### "Perfect combination of functionality and price"

This platform has allowed us to be more efficient and cut down on the frustration of sharing documents and scheduling meetings for an active and relatively large board. We have 6 board meetings a year with 6 - 8 committee meetings between each meeting. This tool helps to keep our board focused and moving forward.

Pros

Great functionality and support for an affordable price.

Cons

There are several upgradable options and since we are budget-conscious it sometimes feels as though it can be a nickel and diming situation. That being said, I do appreciate the ability to have the platform at a relatively reasonable price point.

### "OnBoard-Get On Board"

I really love working with OnBoard. It is easy to use for the end-user and was an easy adoption for them. As an admin, I can set permissions to various employees, and they can upload documents without my intervention. I like that new features are always coming out to test/try. The company continues to grow, but I have not seen any negative effects of it.

Pros

The features which I love about OnBoard are the e-signature and approval options. I am able to create surveys and get results much quicker as users are already used to the OnBoard portal. e-signatures were critical during COVID as we couldn't meet in person, but I needed signatures for approval of documents. I also love the customer support of my relationship manager. They are always listening on how to improve the product. Innovative is necessary in an electronic world.

Cons

The minutes feature is a work in progress. I am sure it works fine for some organizations, just not me. I do not like the fact that the pre-form automatically creates links of documents in the meeting minutes. Starting from scratch is cumbersome as well. They have taken my comments into consideration. Perhaps there will be a third option someday.

At the time, I think it was features and price. Honestly was so long ago I may have forgotten why we chose specifically. I haven't lost faith in what they can do or do for our future. I provide vendor management each year for OnBoard and really do not have a reason to look elsewhere.

Overall, I am incredibly pleased with OnBoard. The implementation was easy because of the training and assistance provided by the staff of OnBoard. The OnBoard team was wonderful when it came to answering questions and helping us work through logistics of getting up and running.

Pros

OnBoard has been a wonderful way to keep documents in one place, which is incredibly important when dealing with busy executives. I like that you can add important documents, not necessarily related to a specific meeting, to the Resource section where they are readily available to anyone who has access. Another feature that has been very helpful is having the ability to give specific access to various members based on their role with the organization.

Cons

The only con in OnBoard I have seen thus far is having to set permissions within the system and then again for specific meetings, when it comes to an admin. I feel like making someone an admin should make them an admin across the board.

I am learning the ins-and-outs of OnBoard, including its limitations. I make suggestions regularly and point out problems when I find them. NB: \[SENSITIVE CONTENT\] in Customer Service is excellent at his job. I am pleased with the product and expect to continue to be pleased when useful updates are made.

Pros

I use this more than anyone at the agency and I'm liking it much better than creating meeting books via combining in PDF, then printing the books, then mailing the books.

Cons

We are all so used to the convenient features of formatting software, that I miss (in OnBoard) the ease of moving things around via File Explorer, and I also miss the hotkeys I use constantly in MS Word. Only some of the commonly-used hotkeys are available in OnBoard and others are used differently causing mistakes to be made while working in OnBoard.

I've definitely experience significant savings of time for building board books, especially when last minute changes are needed (I don't need to re-create an entire book in a PDF builder). The customer service and implementation team have been wonderful and responsive. Very easy to implement and when additional training is needed, they jump right in to help!

Pros

This product took very little time to implement with our Board. The members seemed to just "get it" when they were onboarded. I really like how intuitive it is.

Cons

Calendar integration and syncing with members to ensure meeting details are live and updated as changes occur is a drawback at this point (although I think they're working on this). Implementation with GSuite organizations seems a bit clunky unfortunately - lots of work arounds.

### "If it wasn't so bad it could be an ok service..."

It seemed like a good idea, but it's not worth the investment for a non-profit. OnBoard cost twice as much as our CRM and project management systems combined. And the board members weren't impressed that we were trying to improve board management in this way. They didn't want to learn a new thing. OnBoard made cancelling such a hassle that we wish we'd never would have tried it. If not for the crooked cancellation policies I would probably say that it would be a good fit for a corporate board that won't notice an additional $500 to $800 expense per board meeting to make agendas and minutes a bit easier. Given our experience though, I wouldn't recommend to anyone.

