The overall experience is good for me. It has made my job more organized and streamlined. I like the ability to print a monthly report on the team's monthly progress and the ability to track issues with equipment.

Pros

What I like most about the software is the ease of use for the admin and users. It has made our PMs and emergency maintenance program more effective. The software is at a good price point for our authority. We have had great success in working with the support teams when needed. Work orders are now easily tracked and referenced when needed from anywhere at any time. This saved us the nightmare of paper copies.

Cons

I dislike the mobile and desktop applications. The mobile app is not as intuitive as the desktop. The other issue I have is that the asset and location when creating a work order is in my opiion backwards. The asset should be before the location. The asset will populate the location if it is provided.

Pros

Ease of use, customer support and User Interface. This is easy software to use and the support for implementation is outstanding.

Cons

Unfortunately, you need to be subscribed up to the highest level in order to access the KPI's needed for data.

Work order management seems to be the strongest part of maintain X information is readily available in at our fingertips and to ensure we know what’s going on with our workflow

Cons

Some of the challenges would maintain X or lack of standard features that other CMS programs have standard.

I LOVE MaintainX and have from the beginning. I am a avid believer and I voice as much on a daily basis. This is hands down my favorite CMMS.

Pros

I love that you are able to customize anything in MaintainX to better fit your business. I am able to track inventory, keep track of PMs and also any reactive calls to identify trends. Our account manager is beyond phenomenal and all customer support is very helpful.

Cons

I wish that a multi-user space was available to the Premium plan like it is for the Enterprise plan.

The previous system had ineffective tracking and logging, which consumed excessive time. Reporting was poor and difficult to interpret. Consequently, we experienced increased machine failures, inventory shortages, missed preventative maintenance tasks, and an inability to identify key trends.

My overall experience with MaintainX has been positive. From the user interface, to the parts tracking, asset management, and work order assignment, this aspect of my job has become a lot more streamlined. I have more time to do other more hands on aspects of my job now that my back of house is more efficient.

Pros

It has opened up a lot of new efficiencies in our workflow, parts management, inventory tracking and work order capture. Allowing other employees to submit work orders in a way that seamlessly integrates into the way I assign work orders to my staff has been a big improvement on a bootstrap google sheet.

Cons

A lot of features seem to be moving to the enterprise level tier. While Maintainx is a great partner in that they're able to work with you on pricing, the enterprise tier simply isn't in the budget for the what it offers currently.

We have been live with MaintainX for 6 months at this point and are still breaking new ground capabilities we never had before. The support team with them has always been great at helping us tune the system for our processes.

Pros

MaintainX's integration team is top tier. A process that could be stressful for all manufacturing teams was simple. For us this was converting a database and paper records to completely digital.

Cons

The cost MaintainX is its largest cons. It is definitely worth the value, but for a lot of teams the sticker shock when looking to transition can be quite jarring.

We had a great experience, their onboarding process was well thought out, everything went smooth and they got us going fast. The AI powered procedure generation helped alot to save us time in getting everything set up. Our technicians were able to quickly master MaintainX, which I believe is a reflection of its ease of use. We are very happy and are enjoying the benefits of transparency and real time information and communication. Their parts inventory management and meter-based maintenance functionality has saved us money!

Pros

MaintainX is easy to implement, very customisable and easy to use. There is alot of training videos and how to documents available to help you find your own way around, but their helpdesk is knowledgeable and always fast to assist. They actually listen to their customer feedback and are always refining and improving their software. Its great that our technicians can work with it on their mobile phones and that we all can share information in real time.

Cons

MaintainX has a lot of great features, but some of them are only available at the top tier subscription which is a bit expensive. I also would have appreciated more support with integrations.

Pros

User friendly, customizable, great mobile app and customer support. Little to no outages. Data powerhouse.

The requester templates are limited on customization. Work orders do not display live share links when paired with gps suites.

does not carry different languages most of my employees are Spanish speaking. If we can make it bilingual it would be great

Pros

Easy to use. Excellent customer service and support. We get great data now that we were getting before. It is very secure. We can create excellent technical procedures. Parts is great to include price. Excellent MaintainX support and management team.

