibility, it lacks the efficiency and intuitive design required for real-world clinical use. Routine tasks like treatment planning and scheduling become unnecessarily time-consuming due to excessive steps and poor workflow logic. The lack of visual clarity in charting and absence of shortcuts further compound the inefficiency, making everyday use tedious. It feels like the software was not designed with actual dentists or clinical workflows in mind. If your practice is considering switching to CareStack, I would strongly advise against it. And if your workplace adopts it—be prepared for a noticeable drop in efficiency and increased daily frustration.

Pros

CareStack offers a high degree of customisation for many smaller or non-essential features, and there are often multiple ways to complete the same task. However, it’s frustrating that while trivial aspects are flexible, fundamental clinical features, such as material colour coding, are not customisable.

Cons

Severe lack of efficiency—basic tasks require excessive clicks, with virtually no keyboard shortcuts. Even simple actions (like confirming entries) can’t be done with Enter, forcing constant mouse use. Basic workflows, especially treatment planning and scheduling, are extremely redundant. To schedule a single treatment, you must: click the tooth → add the code → drag it into a grouped code → right-click to add to clipboard → assign time → assign an operator (despite already being logged in) → select treatment type → save to clipboard. This results in ~8–10 clicks per item. Multiply that across multiple procedures and patients, and it becomes a major time drain. The interface is cluttered, with visual noise and overlapping elements that slow navigation. Charting is also poorly designed—there’s no way to customise material colours. Amalgam, composite, root canal, and crowns are all displayed in the same colour, eliminating any at-a-glance understanding. You’re forced to hover over each tooth individually just to see what treatment was done. Browser limitations further worsen usability—right-click actions are inconsistent and often overridden by the browser’s default menu instead of an in-app one. Support is unreliable. They may call during work hours for minor issues, promise follow-ups during agreed times (e.g. lunch), then not follow through. Bug reporting is inefficient—they ask for explanations and replication steps even when clear screen recordings are already provided. Despite repeated reports, issues remain unresolved even after months.

### "Great All-in-One Secure Platform"

The biggest reason we stayed with CareStack and what truly made the difference for us was our CSM, Brandy. She has been absolutely wonderful throughout this process and truly became the make-or-break factor in helping us get the software working for our office. Having someone responsive, knowledgeable, patient, and genuinely invested in our success made all the difference during the challenging moments. While it was definitely a bumpy ride some days, we are genuinely happy we made the switch from Eaglesoft to CareStack and are excited to continue enhancing our systems and processes to fully take advantage of everything the platform can do for our practice.

Pros

Once we pushed through the difficult onboarding phase and really started learning the platform, we began to see why so many growing practices are moving to CareStack. The reporting, insurance workflows, patient communication tools, analytics, customization, and overall integration of everything into one system have significantly improved our efficiency and visibility across the practice. We continue to discover new tools and workflows that help us improve every day.

Cons

Click redundancy and Implementation. After many years on Eaglesoft, making the switch to CareStack was a huge decision for our practice and honestly, not always an easy one. The implementation and live launch were definitely rocky at times, and there were days where we questioned if we made the right move. Like many others have mentioned in reviews, there is absolutely a learning curve when transitioning into such a robust, all-in-one cloud-based system.

### "CareStack - Exceeding Expectations with Each Encounter"

From our demo, to the sales process, prep for conversion, implementation, go live, and on-going support, CareStack has exceeded my expectations. Implementation and training is a well thought out process. Our weekly post implementation calls were invaluable. CareStack made the conversion from Dentrix as pain-free as possible. We had multiple avenues to receive support - and received it quickly! My team has told me that they can't ever imagine going back to Dentrix after using CareStack. We have integrated VoiceStack and CS Pay. We love that phone calls are recorded and transcribed in real time, then summarized and saved to the patient's chart. CS is flexible and their analytics give me so much insight into my practice. The AI component of the X-Ray module is definitely worth the cost. It pays for itself repeatedly by increasing patient treatment acceptance through the education and visuals it provides. We honestly highly recommend CareStack - a rare gem of a company that is invested in their clients' success.

Pros

The well thought out implementation process and support. The weekly calls during and post-implementation. Always being able to get support. Having one company to deal with for PMS, patient engagement, analytics, AI for X-ray, phones, and merchant services. The flexibility of reports. Data conversion.

