In my experience in customer service we have gone through different situations throughout the years of service to the organization, our queries were previously manual to officials of the commercial department which made the search in the databases and gave us the information by internal telephone while we had to wait for users, Since Open Smartflex was implemented and the different areas were unified, we noticed an improvement in commercial consultation processes, providing solutions to the queries or requirements that customers made to us by phone, here I can check everything related to the balance of invoices, pqr, and even work orders pending execution.

Pros

Open Smartflex as a consulting tool has allowed me to analyze all the commercial status of users who contact our technical support hotline, there I can see detailed information both commercial (date of installation of services, dates of payment of invoices, outstanding balance and even orders for suspension and/or reconnection of their services) and technical (terminal equipment installed and their respective serial number, connection cabinet, contracted capacity of services), all this information is of vital importance in our damage reporting process to make an accurate diagnosis of what the customer reports; Open Smartflex unifies the different areas of the company and makes them available to all consultants according to the work entrusted.

Cons

We have made use of the application under the on-premises version and on several occasions due to variations in power supply or UPS reboot in the datacenter where the tool server is located we have been without the tool for long periods of time, this makes it impossible to make commercial consultations to customers, it has been required to avoid such situations the migration to the cloud version.

As a multiservice company, the implementation of Open SmartFlex has been a success from the beginning, the results we have obtained are highly beneficial and very positive for our company and its functional business units that cover all the commercial and operational management; now we can provide agile, efficient and timely support to all requests and concerns of our customers from start to finish, starting from the moment the customer requests one of our services, until the moment it is implemented or maintenance is required, even when they have particular inconveniences in any of them, the experience is really encouraging, positive and beneficial from any point of view.

Pros

Open SmartFlex offers a robust and at the same time flexible platform that facilitates and streamlines the execution and fulfillment of the different tasks in the functional business areas of our public utilities and telecommunications company (customer service, technical and commercial support), and allows us to converge in a forceful way between areas to solve any concern, doubt or inconvenience that customers may face, all thanks to its excellent BSS and OSS functionalities that it offers.I like its adaptability and effectiveness, the different types of queries it offers, in addition to the excellent support provided by its technical staff.

Cons

There are very few information resources available on the network that can be accessed to resolve any questions or concerns and allow us to leverage a better use of the tool, even more so when you are a new user. In addition, getting used to this tool requires many hours of use and previous training; likewise I have also noticed that the processes slow down when it is implemented in virtual machines since the current version runs on 32-bit operating systems.

In many occasions the communication between areas of the same company is not synchronized so their processes are delayed or in the worst case the work orders are not completed which notoriously damages the image of the company, with Open Smartflex integrates all the processes of the company both the administrative part (customer acquisition, billing, PQR) and the operational part (installations, repairs) and makes this process an integral part of the organization, for utilities companies is an ideal and strategic ally.

Pros

Open Smartflex is the backbone of our organization, through this tool all the physical, technological and administrative resources that each business unit has are managed and integrated in a synchronized and methodological way. Here you can visualize the processes of service requests, work orders up to the closing of the same and from there go to the stage of billing on the established cut-off dates, additionally it has modules where the PQR of customers are received for analysis and response to the control entity; all this makes Smartflex an integral tool where each area interacts as far as their role allows.

Cons

By integrating all areas of the company requires granular and defined access for each role, this requires permissions for viewing some modules required by their specific area, in other words the tool requires a notorious learning curve to interpret and understand the modules required for their area, however there are transversal mnemonics that allow queries regardless of the role or work area where you are.

Open Smartflex has allowed us to optimize the time of commercial consultations especially in our NOC processes and damage attention, this because it allows us to self-manage and self-consult the status of our customers' services without the need to rely on parallel areas, this allows the use of such time in other activities of the area, In addition to this, the work becomes more independent without leaving aside the more specific queries that require the support of commercial agents, the organizational experience is extremely positive and is reflected in all areas as Open Smartflex encourages teamwork and allows the workflow from the same tool making uninterrupted the efforts to be made.

Open Smartflex is more than a consulting tool since we rely on it to verify all the commercial and administrative information of our customers, easily and with the help of some commands such as (cncrm, orcao, fsus) I can view the status of contracted services, I can see payments to date, contracted plan (contracted speed of telecommunications service), requests or complaints made to the service and even if they are in operational status or suspension, all this without the need to use other administrative tools, requests or complaints made to the service and even if they are in operational status or suspension, all this without the need to make use of other administrative tools, this is beneficial especially at the time of diagnosis on the failures that we report because we can accurately go step by step evaluating the service in order to provide the contracted by the customer.

Cons

At first glance the user interface is a bit complex so it requires basic knowledge about the management of it, additionally and according to the role defined by the area where you work if necessary the daily use of the mnemonics where the customer information will be presented in order to properly interpret what is necessary for their daily activity and provide clear and timely information when required, on the other hand, the queries or contract search by address or area are a bit confusing and require additional practice to achieve the clear objective, perhaps the integration with maps would be an alternative a little more friendly for users with little experience.