Pros

It made it easy to write and distribute agendas and board packets. It also made it easy to write and distribute minutes. Customer service was very responsive.

Cons

Most everything else. The first time we tried to use the Zoom function it didn't work and it made our organization's leadership look incompetent. The voting functions and minutes don't integrate properly. Most of all, the company has a very high-pressure sales team with some unethical fine print. We signed a contract that clearly stated a one-year term, but the user agreement on the website has hidden autorenewal language. When we indicated that we weren't renewing they sent the balance for 2025 to collections.

### "OnBoard has made my job so much easier!"

Pros

We used to produce a printed and bound board book for each meeting, requiring materials to be submitted far in advance, and last-minute changes were not able to be included. OnBoard gives me the flexibility to continue to make changes right up to the meeting date. Board members are able to access the virtual board book from wherever they are using the device that they prefer. We are also able to use OnBoard for committee meetings and cabinet meetings and capture any votes that take place directly in OnBoard. I also use the polls/voting option almost daily with cabinet. There are many small items that need cabinet consensus and instead of waiting until the next cabinet meeting, we upload the needed documentation and send it out for a vote. The results are recorded in OnBoard for future reference, which is especially helpful for any board votes needed during the audit. I also love the ease of use and implementation. I have had to do very little individual training with board members, and customer service has been super responsive whenever I (or a board member) has had an issue.

Cons

It would be great to be able to store a little more information about board members that you could run a report on - such as term information, etc.

Providing more professional documents housed in OnBoard is easier to follow, find, view and access. I love learning about new software that makes things more streamlined for optimization processes, communication, report metrics and professional outcomes. Pros

I feel the like the board book along with RSVP, annotations have been the most impactful. This product is very easy to use, but still overwhelming with the way things were done in the past and most board members don't like change. Integration from the existing business processes to the new OnBoard Platform makes my job less stressful, but more efficient!

Cons

I wish that if you need to update a document after the Boardbook has been created it will allow you to do so. You can make edits, but OnBoard doesn't allow members to see those changes! Creating meeting minutes and polls/voting feature should be added to the OnBoard Core. I believe it will provide more of a variety with features offered to experiment with for a reasonable cost.

### "This Software is Now in the Cash Flow Phase"

We are so disappointed with the ongoing lack of support. We have been asking for basic feature additions for years, and have even offered to pay for additional development (we are a $400M company). The software platform is clearly past the investment phase, and we regret the past few years of investment from a time and financial perspective.

Pros

The portion of the software focused on meeting orchestration is good. The feature functionality around scheduling meetings, building agendas, and aggregating attachments works well (although this doesn't carry through actually running a meeting).

Cons

During meetings, the meeting book does not automatically size to the window. At all. As users scroll through the meeting, it is very distracting to continually zoom/unzoom/scroll right/scroll down to fit information to the screen. This functionality is standard in PDF readers. Online discussions are not threaded. You may only have ONE long-running discussion with each distinct set of people. It makes the feature useless for all but the most mundane of communications. The software does not support read-only audit users. Most organizations, both for-profit and not-for-profit, need to provide access to state examiners, federal examiners, or financial auditors. Despite asking for this functionality for years, the only response is that we may buy more licenses to support temporary users, which would require manually back-allocating user permissions to all meetings and files.

We utilize OnBoard for Board, Committee and departmental (Leadership Team) meetings.

Pros

OnBoard is extremely easy for a Board Liaison to utilize to manage Board and Committee meetings. The ability to draft a template and then duplicate for future meetings saves so much time. The Resource area is a great repository of materials for easy and secure access by users.

Cons

The product is extremely easy to use, with the exception of the Minutes Builder, which I struggle with utilizing while I am projecting a meeting in live time.

Be sure to keep everything in writing! Requests made during face-to-face renewal meetings will not be honored unless you follow up by email to confirm them. Especially be sure to document any requests to remove or swap add-ons.

Pros

Having all of our meetings and documents available to the board in one place has been fantastic! No more lost emails.

