### "CatalogIt easy to use for novices and pros, alike"

March 29, 2026

5.0

Pros

I really did find the use of the platform quite intuitive, the more I used it. Collections hasn't been my main museum work up until now, but with CatalogIt, it was easy to complete a catalog of a 3,000-item library, and use the newly-created catalog to complete an inventory! The learning curve was fast, especially coming from Past Perfect, and once I understood the structure, the search functions and inventory control features were very helpful. When we had technical questions, support was responsive within 24 hours.

Cons

I'm sure there are more efficient ways to import data - we used .csv spreadsheets, and the field mapping took a little trial and error (some fields like "notes" appear in multiple places. But "undoing" and "redoing" imports was easy to manage.

### "Cataloging for this Century"

July 9, 2025

5.0

I feel like I have gained a mob of friends. When I am stumped, they jump in and help me. They have brainstormed numerous projects with me to ascertain if they are a good fit, and if not, they are honest and tell me. CatalogIt and its team are the type of partner you want when you have to care for collections that are complex and have many components.

Pros

I have used numerous museum programs for decades. All linear required steep learning curves and precise terminology. I found Catalogit four years ago and have now used the software for multiple uses, including museum collections and individual projects. It is easy to use, easy to teach others how to use, and can be used in the field on your phone. It doesn't try to do everything, and I appreciate that. It is veneered, so you can create a file and return again and again to add data and depth to the file. It has great connectivity between people, other files, and genres. Finally, it is priced in the affordable range for all sizes of institutions and projects.

Cons

Is CatalogIt perfect -- doubtful, but it is flexible and gives options so that any learning style can use it and master it quickly.

Alternatives considered

Reason for choosing CatalogIt

We chose CatalogIt because we could see that it would be easier to use, allow us to integrate our 75 years of collections and disparate cataloging systems, and because the CatalogIt team is so nice.

When introduced, PP was the bomb, but over the decades, software has come a long way, and the use of nodal strategies in connecting and searching data is exponentially more effective and efficient.

### "Great experience"

April 30, 2026

5.0

We've had a great experience overall with CatalogIt. I've met everyone involved on the CatalogIt team and they've all been very helpful and quick to reply to any inquiries. They migrated our entire collection of 1500

Pros

CatalogIt is a robust system with a wide variety of fields for information depending on your needs. It somehow still manages to be user friendly and easy to use at a very affordable price. It comes with the ability to post your collection online at no extra cost which is a huge bonus.

Cons

It would be nice to be able to hide fields that you don't use and have the ability to edit fields for your needs - credit lines, for example. Sometimes the database and website don't load.

### "Excellent & Easy To Use"

July 8, 2025

5.0

Using the program to catalog an extensive personal art collection. After five months I have over 250 entries and probably at least the same left. I haven’t had any issues or problems. I had one question which was answered the same day. I haven’t done much searching yet, but it seems to be very good.

Pros

Very intuitive. The customer support is top notch. Versatility. Don’t need to be very computer literate.

Cons

I haven’t found any issues yet. I’ve been using the program for 5 months. I have nothing to suggest.

### "Museum Cataloging Made Easy"

October 2, 2025

5.0

We were looking to convert to a new database, and CatalogIt was the right choice for us! Easy to use, intuitive, and customizable.

Pros

Easy to use software for museum and collections management! One of the most helpful features is the option to have multiple users working in the system at the same time. Thumbnail photo listings allow for easy searching. Love the ability to design displays and exhibits by sorting listings into new folders. Also, the CatalogIt team is very helpful, answering emails quickly and offering help before it’s even required. They transferred our records from PastPerfect quickly, without any problems.

Cons

We haven’t found any issues so far. The software has done everything we wanted it to do, and there were no glitches.

### "Ideal fit for our small museum collection"

February 3, 2025

5.0

We are a house museum with a collection of approximately 1,000 objects. For a smaller collection like this, CatalogIt has been a great fit: it's intuitive to use, I love that I can easily use it from anywhere on multiple types of devices (desktop, laptop, phone, tablet), and the support resources are so helpful. For nearly five years now, it has met all of our needs. I know that there is so much more that I could do with it, given the time.

Pros

Easy to learn and use, can use it from anywhere, simplicity of interface, flexibility of the different tools, reasonably priced.

Cons

The search function doesn't seem to work the way I expect it to. I could probably use more study on this, given how important it is.

Switched from

It was too expensive and too complex for our needs; it didn't have mobile or even cloud access; the interface was cluttered with multiple tabs and hundreds of fields we would never use.

