“I have an outside vendor that I needed to have access to my Bookings page. As she did not have an email address within my organization (and for security reasons, could not), this meant there were limitations to her access, which was a bit inconvenient as a middleman needed to be designated for changing availability.“

### "Booking meetings have never been this easy! "

February 2, 2026

5.0

My overall experience with Microsoft Bookings has been positive. It makes scheduling much easier by allowing people to book time based on real availability without back-and-forth emails. The integration with Outlook and Microsoft 365 is a big plus, keeping calendars up to date automatically. While the setup can take a bit of time at first, once it’s configured it runs smoothly and saves a lot of administrative effort.

Pros

It allows for customers and team members to book or schedule a meeting with me easily without a lot of emails back and fourth on availability.

Cons

There are really no cons that I can think of for this product - it provides a easy setup and link system for clients/customers and staff.

### "Great Bookings!"

June 16, 2025

5.0

Overall, this is a great product. It makes scheduling easy for potential clients and keeps me organized.

Pros

Primarily, it easily synchs with my personal Google calendar. It also allows my potential clients to book initial meetings with me.

Cons

There really isn't anything that causes me to not like this software. It is easy to use and has been very reliable.

### "Great tool but limited options"

August 5, 2024

3.0

It works great for booking but very limited options.

Pros

Booking is great to create reservation pages to book time with other people. Also when you have a service in your organisation it helps book the schedule of a team.

Cons

I find booking a little useless since you have the functionality Find Time in Outlook that really simplify booking time and meeting with other colleague. If booking had more options to book rooms from various levels and various locations I think that would make this product even better.

Reason for choosing Microsoft Bookings

I didn't choose Booking, I tried it for a while, but the lack of options of the tool was too great to be helpful. I recently started using Koalendar and find it much better.

### "Convenience in a bundle"

February 20, 2026

5.0

My overall experience with Microsoft Bookings is a 10/10!! The convenience and professionalism and organization is all I need!

Pros

The best and most important thing I love about Microsoft Bookings is the scheduling/appointment process for my clients and I!!

Cons

There is not much that I do not like about Microsoft Bookings honestly! I guess you can incorporate AI somehow, that’s the future.

### "Useful and very easy to set up, however the UI could be a little more customisable. "

May 6, 2025

4.0

Easy to use and seamlessly integrates with our calendar. This app/service is provided by default as part of our MS365 subscription, which makes the solution makes it a no-brainer to manage our bookings.

Pros

This is simple to set up, and provides versatile configurations for creating different types of appointment bookings. It also seamlessly integrates with our Microsoft Exchange calanders.

Cons

The customer facing form/booking UI woudl benefit from being more customisable. This is especially evident when we want to embed or integrate the form on our website.

### "Microsoft Bookings has streamlined my workflow. "

December 29, 2025

4.0

I have been able to integrate Microsoft Bookings easily into my daily workflow. It saves me time because I'm not having to go back and forth with each person to figure out "what time works best" for all of us. This makes it easy, and I don't have to pay someone to keep my calendar going. l

Pros

I added Microsoft Bookings as an app on my Microsoft Teams account. I am able to set my available hours for meetings, and it merges with my calendar so no one can book a time to meet when I already have something scheduled. It was free to add on my Teams account, and there was no learning curve. I was able to create different booking links so there is always one that goes out on any email I send so I can be available to my team. When I send an email to people I am trying to recruit, they get a different link that shows up that I titled "first time meeting" so I know in my calendar what kind of call I am going into before the meeting starts. I haven't had any issues, but I know customer support is always there because it makes it clear where to go. And the best thing is, when someone books a time to meet, I get a notification and a reminder sent to my email so I can stay on top of the job.

Cons

It took me a little bit to figure out the different features and how I wanted to implement them into my daily workflow. But you will get that with any kind of product you use. If we aren't trying to make things better, what are we doing? I will learn all the features if that means it saves me time.

### "Good tool for booking calls with colleagues and externals (group calls booking is available)"

October 30, 2025

5.0

Great tool when working inside Microsoft’s environment! You need to figure out all settings at first, but once you know how to navigate, almost anything is possible. Great tool for booking calls with colleagues and also externals.