Cons

The learning curve, but that would be with anything new. There currently isn't a report that will give me a provider's production per hour and when using CS Pay, you have to deduct the merchant fees daily in your accounting software in order to reconcile with the bank account.

Pros

What I like most about CareStack is how everything is integrated into one cloud-based platform. It makes scheduling, billing, insurance verification, patient communication, and reporting much more organized and accessible from anywhere. The automation tools and real-time reporting help improve efficiency, while the cloud system reduces IT issues and makes daily workflows easier to manage. It’s especially helpful for practices looking to streamline operations and grow efficiently.

Cons

My least favorite thing about CareStack is that some workflows can feel overly complicated and require too many clicks, especially for ERA processing, insurance tasks, and certain clinical functions. While the software is powerful and feature-rich, there can be a steep learning curve for new staff, and some daily tasks are not as intuitive or fast as other dental systems. However, its cloud-based features, reporting tools, and overall integration still make it a strong platform for managing a modern dental practice.

### "In the End CareStack is a Win!"

At the end of the day, CareStack is a really powerful tool and great for a growing practice, you just have to be ready to put in the time upfront to learn it and set things up the right way. I have to call out our Customer Support Manager, because that’s been a game changer for us. Brandy has been amazing. She is always super responsive, knows her stuff, and just has a way of calming everything down when things feel chaotic. There were times we were seriously frustrated, and she jumped in and fixed things in minutes. If we had her during implementation, it would’ve saved us a ton of stress. Carestack needs to do a better job of making sure their clients have a strong support team like Brandy during implementation instead of after going live to make sure you are set up for success.

Pros

The biggest win is having everything in one place. Scheduling, charting, notes, billing, patient texts/emails…it’s all integrated, which has definitely helped our workflow and cut down on juggling multiple systems. The reporting side is honestly one of the best parts. It’s super easy to track metrics, and we’ve seen real improvements in our numbers, especially with AR’s, and treatment acceptance has improved too.

Cons

That said, it’s not the easiest system to learn. Implementation did not provide a great foundation for success. Better training before going live is highly recommended. There’s definitely a learning curve, and some tasks feel like they take more clicks than they should. The customization is nice, but having multiple ways to do the same thing can be confusing when you’re still trying to get the hang of it. It can also feel a little cluttered at times.

Overall, our experience (about 3.5 months in) has been positive, though there were a few challenging moments along the way. CareStack has been very supportive throughout the transition. In particular, Tim Seaburg, our onboarding specialist, stood out for his knowledge, patience, and willingness to help. His support made a significant difference in guiding us through the process.

Pros

CareStack has helped us simplify our office workflow by reducing the number of systems we need to log into each day. As a result, our staff is able to work more efficiently and at a smoother pace. We also benefit from the AI and call transcription features available through CareStack’s partnership with VoiceStack—another huge time saver for our team.

Cons

The ledger—specifically when reviewing insurance postings—can be difficult to interpret. The verbiage used is somewhat tedious and not always intuitive, which makes it harder to quickly understand what’s being shown. It also feels like there are extra, unnecessary steps involved in the process. Streamlining the language and simplifying the workflow would make this much more user-friendly.

Our overall experience with CareStack has been mixed so far. The customer service that has been provided my \[sensitive content hidden\] has been incredible and they have worked very hard to help us resolve various issues that have come up. The issues in and of themselves have been rather tedious and unexpected. Our largest roadblock that we have faced so far has been with balances and insurance items. As with any new systems though we know that there are to be hiccups along the way. We are really excited to learn more about and utilize all of the great features that this platform has to offer once we are fully up and running.

Pros

There are a lot of great features in CareStack. So far our office has really liked how it is an all in one cloud based system. It has allowed us to better utilize patient analytics, scheduling tools, patient portals, and more.

Cons

There have been a lot of integration issues that we have faced along the way that we had not anticipated. We have had challenges with getting insurance information properly transferred over and connected to the appropriate data bases.

Everyone at Carestack has been so incredibly helpful! I love the support button and the onboarding team and process.

Pros

We recently switched to CareStack, and it’s made a big difference in how smoothly our office runs day to day. Everything feels much more streamlined, which has taken a lot of stress off our team. One of my favorite features is the claims process, it’s very easy to manage and has saved me a lot of time compared to what I was used to. The dashboard is another huge win for the office. Being able to quickly see who still needs paperwork, who has outstanding balances, and what needs attention has made staying organized so much easier. Overall, it’s helped us work more efficiently and stay on top of things without feeling overwhelmed. Definitely a great upgrade for our practice.

