It was completely set up for all of my clients and tutors within half a day. It has since saved me hours of admin work each month, and also means that follow up is more timely and accurate. Pros I have been operating my business since 2012 and using TutorBird since 2021. It saves me hours of time in admin but also keeps accurate details and records of clients and lessons, so it improves customer service. Cons I would like to be able to integrate with other apps to reduce even more admin time. This isn't currently possible within Tutorbird. It’s a very user-friendly platform that allows you to get up and running quickly, and the all-in-one functionality is a major advantage. While support responsiveness could be improved, the system itself is reliable and intuitive. If you’re comfortable working things out independently, it’s a great choice for managing a tutoring business. Pros TutorBird is incredibly easy to set up and navigate, even if you’re not particularly tech-savvy. The integrations are a standout feature — having scheduling, payments, communication, and student management all in one place saves a huge amount of time and money. Once you did something is very hard to repair. The view on the iPhone, there are some features missing still. Sometimes is having errors and I need to check manually all payments, the note taking system is very confusing. Most important the most important report is missing. I also like if the calendar synced to my Google Calendar more frequently. Cons Unless I haven't figured it out yet, I would like the ability to connect Tutorbird to my Google Calendar AND have each student get their unique link sent to them. I no longer need a secretary, Tutorbird is so easy to use and their customer service is great. Most of the time when I need help from a company I go through several robots before I can talk to a human. Tutorbird is not like that. I talk to real humans and they are very patient and helpful. Pros I love that the staff can see their schedules. I like that I can color code the tutorials so that the Tutors and find their schedules quickly especially if there is a last-minute change. I love that all of my students' information is in one place. I really love that the clients can pay, get their voices, and see their students' tutorial summaries. I love the automated email features. I love that both the students and the parents have their own portals. Tutorbird has so many features that I still haven't explored and used everything. Cons I tried to find a con and couldn't. I did like the setup of the older version, it gave me more options for differentiating my staff ( like more color choices, and auto-fill was much better. I only had to enter the date range for my invoices once and as long as I didn't close my window, each invoice will have that date range. Now I have to apply the date range every time I do an invoice) Reason for choosing TutorBird Functionality, Customer Service, Easy to use, able to add PayPal for payment, able to customize invoices to reflect my business, automated emails (send out birthday wishes, appointment reminders, etc.), Price, able to add my staff and them also having access to the schedule. Pros TutorBird has a very intuitive and simple to use interface which makes explaining things to clients much easier.Everything can be in one place and resources can be uploaded to the portal - this is extremely useful for our students as they can watch back sessions and retain notes for future use. Cons I think integration with Accounting softwares like Xero is important for bigger business. Also, I wish we could send out invoices prior to taking the automatic payment - it just seems like the professional thing to do.I also feel there should more options for multi tutor businesses- variable student charges- preventing tutors from being able to change the category of their session, whilst allowing them rescheduling access- Some sort of a chat function between tutors or even between students and tutors would also be cool. TB takes all of this out of the equation and I'm a customer for life! Pros There are so many things I use with my TutorBird account: 1. Keeping track of my student's attendance and their make up classes2. Note keeping3. Sending emails to parents (both individual and as a whole group)4. Automatized invoices5. Instant enrollment6. Wait listing students 7. Creating my own website8. Keeping track of my own kid's attendance with his homeschooling hours9. Overall professional use that keeps my business looking serious10. Setting up one-time meetings is not very easy when I meet with parents for conferences3. The customer support is excellent - quick responses with thorough answers to all questions. Pros I am a teacher, not an office worker. This software has made managing the documentation and financial side of my business so much easier and more accurate and saved me hours of time on paperwork, etc. Everything is so easy to tailor to each individual student's circumstances. Love that everything is in one place - lending library, attendance, invoicing, expense and travel tracking, etc. Cons I think overall this integrated efficiently into my business, and I can't really fault its performance. The improvements / additions I would like to see are minor. Definitely a dedicated area for student reports, separate from general notes. The attachments sections is an option, but if you add too many notes in the "Notes" box, the "Attachments" box gets pushed too far down to see. I would prefer a "Reports / Attachments" tab appear in the menu bar at the top of each student's page.I would also like to see the addition of a place to track professional development and training hours. I am very grateful that I found this when I was first starting up my business! Pros My favorite features are the invoicing, calendar, and easy report generation for tax purposes. Cons I am still only using a fraction of what is available, and I'm only using it on my side. I haven't given links to students/parents because I'm still not really familiar with the appearance on their end. This really is more my fault, but even after watching the training clips on YouTube, I wasn't confident enough to integrate the parents and students. I hope to do that this year. Any time I've had questions someone has helped me. I can't imagine having my tutoring business without it! Pros Before tutorbird, I was having a hard time keeping track of all of my tutoring students. Many students and families were missing scheduled meetings. Now, Tutorbird allows me to create easy and professional invoices and keep track of payments. I love that feature that allows parents and students to receive automated email and text reminders before appointments. I LIVE on tutorbird and now enter all of my lessons on the calendar so they automatically populate on my phone! Cons I honestly have not had any features that are missing. One thing that would be great is to have multiple business accounts available under one log-in. For example- one for my yoga class appointments and another for my tutoring appointments. Pros I had thought about a number of scheduling/billing programs for my tutoring business, and TutorBird tops them all, since it's specifically engineered for tutors. I love the scheduling and billing options and the student and parent portals. I love how easy it's made for me to automate many processes to save myself time. Cons You can't adjust time zones for tutors (even though you can do it for students). This proves very difficult, because I have tutors all over the country, and they're all in different time zones. I'm not sure why this isn't possible, since students can change their time zones. Cons One feature that our business could benefit from is limiting student bookings to the balance on their account. Our clients pay for packages but will sometimes book more than their account balance covers so then we have to bill collectors to ensure we are compensated for the extra bookings. It is easy to cancel a session as well as to add extra sessions. Takes me a few seconds. Or even better, students can access my calendar to cancel or book their own. Also, the invoicing is very easy. Even though I've been using the product for a few years, I still feel joy at how easy and quick it is to invoice all my families. I like that I have been able to add my logo to the invoices and to customize the communication with my families. Also, I like that they send out birthday wishes! Pros The ease of sending out invoices. It used to take me ages but with this software I can do it in about a minute! I also love the ease of scheduling students. I love that I can send reminders by both email and text and my students and their parents love that too. I love that tutorbird helped me set up a website so students can cancel or book sessions easily. Cons After I create the invoices I have to click on each one to email it to my families. I wish I could just click a button to email all new invoices at once. I also wasn't thrilled that you changed the name of the company. Tutorbird just sounds odd to me. I liked myschoolbooks better. I have also been able to hire other freelance tutors and monitor them at a high level. Pros It is as if someone read my mind about all the features I needed to run more efficiently, and she created TutorBird. The features are easy to learn and exactly what I need, customer service is amazing, the functions are always improving. Cons That I hadn't found it sooner. I didn't like that I couldn't click and drag sessions from month view - but now I can. Reason for choosing TutorBird I was told a tutor's spouse created the software, so I knew it would have what I needed, and it is at a price I could afford the other system was too costly.
