Owner/Creative Director Graphic Design Used the software for: Less than 6 months ### "Internal and External Proofing" April 20, 2020 5.0 We've been able to solve the following: - Accountability on updates (client or employee issues) - Better attention to details (senior staff overseeing junior staff work before sending to client) - Time saved on emailing proofs and tracking what was/wasn't done. - Getting clients on board with the same proofing process. Previously some clients printed, then marked up proofs, then scanned and sent back. Others just sent a list of updates through email. Others marked up in Adobe Acrobat. Great to have everyone on the same page using the same tool! Pros We needed a proofing tool to streamline our approval process internally and externally. I like that we can do internal reviews before sending proofs to clients. This helps me train my Senior staff to pay more attention to details and make sure they're catching any issues with proofs before sending to the client. Clients love the ability to see previous versions. The software also allows for accountability on updates. We're able to track if updates were made for clients and if clients missed updates. Cons Overall the product is very intuitive, but with so many options in the proofing proces, onboarding can be difficult at first and training clients can take some time. But once everyone is on the same page on how the process works, it's a great tool and worth the effort. I can't say enough good things about it and I'm constantly recommending it to everyone I talk to in the industy, when discussing proofing or our workflows. Pros I enjoy how easy it is for us to mark up proofs at every step of the way, both internally and for our clients. As a project manager, I especially appreciate how seemlessly it integrates with our project management software, to ensure approvals happen fast and in a more automated fashion. Cons The way it integrates with Microsoft Word for copywriting and with some of the web features seem a bit clunky. It would be nice if we could figure out a way to integrate it seemlessly so that all users could have a better experience. President Marketing and Advertising Used the software for: 1-2 years ### "Ziflow Gets The Job Done For Proofs" January 26, 2026 5.0 Before using Ziflow we were constantly sending emails back and forth with attachments and different versions of designs and now every thing is kept in one location. Meetings are shorter because people can review the information at their leisure. We are able to keep better tabs on the changes made to the documents as well, therefore less will fall through the cracks. Pros I like that I can just simply upload a design or video and then everybody can markup and add comments to it directly on Ziflow -- no need to send emails back and forth with a bunch of screenshots. I also appreciate that it tracks approvals so there are never lost communications. I really like the threaded comments as well because they help when there are disagreements about changes. Cons The free version of Ziflow limits the number of files that can be uploaded which is terrible for when I am testing new things. Also sometimes when uploading large files it takes forever and it really bothers me. Pros Ziflow has changed the game for our company and internal communication between departments! The security Ziflow offers is top-notch and allows sensitive documents to be sent and reviewed with no issues. I started at my current company just as we began to utilize Ziflow, and the customer support I received while setting up my account was incredibly helpful and swift. Coming onboard as part of our marketing department, the project management aspect of Ziflow offers has saved us hundreds of hours and has streamlined our workflow in an unbelievable way. Cons I think if I had to choose one con about Ziflow (which is difficult to do), I believe it would be to do with the ease of recalling how to edit stages within the workflow. And now they simply drag & drop the files and I can get back to doing real work. Pros It is doing a good job handling the large files without freezing (which is way more than I could ever say for our email server). The “Spaces” feature is fine for organizing once I finally get around to using it. It does upload pretty quickly on this awful Office wifi. Cons Honestly the price is too high for what it does and one major complaint I have is trying to find older documents I've already downloaded is an absolute nightmare. And also occasionally the interface freezes up and I'll need to refresh 2-3 times before I can see the file preview. Pros The user interface is easy to understand. My team was able to hit the ground running when we switched to ZiFlow. Color coding of comments and status tagging allow us to easily recognize who is asking commenting and who needs to engage a comment. Cons Sometimes comment can be hindered when stage permissions wouldn't allow a user to address something that was actionable after their stage had officially closed. It is the best solution we have found to track comments on the work we have produced and keep things organized, clear and concise in one place. I've also found other unexpected ways Ziflow provides value. Initially, I thought it would only be valuable for reviewing images and assets we create, but it's often used for clarifying documents and assets we receive from external consultants the are important to get clear on so work can be completed efficiently. I've used various proofing programs in the past and the many features baked into this one with a robust search function makes it easy to submit proofs, receive feedback, go through the usual back