I have set up and regularly use ExpensePlus for 4 different churches / non-profits and all of them have been greatly impressed by how time-efficient and useful the package is. It allows individuals to make expense claims independently and quickly, and stores all data (invoices / receipts etc) in one place so there is no need for separate file storage. Because it doesn't look like a traditional bookkeeping package, and uses everyday language rather than financial terminology (eg 'categories' rather than 'nominal codes') it is very easy to pick up and use. I have no hesitation in recommending ExpensePlus to any churches / non-profits that are looking for a user-friendly and effective software management package.

Pros

It is built to work brilliantly for churches / charities. The interface is very intuitive, and is simple to pick up, even for those with very little bookkeeping experience. You can tell that it has been designed by people that understand how churches actually work.

Cons

There is genuinely nothing significant that I'm unhappy with in the package. It feels like the software has been thought about very carefully before being launched, and any upgrades are seamless and do not feel like 'bolt-ons'. The only thing I would change is the name - as it is SO much more than an expense package!

Implementation was fairly plain sailing. The support from ExpensePlus is one of the best I have experienced. Helpful inline help and very rapid response to email questions. Users that submit expenses seemed to adopt it quickly and saw the benefits quickly.

Pros

It is an all-in-one solution for Charities and churches which is in 'non-technical' language. This makes it easy for a wide range of people to use. There is no limit on users. It is great for expense management - expense workflow is included at no extra cost, with approval options, which is a game changer. Previously this had to be done in a separate system. reporting is focused on fund accounting which is super helpful. since implementation this has saved us the cost of a bookkeeper because we can mange most things ourselves. the ability to produce SOFA end of year accounts is a real advantage.

Cons

Nothing we can think of really. Reporting is good and it would be nice in future to save your most frequently used choices.

The team have been excellent in responding to issues, advancing feature requests, and advising on best practice within their system. Our whole organisation, from volunteer teams through to Trustees finds it intuitive to use and benefits from the clear reporting.

Pros

It has just the right level of functionality for our organisation. All the required features are included but are not overly complicated to deal with fringe cases. The online guidance is great and the whole organisation finds it easy to use.

Cons

As an accountant I'd like there to be more options to post actual Journal entries e.g. to prepare the annual accounts, within expense plus rather than having to make adjustments outside. e.g. classifying short and long-term mortgage liability.

ExpensePlus is the software I have been looking for for years. For charity accounts look no further. There is excellent email support and documentation which guides you through the set up process. Like all new software it takes time to get your head around everything, but so worth the effort.

Pros

Designed and built for charity accounts so fund accounting (unrestricted and restricted funds) is baked into the system. Supports direct feeds from many banks. Built in approvals for invoices and expenses. Gift Aid claims take seconds. Gone are the days of entering everything into an account package, and then, to get the right reports for the Trustees, having to transfer it all to spreadsheets.

Cons

Not the best colour scheme, but that has nothing to do with the functionality which provides all that is needed.

Love it. love it, love it. The best and easiest to use church accounting system I've come across. Working with this system, is a delight.

Pros

Really easy to understand for people not from an accounting background. Don't need to understand the difference between debits and credits. All accounts (categories) are presented as English language descriptions. Handling Gift Aid is an absolute breeze and, with direct links to HMRC, claiming Gift Aid is the easiest procedure I have ever come across. Great customer support (queries usually answered within minutes). Excellent value for money.

Cons

No ability to create hard copy reports within the system. (Most of our church leaders still prefer printed reports!) To achieve this requires a download of a text (.csv) file, then import into another product, such as Excel.

We are a new charity and although we are small in funds at the moment, we were determined to set things up properly from the start so we can handle much larger donations in the future. Transparancy and honesty are really important, not just as personal values of the Trustees, but also in our donor community. We wanted something that complied with UK charity law and also meant we could build in procedures to prove we were managing donations well - no more confusing spreadsheets and only finding out at the AGM what state your charity is in. This product is definitely something that can grow with us over time. The help files are good and the team have been amazing every time I have got stuck and needed an expert to help make sense of it all.