Cons

The core features are barely functional on their own and require multiple add-ons for full functionality for most boards.

Overall, our experience with OnBoard over the last 3.5 years has been positive. It has saved us time and resources.

Pros

The product is easy to use and intuitive. My board members of various ages were all able to use it with no or minimal training. They are able to navigate and locate information easily. Board members who need to sign documents frequently have no difficulty using the electronic signature feature within OnBoard. Making last minute revisions to agendas and packets is fast and causes no delay in meetings. Overall, OnBoard saves time and gives all attendees the same experience with easy access.

Cons

OnBoard continues to improve its offerings. The only con as far as features is within electronic signatures. It would be ideal to make electronic signatures more customizable with rotating signature boxes and the ability to insert text and check boxes into documents.

Reason for choosing OnBoard

OnBoard provided the most cost effective solution for us. It was also the most intuitive and easy to use for our board members while including the features, like electronic signature, that we needed.

### "OnBoard is a must have for meetings in a digital age"

Paper, ink, and printer fatigue are the first savings we've enjoyed. Changes to the agenda last minute have been easily to upload where everyone can see it minutes after uploading it. Lastly, the time savings (and paper cuts) staff and the admin have from not having to do paper copies anymore has been considerable and very worthwhile. Security of the app is also great.

Pros

The ability to meet and view agendas in the OnBoard app has been critical to the bank. In the past if staff or Directors were remote, hard copy items had to be mailed at great expense to them and if there were last minute changes, those people didn't have the right documents to review. Now everything is seamlessly in one spot, organized to perfection, easy to access, and easy for the admin to upload new and revised documents so everyone can view the current information. The time savings from having to print everything is enough to pay for the system and devices to access the meetings.

Cons

This has less to do with the software and more to do with some of the features in the app are not easily understood by some older members of the Board that are not used to the technology updates. There really isn't an issue I have that OnBoard hasn't thought of and implemented.

Overall experience has been great, OnBoard team has been very responsive to specific queries both during the research stage and again during and after implementation. Support went so far as to specifically tailor training videos for specific user types which made it easier for users to get familiar with the features of the suite of products we chose.

Pros

Imbedded security features at all levels of the software, even allowing for remote wiping of devices attached tot he system should that become necessary.

Cons

Zoom integration has been a bit buggy at times, but we have been assured that work on this aspect is progressing.

### "OnBoard has significantly changed how we do business."

We love that all of our documentation, voting, and board business is located in one place. We have two boards, plus numerous board committees. OnBoard makes it easy for us to access the information, in real-time, and we can direct our board members/volunteers where to go in the system instead of trying to locate the information and hope an e-mail goes through because the document was too large to send via e-mail.

Pros

The features I love the most are the agenda and minutes builder. Previously it would take us an hour just to build out the agenda or minutes because of all the attachments/appendices needed for each document. When changes were needed, you would have to update the entire document and all of the attachment/appendix labels - which is another savings of at least 30 minutes to an hour for each board meeting.

Cons

What I like least are the glitches that keep occurring while in the system. I get kicked out of Minutes Builder - while doing my minutes in the middle of a board meeting, from time to time items won't save or the system will tell me that I don't have permission and it kicks me out of what I was working on. I will say this is not as often as it used to be but is still a bug that needs to get corrected.

OnBoard was not the cheapest solution; however, it was the most intuitive and admin/user friendly that we tested. There was another company that was close in user experience, but the Minutes Builder set OnBoard apart and was ultimately the deciding factor.

### "Streamline Management with Boards and Committees"

Customer service and onboarding are great. Our board and staff like the way it streamlines everything. It saves me hours of prep work for meetings, by not having to format my own agenda or information packets for each meeting.

Pros

Meeting management through OnBoard is much more efficient than calendar invites and emails. Building the agenda is easy, and the board book it creates puts everything in one, professional-looking document. Communication with different groups through the messenger is also a time-saving feature. Eliminates group emails and makes it easy to find past conversations and information when needed.

