It was completely set up for all of my clients and tutors within half a day. It has since saved me hours of admin work each month, and also means that follow up is more timely and accurate. Pros I have been operating my business since 2012 and using since 2021. It saves me hours of time in admin but also keeps accurate details and records of clients and lessons, so it improves customer service. Once you did something is very hard to repair. The view on the iPhone, there are some features missing still. Sometimes is having errors and I need to check manually all payments, the note taking system is very confusing. Most important the most important report is missing. November 14, 2024 5.0 We needed a platform to help us manage our rapidly growing company...we needed one system to manage our instructor and client schedules, invoicing, contractor payroll, etc. We evaluated several companies, and stood out and we've been extremely happy with our choice. The platform works great for virtually all of our needs, the support team is knowledgeable, friendly and responsive, and improvements and updates are frequent. Great platform, great company - we've been extremely happy to be part of the TutorBird family! Pros Streamlines our entire operation from tutor scheduling and calendar management to client scheduling to invoicing and contractor payroll management all in one easy to use platform. Cons The platform is generally very flexible, but I would like some more flexibility in client specific settings - some settings are global and not easily customized to an individual client need. Cons Unless I haven't figured it out yet, I would like the ability to connect to my Google Calendar AND have each student get their unique link sent to them. I AM SO HAPPY WITH TUTORBIRD. I felt like a huge load lifted off my shoulder. However there are many features in Ayotree that could serve tutorbird well but it was such a complicated tool and required a lot of administrative work. Pros I really like how neat the tool is. Using it is not complicated. And it removes a lot of administrative work. Cons There are some functionalities that are missing that are very important to tutors. For example, the ability to add a link that they can click on to access an online material. Right now we have to add the link in a word document and upload the document. It's much work for us this way. And some other feature would be needed as well maybe like a forum per class where students can share notes and thoughts. Reason for choosing TutorBird Simplicity of use, Canadian, price matches value. Switched from [AyoTree](https://www.capterra.com/p/163359/AyoTree/) Ayotree was very complicated to use. Although I likes how we had more control over our customization then , the tool itself was hard to get around and took forever. The biggest issue for me was the billing system. In my opinion it is poorly built. There were a lot of issues like inability for the tool to make the math and count how many lessons to bill. There were workarounds but it was too hard and even explaining it is complicated. The billing was not customizable enough for all types of needs. Every month end I would spend 4 hours redoing or making invoices. All that changed with Tutorbird. Review Source MC Mildred C. I no longer need a secretary, is so easy to use and their customer service is great. Most of the time when I need help from a company I go through several robots before I can talk to a human. Tutorbird is not like that. I talk to real humans and they are very patient and helpful. Pros I love that the staff can see their schedules. I like that I can color code the tutorials so that the Tutors and find their schedules quickly especially if there is a last-minute change. I love that all of my students' information is in one place. I really love that the clients can pay, get their voices, and see their students' tutorial summaries. I love the automated email features. I love that both the students and the parents have their own portals. has so many features that I still haven't explored and used everything. Cons I tried to find a con and couldn't. I did like the setup of the older version, it gave me more options for differentiating my staff ( like more color choices, and auto-fill was much better. I only had to enter the date range for my invoices once and as long as I didn't close my window, each invoice will have that date range. Now I have to apply the date range every time I do an invoice) Reason for choosing TutorBird Functionality, Customer Service, Easy to use, able to add PayPal for payment, able to customize invoices to reflect my business, automated emails (send out birthday wishes, appointment reminders, etc.), Price, able to add my staff and them also having access to the schedule. I created a website through them, and for the most part, it does everything I need it to. Their support team is also quite responsive. Cons While the website does everything I need it to, it certainly lacks the ability to customize. You have to use their website building blocks, and there is little you can do outside of what they provide. I also would like to see improvement for tutors and learners in different time zones. For those of us who travel, it would be extremely helpful to simply change the time zone in settings, then have the lessons reflect that new time. However, you have to do all of that VERY manually. It has greatly helped me streamline all of the admin pieces of running a business (tracking attendance, calendar management, lesson reminders to clients, invoicing, parent notes/communication, tracking expenses, and even sending automotive birthday emails to my students! It seriously has everything I need to run a successful tutoring business. Pros As a reading specialist, my expertise is NOT in software, calendar management, invoicing, etc... allows me to not worry about that (and spend my valuable time on trying to manage the admin side of running a business)! I am able to focus on teaching. The emails and invoices are very professional and it is nice to have everything in one place. Cons Honestly, there are none at this time. The advice given during the initial training session was to introduce a small late payment fee and my goodness this has been revolutionary for my small business. Since joining Tutorbird and doing this, my invoices are all calculated automatically, go out on time and, more importantly, get paid quickly too. I no longer have to chase clients for payment each month. My increased productivity means TutorBird more than pays for itself. Pros Fabulous customer support from real people who speak excellent English. The free trial period with a remote live session with a trainer to help me set up was brilliant and definitely influenced my decision to take a paid subscription. I love the way everything is customisable so I still feel in control and yet automated which saves me a great deal of time, money and stress. Cons is so sophisticated and customisable that I don’t think I’m using all the options as much as I could (rather like research that shows people who buy computerised washing machines with many programmes and combinations, usually only use three of the many options available to them and never even try the rest). There are a few things I find difficult to understand and implement, e.g. the ‘make up credit’ options. Therefore, I think it would be a great idea for TutorBird to offer a 1:1 live training session for an hour each year (on renewal) to go through my account with me and check I’m making full use of all the many facilities TutorBird offers. If allows to send messages to Parents via WhatsApp on the monthly fee, based on the scheduled lessons by just one click of button and also integrate with XERO to create invoices, that will be even better. We give parents a registration link and they get signed up with us (including their credit card). Just learning that feature has saved me hours of time. Once signed up, we schedule students with tutors. We bill clients and pay tutors. Tutors communicate with parents and record attendance. Pros 's support has been awesome. We used Salesforce prior to this and it was just a beast to use and super expensive. For a small company, one person can easily manage running tutorbird and it's always working reliably! Cons One feature that our business could benefit from is limiting student bookings to the balance on their account. Our clients pay for packages but will sometimes book more than their account balance covers so then we have to bill collectors to ensure we are compensated for the extra bookings.
