My overall experience with has been positive. From the user interface, to the parts tracking, asset management, and work order assignment, this aspect of my job has become a lot more streamlined. I have more time to do other more hands on aspects of my job now that my back of house is more efficient.

Pros

It has opened up a lot of new efficiencies in our workflow, parts management, inventory tracking and work order capture. Allowing other employees to submit work orders in a way that seamlessly integrates into the way I assign work orders to my staff has been a big improvement on a bootstrap google sheet.

Cons

A lot of features seem to be moving to the enterprise level tier. While is a great partner in that they're able to work with you on pricing, the enterprise tier simply isn't in the budget for the what it offers currently.

At the time offered a very high value per dollar spent. As time has gone on that value has become less and less but I like the software enough to continue using it despite features migrating to higher paid tiers.

Pros

I like the intuitive framework of the software, and the ease in which building data bases within the software functions.

Cons

I don't like that the parts do not allow for multiple cost associations. I would also prefer an option for multiple part locations for an individual part. We manufacture in multiple locations while using similar assets, so currently we have to duplicate parts to allow for inventory tracking of one part in multiple locations.

Excellent overall experience. You get out of it what you put into it, as far as asset management, and workorder management.

Pros

Ease of use, customer support and User Interface. This is easy software to use and the support for implementation is outstanding.

Cons

Unfortunately, you need to be subscribed up to the highest level in order to access the KPI's needed for data.

So far, my experience with is great! I really like how intuitive and easy it is to build reports and customize dashboards. I also like how easy it was to integrate MaintainX with external software.

Pros

It is intuitive and easy to use. I like that MaintianX support staff are very responsive and helpful. The training academy is a valuable resource and very helpful to get one up and going in .

Cons

At the moment, I cannot think of anything that I don't like about . The only issue I can think of is a minor point. I would like to see where work order reports can be positioned side-by-side in a custom dashboard. This request has been submitted to MaintainX, and I hope to see it implemented.

From the start, it's been wonderful! Excellent customer service and each time I have an issue, there's a thorough answer being explained to me. We've rolled out ~15 organizations at our company and its gained a lot of traction. Everyone i have worked with all say they enjoy working with .

Pros

The simplicity of the software is unmatched along with the customer service team! Navigating through the software is very intuitive which helps with adoption.

Cons

There have been quite a number of changes that sometimes are hard to keep track of - for the most part they are communicated by the team and explained.

### "I'm a believer in MaintainX"

It's been very positive. We started using it at one facility and we are expanding to all our locations. It's super direct and simple to train new technician on the work order process. It's been the shortest learning curve of any CMMS system I've used in the past.

Pros

The ease of use and how quickly our team was able to begin using the program. The account managers and support staff where great at helping get over hurdles and organize our assets. The features screens are not cluttered which makes it easy to navigate. Being able to add everyone in our company at no extra cost, as a requestor only, has been a big help. Using the automation features (AI) has dramatically decreased the time it takes to write a new procedure. We've also been able to tap into the vast library of shared procedures.

Cons

Initially the cost, but we quickly learned is was value-added and saved us time. There is an occasional lag between the mobile app and the desktop software.

Overall, our experience using the maintenance platform has been very positive. It brings clear structure to how we track assets, PMs, work orders, labor time, and daily priorities, which makes it much easier to manage both people and equipment. Compared to our previous system, it’s far more user-friendly for technicians on the floor and supports real maintenance workflows instead of just reporting. The visibility into KPIs and task tracking helps drive better business decisions and keeps our team accountable. While there are still areas to improve — especially stronger recording capabilities and better mobile access compared to desktop — the system has significantly streamlined our operations and made day-to-day maintenance management much more efficient.

Pros

Maintenance isn’t just work orders — it’s how I run the operation. It helps me prioritize resources, track asset health, hold teams accountable, and make data-driven decisions. With KPIs, PM tracking, and visibility into our systems, I can stay proactive instead of reactive, which ultimately makes the entire facility run smoother.