Pros

ExpensePlus is designed for the unique needs of UK charities and is clearly run by people who have been at the coalface and have created the kind of thing they know is actually helpful! There's a gap in the market for accounting software for small charities who want to work in the Cloud and this is by far the best product out there. I especially like the way it can handle Gift Aid and link to LoveGiving as well as the way the pricing is tailored so small charities can afford it.

Cons

When I first started using it, it was frustrating to have to manually match up bank transactions as I am used to a transaction line appearing and then reconciling it in other software I use. However, this has vastly improved now that automatic bank integration has been added.

Reasons for choosing ExpensePlus

I am an experienced FreeAgent user and LOVE it as a product. Most UK business couldn't ask for better. However, I couldn't work out a way to translate how it works into charity accounting (and their team agreed it's not ideal), it didn't have the Gift Aid options and it just wasn't going to work. I did lots of web searches for charity software but almost all of them were aimed at very large charities with £millions turnover. As far as I could tell, for small charities it's only really Liberty or ExpensePlus. I trialled both and Liberty was OK but complicated and not nearly as user-friendly or feature-filled as ExpensePlus. I think if you aren't an accountant that ExpensePlus is an ideal option as it walks you through all the things you need to do to stay on track and has features geared around the kind of workflows you are probably doing in a voluntary organisation.

Expense Plus has transformed the way I keep the church accounts. It has reduced the my workload and allowed people to claim expenses easily by uploading their receipts. Trustees are able to see reports as and when they need them, rather than having to ask. When new funds are created, the options for spending the money can be limited to only the areas of the particular restricted fund, which can prevent it being spent on the wrong things.

Pros

The Dashboard provides an easy way to keep track of money in the bank and amounts in different funds from the moment you log in. Memorised transactions and easy matching from uploaded statements mean that bank reconciliations can be completed in minutes.

Cons

It can be laborious to add access to the necessary categories in each fund individually for users, and it would be helpful to be able to copy levels of access simply.

I've been using Expense Plus for nearly two years and it has been excellent. I recommend it wholeheartedly to church or charity users.

Pros

Very easy to use, great support if you need help with responses to queries often within hours, good training modules, great value.

Cons

Training modules though good could be much better. Topics covered much to quickly so you don't have time to understand. Person speaking is an IT person not a professional.

As someone new to the role of treasurer (previously church secretary), I was recommended ExpensePlus by a treasurer at another local church. Their words were "I simply could not do this job without it". And how right she was! I work with IT systems all day, and this has got to be the most well designed system I have used in my 35 year career.

Pros

My gosh; where to start. It makes the day-to-day processes - managing donations, paying bills and expenses, raising invoices, Gift Aid management, etc. - a breeze. We started using the product at the start of the year when I was also new to the role of treasurer. I simply would not have survived the last 11 months without it. The system is pretty intuitive, but the help and support - both the wealth of online resources, and the one-to-one support - is off the scale.

Cons

About the only thing - and this is really scrapping - is sometimes the background colours can dominate. But it's all personal taste; I'm a fan of clean white backgrounds. Other than that, there really is nothing. And just when you think the product couldn't be improved, developers roll out a small change that makes it even better.

It was the best decision we made. We had tried various options but none of them catered for fund accounting on an accruals basis and VAT. This ticks all our boxes

Cons

Not a lot. Some functions were not available when we first joined up but the software is regularly updated and new features added.

It is a pleasure to use. I have used several packages since 1989, starting with Sage (no version number, as it was the first version, and DOS-based!) None combine ease of use with such comprehensive and technically accurate features. It is also flexible, with several ways to get to most features so you can choose your preferred way of working. That in the product with the addition of excellent customer service and technical support that makes you feel you are someone they really want to help rather than a 'customer at the end of a call or message', makes it unbeatable in my view.

Pros

It is intuitive, easy to use, and excellent value. The support team are extremely responsive and helpful.

Cons

There is very little not to like. I'd value having a button on all the income pages that allows you to upload a related document. Since the feature was added, I still only see the option to go into the bank statement, open the transaction and add it there. By EP standards, that is a bit cumbersome!