Pros

I don’t work in sales, but I find this tool to be very useful! Colleagues and externals can use it to book meetings with me easily, and it’s connected with my calendar, so they can only book slots when I am available. Another great feature is that you can make special booking links that allow people to book meetings with you and your colleague(s), showing only available slots when all of you are free for a call! I must say that there is a learning curve, but it’s relatively easy to navigate through all settings, and there are a lot of resources to learn about all features. Another awesome feature is that it allows externals (that are not guest users in your Microsoft tenant) to use the link to book a meeting with you. It’s a free tool if you have Microsoft paid account, and it’s worth using it if you (your company) operates in Microsoft’s environment.

Cons

Learning curve exists, and there are a lot of options to check. Not every setting’s purpose is clear at start, but once you learn to navigate it’s pretty easy! I get why there are so many settings, so I don’t mind it much. Just consider you need some time to figure everything out when using for the first time.

### "Simple scheduling solution for daily sales use!"

January 6, 2026

5.0

Overall, my experience has been positive. It helped streamline scheduling for test drives and customer meetings, reduced missed appointments, and kept everything organized in one place with the rest of Microsoft 365.

Pros

It made scheduling test drives and follow-up appointments much easier. Customers can pick an available time without back-and-forth emails, and everything syncs directly to Outlook, which saves time during busy days.

Cons

The setup can take a little time at first, especially when configuring services and availability. It also feels more basic compared to some standalone scheduling tools.

### "Simple and Functional Bookings"

August 31, 2024

5.0

I love it. It has saved me a lot of time and hassle. It is fully functional and simple to use. I highly recommend it for everyone who needs to have meetings regularly.

Pros

I like how easy it is to do what it says it can do - Book a meeting. Instead of mentioning our available time and going back and forth about the availability of both parties, I just give the booking link and it gets easy for everyone. I also like that I don't have to pay anything extra since it is included with the Office subscription. Other thing I like very much about Microsoft Bookings is that the bookings and cancellations are automatically updated in my calendar so that if someone books a meeting but cancels it, other people can again book at that particular time slot.

Cons

I wish it automatically created teams meeting once the booking is done (similar to calendly), but it doesn't. I also wish we could customize the booking link to match the theme of our website. Other than this, there aren't many cons of Microsoft Bookings.

### "Microsoft alternative to Calendly"

September 2, 2024

5.0

So far, so good. I've set it up for the different types of meetings I offer for my students (indiviaul versus group), and I see that it's perfectly synchronized with my calendar.

Pros

I like that I can save my custom meeting times no matter what type of meeting for. I also quite like that it syncs effortlessly with my Outlook calendar.

Cons

I have not found a way to make a link not expire for a longer period. I would prefer to be able to customize this option.

### "Convenience and functionality that work for us"

May 10, 2022

5.0

Overall for us Microsoft Booking works quite well and is a very helpful tool to make sure we get appointments scheduled quickly and have additional tools for the functionality of the booking system that make it very simple to use.

Pros

The convenience of being able to sync calendars, create recurring appointments and send and get confirmation through the booking systems connection to our outlook, makes Microsoft Booking a highly effective and very necessary part of our tools and systems. Clients can confirm within the email and we get that confirmation as well as regular reminders on the appointed day. Fewer missed appointments by our clients because they also get SMS reminders making it really convenient for us. I also like that it integrates with zoom and teams to have additional functionality to what appears to be a "simple" scheduler.

Cons

I don't like that getting paid for appointments is still not a simple as some of their competitors who have their standalone booking systems that also allow for payment within their software.

Switched from

[Calendly](https://www.capterra.com/p/148036/Calendly/)[Google Calendar](https://www.capterra.com/p/213340/Google-Calendar/)

The switch from Google calendar and Calendly was how easily we could integrate Microsoft booking with outlook and it made scheduling and messaging our clients very seamless. Every bit of software we use is due to how efficient it allows us to be as well as how much simpler it makes things for our clients.

### "Share your calendar with Bookings by Microsoft "

August 30, 2019

4.0

I use Bookings for client consultations. I is some much easier to allow client to choose an available time book themselves instead of the back and forth trying to figure out a suitable time via email.

Pros

Bookings by Microsoft is one of those apps included with Microsoft Office 365 and it allows you to take online client bookings. It is easy to setup and use.

Cons

I would like more flexibility in creating the booking calendar and clearer notification email when a client books an appointment.

