## Total cost of ownership

When considering Brex as your corporate card and expense management platform, you'll want to evaluate all upfront fees and any additional costs. Here’s a breakdown to help you understand all potential expenses:

### Upfront costs

Upfront costs refer to the initial expenses incurred when purchasing or subscribing to software, including fees associated with licensing, setup, customization, and other areas. Platform configuration, data migration, and team onboarding could all cost money, depending on the provider and plan.

However, Brex does not list any upfront expenses other than the price of its subscription plans.

### Additional costs to consider

Please note these additional expenses that may arise when using Brex for corporate cards and expense management.

- **Brex business accounts**: Brex does not charge transaction fees when sending domestic wires, international wires, ACHs, or checks via your Brex business account. However, your bank may charge fees for its involvement in this process. Brex may charge a foreign exchange rate for international wire transfers in a currency other than U.S. dollars.

- **Brex card transactions**: Brex will apply an exchange rate markup of up to 3% when you make an international card transaction that needs to be converted into a different currency.

- **User overages**: Brex charges overage fees for any user that exceeds the contracted amount. For example, if you had 60 monthly users but your contract was for 50 users, overage charges would apply for the 10 extra users.

- **Integrations**: While Brex includes API access and integration support, users should note that additional third-party fees may be incurred during the integration process. Additionally, some Integrations are only available as add-ons.

## How to choose the right Brex pricing plan

_Key considerations while choosing the right Brex plan_

- **Assess your business needs**. With the Essentials free tier designed to meet the needs of small businesses and startups, transitioning to a paid plan depends on your business’s growth stage and whether it would benefit from expanded policy customizations, multi-entity support, and other features. You should also consider how extensively your team will be traveling, the volume of reimbursable expenses, and if your organization has long-term growth goals that include multiple business entities or an international presence.
- **Compare features offered in each plan**. Paid users have significantly more control than free users in setting policies and spending limits according to categories and budgets. Paid tier users also gain access to enhanced travel planning and expense management. Understanding the features offered in each plan and how they align with your needs is crucial in helping you select the best plan for your business.
- **Consider your budget**. One advantage Brex brings to the table is that its plans cover a wide range of pricing, from free to enterprise-level custom quotes. Startups and small teams just exploring corporate cards and other financial services can take advantage of Brex’s basic services for free. As they grow, they can upgrade to the $12-per-user-per-month Premium plan. Larger companies with a more substantial budget for a customized solution should consider the Enterprise plan. You want to incorporate as many useful features as possible while staying within your budget to maximize your return on investment.

## How to maximize the value of your Brex subscription

_Ways to maximize the value of your Brex subscription_

- **Utilize all features.** Brex business cards come with rewards programs, so it’s essential to properly maximize spending on business cards to accumulate points towards cash back and other rewards. This includes maximizing spending in special categories that may offer bonus rewards. The ability to establish budgets and spending limits for cards and create general expense policies is extremely important and a powerful benefit of the Brex platform that helps maximize the value of your subscription.
- **Leverage customer support and resources.** At all plan levels, Brex offers 24/7 live support via phone, email, chat, and video. Premium subscribers are assigned dedicated support for their designated administrators and bookkeepers. Enterprise users are assigned a designated senior consultant as well to help manage their more complex and extensive service needs. Brex also provides users access to webinars and training events, as well as online resources such as setup guides and a comprehensive help center.
- **Tailor the software to your needs.** Ensure the plan’s features are being used in accordance with your specific business needs. For example, establish budgets and spending limits that suit your business’s activities. Leverage the real-time reporting to gain insight into your employees’ spending behaviors (and then adjust spending and reimbursement policies as necessary). Integrate Brex with the accounting, HRIS, and other tools you use most.

## Is Brex right for you?

### Assessing your requirements

Determining whether Brex is the right software involves assessing your requirements and comparing them to what Brex offers. Here are some key factors to consider:

- **Team size and plan scalability:** Brex offers a foundation for early growth for startups and small businesses at the free Essentials level, or a more robust solution for midsize businesses focused on growth at the Premium level. The customizability of the Enterprise plan offers larger organizations a comprehensive expense management solution that supports more complex spending.

- **Expense management needs:** Do you have a significant number of employees working in the field, traveling, and interacting with clients in ways that generate a sufficient volume of expenses that you need an expense management solution? Brex provides protections for your employees and enables you to establish spending limits and standards for expenses, thereby minimizing costs.
- **Budget and cost constraints:** Review your budget to determine if Brex’s pricing aligns with your financial resources. If you require more than the free plan offers, is $12 per user per month in line with your budget? How many users would you have? Will it provide a good return on investment? With multiple plans and additional costs to consider, you want to ensure you are getting the software you need without blowing your budget.

- **Integration needs:** Consider the accounting, ERP, HRIS, and other tools your team uses. Will Brex smoothly integrate with them? Can your team confidently work with the Brex API? Determine whether Brex aligns with your existing tech stack.

What company information is required to open a Brex account?

Domestic Brex customers must provide a valid employer identification number (EIN), U.S. incorporation documents, and a physical U.S.-based address. Other eligibility requirements apply according to the platform’s agreement. Along with an EIN and incorporation documents, international organizations must provide a non-PO box U.S. address, a valid international residential address, and proof of U.S. operations.

Are there different requirements to open a Brex account depending on business size?

Brex has different revenue requirements depending on your organization’s classification. The three major categories that Brex specifically addresses on its account requirements support page include nonprofit organizations, mid-market and enterprise companies, and startups (including angel-funded and accelerator/venture-funded organizations).

What determines a Brex card spending limit?

Credit limits are determined to be between 5% and 20% of the aggregate bank balances from banks connected to Brex via third-party processing partners or banks from which the user submits statements. Users with Brex business accounts can instead choose a limit based on aggregate balances in their Brex business accounts.

Are transactions returned through the API received in real time?

Does Brex charge an annual fee?

No, Brex’s Essentials tier is a truly free service, aside from third-party fees. The Premium plan charges users a monthly subscription fee only.

Can I carry a balance on my company card through Brex?

Brex requires statement balances to be paid in full at the end of each cycle.