Cons

It would be nice to be able to delete messages and clean up the messenger section. Also, the permissions feature is great but we often forget that you have to apply permissions to each meeting, file sharing, etc. Would be nice to have that pop up as a reminder.

We chose OnBoard because it's specifically designed to work with boards and committees. The features make the administrative side of working with volunteers easier.

### "Fast, Efficient, Intuitive"

Prior to using OnBoard, Board meeting preparation used to take an entire day to assemble hard copy books, plus the cost of all the paper and three ring notebooks. I can now upload the materials and finalize the Board books in 60 - 90 minutes. In addition, hard copy books had to either be hand delivered by college personnel, or shipped UPS, especially if a member was traveling. The use of OnBoard eliminated the need for all that. Plus, the Board members appreciate not having all those accumulated books to contend with.

Pros

OnBoard is very user-friendly for both the administrator and the user. This feature is especially important for users who have various levels of comfort and expertise with technology. Our college switched to OnBoard in October 2014, and before that our Board meeting books were produced on paper. OnBoard has streamlined the Board meeting preparation process, and I like the ability to make last minute changes to the materials, to which the users have access immediately. Using OnBoard is also much more convenient for those members who may be traveling; they can log into their Board materials on any device from anywhere. In the midst of the COVID-19 pandemic, OnBoard quickly created a Zoom/OnBoard interface that allows users to long into Zoom through OnBoard, and eliminate the need for two devices. The OnBoard team reacted quickly to provide a convenient solution for a pesky problem.

Cons

Integration with our existing processes was not difficult. OnBoard provided online training to the administrators, and because the software is easy to use, it did not require multiple training sessions. OnBoard has continued to refine and add other features, some of which I cannot use since ours is a public board. The only thing I would change would be to allow an entire group of members to be blocked from viewing a section. Currently, I only have the option to block individuals. A bit inconvenient, but by no means a deal breaker. And that will probably be corrected in a future software update.

The two criteria in which I was most interested were user-friendly, intuitive software with a reasonable price. I wanted a software that offered the features I needed, but not so feature-heavy that made it difficult to use and would unnecessarily drive up the price. OnBoard checked off all boxes.

I am very pleased with my overall experience. From the sales side with \[SENSITIVE CONTENT HIDDEN\] to now working with \[SENSITIVE CONTENT HIDDEN\]. They have both been tremendously helpful and most always return an email very timely. I found it very user friendly and quick to learn. The training provided has also been excellent. I would highly recommend OnBoard to anyone that may contact me.

Pros

There are several things I like equally with this software. Record retention is very important and this allows us to have everything kept in one secured location so it's easily found and accessible for not only our organization and our board, but also our auditors. I find that creating the agenda and being able to copy agendas is much more efficient than my previous system. I especially like that I can set up the actions ahead of time (if they are known) so they are ready for voting. That has also been a great factor with increasing efficiency. I can't forget the training. I was delighted to learn my board had training available to them and I didn't have to do the take on that role. The last thing I really like are the tasks. This feature keeps me from constantly emailing reminders to board members.

Cons

Just as I had several things I really liked, I have a few things that I don't. I hope to see these implemented in the future. It's inconvenient that I can't attach more than one action item to a specific section of the agenda. Often times our board will have a motion/action during the meeting that wasn't known ahead of time. This may not be linked to a specific section on their part of the agenda, but rather their overall report. They may not even have subsections. This has created a nuisance and has cost us valuable time. I have to create a subsection then create the action. This has created a longer process than our old way and causes the board to wait on me to add it. So having the ability to add an additional action item to a section would be ideal. I also don't like I can't sort my action items with the most recent on top. I have to either do a search and hope I'm using the right words, or I have to keep going from page to page. Lastly, when I set up the meeting as the admin, I don't get the email notification so I can accept the meeting and put it on my calendar. My work around was to download the app on my cell phone and accept it that way. It would be nice to have that feature on my desktop so the meetings go directly to my calendar when I make them visible.

OnBoard has streamlined my work as the Board Admin and has allowed board members access to all files they should have access to whenever they need it. Not all board members are quick to adopt the new system and this is causing a lag in the full usage for our company but this is a people issue, not a tech issue. The tech is very easy and fairly intuitive.

