Pros

  • It is easy and straightforward to understand when inputting information, and easy to find records. I love the price point for a comprehensive cataloging system.

  • I am a big fan of good design and this, is good design. Thanks to all the staff who have helped me and my team with our various inquiries.

  • It is easy to use and accessible on any device. I like the ability to see everything in one page and create my own folders to organize the collection as I would like.

  • The price is great and the help is amazing. I also love that i can use my phone to use the app for when i am in our out buildings.

Cons

  • Some of the profiles have names that are difficult to find through the search feature.

  • This is easily navigated, but may be confusing for a beginning user.

  • My museum's collection has 15,000+ cataloged object entries, so I suspect that plays a role in the long wait time.

"Wonderful for Small Musuems"

Overall: I am very pleased by this program and even purchased a personal subscription for my own small collection of artifacts.

Pros: This software brings many museums into the modern day of technology. It enables use of apps on ipods or phones, easy updating and uploading of images, cloud storage and so much more. So many other programs have similar features, but the cost keeps jumping up every time you add a singular feature, making the cost for this software and what it provides invaluable.

Cons: I feel that the program is not user-friendly. I was able to watch tutorials however and learn how to do these items, changes and updates, however it is not intuitive on the operation.

Reasons for Switching to CatalogIt: We had PastPerfect 4, and our computers crashed, removing all of our old data. If we wished to upgrade PastPerfect, we would have had to do so to PastPerfect 5, buy the multimedia package, then add on the cloud then add on....you can see where this got irritating and expensive.

"Collections Cleanup with CatalogIt"

Pros: I love CatalogIt's intuitive API and how easy CatalogIt makes data entry, profile creation / updating, duplicate profile merging, and uploading / taking / downloading images. CatalogIt's user-friendly platform has made it so that my older volunteer base can interact with our collection and update collections records with ease. The cloud-based platform also allows for easy, fast record updating and especially comes in handy when multiple people are working on the collection at once. This has been instrumental in completing a large-scale physical-and-digital inventory of our textiles collection. I also love CatalogIt's Support Team. They typically respond same-day with troubleshooting solutions and are always open to user suggestions. Though my institution is not yet ready to go public on CatalogIt's Hub, using CatalogIt has made database cleanup pain-free and easy enough that we should soon be able to allow public access to portions of our collection for the first time in the museum's 40-year history. This is a huge step for our small museum and will allow us to better fulfill our mission statement and collections policy.

Cons: Some features do not yet seem fully fleshed out. For instance, it would be more helpful to search multiple terms from the search bar (i.e., accession # + title / key word) rather than using the clunkier Search Property Filter function. The way the search bar is designed even looks primed to do so and caught me off guard at first when it could not. Even after my post-migration Zoom session with a member of CatalogIt's Support Team, some features are not self-explanatory or easily noticed by the average user. It took me months to realize how to switch tabs from an object to another profile (whether that be the donor, related persons / organizations, or makers / manufacturers) linked or referenced within the object profile and not just view the initial pop-up. Having now learned, I save a lot of time! In the Location tab, users cannot toggle off "Most Recent Only" for all profiles at a given time, making profile deletion / database cleanup more time-consuming and complicated than it could be. Reports are also slow to generate and download / print, causing CatalogIt to freeze. Sometimes reports will be generated but other times the webpage will produce an error message. I've yet to successfully print / download a report. My museum's collection has 15,000+ cataloged object entries, so I suspect that plays a role in the long wait time. Even small museums such as the one I work for have large collections, however, and the report function does not yet seem suited to them.

Reasons for Switching to CatalogIt: PastPerfect was the industry standard for a long time; however, since the software is no longer being updated, it has become clunky and difficult to use. We needed a Collections Management System that could better handle the cleanup and accessibility of our collection / collections records. CatalogIt's free, staff-supported data migration was a plus, as well as their intuitive API and more standardized means of data entry.

Hello, Alyssa- Thank you for your review! I'd like to respond to a few of your "cons". The Search function does allow for complex searching- you can create structured searches that include as many parameters as you'd like! As for the performance you are experiencing with 15K items, I suspect that may be due to your computer- check the available memory on it. Also, try the same reports from another computer- that will confirm it! We have clients with many times the size of your collections and they don't experience these issues. If/when they come up for you, please let us know and we will help you to work through them!

