Most other "tradeshow planning" software is aimed at the person organizing the event rather than the company planning the event. As the only person coordinating for 40 events in a year, it became difficult keeping track of all of it in an Excel file. Finding ExhibitDay has truly been a game changer. Pros I really appreciate the built-in features like booth services, ROI information, and the event information screen with all the immediate pertinent details. Cons I don't love the options for user permissions. For some of our team, I'd like them to have access to just events they are assigned to but only be able to add to certain aspects of it. Pros It's easy to find the information I need for each event in one place. Cons The fact that you have to pay more to add someone's name as an attendee (should be that we can add names without adding them as a member to Exhibitday.) There is no option to copy paste images or documents directly as opposed to only upload or i.e. have a hotel reservation populate on its own based on the receipt. Regarding your comment about having to add users in order to tag them as attendees: you can also create resources (non-users) who can be tagged as attendees. This feature is available under our Premium plan. ExhibitDay has made this task much easier by providing a centralized location for all responsibilities and tasks. It also helps with tracking spending and other logistics involved in event planning. Cons It would be helpful if ExhibitDay provided an easy-to-use feature that allows users to transfer their schedules to external calendars like Google Calendar after importing all the event information.ll the event information. I wish there was more ways to filter the data before exporting. It makes information sharing very easy among users and is even capable of assigning tasks to individuals within the team. Being able to store all of our planning information in one place is critical. Cons I think it would be very beneficial to add subtasks as an option to the task tab. It would help clean up the task page and create a better user experience. I also think that a notes section would be great for each tab. For example, it would be nice to add a note to the shipments tab without creating a 'new shipment.' And finally, it would be helpful to be able to add video files to the attachments tab. It didn't take too long to get set-up and is very easy and intuitive. I think it will also make a big difference come budget time to quickly and easily pull the needed information together. Pros Everything is organized by and ties back to each event. Having the tracking and reporting in one place is very helpful. Cons Getting other team members to use the product has been a hurdle. The person who managed the trade shows prior to me had been with our organization 20+ years. She knew the shows, knew what tasks needed to be done and by when. Everything was kept in binders and saved emails. Notes were handwritten on a "show schedule" I was overwhelmed by this process and was searching for a tool to help me manage the shows and tasks associated with them better. As long as I set up the tasks correctly, ExhibitDay now reminds me in advance of items that need attention. Pros I currently have 18 upcoming events. Keeping registration dates, early bird specials, attendees, booth location, booth services was a nightmare! I use the tasks feature to keep track of deadlines. Each of my attendees has a log on that they can view the show information. It has definitely helped take some of the chaos out of managing these events. Cons There have been a couple of times where I've updated fields and have forgotten to click on the save changes button. Would be nice if the changes were automatically saved. The sales team would like a mobile app. The app currently available on the Google Playstore is outdated, and we are unable to download. The ramp up time to start using it and getting value is really short, so it's easy to start small and add on use cases as you get more experience with the tool. Pros Exhibit Day makes it easy for us to keep information in a way that makes it accessible for our entire Sales team to stay up to date and for us to manage deadlines and other details with respect to specific events. Cons Some of the information around budgeting and tracking expenses is a bit clunky to work with. In addition, making changes to events, adding new events, and adding details to events takes a lot of clicking and scrolling. It allows you to track budgets, floorplans, assets, your exhibit space and show services, etc. It really has saved a lot of time by having a one stop shop to track all the different elements of tradeshow planning. I also like that our exhibit house also has access to our account so we can track any shipping, pull lists, etc that they are managing.
