Every month, it feels like I'm having to re-learn how to make the invoices the way I like them. Pros Platform for all my tutoring needs - calendar, invoicing, website Cons A few things: - some things are difficult to navigate. For example, each month, I have to manually change my invoice through my business profile in order to have the invoice number by the month and year. - I'd like to have more control over what is printed on the Description for the invoices. - I'd like to be able to automatically input Venmo and PayPal. Right now, I have to manually input those transactions. - I'd like to be able to change the format of how wide the lines of the invoice are. I'd like the option of "fit to page" - I started to create my website using TutorBird, but ran into difficulties where I couldn't delete or back out one of my selections. Cons I wish students could buy a bulk package and not be scheduled and use invoicing. I have to use another system to allow bulk package purchases. For example, a student pays $100. The tutor completes the class and he needs to be paid $50. The tutoring business is run by two people in which the profits are split equally. So not only do I want to know that I have to pay the tutor $50, I also want to know how much is owed to each partner in the business which in this case will be equal. Partner 1 received $25 and Partner 2 also receives $25 Pros Being able to easily see how much a tutor is owed at the end of the month. I created a website through them, and for the most part, it does everything I need it to. Their support team is also quite responsive. Cons While the website does everything I need it to, it certainly lacks the ability to customize. You have to use their website building blocks, and there is little you can do outside of what they provide. I also would like to see improvement for tutors and learners in different time zones. For those of us who travel, it would be extremely helpful to simply change the time zone in settings, then have the lessons reflect that new time. However, you have to do all of that VERY manually. Pros TutorBird has a very intuitive and simple to use interface which makes explaining things to clients much easier.Everything can be in one place and resources can be uploaded to the portal - this is extremely useful for our students as they can watch back sessions and retain notes for future use. Cons I think integration with Accounting softwares like Xero is important for bigger business. Also, I wish we could send out invoices prior to taking the automatic payment - it just seems like the professional thing to do.I also feel there should more options for multi tutor businesses- variable student charges- preventing tutors from being able to change the category of their session, whilst allowing them rescheduling access- Some sort of a chat function between tutors or even between students and tutors would also be cool. It has greatly helped me streamline all of the admin pieces of running a business (tracking attendance, calendar management, lesson reminders to clients, invoicing, parent notes/communication, tracking expenses, and even sending automotive birthday emails to my students! It seriously has everything I need to run a successful tutoring business. Pros As a reading specialist, my expertise is NOT in software, calendar management, invoicing, etc... Tutorbird allows me to not worry about that (and spend my valuable time on trying to manage the admin side of running a business)! I am able to focus on teaching. The emails and invoices are very professional and it is nice to have everything in one place. Cons Honestly, there are none at this time. For eg my students prepay lessons in packages of 6 or 10. Currently, I need to manually check student balances weekly.- Currently, any lesson notes sent and any following lesson notes sent for the same lesson is added to the same section and if we send out subsequent lesson notes for that same lesson, everything is consolidated. It would be good to separate future notes. For eg, after the lesson, I will send lessons notes and homework, etc. Then, after I have marked students' homework, I will send it to students at a future date. All this will end up consolidated as one and if I send an email, this will be sent out as one. We could separate this so that students/parents and teachers can see that a second note has been sent at a later date.- A homework assignment function like in Edmodo previously - A specific place for students to submit their homework/worksheets. And if students don't submit by the due date, a reminder will automatically be sent out. Currently I have to keep checking individual students to see if they have submitted - quite time consuming and confusing- Integration with Convertkit would be great as I have to manually add registrations to convertkit at the moment- More flexibility in registration form. The advice given during the initial training session was to introduce a small late payment fee and my goodness this has been revolutionary for my small business. Since joining Tutorbird and doing this, my invoices are all calculated automatically, go out on time and, more importantly, get paid quickly too. I no longer have to chase clients for payment each month. My increased productivity means TutorBird more than pays for itself. Pros Fabulous customer support from real people who speak excellent English. The free trial period with a remote live session with a TutorBird trainer to help me set up was brilliant and definitely influenced my decision to take a paid subscription. I love the way everything is customisable so I still feel in control and yet automated which saves me a great deal of time, money and stress. Cons TutorBird is so sophisticated and customisable that I don’t think I’m using all the options as much as I could (rather like research that shows people who buy computerised washing machines with many programmes and combinations, usually only use three of the many options available to them and never even try the rest). There are a few things I find difficult to understand and implement, e.g. the ‘make up credit’ options. Therefore, I think it would be a great idea for TutorBird to offer a 1:1 live training session for an hour each year (on renewal) to go through my account with me and check I’m making full use of all the many facilities TutorBird offers. Music Teacher & Martial Arts Instructor Higher Education Used the software for: 2+ years ### "Excellent CMS for any Education Service" September 11, 2023 5.0 The main feature I wanted from Tutorbird was the ability to organise all my clients, their details, lessons, notes and emails with automated and quick/comfortable systems (instead of having to slowly input all the details in a spreadsheet, and individually email / bcc clients, which I did for years). TB absolutely smashed the ball out of the park in this regard! Pros My business mixes two different forms of education, Music and Martial Arts. Every other CMS service I looked at seemed to dedicate it's features to one or the other, not both subjects (including Tutorbird's sister site MyMusicStaff). Tutorbird was the CMS I was looking for, as I could specify different subjects and make the planning / organising / scheduling work well for both sectors. The automated BCC for emails and text messages has also been a wonderful feature. I started using TB a few years ago and it's been such a boon to my business! I'm thoroughly glad that I made the leap to this system. Cons There aren't really any features I dislike. I'd say the only 'con' if you can call it that, is having redundant features (for my business personally) like the Lending Library and the Website Builder. I'm sure these are also great features for other users, but they are just clutter for me. I'd like to have the option to 'hide' unused features. It meets so much of my business' needs. I honestly think I would not be as successful as I have been the last 4 years without TB. The fact that payroll is linked to the schedule and attendance really makes my life better! I also love that you can customize the payroll for different things, as well. I haven't used all of the features yet, but I have participated in the Beta version and love that TB is willing to listen and implement suggestions from their users. Overall, a fantastic value for a fantastic service! Pros What I love the most about TutorBird is how everything I need is in one place! I researched a bunch of different options and TB seemed to have almost everything I needed. In addition to the functionality of the software, I also love the support I receive from them. ANY time I email them, I get a response very quickly and they resolve it. I am in my 4th year with TutorBird and look forward to growing with them! If TutorBird allows to send messages to Parents via WhatsApp on the monthly fee, based on the scheduled lessons by just one click of button and also integrate with XERO to create invoices, that will be even better. I have been working online for almost 4 years and they do exactly what they say. The customer service is helpful and quick to respond and bookings are easy to maintain. Pros Generally speaking its overall easy to keep track of my classes and stay up to date. You can integrate you website or use their options. Cons Invoicing is an issue because if i have multiple currency's , I have to change the region on my overall settings. I also cant just copy a prevoius invoice amount.