"Ideal fit for our small museum collection"

Overall: We are a house museum with a collection of approximately 1,000 objects. For a smaller collection like this, CatalogIt has been a great fit: it's intuitive to use, I love that I can easily use it from anywhere on multiple types of devices (desktop, laptop, phone, tablet), and the support resources are so helpful. For nearly five years now, it has met all of our needs. I know that there is so much more that I could do with it, given the time.

Pros: Easy to learn and use, can use it from anywhere, simplicity of interface, flexibility of the different tools, reasonably priced.

Cons: The search function doesn't seem to work the way I expect it to. I could probably use more study on this, given how important it is.

"Great catalog management software"

Pros: CatalogIt is easy to use and easy to teach.

Cons: There are a few features that would be useful - more categories for items, for example, and being able to scroll to select instead of clicking each item individually.

"CatalogIt Review"

Overall: As a small museum, we love this system. It functions wonderfully for everything we could ever need, and it would work well for museums with a larger collection too. It is fast and easy to navigate and very intuitive for new users. The addition of a mobile app is great, and the mobile app works just as well as the desktop version. The cloud system is fantastic, and the program never loses any data due to dropped network on our end. CatalogIt is easy to customize to any museums current standards, and can be changed quickly from both mobile and desktop versions.

Pros: The ease of use, especially with connecting to a mobile app for easy photo uploading. CatalogIt is well organized and clear, without a ton of additional pop-ups crowding the screen. It uploads incredibly fast to the cloud, and there are no issues with navigating through the settings or profiles.

Cons: Some of the profiles have names that are difficult to find through the search feature. For example, trying to change the categories under the Location tab has to be reached by searching 'location' to get the search result 'Location Categories,' and is not under the top highlighted tab marked 'Location.' This is easily navigated, but may be confusing for a beginning user. Also, having to contact the support to add a new user could be seen as bothersome to larger institutions who have changing staff and needs.

"CatalogIt is worth the switch"

Overall: So far, it's been great. The customer service has been fantastic. As we have migrated our data from PastPerfect, our rep has offered free Zoom training sessions with my staff and checks in every couple of months to see how the program is working for us.

Pros: The cloud-based system allows us to view/edit from anywhere on any OS. The app is easy to use, and the database is robust. The outward-facing publishing allows our collection to be accessible to the public, with data updates showing instantly w/out having to 're-publish'.

Cons: Not being able to print directly to my Dymo Label printer is the only downfall at this point. However, the robustness and intuitiveness of the program far outweigh this minor inconvenience.

Alternatives Considered: PastPerfect
Reasons for Choosing CatalogIt: Both are robust collections management systems, but CatalogIt gives us the freedom of not being tied down to a desktop, with a contemporary interface. And the web publishing option was included with CatalogIt. The price for the entire data system with CatalogIt was way cheaper than the 'web hosting' alone price from PastPerfect.

Reasons for Switching to CatalogIt: We were currently using PastPerfect - a robust program in itself - but CatalogIt offered free data migration and a 60-day free trial with our own data. My staff enjoyed the freedom of working on the data from anywhere and the interface is cleaner.

"Great tool for a museum with multiple buildings and storage locations."

Overall: Overall this has been a very positive experience and is setting our museum up for success in cataloging out collection.

Pros: Ease of use across different devices, ability to catalog in multiple locations and easily display information for our institution. They have been very communicative and helpful through the process.

Cons: This is a very powerful system that can be tooled for a wide range of collections. In some ways there are almost too many options and it would be nice to turn off or hide those parts of the system that don't apply to our institution.

"Perfect for Small Institutions"

Overall: The entire experience has been really easy, I wish CatalogIt had come to my attention earlier! The staff are extremely helpful and responsive, and using it correctly doesn't require reading through a thick manual.

Pros: It is easy and straightforward to understand when inputting information, and easy to find records. I love the price point for a comprehensive cataloging system.