Thanks to the implementation of Open SmartFlex we were able to take the first step towards the integral modernization of our company (PTI), Open SmartFlex made possible the integration of all business units: telecommunications, energy and water, in a single invoice, it also allowed us to optimize the operational work force, reduce commercial losses, we achieved an increase of almost 80% in the satisfaction of our customers since it was possible to meet all their requests and requirements in a timely manner and in a very short time. Open SmartFlex allowed us to be more competitive in our market.

Pros

Its modularity, homogeneity andits adaptability, Open SmartFlex allows us to administer and manage in an agile and effective way our operations and critical business processes; I also like and admire the great performance and performance of the different configuration tools, query methods and how powerful is its billing rules engine, as well as the management and analysis of information, which has allowed and empowered us to optimize the operational force, reduce business losses, increase customer satisfaction by attending in a timely and agile way all their requests and requirements, last but not least the innate integration with AWS EC2.

Cons

The user interface is not aesthetically pleasing, I think it needs to innovate in colors, formats and the appearance and distribution of each of the functions, this would make the end user experience more complete.

From a global perspective, Open allowed the interoperability between areas of the company, this makes processes such as request management, sales and resource allocation to be carried out almost simultaneously, of course, respecting the hierarchies that each process requires; this translates into a reduction of both administrative and operational times, which in the eyes of the end customer provides an excellent image of the organization.

Pros

It is the base platform of our organization, from there start each and every one of the business processes such as sales, requests, consumption reading and billing of the various services we provide to users, in addition to this operational processes such as installation orders, repair and suspension of different services are integrated. It should be noted that the tool is quite robust in terms of its functionality, but it is also shown as a homogeneous platform that provides a large library of aids which can be accessed from within the application, all this facilitates the work of those who use the tool for the first time.

Cons

In some cases we have detected loss of synchronization between Open SmartFlex and several of our web tools for user queries, when escalating such cases with Smartflex technical support reports the loss of synchronism between Open Smartflex Connector Kit (OSCK) and our applications which through APIs allow to establish such link, as a media solution is required to transfer the data manually to update the requested information or retry to synchronize the tool to our internal applications and re-run the task.

We needed a tool that would allow us to increase the satisfaction of our utilities and telecommunications customers, that would allow us to foster better experiences; After implementing Open SmartFlex we were able to focus on the needs of our customers and maintain their loyalty, we significantly improved the quality of their experience in the use of these services, and we increased efficiency in our support, customer service and commercial departments, since we now coordinate all these processes in a convergent way with each of them and in real time all from a single system, which resulted in the reduction of operating costs, generation of new sales business and, therefore, greater productivity, great experience.

Pros

With Open SmartFlex we can manage all the commercial and operational processes of our clients, it provides us with greater agility in execution; thanks to the fact that all the information is available in this system; it also provides us with a broader vision of our clients (invoicing, contracted services, installed equipment and supplies, among others), which facilitates and allows us to advise them in a timely manner and in less time; Open SmartFlex allows us to keep all our processes coordinated with the different departments and makes it possible to create natural and pleasant experiences for our clients. In addition, it provides us with all the necessary tools to offer a good personalized attention, generate better commercial and operational relationships.

Cons

When using Open SmartFlex, I have noticed in certain occasions that the performance of our other support tools is significantly reduced, as is the case of SIGT, which is the tool we use for equipment validation and configuration of ADSL and IPTV services on the client side and SMQR which we use for the execution of fault orders in service or specific area (massive fault), it is annoying and uncomfortable when this happens because it is difficult to perform any process. The time it takes to load the information is long, it is as if Open SmartFlex is consuming most of the computer resources, but overall, Open SmartFlex is a powerful and manageable tool for us.

Open SmartFlex helped us to optimize the commercial and operational processes of our customers, now we can attend their requests in an agile and fast way without having to validate between different management tools, the information is always available and updated in Open SmartFlex, we can make queries either billing, collection, provision of equipment and services, inventories, even validate availability for new services and more, Open SmartFlex converges integrally with our operational management tools, it favors and facilitates our daily work activities.

Pros

The flexibility, efficiency and scalability of Open Smartflex allow us to add new functionalities and products in which we are currently venturing. It is interesting to highlight its adaptability, since it provides us with easily integrated APIs that allow convergence and simultaneous interaction with other database tools and daily internal use.

Cons

The search options offered by Open SmartFlex are effective, but I think there are some that should be more simplified, as is the case of the address search method, I find the process cumbersome and time consuming to type in an address since special characters must be used to replace certain denominations, which tends to make me impatient and more so when the client is online waiting for help with their request.

La flexibilidad que tiene para modelar productos y servicios y la robustez funcional que facilita extenderse a otras industrias. Adicionalmente, que cumplió con los objetivos de crecimiento a medio y largo plazo de Coopelesca, aí como, que la metodología de implementación de Open mostró un mayor nivel de conocimiento y sistematización que facilita un proceso complejo.
