We realized that tracking these shows on paper calendars and 3-ring binders was not a tenable solution. ExhibitDay has allowed us to increase collaboration and ensure that all action items for each show is completed. Pros Before ExhibitDay, tradeshow management was tracked with paper calendars and 3 ring binders. ExhibitDay allows for cloud (anywhere) access by multiple impacted parties, is easily updatable, and gives both a big-picture overview and granular details about each event. Am oftentimes suprised about feature upgrades that I didn't know I needed until they are pushed through, and find them useful and necessary. Cons Have worked with customer service in the past about suggestions for improvement; fell that the company is responsive. Currently waiting for suggestion to be implemented about individual playbooks for each representative attending - breaking down travel plans, appointments, schedules, etc. to be given to each attendee (specific to them). The good people behind ExhibitDay are FAST to respond to my naive questions, sometimes even after working hours! Further, they anticipated my needs and alerted me to coming features so I could alter my workflow. Those features were implemented in a seamless update just two days ago! So far I'm 100% convinced in ExhibitDay and the developers behind it. Pros The SAAS is a plus, making it simple to deploy and allowing many users easy access. 80% of the features are obvious how to use. Cons I wish that some of the editing was more straightforward, such as editing event fields directly from the 'detail' or 'expert' grids. (no worrying if someone messed up the formula in a spreadsheet) 4. the task board makes it so easy to assign tasks with deadlines to people on my team Pros \- Google calendar syncing because it eliminates that extra step - The Budgeting and ROI feature is KEY to see how much you’re spending and truly if you’re getting a return on the investment - Annual Budgets feature because it is helping us to plan for next year’s events - The Staff & their travel tabs are incredibly important to communicating who is attending and reflecting their flight and hotel information - The shipments tab is AWESOME! Tracking shipping for trade shows can be one of the most challenging obstacles in this industry. Everyone who is involved in the conference has access to all data real-time, including tracking numbers and expected shipping dates. - The Playbook! Absolutely brilliant! Cons If I HAD to pick out some things I wish were improved on, I would recommend syncing the exhibit dates/times with calendar specifically, I would love a mobile app, and the ability to add clickable links for the event agenda and shipments tracking. Every few weeks the ExhibitDay team would provide an update of new features and functions that solidified my decision to stay with ExhibitDay permanently. I began requesting certain functions and they would accommodate immediately. This is when I invited our whole team to join and use this tool for all conferences moving forward. March 15, 2023 4.0 We've been using the product in full for about 1.5 years now and have many good things to say. It's transformed how we manage our events, taking us away from having to log everything in a spreadsheet (ick). Customer support has been responsive and feedback for updates to the product is always acknowledged (not always implemented, but acknowledged). Pros This software had nearly everything we needed to manage our tradeshows, events, sponsorships, etc. They are receptive to feedback and we've even seen some of the changes requested implemented and/or they offered a workaround solution to help us out. This product covers event information, travel reservations, expenses, budget, and more. Cons Like any program, it's not perfect, but I feel we are getting 90% of what we initially sought. There are some wishlist items, such as autosave, adding custom fields for a link, more areas for basic information, or changing types of information needed based on the event type. Love the manage assets feature, tags - being able to sort shows by country, size, industry is great. Our staff loves it and it has helped with show budget management too. Pros Imagine this...instead of using one gigantic spreadsheet, you can manage all of your trade shows in one place. This tool is ideal for those marketeers whose organizations participate in multiple trade shows throughout the year. The best part is the transparency. All your staff can have access and access ExhibitDay onsite so if you aren't there, and they are missing carpet that you ordered...your staff has access to your receipts! They love it because it provides easy access to all the event information show hours and details, travel reservations, booth maps, itinerary, contractor service purchases, etc..If the current information options/tabs they provide arent enough, ExhibitDay allows customization to add anything else that you could possibly want to include. Cons I have been super happy with everything from ExhibitDay. The only thing that our staff consistently asks/suggests when onboarding is for an ExhibitDay app rather than having to open it up in their browser. Not a must but would be nice for event staff. January 13, 2023 5.0 About a year ago, I was using excel spreadsheets to upload everything I could for a conference, and it just wasn't enough. I thought to myself...."wow, someone should create a software that makes this easier"... and BOOM! There it was... all I had to do was google! It was there the entire time. I was hesitant at first because I didn't think it would have all of the features, I thought I needed, but boy was I wrong. It has all the features I need, plus some! Thank you ExhibitDay creators, designers, leaders and customer support. You all are awesome! You made my job so much easier! Pros I love its ease of use. My favorite part is that you can track and upload anything and everything you need as it pertains to a conference or event. Everything from invoices to hotel information. It's incredible. Cons I don't have any complaints or dislikes. I am very thankful for this software. It has taken the stress out of managing trade shows. It is one of the best marketing tools that I have discovered. Pros Exhibit Day has been so helpful when planning 50+ events. It has a great system to add tasks, where you get email notifications when tasks are due to keep all of your deadlines straight. You have the capability to assign who is attending the event, so they can see the schedule and what all needs to be send to the event. I also like you can assign tasks to multiple people. Inability to customize analytics to fit our needs. Wasteful event binder printing due to not condensing things to where there are multiple items on one page. Wish there was a way to customize the chart which is exported, because I don't necessarily need to export "everything", every time. Cons I don't like that people or assets can't be multi selected when adding in fields. If i add 15 assets in, or team members i have to do it each time and for the each person. Cons Wish the exporting had more customizations. We send spreadsheet reports to company execs but it's easier to handle those manually than export from ExhibitDay and then have to do all the editing. Cons I wish there was an option for an organization that uses Exhibit Day to color code their calendar views and sync it with everyone rather than having to adjust/customize it themselves to match what I as the event coordinator have on my end. It has really helped keep us organized and the ease of creating a report when someone asks "what shows are coming up"?, has been so great! Pros Prior to finding Exhibit Day, we were using spreadsheets to keep track of our tradeshows and regional meetings and it was exhausting! This makes things so much easier! Everything is right there for the whole team to see, so if there is a question while someone is out, it is very easy to check ED to find answers! Cons I would like more places to just write notes. I don't like using the notes section on the first page because then it makes the "grid view" wonky, so I just use that for quick notes- like "planning complete" or what my immediate next step needs to be. I also don't like that the "task bar" has moved to the side- it was better at the top. Reason for choosing ExhibitDay Most software is aimed at the people planning the actual tradeshow, not the exhibitors, so ExhibitDay seems to be unique in this aspect. Cons The lack of reporting and analytics. I also wish we could change the text color and highlight text in any text box. There does not seem to be any customer support, and no way to search on answers to questions or problems. ExhibitDay allowed us to consolidate our information in one space for all team members. ExhibitDay is our one source of truth related to event management. Pros We track our events and our sponsorships with other associations in this system, and we like that we can track swag items and the assets/booths that we send for events. The playbook also helps our staff know where they need to be for an event. Cons The initial implementation of ExhibitDay was challenging because my colleagues found the multiple tab layout to be 'clunky.' It just takes longer to find information. The open text fields also do not turn into hyperlinks, so we can't easily add links to our company's shared drives. Pros The authenticity and organic event management features are incredibly helpful for tracking all types of events. It is specifically helpful for tracking tradeshows and events that require many moving pieces. ExhibitDay is definitely worth a try if you're on the fence about looking into a new application for event management. Cons The pricing options are more on the steep end for this type of software. There will always be the question of whether or not events can be tracked in project management software, which usually does already exist within companies standard procedures.