Pros

OnBoard is easy to administer and easy to use. It allows me to configure the different areas as I need to and grant granular permissions. It is a great value for the non-profit business that needs to be agile with reliable access to all the items board members could need.

Cons

The only item I wish could be better is the integration with Zoom. The feature works fine but when board members or hosts use the Zoom link inside OnBoard they lose some functionality. To get around this I have taken to posting the Zoom link for the meeting in its title and ask the board members to copy and paste the link into their browser. If they didn't want full use of all Zoom options they are welcome to use the link provided inside the portal.

OnBoard was the best mix of options and price. I don't feel as though we lost any features we wanted but we saved a good deal of money going with OnBoard.

### "One-stop-shop for coordinating and managing everything related to virtual meetings"

Virtual meetings have become an essential matter for us, and on a daily basis we organize and participate in meetings remotely, and OnBoard has helped us organize all the affairs of remote meetings, and since using it, managing the agenda, writing minutes of meetings, as well as tracking notes and participating in tasks and reports related to them is done properly, and it is also wonderful that every It is saved and archived on the cloud in an organized manner.

Pros

I appreciate the fact that OnBoard is an exceptional tool, skills can be picked up quickly, and virtual meetings can be started without any complications. I greatly appreciate the speed of executing orders with OnBoard, as well as the distinctive dashboard that enables us to easily set up the agenda, schedule appointments, and also set up links, as the importance of this increases the level of realism. I also like the dashboard because I can review the comments of colleagues and managers and respond to them directly. I also find that sharing tasks and compiling reports is very flexible with OnBoard, as all members can actively participate. Also great is the way OnBoard provides for taking minutes of meetings, updating them, adding notes and alerts, all of which are saved in an organized manner and we can also access them easily.

Cons

I did not find things difficult with OnBoard, as its distinctive design and high capabilities enabled us to manage virtual meetings as required.

OnBoard has been easy to use and greatly appreciated by our Trustees. They love how easy it is to find documents, and can't believe they can have all the meeting materials at their finger tips so readily. Gone are the days of paper agendas and packets of meeting materials.

Pros

OnBoard is really easy to use. Everything is at your finger tips, and the meeting book is extremely helpful for our busy Trustees. The OnBoard support team is fantastic, and when you have a question or issue, you receive help right away.

Cons

I really wish there was an easier way to enter in meetings. Most of our meetings are recurring monthly, and I wish there was a way to create a recurrence feature so that I'm not having to create each meeting individually.

### "Your Board needs Onboard!"

I have nothing but good things to say about Onboard. I feel more organized, more in touch at the meetings because I am not shuffling papers,. I would and have recommended this product to other non-profits in a heartbeat.

Pros

What I like the most is the ease of access to the documents and that fact that I can make comments on these documents that I can save for future reference. I also like the calendar integration and the ease of getting into a meeting right from the software which is so much easier than digging for emails. When I talk to our board secretary who is our administrator, she tells me how much easier it is to use and how much time it saves.

Cons

The one thing I feel that is missing the most the document collaboration. I think that this would be a very useful tool to have included in this package. Other than that there really is nothing to dislike.

Reason for choosing OnBoard

We chose Onboard because I had the experience using it on another board. Within the first month, I recommended it to CMHA because of the ease of use for the board members. I also had a discussion with our administrator, and had nothing but good comments from her on the ease of use and the amount of time it saves her.

### "Great Product So Far"

Great customer service from day one, and I mean from the first sales/demo meeting we had with them. We were given a lot of support to successfully manage a trial. Our salesperson took the time to help figure out a process for us to incorporate our e-voting needs.

Pros

The voting tools are fantastic. Approvals were really the biggest function we were looking for and the fact that you can integrate a discussion in to an approval has made our e-voting process very smooth

Cons

Although this is really intuitive on the user end, I had a real learning curve figuring out some of the admin features. This could be in part that this portal is completely unlike the one we used in the past. The customer success manager has been great - willing to schedule as much time as we need.