Cons

We don't really have any cons, I only wish our schedule would print vertical instead of horizontal. But if that's the only complaint then it's a win for me.

Carestack is a very comprehensive software. Its easy to navigate and has made front office work more streamline by outsourcing our claims posting through the CareRevenue team. We are able to complete more tasks from one window, without having to jump between scheduler and leger to check out a patient. There was a bit of a learning curve when it came to our transition from Dentrix. The workflows are very different, but our team is adapting pretty well. Our trainers Caroline and Ayisha were so helpful, and very attentive during our onboarding meetings. They answered our questions, were very patient and helped us to understand the analytics side of Carestack. Looking forward to seeing how this transition improves our practice overall.

Pros

Easier work flows, better explanation for reports and very fast support through chat to fix minor issues or questions on software navigation. Help bar allows to search through carestack software with ease

Cons

Sometimes takes a while for technical support tickets to be resolved. The team says they will update you, but it may be better to reach out to your account reps for updates on technical support tickets. I also felt the cost of some add on services was very high, better suited for multi location practices than a single private office.

I've enjoyed my time working with carestack. The staff is friendly and the software allows us to be able to track everything in one place rather than having to utilize several additional software programs.

Pros

I like that we are able to utilize carestack for not only scheduling matters but for tracking metrics, patient engagement, billing, etc. I also enjoy that the support team is very responsive and easy to communicate with.

Cons

I least enjoy the glitches and bugs that we seem to face. Carestack does have several small glitches that over time can affect day to day work responsibilities. Such as long loading times.

Problems with Tigerview xray software. Although the support team was always there to help, we are switching over to their new Aeka software.

Carestack grew on me over time. It is my 5th software so I have experience with many. I have to say it is one of my favorite softwares to use and is super easy to use. The training and onboarding team is the absolute BEST!!!

Pros

CareStack is a great option for cloud based software. We converted from Eaglesoft. The training process was great and the entire CS team was very responsive. The best part were the trainers. Huge shout out to \[sensitive content hidden\] (from VoiceStack.) They were in essence an extension of our team and super patient and kind with all of our questions and training needs. I couldn’t have asked for a better team and I’ll miss them the most!! Carestack definitely grew on me and the software is built to anticipate ans address the needs of dental professionals to truly aid in the success of the practice.

Cons

There are some aspects that are set within the software from the backend. I wish there would be some availability to customize those aspects to enhance user experience.

Pros

We love the text to pay feature. Insurance has been sooo much easier through carestack. There are so many cool tools and reports that i haven't even gotten into yet.

Cons

We are still pretty new to carestack and I feel like we have to use too many clicks for certain things in the clinical section. The first few weeks we would have benefited from learning from \[sensitive content hidden\] .

Carestack has been a great PMS for our team! We have multiple locations and we specialize in extractions, implants, and AOX. Not only is Carestack the best software for such a specialized company like ours, but they are constantly asking for feedback and actually updating software based on the customer requests! My Customer Success Manager is \[sensitive content hidden\] and she, with \[sensitive content hidden\], have been an absolute delight to work with! Not only has she shown me things I never would have known to do with the software, but she has taken my notes of frustration or suggestions and turned them to the powers that be to have the suggestions put into the software. Not like in 2 years, but like 3 months after it's been requested. Absolutely insane because anyone who has ever worked with another PMS knows that is RARELY the case. As a former Eaglesoft girlie, I definitely recommend Carestack for practices looking to have a comprehensive PMS that listens and adapts!

Pros

The Customer Success Manager assigned to me has been the most incredible asset! There are so many ins and outs of CS and she has taught me sooooo much.

Cons

The things I don't like have been sent to the CS team and they actively work to add the suggestions/complaints to the next published update.

My experience has been positive-I have learned so much. \[sensitive content hidden\] has made herself available even 'after' our training was done. I look forward to learning more.

Pros

The support offered is exceptional. Every single team member is attentive, receptive and helpful. \[sensitive content hidden\] and all of the team do not hesitate to support you. I have NOT found this with other systems. I love that this is web based and that we can share our patient information with other offices in our group.