Cons

It would be nice to have a separate catagory for PM's. I would like to see only PM items and not all workorders. Having a separate PM schedule would be great.

They made our transition from our old system to theirs very easy by providing us Excel templates to reduce the potential for formatting errors. They also helped us recognize differences in data types from our various sites and modify to fit everyone.

Pros

Ease of use by technicians and how quickly they were able to transition from our old system. We are tracking downtime much more accurately than with the old system.

Cons

Reporting really needs to keep up with the advances they are making in other areas of the system. I can now capture Planned Downtime, but it is difficult/impossible to report it. The meter capability is good but there is room for growth there as well.

From our rollout team to the Success Manager, and even the online support staff, I feel like we are never "forgotten about." The staff is all very knowledgeable about their products and are extremely helpful. Bringing in MaintainX has been a value-added decision that still continues to make gains every week for us.

Pros

Ease of use for operators to enter work requests with loads of helpful information going directly to the techs that makes their job more efficient - pictures, simple layout, QR codes to scan without being "logged in" - the list goes on...

Cons

Because our old ways of creating work orders online were so cumbersome, it was hard to wrap our mind around some of the new procedures - we were overthinking it. It really was that simple to set up.

MaintainX is a reliable, user-friendly platform that brings clarity and efficiency to maintenance and its tracking/traceability. Despite minor limitations, it’s a valuable tool to help manage an asset throughout its lifecycle like, Purchase, Create, calibration, maintenance, spare parts inventory, asset specific procedures and discard.

Pros

MaintainX’s real-time collaboration and mobile accessibility for its work order is the key for our organizational use. The preventive maintenance tracking option has significantly improved our team's efficiency. It has a very easy to use interface and also provides a prompt customer support when needed.

Cons

Needs an advance plan to work through some reporting functions and a few customization options for dashboards could also be enhanced.

Team Driven. Right from the start they had everyone involved on our team and theirs meeting every one - two weeks for an hour, going over what we needed to supply and review everything that they had done so far. tweaking, and modifying where needed. Support just a email / text away. and most of the time with just a two minute wait. They will stay with yo until you are happy with the results. They truly want you to succeed!

Pros

Setting up was made simpler by Maintain X Pushing us to give them all the information, files, and data that they wanted, so our experience was the best. Our biggest issue was tracking PM's, work tasks and LOTO check lists. User interface is great very simple to use. Ver intuitive. Reporting - just about everything you could think of including MTTR numbers. the support team that got us on board what outstanding we had the same two people the the whole time. They pushed us to have weekly meeting, but most times we needed every two weeks. So we could get all the data collected and entered.

Cons

For me, I have the same issue with all the different CMMS's I have used over the years is contrast. the pages are usually some version of white, black or dark grey texts, and maybe the ability to change a banner color that's it!

To date, we've had an awesome experience using the platform. Ira Famarin our account rep has been very helpful in helping us get into a position where MaintainX works for us the way we need it to. The ability to back track and had historical downtime data has allowed us to provide well organized data and visuals for captial expenditure approvals. Overall, the experience has been wonderful.

Pros

We've been able to completely eliminate paper work orders and streamline our inspection processes. The AI features that continue to be added are very impressive and continue to boost the overall efficiency of our maintenance department.

Cons

I think the only cons that we may have are not really things that fall under the accountability of MaintainX, as much as the learning curve in relation to technology of some of our longer tenured maintenance employees.

I have had nothing but great experiences with MaintainX. Our Account Rep is always responsive, the help chat is always responsive and helpful, and the platform itself is fantastic.

Pros

I love MaintainX's flexibility and the ability to make it what you need it to be. It can be used for inventory, asset tracking, work order and workflow allocation, communication, and reporting (which is always helpful with management). I use it to track assets and PM for biomedical equipment and all the other moving parts of a Tribal Health Center

Cons

I'd love to see some more flexibility with the parts inventory, like sub-parts that are part of a whole kit or assembly. With dental/medical assets, I tend to deal with assemblies, not just individual parts, which sometimes gets a little convoluted when adding costs to a work order.