"Don't Build Your Collection Catalog from Scratch"

Overall: Outstanding. Our group had spent some time trying to build a catalog from scratch, and thinking that we needed to hire a programmer, when would discovered CatalogIt. Almost every feature we needed was already built-in, and the price was reasonable. Much cheaper than hiring our own programmer.

Pros: How easy it is to use and how many features are built in.

Cons: If you've already attempted to create your own catalog from scratch using a spreadsheet or a database, the tools to import your work into Catalogit are very limited. Fortunately, the CatalogIt support staff is willing and able to help.

Alternatives Considered: Google Sheets and Microsoft Excel

"Great Experience"

"Catalogit exemplifies good design"

Overall: The support team always responded extremely quickly and with clarity. It was easy to train new users as it was very intuitive. Lots clear of how to resources. Extremely simplified and clean while also being super comprehensive.

Pros: I sing its praises to all of my friends in the museum/gallery field. It is so simple, intuitive, and logically organized, and has all the efficient functions. I am a big fan of good design and this, is good design. Thanks to all the staff who have helped me and my team with our various inquiries. It's been a smooth and pleasant ride.

Cons: Honestly no complaints. I sometimes wished there was a feature for "select all" though you can select 50 at a time with shift select. Though I understand selecting all risked not being intentional about what you were selecting and possibly loosing data when bulk editing. Also at times, when making large edits like adding hundreds of items to a tag, it would take a bit of time for it to get updated. This wasn't a problem except when I needed to access that list quickly, and if I needed it immediately I could ask support and they would expedite it for me.

"CatalogIt Rocks!"

Overall: As a small town museum we absolutely are in love with CatalogIt. It is helping bring our inventory of artifacts under control to let us know exactly what we have and is provenance.

Pros: Ease of use; Amount of information allowed to be entered, Ability to create QR Codes for tracking; Use of pictures for cataloging.

Cons: Limited on how you can print labels, Not able to store music or audio files in the app itself.

"Happy to Use CatalogIt"

Overall: They have great customer service. They been responsive when we didn't understand what to do and they check in with us periodically.

Pros: It took me a long time to find a cataloging solution for our relatively small community archive/library. This system is the most affordable and appropriate for our use. We like the amount of info we can store and the cross-referencing between materials and automatic assignment of ID #s. Actually, there is a lot to like! and

Cons: It was a little challenging to migrate info from our past database but we eventually did it. I think it would be really helpful if they had a template or some kind of mapping for all the various data fields and options. Sometimes we weren't sure exactly what fields to use for what or how they worked. Some of this is learning curve - but it's not too steep. Also, it would be great if we could add or delete users on our own without having them do it.

"Hammond Castle Museum's CatalogIT Review"

Overall: So far everyone here loves it, although we're all still learning how to use it. None of us have used all the features yet, but we're really excited for the potential we can do.

"Easy to Use Software with lots of features "

Overall: Overall experience has been great. It was easy to get started and customer support is timely in responding to questions.

"Best Collection Management Software"

Pros: I purchased a license for CatalogIt to help manage my parents' extensive contemporary art collection. The Database is so user friendly, it's incredible simple to add new acquisitions and edit previous ones. The App for all phones and tablets is such an easy way to view each piece and pull up the artist information. What a breeze, and 75% less expensive than the ArtBase software we were using previously!

Cons: There are some search functions that could work a little bit better, I'm still learning the nuances of the program in order to be able to pull up individual works more effectively.

Reasons for Switching to CatalogIt: Artbase by Artlogic was so expensive (nearly $500 monthly) that I just felt we could find something comparable for far less money. Additionally, as this is a private collection, we were not using many of the features offered by artlogic, such as the invoicing system, sales, etc.

"Getting Started with CatalogIt"

Overall: Overall, I'm really pleased with CatalogIt so far. The support staff are very helpful and the software is easy to understand. I believe it will meet all the needs of our small, all-volunteer historical society.

Pros: I am a volunteer with experience using PastPerfect and training others. I have trained one capable volunteer on CatalogIt so far. The process is much easier than it was with PastPerfect. CatalogIt forces authority control for some fields, and makes it part of the cataloging process. I like that.