### "CatalogIt Review"

December 11, 2024

5.0

As a small museum, we love this system. It functions wonderfully for everything we could ever need, and it would work well for museums with a larger collection too. It is fast and easy to navigate and very intuitive for new users. The addition of a mobile app is great, and the mobile app works just as well as the desktop version. The cloud system is fantastic, and the program never loses any data due to dropped network on our end. CatalogIt is easy to customize to any museums current standards, and can be changed quickly from both mobile and desktop versions.

Pros

The ease of use, especially with connecting to a mobile app for easy photo uploading. CatalogIt is well organized and clear, without a ton of additional pop-ups crowding the screen. It uploads incredibly fast to the cloud, and there are no issues with navigating through the settings or profiles.

Cons

Some of the profiles have names that are difficult to find through the search feature. For example, trying to change the categories under the Location tab has to be reached by searching 'location' to get the search result 'Location Categories,' and is not under the top highlighted tab marked 'Location.' This is easily navigated, but may be confusing for a beginning user. Also, having to contact the support to add a new user could be seen as bothersome to larger institutions who have changing staff and needs.

### "CatalogIt is worth the switch"

January 16, 2025

5.0

So far, it's been great. The customer service has been fantastic. As we have migrated our data from PastPerfect, our rep has offered free Zoom training sessions with my staff and checks in every couple of months to see how the program is working for us.

Pros

The cloud-based system allows us to view/edit from anywhere on any OS. The app is easy to use, and the database is robust. The outward-facing publishing allows our collection to be accessible to the public, with data updates showing instantly w/out having to 're-publish'.

Cons

Not being able to print directly to my Dymo Label printer is the only downfall at this point. However, the robustness and intuitiveness of the program far outweigh this minor inconvenience.

Alternatives considered

[PastPerfect](https://www.capterra.com/p/121813/PastPerfect/)

Reason for choosing CatalogIt

Both are robust collections management systems, but CatalogIt gives us the freedom of not being tied down to a desktop, with a contemporary interface. And the web publishing option was included with CatalogIt. The price for the entire data system with CatalogIt was way cheaper than the 'web hosting' alone price from PastPerfect.

We were currently using PastPerfect - a robust program in itself - but CatalogIt offered free data migration and a 60-day free trial with our own data. My staff enjoyed the freedom of working on the data from anywhere and the interface is cleaner.

### "Collections management that is a pleasure to use"

April 1, 2026

5.0

Excellent. I am up and running with my cataloguing of my holdings, and am delighted to be able to make the information available to all those who are interested, on the Catalogit Hub.

Pros

The software package is intuitive and easy to use. It is always easy to adjust past choices if one's work flow evolves. The price is very reasonable for what one gets. The support is outstanding.

Cons

The software shows its origins a bit in some of the drop down menus. I think additional choices could be added by the developers. In fairness, the developers are always accommodating of requests for additional menu items from users.

### "Great collection management system!"

May 11, 2021

5.0

This system speaks for itself and really caters itself to small-mid ranges sites. It is overall intuitive and easy to adapt to. It's good at using controlled vocabulary for descriptive terms as well as people, locations, etc. The CMS helps us with an American Alliance of Museums (AAM) Museum Assessment Program we are applying for. It's also very versatile and and be used at sites other than museums.

Pros

When we discovered CatalogIt, it was as if it was too good to be true. They strive/pride themselves on keeping the price low/affordable, offer great and quick customer service (the \[SENSITIVE CONTENT HIDDEN\], was more than happy to give us a demo before and after we installed it), and there are very useful workflow functions, like folders and tags. A big incentive offer was a free migration from PastPerfect, which went smoothly.

Cons

There were some features I thought would be included, like mass selecting items for a folder. While unavailable now, they assured me it is in the works, which shows they are committed to improving the product. In addition, some of its features take a month or so to get used to. For example, item locations are inputted by marking the most specific location (i.e. a storage box) as opposed to individually entering the building, room, etc. However, this system saves time in the long run and ensures there are no duplicate entries.

Reason for choosing CatalogIt

The system was not only affordable but cheaper than PastPerfect Web Edition by a long shot all while providing all the features we needed to organize our collection.

Like many sites, we were using the old desktop-based collection management system (CMS) PastPerfect Museum Software version 4, which was on an aging computer. We wanted a simple but affordable CMS for small-mid ranged sites to keep track of our collections and be cloud-based.

### "Ideal, modern, easy, and adaptable!"

June 1, 2019

5.0

Catalogit has proven its worth many times over from the moment we imported our old PastPerfect database. Immediately we were able to access our collection from anywhere, make live edits across the database, and prepare our collections for exhibits, curation, and further actions. It allows us to easily make entries with a smartphone at the moment an item is acquired or accessed, edit an entry from across the globe, and collect our related media in one place. It’s a revelation in the way we see our collections, and because if the ease in publishing to the web directly from Catalogit, we’re able to show the world parts of our collection that would have otherwise been confined to hard drives and shelves for years.