Cons

Carestack is LOADED with information, and it has taken me some time to just 'scratch' the surface. I was an expert with our previous system, I am less confident with Carestack. I also wish that I could have followed along on my own computer while listening/watching \[sensitive content hidden\] training sessions.

The experience has been great! Especially with the level of support that was provided to us. Our patients are satisfied as well with how easy it is for payments & communication.

Pros

I liked how easy everything is to navigate. Very efficient! I think it’s very well put together when it comes to looking up patients information etc.

Cons

There really isn’t anything I can point out that I don’t like about it. I think if I had to say something it would be there are so many ways to do one thing. Not nesc a bad thing but I can see how sometimes it can be too much.

We have had a great experience with CareStack. The training has been very informative and detailed to help you understand how the system works. We have had a few obstacles to jump over to meet our Practice dynamic, but everyone there has been supportive and helpful to make us work.

Pros

CareStack has a lot of Smart features when it comes to the payment ledger, the Clinical chart and even sending correspondence letters straight from the patient's chart. It helps make the workflow very seamless.

Cons

Being an Orthodontic focused practice- we found that the Otho Case module just wasn't quite what we needed it to be. There definitely some features that could be enhanced like the capability to set up a patient's chart and chart entries in a structured form. IE: being to put wire sizes for that day outside of the actual note so you can quickly see what wire they are in without having to click into the last chart note and read through everything to find it. Having an in office patient tracking system to one be able to keep up with chair time and efficiency, but to be able to let the staff/doctor know where you are in that procedure IE: Here, seated, Ready for Doctor, Doctor needed ASAP, Done, Checked out-- these could be in a light system that you choose the color you want each function to be and it literally directed the Doctor on where to go. I do not like the fact that when you create a treatment plan for a patient at the first consult, then if they accept and you use the Ortho Case module, you have to go back and DELETE the original treatment plan code to avoid the wrong code being used. Then in order to START the actual Ortho Case you have to set up a patient Production schedule (payment plan). In Ortho, your production is on the Initial Bonding/ start date all at once. The payments made after that is collections. In ortho case- all payments are set as Production which in turns counts that production twice. Also we have patients that pay in full for their Orthodontic treatment- Ortho case doesn't allow for you to not make a patient production schedule or make a patient production schedule with a one time payment.

### "Learning and Understanding"

The Startup team makes sure the team is comfortable with the process and learning how to maximize the functions. I appreciate when we do not understand a function, they take the time to walk us through and work on a process that works for the practice.

Pros

The support access has been a great help there are many areas to still maximize the software. Learning all the features attached.

Cons

There are many functions, but the reports set up having to go into multiple reports to get numbers and trends it would be nice in a one report function, The forms and notes and amending items are a struggle, The training team are working on creating an all-inclusive report. Also, if items apply incorrectly and not being able to amend or remove the item to make corrections as we need to.

Very good! The initial training team was very good and knowledgeable. It would be nice if there was a personal follow up(included in the cost) to the office about a month or 2 later; This would allow the customer to see if they are using the software efficiently. Once you go live, there is always a huge learning curve.

Pros

Ease of scheduling patients and communication with the patients, multiple ways to complete tasks, can work from anywhere, the task manager is great, navigating through a patients chart is super easy, and they do a pretty good job with resolving issues.

Cons

Reports do not print in date order, do a better job communicating with updates and how it will affect or help you daily, not having someone in customer service that understands the software, and not having the capability to take and save CBCT imaging.

Carestack is definitely the most innovative software system on the market for all dental practices right now. We have had top notch customer service since we showed interest in switching the them. We have now been live for 6 months and we still have multiple people we can contact and immediately get a response. Carestack has kept their promise of continuous updates and taking feedback seriously. To say we are impressed would be an understatement.

Pros

100% Customer service is TOP NOTCH! They continue to reach out/respond to all of our questions and feedback.

Cons

Adjusting our doctors scheduled working hours was the most difficult thing I've had to learn with CS.

It is great, our transition to Care Stack was steady and we are learning a lot more features that help us with our workflow in our practice.

Pros

I like the Chat Support feature which the reps are active and we get assistance in an instant and I also love that it is user friendly.

Cons

The creating of plan breakdowns and online registrations are a bit longer to fill up. It will also help if they could allow to add all CDT codes under frequency and limitations.
