Pros I like that my students can log in to book lessons and that they can pay me through the platform. Cons I don't think that I fully take advantage of all the features that the platform offers, so I should probably try to learn about them. I would appreciate it if the calendar could link to my Google calendar (both ways) - just for lessons booked, not all lessons available. We give parents a registration link and they get signed up with us (including their credit card). Just learning that feature has saved me hours of time. Once signed up, we schedule students with tutors. We bill clients and pay tutors. Tutors communicate with parents and record attendance. Pros Tutorbird's support has been awesome. We used Salesforce prior to this and it was just a beast to use and super expensive. For a small company, one person can easily manage running tutorbird and it's always working reliably! Cons My boss really hates the name TutorBird. He feels like it has an image that is not professional. Now that we've removed the tutorbird from emails going out, it's better. My invoices are automatically sent and my clients' cc is automatically charged without me even doing anything. It saves me so much time. At tax time I print out reports from Tutorbird to bring to my tax guy. I also use Tutorbird to write down a short note about what I have done during each session. There are other features on TB that I have not even used. Cons I like to sync my calendar with my google calendar and it takes about a day for it to sync. I wish it was faster becauseI like the view on google calendar better- that I can print out on 1 page showing a week all in 1/2 hour blocks. Review Source EF Elizabeth F. If I can’t find something in the help menu, I can always ask a customer service rep. They are responsive and super helpful even if they have to research a solution. Pros I love the fact that my families can have an account and cancel or schedule sessions on their own. I also love the invoicing feature. Cons I don’t like how expensive the fees are with the online payment system. I also would prefer to have an accounting system within TutorBird. I would really like to be able to input expenses and create profit and loss statements at the end of the year for tax purposes. It would also be helpful to have an app for TutorBird to collect mileage and another app for families of my students. September 7, 2023 5.0 Pros Tutorbird is a very simple and straightforward program for managing tutoring appointments and billing. It has saved me a ton of time compared to the business I used to run before I started to use Tutorbird and I can focus my efforts more on the communications with clients that matter most, truly! Cons The student side of Tutorbird is a bit heavy with features that I don't all use, so there has sometimes been a bit of confusion from clients on how to focus on just the features that I use. I do wish that unused features could be switched off on the client side. Other than that, though, once clients are familiar with the program and how registration with me works on Tutorbird, everything from scheduling to billing runs fairly autonomously and automatically. It doesn't have all the features I would want but for the price and responsiveness of customer support, it's pretty great. Pros TutorBird, formerly MySchoolBooks, is one of the most intuitive interfaces I've dealt with. It's fairly simple but is chock full of features for a great price, especially compared to other systems. They have kept my business alive honestly, especially through the pandemic. It's easy to keep track of and contact my customers. Cons I wish passwords could be assigned by the administrator and/or a link came when sending attachments. When families get a private attachment, they have to log in or else they cannot access the document. But there are also several folders the document could be in. We love that tutors can keep notes about their students and that we can attach lesson plan materials to a student's session. Pros TutorBird made a big difference to our business. The ease of scheduling, automatic invoicing, and online payment system freed up our administrative staff to do other work. We love that tutors have their own personal sign-on information and have access to their schedule and their payroll. Cons Some of the updates in TutorBird take a little getting used to. However, the support staff at TutorBird is very responsive. We email them our concerns, and they always get back to us in a timely fashion to resolve our issue or make note of suggestions we have for improvement. September 8, 2023 5.0 In general, I'm so happy I began using TutorBird! I'm hoping some updates will be made soon, but still very glad I have it! Pros I had thought about a number of scheduling/billing programs for my tutoring business, and TutorBird tops them all, since it's specifically engineered for tutors. I love the scheduling and billing options and the student and parent portals. I love how easy it's made for me to automate many processes to save myself time. Cons You can't adjust time zones for tutors (even though you can do it for students). This proves very difficult, because I have tutors all over the country, and they're all in different time zones. I'm not sure why this isn't possible, since students can change their time zones. I AM SO HAPPY WITH TUTORBIRD. I felt like a huge load lifted off my shoulder. However there are many features in Ayotree that could serve tutorbird well but it was such a complicated tool and required a lot of administrative work. Pros I really like how neat the tool is. Using it is not complicated. And it removes a lot of administrative work. Cons There are some functionalities that are missing that are very important to tutors. For example, the ability to add a link that they can click on to