and forth and store everything once it's completed. Pros Ziflow's search function makes it really easy to quickly go back and view projects. Of course, your file names should be specific in the first place but if your projects are labelled correctly, searching will be a breeze. Cons It was great but there was recently a radical visual overhaul that was unexpected. November 10, 2020 5.0 At first I was saddened to learn that our company was switching from ProofHQ, but soon learned to appreciate Ziflow just as much, if not more. Ziflow’s Support Team is the best! They always respond quickly and are amazing at troubleshooting anything that comes up. They’re great listeners, willing to take time to understand your concerns and provide the best solutions, and they are wonderful at answering questions and explaining anything you don’t understand. I love how Ziflow is constantly evolving. Ziflow team takes customer requests into consideration for product updates and is always looking for ways to build in features that make our work easier. Pros Creating a proof really is as easy as sending an email. Automated Workflow is my favorite thing about Ziflow. It’s easy to set up, there’s so much you can do with it, and it helps save so much time. (It’s also tremendously fun to use and watch in action.) You can create Groups to help populate Stages rapidly, instead of entering individual reviewers one at a time. You can customize the dashboard and set up Favorite Views. You can set up Favorite Filters to help locate proofs quickly and easily. You can also set Workflow Templates as Favorites so frequently used templates stay at the top. Activity/Message tracking on Proof Details Page keeps you informed of what’s going on w/routes. Everything you need to know about a proof is on the Details Page; when you hover your cursor over the D on the SOCD progress indicator, you can quickly tell when a reviewer made a decision. The Proof Viewer has many useful tools and settings, with a side-by-side comparison mode which allows you to view against not only different versions of the same proof, but also against other proofs. Adding Users/Guests and setting up profiles is quick and easy. There is flexibility in customizing what Users and reviewers are able to do or view. You can create folders/subfolders to keep your proofs organized. Multiple Stages in Workflow allows you to categorize reviewers for easy identification of who’s who. Ziflow helps you stay organized and efficient, and keeps you on top of your projects. Cons The only con I can think of is that I love using Ziflow so much I spend more time sitting in front of the computer than I probably should! The Ziflow team has always been avaialble to set up demos and training, and their support team has always been incredibly responsive. ZIflow is a tool we lean on and we've had nothing but a good experience with them. Pros Ziflow has made collaborating with our clients and routing proofs both internally and externally a breeze! We handle a lot of email marketing promotions for one of our clients and Ziflow is very integral to the day-to-day process. Cons I do wish there was a way to download a PDF of HTML proofs with all of the comments associated with it, but I understand that this would be very difficult from a technical perspective. It would be great if there was additional material to provide to clients. Pros I like how easy it is to upload and export drafts/proofs and upload new versions. It is easy to navigate the site, and check other drafts/proofs for client convenience. Cons The live tours and a bit challenging to work off of, as they take screenshots, and it's difficult to follow the edits for other reviewers. Not as simple as a still image. It's also just a tad tricky clicking the comments to appear. Also, when you are uploading, sometimes the files don't go in order, so I need to manually make sure they are in order for compare mode. It lacks the ability to proof some file types to our specifications, but the other features more than make up for this. Pros Ziflow has helped us sythesize the methods we use to proof files. We used to mark comments directly on a PDF with Adobe Acrobat, leave comments in Sharepoint, or comment directly in our project management application. Now, all of the comments from each person are in one file. Ziflow makes it much easier to track the stage of review a project is in, find all of the comments, respond to comments and ask follow-up questions, and easily give notification when a proof is ready. Did I mention the automatic email notifications? It's much easier than having to craft a separate email and make sure that everyone that needs to be included in included. The interface takes a bit of time to understand and get used to, but the mark-up tools provide all one needs. I love that we are able to proof JPGs, PDFs, actual live websites, and video. The ability to mark a specific time in a video makes these types of reviews so much less cumbersome! Cons As with anything, there is a learning curve, and change is more difficult for some people. As much as I love being able to mark up multiple types of media, we still add proofing comments directly to Word documents because of the ability to track changes. We do the same with PowerPoint files because Ziflow does not allow one to comment on Talking Points. We also have has sporadic success with proofing emails with Ziflow and have decided to stick with our old process. The process for setting up a proof is a bit confusing, but I am more often on the receiving side and don't need to do so as often. There are also some features that come at a premium price that our company has decided not to purchase.