I am trying to avoid hyperbole but honestly it is a superb bit of software and I have recommended it to may fellow church treasurers. It made our previous software (which cost more!) look prehistoric. Overall I would not have agreed to be church treasurer without knowing (from my charity experience) that ExpensePlus would revolutionize the job for me.

Pros

ExpensePlus is designed for churches and charities, specifically for Anglican churches. I have used ExpensePlus both as a charity treasurer and a CofE church treasurer, both of which involved up to 200 transactions per month. Transactions such as standing orders received and payments made are remembered and this saves me between 2 and 4 hours every week. The other great innovation is that Gift Aid is handled really well - at a glance all the claim data can be seen and corrected if necessary and then a claim can be submitted to HMRC through ExpensePlus (having loaded one's HMRC log on details). This also saves me time - I used to dread tackling the HMRC system, now I avoid it!

Cons

The reporting is good but I do find that I need to amend the data for the annual report (for instance to exclude transactions which are not reportable such as diocesan fees received and paid out). The reports do not allow this and so I have to resort to a csv download.

Brilliant. It would be impossible to manage without it, in our circumstances. It provides all the controls and information we need.

Pros

We love the comprehensive nature of the application which has covered all of our requirements, particularly the management of funds. We also love that it is completely paperless and it holds all of our financial information.

Cons

We have yet to find any significant limitations but it may feel overly complex for a small organisation.

I cannot praise the ExpensePlus team enough. The software has completely changed the game for us, and has made our accounts management and EOY reporting significantly easier. I praise it as often as I can to other churches and charities. It's incredibly good value for money too!

Pros

ExpensePlus has completely changed how we manage our accounts. The ability for our staff and team to upload expenses, keep track of receipts, manage donors and gift aid, record bank deposits and invoices, detailed reports, and the list goes on, has been incredibly helpful.

Cons

It was a little bit of a learning curve, but as any new system is. The support team were on hand with support articles and direct help where necessary though. Every now and again I come across a situation that I'd like a different type of report or feature in it, but they are constantly adding to it and updating. One big win for us would be the ability to manage income in different currencies, as well as expenditure.

My experience has been transformative. Expense Plus has made a task I already enjoy so much better with automated reports enabling you to track lots of data.

Pros

I have found Expense Plus to be so easy and intuitive to use. It has transformed what used to be a time-consuming and complicated process into a streamlined and fast process. Invoicing is so simple with saved templates you can create for each customer. Bank reconciliation is fantastic with automations in place to enable you to auto reconcile transactions that are recognised as repeating monthly etc.

Cons

A recent update has made duplicating an invoice month on month a slightly longer process than it used to be with more steps involved. But that does come with some other advantages.

A very easy to use accounting package particularly useful to organisations receiving regular donations.

Pros

Very easy to get started with the software fairly self explanatory. The ability to 'remember' regular transactions is very beneficial. Claiming Gift Aid from HMRC is extremely easy. The Helpdesk is very responsive and helpful.

Cons

The introduction of "Invoice Items", as it is not possible to make those no longer used "Inactive".

Very positive. The Help system and the blogs are very useful. The software is well thought through and we have the assurance that qualified accountants give their input.

Pros

It is easy to use. The reports are straight-forward. I like using the Projected figures on the monthly reports.

Cons

I find Payroll Upload complicated to use. I have 'work arounds' to make life easier. I would like this module to be more flexible.

As a new finance officer, I found ExpensePlus very easy to get to grips with and much more intuitive to use than other finance software.

Pros

ExpensePlus really supports the way churches and charities think and work! Unlike other finance software, it doesn't expect us to make, market and sell products or services, but understands that we might receive donations, reimburse volunteers, give away money to individuals or organisations, or hold money in restricted funds. On top of this, the support team are great, the integration to upload/download data and the automatic transaction matching saves so much time, and the interface is clear, easy to use and consistent across PC, tablet & phone.

Cons

It's not currently possible to change a transaction type (credit card, invoice etc) once it's in; instead it has to be deleted and re-entered from scratch.

As a church we have been able to use this package to manage our bookkeeping, expense claim and reporting needs at a sensible price. We would recommend it to other small churches wishing to use a software package to manage their financial recording and reporting needs.