access an online material. Right now we have to add the link in a word document and upload the document. It's much work for us this way. And some other feature would be needed as well maybe like a forum per class where students can share notes and thoughts. Reason for choosing TutorBird Simplicity of use, Canadian, price matches value. Switched from [AyoTree](https://www.capterra.com/p/163359/AyoTree/) Ayotree was very complicated to use. Although I likes how we had more control over our customization then Tutorbird, the tool itself was hard to get around and took forever. The biggest issue for me was the billing system. In my opinion it is poorly built. There were a lot of issues like inability for the tool to make the math and count how many lessons to bill. There were workarounds but it was too hard and even explaining it is complicated. The billing was not customizable enough for all types of needs. Every month end I would spend 4 hours redoing or making invoices. All that changed with Tutorbird. Review Source KB Keith B. TB is constantly improving their product and their customer support is easy to get a hold of and are responsive. The product is outstanding and does everything we need including payroll which our previous vendor did not have. It's outstanding now and I'm confident will only get better. Pros We've really seen the benefits of the student portal. Giving parents full visibility into everything has greatly diminished phone calls and emails for things they can now find for themselves (especially when it comes to invoicing). Cons The reporting is a little weak and limited but I will admit, I have not pushed yet for what I need that would really benefit our business. I've been compiling my list and I'm confident they'll listen and make something happen. Reason for choosing TutorBird People were nice, product looked really good and having a month or two to try it out made it a no brainer. Only companies who are really confident in their product will let you try it out for free. There was a learning curve for sure but it was small and they were quick to help. Review Source Helen O. Having everything in one place streamlines our operations for a much needed peace of mind. Cons One feature that our business could benefit from is limiting student bookings to the balance on their account. Our clients pay for packages but will sometimes book more than their account balance covers so then we have to bill collectors to ensure we are compensated for the extra bookings. I no longer need a secretary, Tutorbird is so easy to use and their customer service is great. Most of the time when I need help from a company I go through several robots before I can talk to a human. Tutorbird is not like that. I talk to real humans and they are very patient and helpful. Pros I love that the staff can see their schedules. I like that I can color code the tutorials so that the Tutors and find their schedules quickly especially if there is a last-minute change. I love that all of my students' information is in one place. I really love that the clients can pay, get their voices, and see their students' tutorial summaries. I love the automated email features. I love that both the students and the parents have their own portals. Tutorbird has so many features that I still haven't explored and used everything. Cons I tried to find a con and couldn't. I did like the setup of the older version, it gave me more options for differentiating my staff ( like more color choices, and auto-fill was much better. I only had to enter the date range for my invoices once and as long as I didn't close my window, each invoice will have that date range. Now I have to apply the date range every time I do an invoice) Reason for choosing TutorBird Functionality, Customer Service, Easy to use, able to add PayPal for payment, able to customize invoices to reflect my business, automated emails (send out birthday wishes, appointment reminders, etc.), Price, able to add my staff and them also having access to the schedule. It is easy to cancel a session as well as to add extra sessions. Takes me a few seconds. Or even better, students can access my calendar to cancel or book their own. Also, the invoicing is very easy. Even though I've been using the product for a few years, I still feel joy at how easy and quick it is to invoice all my families. I like that I have been able to add my logo to the invoices and to customize the communication with my families. Also, I like that they send out birthday wishes! Pros The ease of sending out invoices. It used to take me ages but with this software I can do it in about a minute! I also love the ease of scheduling students. I love that I can send reminders by both email and text and my students and their parents love that too. I love that tutorbird helped me set up a website so students can cancel or book sessions easily. Cons After I create the invoices I have to click on each one to email it to my families. I wish I could just click a button to email all new invoices at once. I also wasn't thrilled that you changed the name of the company. Tutorbird just sounds odd to me. I liked myschoolbooks better. I have also been able to hire other freelance tutors and monitor them at a high level. I feel like the customer service support are extremely knowledgeable and always there to answer our questions and I feel like on boarding new tutors is easy because of the system. Pros What I like most about Tutorbird is how easy it is to use and how it stores all of the information. My absolute favorite feature is the business report section as I can pull various information that’s needed for grants, bursaries and day-to-day communications Cons The only thing I can think of is when I switched over to the updated system I lost a few of the functions that were on the older one.