Cons

One of my main challenges is that some of the data recording and documentation features don’t feel as strong or consistent as I’d like. I also notice a gap between the mobile and desktop experiences — the phone version doesn’t always provide the same level of detail or visibility, which makes it harder to manage things effectively when I’m on the floor.

I LOVE and have from the beginning. I am a avid believer and I voice as much on a daily basis. This is hands down my favorite CMMS.

Pros

I love that you are able to customize anything in to better fit your business. I am able to track inventory, keep track of PMs and also any reactive calls to identify trends. Our account manager is beyond phenomenal and all customer support is very helpful.

Cons

I wish that a multi-user space was available to the Premium plan like it is for the Enterprise plan.

Cons

I am very pleased with . There has not been one concern I have had. Once the work order requester was available to all operators, the communication between operators and maintenance techs opened immediately. Our downtime tracking for our KPI's became more accurate the moment it was implemented.

Pros

The ease of implementing it for all employees within our company. The most positive review from operators is that they can input a work order from their phones. They love that they no longer have to have their supervisor enter it.

Cons

The web page is not automatically updated when left open all day. I prefer to have the easiest, no thought processes, in the tools I use. I am not a fan of it not being refreshed when I get to my desk

So far, our experience has been great. We are still in the beginning stages of migrating all of our maintenance records from Excel spreadsheets.

Pros

The ability to organize our existing inventory sheets from Excel and transfer them into the Maintain X platform easily has been a big plus. Navigation through the software is straightforward, and I like being able to micromanage each piece of equipment with maintenance records, work orders, shop diagrams, parts inventories, photographs, and vendors all in one place. Maintain X seems to do it all. The notification feature is very important to us. Pricing is reasonable, and we hope this will save us hours of time once our onboarding is complete. Support during onboarding has been great. We have not used the integrations feature yet, other than importing data from Excel spreadsheets, which works flawlessly. Performance is fast, with the ability to quickly find a particular asset. We’re still learning the AI capabilities, including its ability to recognize brands of equipment. Being able to combine multiple Excel spreadsheets and their data into one central place has made it much easier for our team. It allows four people to access the same information and update it on a daily basis without juggling separate files. The security it provides is a plus. One of the biggest benefits is the notification feature, which alerts us when a piece of equipment is due for a required service or inspection.

Cons

Haven't found anything yet. We are still in the beginning stages of migrating all of our maintenance records from Excel spreadsheets but our experience has been great.

My overall experience with is a positive one. Its adaptability means I can use it for many different processes within our plant. Using it to network with different teams on work orders allows quick communication and decisive action to be had, speeding up time intensive projects. The few times where I've contacted customer support, I've always felt heard. For the person that wants a user friendly interface and a tool that works for you rather than against you, I'd recommend MaintainX.

Pros

I appreciate for its capacity for customization. I can easily create or change work orders and procedures to meet the needs of the business. I really appreciate the fact that I can change how the procedure flows based on the technicians' answers. This gives consistent and repeatable direction to the technician. MaintainX brings new employees up to speed quickly. The ability to include pictures with fields bridges gaps in employee knowledge and makes the inspections more efficient without additional oversight.

Cons

I find that moving a field from one position to another within a procedure is quite tiresome, and not always successful. This process involves grabbing the field and dragging it up or down to its desired position and releasing the mouse button. This practice is successful only about half of the time and can be frustrating when you've dragged it past 25 fields. An unsuccessful attempt returns the field back to its original location, where a user must try the movement again.

The overall experience with has been great. We are miles ahead of the curve when compared to our previous manual documented system. It has made our maintenance operations more organized and easier to manage than ever before.