Could not have chosen a better software! We reviewed many prior to this and we chose correct. The customer support has been stellar - always prompt and correct responses when questions arise. Integration has been seamless.

Pros

Easy to use software for both administrators and technicians. Assets and work orders are clearly laid out and easy to trace to find the information you are looking for.

Cons

AI recommendations in places like procedure creation, but I personally am skeptical about AI to begin with. Serial numbers cannot be customized and are often too long to memorize or remember.

My overall experience with MaintainX is a positive one. Its adaptability means I can use it for many different processes within our plant. Using it to network with different teams on work orders allows quick communication and decisive action to be had, speeding up time intensive projects. The few times where I've contacted customer support, I've always felt heard. For the person that wants a user friendly interface and a tool that works for you rather than against you, I'd recommend MaintainX.

Pros

I appreciate MaintainX for its capacity for customization. I can easily create or change work orders and procedures to meet the needs of the business. I really appreciate the fact that I can change how the procedure flows based on the technicians' answers. This gives consistent and repeatable direction to the technician. MaintainX brings new employees up to speed quickly. The ability to include pictures with fields bridges gaps in employee knowledge and makes the inspections more efficient without additional oversight.

Cons

I find that moving a field from one position to another within a procedure is quite tiresome, and not always successful. This process involves grabbing the field and dragging it up or down to its desired position and releasing the mouse button. This practice is successful only about half of the time and can be frustrating when you've dragged it past 25 fields. An unsuccessful attempt returns the field back to its original location, where a user must try the movement again.

MaintainX is the best. I highly recommend it to anyone interested. It is a system where you get out of it, what you put in it. IF there are negative reviews, I am assuming it is because it was not used correctly and I question the reviewer.

Pros

The Work Order Management, and Customer Support are top tier. This system helps us keep all of our projects and repairs on time and in order, plus helps us hold people accountable. The support we get from the whole MaintainX team is amazing and very responsive.

Cons

There are not many cons. If anything, some of the individual functionally that we would like is not there but a lot of our feedback is well heard and usually shows up down the road.

user interface is easy to navigate. structures of procedures is nice. lots of nice customization options. Would like a bit more for enterprise functionality, like resource planning across multiple sites. That would take things to the next level

lack of gantt chart for planning work orders by asset. limited functionality of capacity planning for workers across multiple sites/orgs. Would also like better ability to connect documentation to asset types or asset packages, where the documents can be updated over time.

Great customer service. I felt super supported getting us up and running. I enjoyed the trouble shooting and work arounds to make the program work even better.

Pros

The program itself is very easy to navigate, there is minimal training as it is very intuitive. The BEST part of MX is the onboarding. I was matched with a dedicated support/account manager \[sensitive content hidden\] to help us get going. The starting is not the hard part, it is continuing to meet milestones to make the program work for us. \[sensitive content hidden\] worked with me to make goals and ensure my company reached them. Without her guidance and setting timelines together, we would not have had the program up and running as fast as we did (a few months). Almost 2 years later we are using the program as an integral part of our oil and gas operations, and everyone uses it!

Cons

It is time consuming to start to add all of the assets (however, there is a bulk upload which makes it easier!). A lot of up front work, but it makes it useable very quickly.

We have been using the system since early 2024 and have made an aggressive push since late 2024 to use it as our full tracker and request system. We love its easy-to-use platform and its availably to be used on phones and tablets as well.

Pros

Streamline inventory tracker. We use it daily to check in and out our dock activity as well as our service to our equipment.

Cons

I don't have any complaints about the system. It meets all the goals that our company currently uses it for.

Overall we are super pleased with Maintain X. It is a remarkable tool that has provided a ton of confidence in our ability to manage our Maintenance Department and all the adjacent ties to it.

Pros

Modern Cay CMMS Program that has all of what a Printing Company Needs to Manage their Assets, Inventory, and PM and SWO Work Orders.

Cons

The only thing that I can see as an opportunity for improvement would be the ability to change the templates for Work Order Requests to be more industry specific.
