They are very responsive when there is a problem; other than the slowness of their cloud system, I have no complaints. They listen to our requests and have several times, modified their software to include our suggestions. Pros The features and flexibility of the software is the best that I have found in this price range. Cons My docket (access) is on their server (cloud) and it is not as fast as I would like it to be. Other than that, it is a pretty darn good product and I strongly recommend it. Managing Partner Law Practice Used the software for: 2+ years ### "This is the Software to Buy if you are a Trademark Practitioner" November 19, 2018 5.0 Pros As a 3-lawyer; 3-paralegal intellectual property law firm, we have been happily and successfully using FlexTrac software to docket and keep track of our clients’ worldwide trademark portfolios for over 20 years. Representing large companies, some of whom are billion dollar public entities, with trademark filings in over 100 countries worldwide, it is always essential for us to maintain accurate records in order for us to not only provide 5-star service to our clients but to be able to compete on a high level with all those behemoth law firms that are always interested in representing our clients. Not only has FlexTrac been a pleasure to work with all of these years in terms of pricing and tech support but the database output from their software in terms of trademark reports that we provide to our clients are much more user-friendly and readable than the outputs of the $100,000+ trademark database software programs that the big firms all seem to use. We originally started using FlexTrac because of the relatively low licensing fees but now you couldn’t get us to switch even if one of the big software developers offered us their $100,000 software for free. This is especially true since we started using the Cloud-based FlexTrac software about 2 years ago. Our internal concerns of backups, losing data or crashing servers disappeared at that point. It would be my pleasure to talk to any prospective customer of FlexTrac to tell them how pleased we have been for 20+ yrs. Cons There is nothing about this software that we do not like. The technical staff go out of their way to help resolve issues. Pros The software is cloud based and includes all of basic features an IP firm needs for matter docketing. Cons The software is not a true cloud based system. The software is a classic piece of software that is wrapped in a cloud based system (kind of like a remote desktop). Team FlexTrac VR Verified Reviewer Intellectual Property Paralegal Legal Services Used the software for: 2+ years ### "Good program for docketing and preparing drafts from templates" August 28, 2018 4.0 We are using FlexTrac to generate letters to our client, to docket our deadlines, and generate our responses to the USPTO. FlexTrac meets most of our needs for these three applications. Pros I like how customizable the program can be made for specific clients. Each of our clients have very specific reporting specifications and with the program we can create new fields for reporting. For example, one client requests specific tracking numbers to be included in the email subject lines, and with the program we were able to do that by creating a new field to be filled when generating a template. Also one of our clients requests reminders more months in advanced than what is already programmed, and we have been able to create a rule to send the reminders earlier using the Reminder Rules. Cons For foreign applications, I wish there deadlines for filing a response were pre-programmed in for more common countries. I noticed that they are in there for Canada, but would appreciate Europe as well. That said, the program is flexible enough where we can input the deadlines regardless. Review Source SA Shannon A. Office Manager Law Practice Used the software for: 2+ years ### "FlexTrac Summer Review" May 31, 2019 4.0 FlexTrac is great at providing a reminders list to all of our docketed cases, which helps our firm from missing any deadlines. Pros FlexTrac is fairly easy to learn, and it keeps up to date with the United States and Patents Trademark Office (USPTO) rules. For Example, the change in how a user logs into the USPTO system, also affected how Flex Trac Scraped with the USPTO system. Flex Trac updated their system to work with the USPTO system, which allowed their system to scrape with the USPTO system. Whenever, I have a question on how to docket a particular case, the customer service is always willing to help walk me through any issue. For Example, I typed the wrong case number, and needed to correct the number. The customer service walked me through on how to change the number. Cons The Scrape part of FlexTrac tends to give us problems, but this is not necessary a problem with FlexTrac. Their are times the problem has been on the other end with the USPTO sytem. Pros (1) It interfaces with MS Word and MS Outlook to automate email and document generation; (2) It is customizable in that I can turn some of the reminders off and create custom reminders. Cons I wish it were even more customizable. There are some reminders that cannot be turned off or changed without affecting/turning off other reminders. Also, there was initially a software to automatically import details from Private PAIR but initially it had so many bugs that I could not use it. That was several years ago and I have since not used it at all. With new releases there are sometimes new bugs, for example currently with coypright matters the screen resets the view each time I go to the copyright matters and I have to adjust the view every time just to see my copyright cases. Modifying forms to my preferences is pretty easy. Pros It understands both domestic and foreign patent and trademark docketing and forms requirements. It allows us to use their forms and add our own customizations. Cons Not always easy to figure out where to access a desired function. Default docketing dates may not always line up with best practices. Reason for choosing FlexTrac Others either substantially overpriced or lacked core functionality. The customer service has been very good, very responsive. Pros Very functional and usable out-of-the-box, without making firm-specific customization. Online, web-based, so I don't have to worry about installing updates and can access it from multiple computers (work, home, laptop). It's very affordable for a small firm. Cons It's not the prettiest interface -- there are some fields where the entire label of the field isn't visible, or the label partially blocks the data entry box. There are some things that are not intuitive -- "search" and "exclusive" search are in different toolbars on the main docket page, for instance, and running reports took more trial and error than I would have liked. One of the implementation engineers seems to be based outside the US and it was occasionally hard to reach him or to get a response to e-mail inquiries. Rep was knowledgeable and helpful. Pros CTS is a vast improvement over the antiquated MS Access-based database that our client was previously using. It is mure fully featured and will better support their law practice. Cons The deployment took too long. There was an expectation that the implementation was included within the quoted price, but the client firm complained that they had to do a tremendous amount of the work and when I inquired with the sales rep, was informed that if they were to handle these aspects, there would be a billable rate and what would have amounted to steep charges - this was not made clear at the time of the initial conversations and proposal. I drafted all of the forms from the USPTO form database and drafted all reporting out letters from Word templates. Over time I have started to use more of the FlexTrac forms (other FlexTrac forms are not always up to date) to merge data into forms and merge data into reporting out letters and email formats. My use of additional features in FlexTrac has increased significantly this year alone. It is frustrating when features do not work and there is no response from support to fix the issue. Pros Love all of the custom forms, the ability to customize reminders, letters and email merge forms, the reminder list is simple and easy to keep track of tasks, makes for a consistent automated practice. Without this type of system, I can't imagine trying to keep track of deadlines. Pros FlexTrac makes it very easy to keep track of our trademark deadlines, adding new marks and printing reports. Cons I noticed after the last update that any trademarks that were abandoned are no longer available to see. The "status" dropdown doesn't even include abandoned any more. Cons Being a docketing tool the software does want to remind you about everything, which sometimes gets overwhelming if you are a solo or small firm. Cons \- the user interface is outdated. - the lack of a sleek Web-based interface is a problem. - we use it on a Web-based PC and access it through a remote-desktop application. This is crazy in 2018. - the mechanism for handling references and populating IDS's is terrible. - it needs to automatically populate USPTO XML-based forms perfectly. Pros The docket rules are continually updated and the forms autofill from the database saving a lot of time in filings and renewals. Pros The program is very user friendly. The program calculates dates which makes my job easier so that I can calendar items that will be due. Cons I do not like that the program keeps items on the docket and will not let you delete an item that does not apply. FlexTrac makes docketing items very easy and allows me to keep accurate information on approaching deadlines. Pros FlexTrac is a very user friendly and generates detailed reports that I am needing. Cons FlexTrac does not always update their information tabs with the help menu provided. There are icons that appear in the option tabs, but there is no explanation for the icon when I select the help tab.
