We don't forget things now, our processes for many teams including facilities, HR, IT, Marketing, Development, and requisition live and breathe in Asana. It's freed us up to innovate and spend time on what matters. Pros Asana makes work management easy with task tracking, project tracking, and rolling that all up into our objectives and goals. Collaboration is made easy with comments, tagging, and assignment. Rules and automation as well as custom fields enable us to truly modify Asana to be our own. It empowers us to take so much busy work off our plates and really get down to what matters. Cons Asana previously offered some features in their original Enterprise tier that we signed up for and almost immediately after we did, they launched a higher Enterprise tier and some of those features went behind that paywall. I do think they've become too enamored of ai and have left other longstanding feature requests lying by the wayside. We do also wish tasks could be assigned to multiple individuals. Cons As long as you turn off notifications, you won't go mad. That's probably the worst thing about it (but you can turn it off.) I would love for more capabilities like Click Up, but I appreciate the simplicity because it isn't like Click Up, and it doesn't lag. And the system is only as good as the team make it. I manage a office building in a downtown setting and am the PM Lead for the entire foundation. Being able to keep track of tasks and keep up to date on maintenance, intake repair requests though forms, and using rules to send auto emails has greatly increased my productivity. It is intuitive and easy to manage my tasks and projects in one place. The training is well developed and very useful. The customer service has been very responsive to support tickets, and the community is a huge resource. The value for the money has been evident to me in the time and headaches I have saved or prevented. Cons I do wish that the "insert variables" were expanded and usable in more fields for more things. I have found it fairly easy to learn & use as someone with no background in technology. Asana is a wonderful tool for getting work done without becoming siloed & ensuring information can be surfaced and reported on easily as long as it is set up correctly. Pros The flexibility of the platform! multi homing is an absolute game changer in reducing siloed information while still giving everyone the views & ways or working that they need. It gives leaders a way to track the work being done and workers the ability to see and prioritize their work. The reporting capabilities driven by custom fields are amazing, and the ability to integrate AI and Script actions really cuts a lot of manual effort. Cons Reference & look up fields need more capabilities withing rules and reporting, especially with tables coming soon. I think some of the connectors (with calendars especially) would benefit from becoming more or a two way connector so information can flow both ways, rather than just one way. Teammates are still fairly hard to work with, they take a lot of training to be able to rely on them consistently and when asked to produce documents I have found they take a lot of training to even get close to the quality of what a project in Claude or ChatGPT can produce in one try. We were losing track of who was doing what, and ultimately, people would forget their part(s). Essentially, you just dump all ideas onto a project board and drag them around until they are finished. Asana provides us with a place to put files and comments right next to the actual task instead of digging through old email threads. Pros Asana combines all our upcoming project deadlines into an actual list so I don't have to try and remember what's due tomorrow and also the timeline view is really a Gantt chart (and its fine) but it works well enough for seeing what comes first. I think setting up dependency in a task is good for stopping people from trying to start step three when they haven't completed step one. My "W" key is sticky and it's killing me, slowly. It's nice being able to see who is responsible for each task and just let them be. Cons The free version is OK, but once I need to utilize the Portfolio feature then I'm paying a lot of money to go to the next level (Advanced). You can only assign one individual per task; which is completely idiotic if you're going to assign two individuals to complete the same work. Subtasks fall off the radar of the main project view and get lost in space. My laptop is burning my legs. If you don't shut-off your email notification option immediately after using the tool...it will send you multiple emails for every single comment someone makes regarding a task. Pros I use Asana for Podcast project scheduling. The Ease of use between sharing information with a colleague of mine is an absolute must have. Its task tracking ability helps me maintain a timeframe that works with my already existing daily schedule. I manage multiple projects at a time with overlap so having those separated helps me finish all the details in time. For features, I leave off weekends as this is just for work purposes. I haven't needed customer support but I bet they are easy to contact if the need presents itself. I like the plan I'm on and don't feel the need to upgrade. I use the free personal plan and its worth it. Bigger organizations could benefit from a starter plan for 10.99 or an advanced plan for 24.99 a month.