### "Bookings at ease!"

October 29, 2025

4.0

When I first utilized it, a walk through guide did not pop up, so it took some trial and error testing with a colleague for certain settings. However, since my initial use, quick start guides, templates, etc. pop up, which is very helpful.

Pros

I stumbled upon Bookings while looking for a way for employees to schedule headshots with me. Bookings came in very handy. It allowed me to fill up open slots and make sure there were no duplicates. There are features that allow you to select specific days or certain time frames which helps with usage.

Cons

Not necessarily something I do not like, but I wish it had a feature to limit the amount of people who could sign up for the same time frame. This could be offered through Microsoft Outlook as well.

### "Microsoft Bookings"

November 23, 2023

4.0

Saved us so much time, and back and forth emails. We would not be able to do our seasonal hire without it.

Pros

Our very small team annually hires over 150 people over the course of a few months. Having the ability for our team to sync their calendars/availability and let interviewees book their own interviews has been a game changer for us. Saves so much time and effort. It auto syncs with Teams so everything is taken care of. And since its built into the Microsoft suite it wasn't a separate program we needed to pay for. Bookings really runs itself once you've set up your parameters, which is so important to us.

Cons

As we are using it for interviews, we must have two of our own staff present on the interview. Teams can't book with two of our team without me making a built in team of every pairing. So I do have to manually enter the second interviewer, which is frustrating. This is the only downside we have found with bookings.

Reason for choosing Microsoft Bookings

It was free (within our Micrsoft Suite of products), and did nearly everything we needed. The only feature it couldn't do was easily worked around.

### "Not quite ready, but close"

July 9, 2020

3.0

Pros

Very easy to implement. Easy to create appointment types and place on our main website. Great flexibility in customer email communications, with reminders of appointments and such.

Cons

While it's functional on a basic level, there are many many annoyances that just are unexplainable. First, you can access bookings via the web app, or you can access bookings via a Teams plugin, or use an iOS app The problem is, each method provides you a different set of options when creating the booking. Zero consistency. In order to use bookings, you need to add everyone that uses it to the staff, AND, you have to give them full admin control. If someone gets to create bookings, they can also go in and muck with all of the settings. Horrible! The next access tier down is that they can view bookings, but not create or modify them. That's next to useless, if you ask me. Also, every staff member's calendar now shows up in bookings. If you have a receptionist making bookings, there would be no need for their calendar to show up. In the Teams version of the app, you can remove the useless calendars. On the web version you cannot. But on the Teams version, you only have very rudimentary options for creating a booking, so you need to use the Web app to access it. The home page in the web app is useless. It's got buttons for setting up the first time, but not what you need for day to day stuff isn't there, and there's no apparent way to change it. In the calendar page, you can create bookings. There are boxes for customer notes and internal notes. However, once you put anything in there, the boxes are no longer labeled as to what they are. Horrible design.

### "Just Falls Short"

May 17, 2020

3.0

Pros

As with so many things from Microsoft, this software just falls short of delivering what we need. I operate a consumer bankruptcy practice and I deal with consumers, so text message reminders are a must. The text message reminders in MS Bookings do not work. The texts often give a time 2 to 3 hours after the actual appointment. I have spent quite a bit of time reading about this and changing the time zone settings. I have contacted customer support. They want me to run several tests on how I do things and show them why I am not scheduling the appointments correctly. Another drawback is that there are 0 integrations. MS Bookings does not even integrate with MS Outlook! If your client enters the contact info to book the appointment, wouldn't it be a no brainer that you could them move that over to Outlook? Sure. Can you do it? NO! I am moving to a service that will correctly text out the reminders and cut out entering the contact info multiple times.

Cons

Accurate Text message reminders and integrations at least with other MS products.

Reason for choosing Microsoft Bookings

It was free with my Office 365 subscriptions.

### "As long as you have purchased the whole o365, totaly worth it"

June 9, 2020

5.0

It was harder to set up than the competitor. But it has additional options so worth it if you could figure it out.

Pros

It has all of the same features of the previous system that we were using. It has some features that other systems dont. The clients have been able to use it with no challenges. The reminders are worth it that it sends to people.

Cons

We were required to change to Bookings and it doesn't allow us to use Zoom easily with our students. However being forced to change to Teams did not matter since we have the full o365. Wish you could remove the price from the service.
