We use it for project management, task tracking, coordination, and increasingly for designing and improving internal processes. What I value most is the combination of simplicity for everyday task management and the depth available for more complex project structures. A simple task can be created in seconds, while larger projects can be structured with dependencies, custom fields, rules, forms, timelines, and different project views. Asana has also changed the way I think about project management. Instead of simply tracking tasks, I increasingly use it to think about processes, responsibilities, information flows, and automation. There is certainly a learning curve, particularly for administrators and teams that want to use Asana beyond basic task management. However, I believe the additional possibilities are worth the effort. For teams that are willing to invest some time in designing their workflows properly, Asana can significantly improve transparency, organization, and productivity. Pros Asana gives our team a clear and structured way to manage projects, tasks, responsibilities, and deadlines. I particularly like the flexibility of the platform. Custom fields, rules, project views, forms, dependencies, and different ways of visualizing work allow us to adapt Asana to different processes instead of having to work around rigid structures. Another major strength is transparency. It is much easier to see who is responsible for a task, what needs to be done next, and where a project currently stands. This has helped us reduce information scattered across emails, meetings, and spreadsheets. I also appreciate how Asana supports process improvement and automation. Once a workflow is properly designed, many recurring steps can be standardized and automated. This makes Asana more than just a task management tool for us — it has become an important part of our project and process management. Cons The flexibility of Asana can also make it challenging. With many features and configuration options available, it takes some time to understand how everything fits together and how to build a well-structured system. Guest user policies seem really flexible and useful to an organization with a lot of volunteers (like us). Cons they keep trying to shove A.I. into this product that doesn't need it. And they want to charge more for using it? I especially appreciate the recurring tasks, checklists, task duplication, and ability to plan things well in advance, which helps me stay on top of daily, weekly, and annual responsibilities. Being able to share lists, add comments, and collaborate with other team members also makes it much easier to keep everyone on the same page. There is a bit of a learning curve when first getting started, but once you have a system that works for your team, Asana is efficient, flexible, and very useful for keeping everything organized in one place. Pros I use Asana at my church to keep track of both personal tasks and collaborative projects with other team members. It has become a really helpful tool for staying organized on a daily, weekly, and yearly basis. I especially like using checklists for my regular tasks and setting up recurring tasks, which makes it easy to stay on top of things that need to happen consistently without having to remember to add them every time. One of my favourite features is the ability to set up recurring tasks and duplicate existing tasks. This is especially useful for annual events or projects that happen every year but aren’t necessarily something that is always on my radar. Having the task already set up means I don’t have to remember every detail when the event comes around again. Asana is also great for collaborative work. I use it for things like shopping lists and keeping track of items that need to be purchased for our organization. Other team members can easily add items, comment, and contribute to the list, which makes it much easier than trying to keep track of everything through messages or separate documents. It works just as well for solo projects, so I can use the same platform to organize my own workload as well as larger team projects. The task-tracking features are definitely the biggest strength for me. I can organize what needs to happen today, this week, or months from now, while still having everything in one place. The cloud-based system also makes it easy to access information from different devices and keeps our team’s projects and tasks accessible to everyone who needs them. I also use it for marketing management for posts and figuring out what needs to be posted on social media, emails that need to go out, and basic communication within our church (both with our staff, volunteers, and church) and this helps me stay on top of things with all the tasks managing it does. Cons Asana can feel a little overwhelming when you’re first getting started because there are so many features and different ways to organize projects and tasks. It can take some time to figure out the best setup for your particular team, especially if you’re trying to use it for several different types of projects.