Cons: I would like the ability to limit the fields catalogers see because our group does not use many of them. (CatalogIt does limit fields to some degree depending on type of item). I would also like to designate some fields as required, or have a way to remind catalogers if they forgot to fill one in.

Reasons for Choosing CatalogIt: Lower cost, easier to train others. Also, CatalogIt permits importing records. The online version of PastPerfect doesn't offer that option at this time. We didn't choose an open source cataloging program because we may need technical support and training materials.

"It's What I Was Looking For"

"An exciting new era for the Ripon Historical Society"

Pros: The CatalogIt Hub and the ease of use are two features of CatalogIt that have had tremendous impact for our museum. With the Hub, we can now reach a much broader audience with our digitized collection. The ease of use is critical to our making progress with digitization. We are able to function more efficiently because we can now easily train our volunteers and student interns, allowing for projects to be completed in far less time than before.

Cons: One feature that would be nice to have is a link to the Library of Congress website located in the Lexicon category when cataloging books. That way the cataloger can easily retrieve the call number from the LOC website for that publication.

Reasons for Switching to CatalogIt: We had difficulty training volunteers and retaining volunteers because the old system took too much time to master.

"Great database for small museums!"

Overall: CatalogIt provides tons of features for an affordable price. The interface is easy to use for our volunteers and staff. The CatalogIt team are awesome - They made it easy to switch and continue to make improvements to the system. In addition, we wanted our collections to be accessible online, and the HUB makes that easy.

Pros: The importing process was very smooth and even allowed us to clean up our data from the old system. The Mobile App makes it easy to add pictures or make corrections while working in the collections storage. Our volunteers find this program easy to use, and appreciate the photo editing tool.

Cons: It would be nice to have a feature to hide sections that you don't use often in the cataloging interface, but the ability to collapse different sections is a great work around for us. The CatalogIt staff continually make improvements to the system based on customer feedback as well!

"Great for a small organization that's relying on non-professionals"

Overall: Positive -- we have six people working in it at varying degrees of skill and they all have been able to help in some way. I feel positive that our catalog will continue to grow and improve over time.

Pros: Ease of use. We were able to jump right in and start uploading information.

Cons: Still learning but right now we're just figuring out how to input in our document archive.

"CatalogIt for Libraries"

Overall: I have enjoyed working with CatalogIt the past few months. It has made it easier for us to have a catalog of our archive in one central place. It is nice to be able to have a web publishing tool built in to the catalog, so patrons can view the collections from home. Even large PDFs are able to be uploaded and viewed with ease. The team is very responsive, and proactive at ensuring that you are understanding the system and satisfied with the product.

Pros: -Easy to add items to the catalog -Attractive interface for both back end and publishing -Many fields that allow you to add as much information as you need -Large files able to be added and viewed -Easy to choose what to publish -Great communication and support from team -Priced fairly compared to other similar products

"Great for a small institution"

Pros: This program is very user friendly and super easy to learn. There are fields for entering all information about items in the collection making it easy to keep track of the information and research on what we have. Visually seeing the whole collection on the homepage is also great - it makes the archive feel so much more immediately accessible.

Cons: Categories are built without different types of collections in mind - for example, things like ceramics and textiles cannot be filed under 'art.'

"Catlogit recommendation"

Overall: Catalogit has provided us with the best possible cataloguing solution for our art collection, which encompasses an inventory with images of each work in our collection, precise location for every artwork, tracking for exhibits and conservation. Furthermore, all the required details are catalogued with ease and efficiency: dimensions, year, medium, artist, description, edition numbers, signature location, valuation etc. etc. Perhaps the best feature of all is the option to use cell phones to photograph and catalogue.

Pros: Intuitive, comprehensive, prompt customer support, ease of multi platform usage; inexpensive, highly efficient; capacity and increased speed and efficiency when cataloguing compared to other collection management systems

Cons: In addition to bulk edits of things like 'location' and 'catalogued by', expand on this for example 'artist' or 'valuation' field

Reasons for Switching to CatalogIt: Catalogit was the optimal choice for our art collection. I cannot say enough about its streamlined, intuitive process without losing any of the details found in older systems.