Pros

Jumping in was incredibly easy, our import process was smooth, and immediately we were editing info about little-though-if items in our collections from multiple locations, and linking our items together with tags, folders, and photos. It’s a breeze to do something in seconds on a smartphone what once took a trained volunteer hours on a computer.

Cons

As it’s new software, it’s had it’s growing pains, and from time to time minor bugs slow our work a bit - but the team has always been there with an immediate response and a fast fix, allowing us to shape the look and feel of the product we’re using.

Alternatives considered

[PastPerfect](https://www.capterra.com/p/121813/PastPerfect/)

Reason for choosing CatalogIt

The capability and promise of the design, as well as the opportunity to help tune the product to our specific needs, as well as the cloud-based platform, storage options, and ability to access the database from any device. It’s more than we’d hoped!

October 2, 2025

5.0

If you are an association or museum looking to bring clarity, accessibility, and professionalism to your collection management without over‑extending your budget or technical resources, CatalogIt is the program to have. For Valour Park, the decision to go with CatalogIt has elevated our capability, our stewardship, and our reach.

Pros

Valour Park Association made a decision that has truly transformed the way we steward, display, and share our museum collection. The program has been a game changer across every level of our work, from inventory control to public engagement.

Cons

The search functionality is not always as informative or intuitive as we would like. Better support for audio or video files (e.g. the ability to embed or stream video clips for the public).

### "Great database for small museums!"

July 7, 2023

5.0

CatalogIt provides tons of features for an affordable price. The interface is easy to use for our volunteers and staff. The CatalogIt team are awesome - They made it easy to switch and continue to make improvements to the system. In addition, we wanted our collections to be accessible online, and the HUB makes that easy.

Pros

The importing process was very smooth and even allowed us to clean up our data from the old system. The Mobile App makes it easy to add pictures or make corrections while working in the collections storage. Our volunteers find this program easy to use, and appreciate the photo editing tool.

Cons

It would be nice to have a feature to hide sections that you don't use often in the cataloging interface, but the ability to collapse different sections is a great work around for us. The CatalogIt staff continually make improvements to the system based on customer feedback as well!

### "Catlogit recommendation"

August 29, 2023

5.0

Catalogit has provided us with the best possible cataloguing solution for our art collection, which encompasses an inventory with images of each work in our collection, precise location for every artwork, tracking for exhibits and conservation. Furthermore, all the required details are catalogued with ease and efficiency: dimensions, year, medium, artist, description, edition numbers, signature location, valuation etc. etc. Perhaps the best feature of all is the option to use cell phones to photograph and catalogue.

Pros

Intuitive, comprehensive, prompt customer support, ease of multi platform usage; inexpensive, highly efficient; capacity and increased speed and efficiency when cataloguing compared to other collection management systems

Cons

In addition to bulk edits of things like 'location' and 'catalogued by', expand on this for example 'artist' or 'valuation' field

### "Finally, a CMS for the future!"

February 5, 2020

5.0

To preface, I have a certificate in Database management nad have used many different Collections Management Systems in my years as a museum professional. In the few months of using CatalogIt, I have gotten to know our collection of over 10,000 items better than I had in the previous year and a half of working with the collection. It is so easy to search and find what I need whether for in-house research or to respond to requests from our community. My volunteers love it and find it easy and fun to use. I have been able to accomplish a huge amount of data cleanup of our records spanning over 30 years of various documentation methods. Customer support has been incredible and prompt. I love the profiles feature, it is allowing us to attach our vast research files that aren't neccessarily collections to relevant people, places, and events. Finally, the camera feature is a lifesaver --I can quickly document an objects condition or upload accession documents where I need them. This is the answer that PastPerfect users and small museums in general have been looking for.

Pros

Intuitive design, ease of use, visual searches, web-accessibility, and customer support.

Cons

I have no negative feedback for this product.

Super flexible and easy to use. Great technical support. Nothing is perfect. However, this is a HUGE step in the right direction.

Pros

I stumbled across Catalog IT via a Capeterra review while researching Collection Management Systems for our Historical Society about 18 months ago. Our decision process and evaluation was long and deliberate thanks to COVID. However, through it all, we kept reconsidering Catalog It. Glad we did, since it has worked out great! The Hub (on-line public/free) access really sold it. Attracted public support which will keep us going for years to come.

Cons

Catalog It has a Southwestern feel and far more capabilities than small organizations like our's could hope to utilize. However, very nice to have such problems :-)
