Overall my experience has been fantastic. The quoting process is lovely and simple with the the AI function. I would definitely recommend.

Pros

It is clear and very user friendly. I like the layout and the AI functions are brilliant. The layout is nice and easy on the eye.

Cons

The functions of the due dates being end of the month when doing a schedule for maintenance. The dates end up being a couple of days out which then reflects on our SLA attendance stats.

We have had a mostly positive experience using this facilities management portal. The system has made tracking maintenance and managing our daily requests much smoother. While we encountered a few technical glitches early on, the support team resolved them quickly and efficiently. It is a reliable tool for our operations.

Pros

The expansive portal makes managing our building needs very simple. Logging a new job takes just a few clicks, and the real-time status updates keep our whole team informed. The reporting tools also help us track past repairs with ease.

Cons

While the system is reliable overall and the support team resolved the issues quickly, those initial software bugs disrupted the daily workflow and caused temporary delays when trying to manage requests.

Moving over to this CAFM system has made it a lot easier to track and manage contractors. Easy to place call-outs and have an oversight of cost.

Pros

User friendly - easy to navigate with bright colours and clear descriptions. I would say it's great value for money.

Cons

The analytical platform has a lot of great information but its confusing to navigate. Being able to pull information can be confusing.

Overall, our experience with Expansive has been very positive. It has helped streamline our maintenance and compliance processes, improved visibility through reporting, and continues to evolve with regular enhancements. While there are areas that could be refined, the flexibility of the system and the responsiveness of the support team make it a valuable solution for managing facilities and maintenance operations.

Pros

Expansive is a flexible and configurable CAFM system that works well for managing reactive and planned maintenance, assets and compliance. The reporting tools provide valuable insights through custom dashboards, and the platform is easy to navigate for both office staff and engineers. Customer support is responsive and open to feedback, with a willingness to develop enhancements where needed. Overall, it offers good value for money by bringing maintenance management, contractor management and reporting together in one system.

Cons

Some areas of the system still require refinement, particularly around workflow flexibility and reporting. Certain processes involve more steps than necessary, (specific to client). While the system is highly configurable, some changes require vendor input rather than being administrator configurable.

I enjoy using the system, it is easy to navigate and the workflow is simple to understand. When training both suppliers and internal users it is easy to show how to use the system, how to request and follow through a work order, how to manage their internal and external maintenance etc.

Pros

The customer support is always great - i feel over the past year this has really improved. Whenever we raise a query you guys are usually quick to respond. The system is easy to use as the interface is laid out clearly and in a simple manner.

Cons

The one thing i would say that needs improvement is the small bugs that appear. As we use this system so much there are bugs that appear fairly often. Just jobs being in the wrong state or something not releasing correctly - however with the support given the turnaround on these is usually very quick.

my experience with Expansive has been brilliant from going from working in spreadsheet paper based emails to having everything now on expensive everything being factual everything having some accountability for it being completed or having the correct status is really useful especially with the portfolio of our eyes it can become quite tedious when you scrolling through emails or scrolling through spreadsheets so I have any all the a few clicks is brilliant I know that the nurseries are have really welcomed Expansive through them now having the visibility of Site to see again having the ability to raise work orders it’s helped with our emergency work order process so now the Nurseries can log things directly to the contractor they click it’s an emergency work order which Avoids the triad element so yeah it’s really really beneficial to grandir having expensive

The flexibility to assign or hold a work order and to see upcoming work orders and also to be able to feel like I have some control over what is going on within my properties and I’m in the no with any issues that they have. I also like that we have frequent meetings with \[sensitive content hidden\] our account manager and he shows us the new upcoming features gives us a lowdown of how we can use it. He knows what we use on our system and he knows what feature is going to best support us can so he can influence our usage. As I mentioned previously the use of being able to book work orders together to put through as an FJR is very good to have the payment only option for the Facilities job requests this gives us a ability to book orders and set as a day rate rather than a callout charge which One supports our budget management and also gets the best value for money and time use for the operative and the Nurseries. Expensive is really easy to use when you know how to so to start with It looks very daunting but if you break it down into bite-size chunks and you do your nonnegotiable first as to what your key aspects of using expensive was For and then you start building on that you start to find a rhythm and you start to find that every process of everything that you build into Expansive is quite similar in the process of building it for example adding contractors onto the portfolio and the database is really simple. You can add the email address and you can send them the welcome link they can go through it. We always direct the contractors once they’ve added that their profile that they check out the Help section and they watch a few videos just to get a feel for how to use expensive that’s a really welcome feature that’s on expensive that you’ve got training at a couple of clicks of a button again Everybody within Expansive is very supportive. If we need to raise a ticket we will raise a ticket and someone will come back to us on it. The nurseries are very happy with expensive and yeah overall it’s been a great experience so far.

Cons

Within our set up we have an F J R procedure and a project procedure which is a little bit of a work around that element needs some extra work as it is very time-consuming linking all the work orders to One F J R payment type and also creating application applications for Projects And them being a lot of applications that need to be created and a lot of steps that need to be followed another thing would be when we create a work order following attendance from a job the subject type at the top sites follow on work order automatically it doesn’t give you that prompt to change it so when I’m reviewing quotes I have a lot of Follow on Work order request which then I need to then dig into the main work order whereas if it prompt you to change that when you create the work order linked then that would be a lot better and very time efficient

Our overall experience with Expansive has been very positive, and a huge part of that is down to \[sensitive content hidden\] and the customer operations team. \[sensitive content hidden\] has been instrumental in driving our partnership forward — she's proactive, knowledgeable, and genuinely invested in making sure we get the most out of the platform. With continued momentum on the roadmap, Expansive has everything needed to be the leading CAFM platform in the market.

Pros

We have had a very positive experience with Expansive's offering. The CAFM system is intuitive and has become central to our facilities operations. In particular, the asset management and PPM functions have transformed how our team plans and executes maintenance. The pace of innovation at Expansive is impressive. The AI features feel thoughtfully designed, and the budget planning insights tool has become invaluable for our financial forecasting. It is clear that \[sensitive content hidden\] have built a product they believe in, and their active involvement in the roadmap gives us great confidence in the platform's direction.

Cons

Currently, there is no currency conversion option available in the insights tool, which requires us to manually check reports country by country to see an overall estate financial view.

Overall well used but still work to get contractors to use it correctly and get internal technician to use it comfortably.

Pros

The connectivity of works orders linked to daily building checks or a compliance inspection is really good. A easy to use platform for staff to understand and buy into. Very adaptable work flows.

Cons

Contractor onboarding and induction. A bit of work is required to get contractors to use it correctly. Worth a welcome email with tutorial videos sent to contractors when they join. They don’t all use the dashboard effectively. Integrations to zero haven’t been completed as hoped. Not as simple as proposed to me during the procurement stage.

Overall the Expansive FMS has revolutionised how our Facilities department operates with much more viability on compliance, costs and contractor performance. The team are able to see notifications and follow jobs through from start to finish ensuring that these are completed more efficiently.

Pros

The user interface is very easy to navigate and much more user friendly than previous FMS systems used and reviewed

Cons

Data input is a lengthy process with a number of areas requiring manual input. Would be better if more bulk upload options were available for attachments such as property floor plans etc.
