It was completely set up for all of my clients and tutors within half a day. It has since saved me hours of admin work each month, and also means that follow up is more timely and accurate. Pros I have been operating my business since 2012 and using TutorBird since 2021. It saves me hours of time in admin but also keeps accurate details and records of clients and lessons, so it improves customer service. Cons I would like to be able to integrate with other apps to reduce even more admin time. This isn't currently possible within Tutorbird. While support responsiveness could be improved, the system itself is reliable and intuitive. If you’re comfortable working things out independently, it’s a great choice for managing a tutoring business. Pros TutorBird is incredibly easy to set up and navigate, even if you’re not particularly tech-savvy. Once you did something is very hard to repair. The view on the iPhone, there are some features missing still. Sometimes is having errors and I need to check manually all payments, the note taking system is very confusing. Most important the most important report is missing. November 14, 2024 5.0 We needed a platform to help us manage our rapidly growing company...we needed one system to manage our instructor and client schedules, invoicing, contractor payroll, etc. We evaluated several companies, and TutorBird stood out and we've been extremely happy with our choice. The platform works great for virtually all of our needs, the support team is knowledgeable, friendly and responsive, and improvements and updates are frequent. Great platform, great company - we've been extremely happy to be part of the TutorBird family! Pros Streamlines our entire operation from tutor scheduling and calendar management to client scheduling to invoicing and contractor payroll management all in one easy to use platform. Cons The platform is generally very flexible, but I would like some more flexibility in client specific settings - some settings are global and not easily customized to an individual client need. Pros I love how simple it is to make notes on sessions. I like the ease of invoicing. Cons Manual entry of expenses. No automation of mileage for clients you see regularly. Cons Unless I haven't figured it out yet, I would like the ability to connect Tutorbird to my Google Calendar AND have each student get their unique link sent to them. For example, a student pays $100. The tutor completes the class and he needs to be paid $50. The tutoring business is run by two people in which the profits are split equally. So not only do I want to know that I have to pay the tutor $50, I also want to know how much is owed to each partner in the business which in this case will be equal. Partner 1 received $25 and Partner 2 also receives $25 Pros Being able to easily see how much a tutor is owed at the end of the month. I also love the end-of-the-year reports that I give to my tax preparer and to my families for their taxes. Pros I like how easy it is to use the scheduling program. I love that I can drop and drag students easily to different days. Love the ability to schedule reoccurring appointments. Cons I dislike that all payment types incur a fee. If Venmo does not cost to do payments in their app it should not cost to do them in this program.I also wish that you had an integrated way to do video lessons with students. Founder/Owner Education Management Used the software for: 1-2 years ### "The all-in-one product for my business" September 12, 2023 5.0 Mentioned above Pros \- I like that I can use TB for all my business needs - invoicing, calendar and schedule, managing of teachers, uploading and downloading worksheets, website integration for student enrolment- I also like the email function- Parents and students can use TB for calendar and schedule, uploading and downloading worksheets- The student and parent portal makes my business more professional Cons \- A messaging function for tutors and parents/students would be good (similar to what Edmodo had) - Notification of when students/parents package is almost completed. For eg my students prepay lessons in packages of 6 or 10. Currently, I need to manually check student balances weekly.- Currently, any lesson notes sent and any following lesson notes sent for the same lesson is added to the same section and if we send out subsequent lesson notes for that same lesson, everything is consolidated. It would be good to separate future notes. For eg, after the lesson, I will send lessons notes and homework, etc. Then, after I have marked students' homework, I will send it to students at a future date. All this will end up consolidated as one and if I send an email, this will be sent out as one. We could separate this so that students/parents and teachers can see that a second note has been sent at a later date.- A homework assignment function like in Edmodo previously - A specific place for students to submit their homework/worksheets. And if students don't submit by the due date, a reminder will automatically be sent out. Currently I have to keep checking individual students to see if they have submitted - quite time consuming and confusing- Integration with Convertkit would be great as I have to manually add registrations to convertkit at the moment- More flexibility in registration form. I really love this company, the software, and the staff I deal with when I need support. It meets so much of my business' needs. I honestly think I would not be as successful as I have been the last 4 years without TB. The fact that payroll is linked to the schedule and attendance really makes my life better! I also love that you can customize the payroll for different things, as well. I haven't used all of the features yet, but I have participated in the Beta version and love that TB is willing to listen and implement suggestions from their users. Overall, a fantastic value for a fantastic service! Pros What I love the most about TutorBird is how everything I need is in one place! I researched a bunch of different options and TB seemed to have almost everything I needed. In addition to the functionality of the software, I also love the support I receive from them. ANY time I email them, I get a response very quickly and they resolve it. I am in my 4th year with TutorBird and look forward to growing with them! Cons The thing I like least about TutorBird is have only one option for payment through the system. Reason for choosing TutorBird I chose TB because of the value for the money. I would appreciate it if the calendar could link to my Google calendar (both ways) - just for lessons booked, not all lessons available. My invoices are automatically sent and my clients' cc is automatically charged without me even doing anything. It saves me so much time. At tax time I print out reports from Tutorbird to bring to my tax guy. I also use Tutorbird to write down a short note about what I have done during each session. There are other features on TB that I have not even used. Cons I like to sync my calendar with my google calendar and it takes about a day for it to sync. Pros I had thought about a number of scheduling/billing programs for my tutoring business, and TutorBird tops them all, since it's specifically engineered for tutors. I love the scheduling and billing options and the student and parent portals. I love how easy it's made for me to automate many processes to save myself time. Cons You can't adjust time zones for tutors (even though you can do it for students). This proves very difficult, because I have tutors all over the country, and they're all in different time zones. I'm not sure why this isn't possible, since students can change their time zones. TB is constantly improving their product and their customer support is easy to get a hold of and are responsive. The product is outstanding and does everything we need including payroll which our previous vendor did not have. It's outstanding now and I'm confident will only get better. Pros We've really seen the benefits of the student portal. Giving parents full visibility into everything has greatly diminished phone calls and emails for things they can now find for themselves (especially when it comes to invoicing). Cons The reporting is a little weak and limited but I will admit, I have not pushed yet for what I need that would really benefit our business. I've been compiling my list and I'm confident they'll listen and make something happen. Reason for choosing TutorBird People were nice, product looked really good and having a month or two to try it out made it a no brainer. It is easy to cancel a session as well as to add extra sessions. Takes me a few seconds. Or even better, students can access my calendar to cancel or book their own. Also, the invoicing is very easy. Even though I've been using the product for a few years, I still feel joy at how easy and quick it is to invoice all my families. I like that I have been able to add my logo to the invoices and to customize the communication with my families. Also, I like that they send out birthday wishes! Pros The ease of sending out invoices. It used to take me ages but with this software I can do it in about a minute! I also love the ease of scheduling students. I love that I can send reminders by both email and text and my students and their parents love that too. I love that tutorbird helped me set up a website so students can cancel or book sessions easily. Cons After I create the invoices I have to click on each one to email it to my families. I wish I could just click a button to email all new invoices at once. I also wasn't thrilled that you changed the name of the company. Tutorbird just sounds odd to me. I liked myschoolbooks better. It has made onboarding students a breeze. Pros I have been able to manage payments so much easier. Syncing with my Google Calendar is a must to show where there are conflicts. I have also been able to hire other freelance tutors and monitor them at a high level.