Pros

We use to run our entire maintenance operation across our food manufacturing facility, and overall it’s been a solid tool for keeping things organized. We handle everything in it — daily work orders, equipment upkeep, and our full preventive maintenance schedule. The mobile app is where it really shines for us. Our techs can open and close work orders on the production floor, attach photos of issues, and complete sanitation-safe checklists without carrying paper around the plant. That alone has cut down a ton of wasted time and improved traceability for audits. The ability to build checklists has also been helpful for food safety compliance. We use them for line inspections, lubrication routes, and pre-op equipment checks. Having conversations inside the work orders instead of scattered texts or radios has reduced miscommunication between maintenance and production. It feels more like a tool the team actually wants to use, not just another system forced on them. It’s not the most advanced CMMS out there, especially if you need deep inventory control or complex equipment trees, but for a busy manufacturing environment like ours, it handles the core needs well. We track critical assets like mixers, conveyors, ovens, packaging machines, and refrigeration units, and the maintenance history is easy to pull up when troubleshooting repeat failures. At the end of the day, MaintainX helped us move away from spreadsheets, paper binders, and messy communication — which was a huge upgrade. It keeps us audit-ready, gives us better visibility into downtime causes, and makes PM management way less painful. For food manufacturers looking to clean up maintenance without adding a ton of complexity, it’s definitely worth it.

Cons

We’ve had occasional delays syncing work orders in low Wi-Fi areas of the plant, but nothing that has stopped production or caused major issues. Support has been responsive when we needed help setting up or adjusting workflows.

He's shown me so many cooler features and hacks to help me manage my 50+ site flow. What I like best about MaintainX is how easy it makes it to track, assign, and follow up on maintenance tasks across multiple locations in real time. The interface is user-friendly, and the ability to attach photos, documents, and comments to each request helps ensure clear communication and accountability. I also appreciate the customizable checklists and the flexibility to set recurring tasks or preventive maintenance schedules, it really supports staying proactive rather than reactive.

Pros

Using the system for a year in a half, I have had a good experience. It has made my job much easier and more organized with my notes on WO\`s. Being able to stay up on my PO\`s and getting ETAs from vendors.

Pros

The ease to copy the link and put on PO\`s and Work Orders to tie them together makes it easy to go back and forth to update the WO\`s when a vendor has an update on the order. Getting stock notifications for "Critical" parts has been a great tool to keep my stock where it needs to be and also helps me see trends on the parts and to send out reports on high usage.

Cons

Sometimes when there is an update it messes with our special made fields (our Cost Codes) and when I send out a Hard Copy PO, sometimes it will take 20-30 minutes to download (but that is just me being nitpicky).

It's a very user-friendly, easy-to-use, and highly useful tool for maintenance management. I greatly appreciate the support provided by the team. I’ve used multiple Facilities Management softwares and I would highly recommend to anyone for its ease of use and customer service responsiveness.

Pros

The software is easy to use “out of the box” while customization is still possible. Reporting features work very well, easy to add new requesters, app is very easy to use even for a non-tech savvy staff. Customer service has always been uniquely responsive to our needs. Highly recommend for anyone looking for a reliable Maintenance software

Cons

I and my team have been very satisfied with . I have no complaints as anything we have needed, Customer service has helped us modify.

### "Maintain X is a game changer"

I am happy with the software and allowing use to schedule inspections and stay on top of issues that can been seen by multiple employees. Our company was holding us back not allowing us to use it properly, but Ira was able to assist with that and get the seats we needed.

Pros

The way I can keep up with the maintenance and how versatile the program is. It was a big upgrade from the last program and the ease of use. Using this program takes the way of the need of paperwork. Also, they are constantly improving the software and do their best to fulfil the users needs. The customer service dealing with Ira has been a blessing.

Cons

Not may cons other that the cost of the software from where I sit in the company. I had issue getting the seats I needed but thinking that's on our companies end. Building up the data in program from scratch at the start but the other hand our MX help Ira has made this less painful because she has helped a lot.

### "Great software for anyone looking to take the next step in managing maintenance"

This software has been a gamechanger for us. We previously managed all maintenance tracking manually. Now we have everything in one place and can easily refer back to any issues (reactive maintenance) and make sure that operators are completing PM's and doing so on time at a glance.

Pros

Easy user interface, provides very easy to understand tracking of maintenance, both PM and reactive, as well as metrics like MTTR and MTBF.

Cons

Nothing really stands out, usually any issues are resolved very quickly by the team. The support team is very helpful and quick to help make changes and adapt to our needs.