Pros

Straightforward and intuitive to use and adaptable to fit our church requirements. Good support and help content about every aspect of using the software. The speed and ease of doing the Gift Aid return was a revelation!

Cons

The main drawback is only being able to add one receipt / document to support a payment. It would be greatly improved if it were possible to add multiple documents directly rather then having to create a multi page pdf first. Setting up users and their permissions could also be made simpler / more intuitive.

I'm very satisfied and would recommend it to all my fellow church treasurers. During my long career in finance, I have rarely encountered such a helpful and robust software system.

Pros

It's closely tailored to the accounting needs of churches (and indeed other small charities). It is rich in features that deal with many complex situations, e.g. claiming gift aid from HMRC (this is now very slick), and preparing annual accounts (an editable pro forma is now automatically generated and populated). Support is responsive and very high quality - I have made extensive use of this. Like really good software should, it helps you do the job better.

Cons

There's room to further improve the reporting e.g. to allow users more flexibility to specify how reports should be aggregated and formatted. Accrual accounting is a non-reversible option. I selected this out of curiosity and the way back to cash basis accounting was long and painful. Be warned!

I took a career move into charity finance and I was introduced to ExpensePlus as part of my training. I was able to find my way around the site quickly, and found the user interface incredibly intuitive. After meeting some other bookkeepers and finance officers I am learning that not all software is a pleasure to use, however I have never had a moment of frustration with EP.

Pros

ExpensePlus is easy to use with intuitive design and options that make sense. I like how the menu is designed to compliment work flow, which makes my work efficient. The reporting is excellent and EP can provide whatever information my charity is asking for. The 'help' menu is an excellent resource with so many simple to read help pages. Also, the support team are incredibly responsive and knowledgeable.

Cons

I've been using EP for years now and there is genuinely nothing that I don't like about the software. It does the job and it does it well.

Simple to set-up, easy to use, very efficient and meets all the needs of our church: Fund accounting is the top reason; all online, no paper; expenses from volunteers and employees, and easy invoicing for our hall hiring - What more could you want :)

Pros

It is perfectly tailored for our church, and 100 times better than the business focused sofware like Xero, Sage, etc. It is super easy to use and the support is brilliant when I need help. I've recommended it to 5 other churches who have all signed up!

Cons

To be honest, I can't think of a single thing that I don't like. One feedback would be to allow the investment module to be available to small churches/charities who don't use Accruals.

I came across ExpensePlus when a new treasurer took over, and we were looking for a better way to manage our charity finances. I have to say, we have never looked back! The free setup guidance and training that the ExpensePlus team gave us was brilliant.

Pros

Super easy to use, cloud-based, brilliant reporting. ExpensePlus provides our charity with a brilliant, streamlined process flow that saves us time and money. Their support team are really helpful too.

Cons

Nothing, it genuinely does everything we need it to (and more!) We just wish that we'd found out about ExpensePlus about 5 years ago! (instead we've wasted so much time and money processing finances manually)

By far and away the most straightforward, user friendly, high quality software I've ever used. I moved 3 clients in a week after doing a demo.

Pros

Where to start! The ability to tailor access for every user, making it excellent for churches and charities who have lots of different individuals needing different information and having different privileges. The ease of use for non-accountants whilst still being excellent from my professional Chartered Accountant perspective. The brilliant and swift responses to questions. This software really gets how accounts work and how churches work, restricted funds finally made easy!

Cons

Unlike Xero there's no inbox capacity but this is a minor quibble and anything where I have found something that could be done better a quick email to EP has generally been replied to with the response "this is something we're already working on" or even better, here's a helpsheet for how you do x/y.

I have been impressed with the quality of free training provided, the ease of use for a beginner and the way it focuses on the needs of charities etc, therefore you are not paying for unnecessary features. The speed and quality of the tech support is superb.

Pros

Ease of use for someone with no/very little finance training Clear and concise training/support The Gift Aid side seems to be very straightforward (though as of yet we haven't made a claim). They also provide some of the best tech support I have ever seen for a software package.

Cons

There are some limitations currently in terms of things such as invoicing and use of linking personal id's to reports, but, it is a developing software and I believe these are in the pipeline to be addressed.
