I love using Asana to manage my business. We literally have everything we're planning to do on there. From stuff like sourcing and logistics, to marketing, we use it to manage our projects in various areas of our work. It's intuitive and easy to set up, and it's got a lot of features for small businesses to log and plan their projects. Would definitely recommend overall.

Pros

I love how you can use it even as a very small company. A lot of the other project management tools we evaluated were either only for large companies or had really low usage limits. Whereas with Asana, we can get all the stuff we want done, and more, without having to jump up three plans in the process. It's also very easy to implement and learn how to use in the beginning

Cons

Nothing sticks out that much, we get the odd bug or issue here and there but it works great almost all the time

I've tested a number of project management tools extensively and Asana has been my favorite. It's easy to ramp up in Asana and your use of it can grow massively as you learn new features.

Pros

In my view, Asana is one of the best PM tools on the market right now...period. Other platforms often can only really do one piece of what Asana does—sometimes better, sometimes not as well. But Asana is really the best platform for those looking for an all-in-one project management solution. It's easy to use, it's robust, it has a lot of templates and views that suit different needs.

Cons

My only real con for Asana is the price. Because you have to get a minimum of three seats—and they're pretty expensive—that price can be pretty prohibitive for smaller pieces. That's why some clients I work with use Asana for collaboration while I use ClickUp with others.

The in-built Gantt Chart is irreplaceable. Our Marketing and Communications related campaigns have to be tracked, with the small daily deliverables with fixed date. All the processed are interrelated and if you miss one post, the upcoming one cannot be done, we just have to put off the whole campaign. Asana is, hands down, better compared to similar project management software for one basic reason - it's easy and simple to use. Asana has a Kanban-style user interface.Sometimes my team procrastinates on doing the tasks required, they get lazy, waste too much time on not important tasks or their coffee breaks take too long. Regardless of the excuses they bring, I track the progress of the work by Asana's progress tracking tool and boost the team productivity by micromanagement. I have to go to off-campus meetings very frequently, physically not being present at the office makes my staff think they can relax and postpone the tasks they should work on. Mobile app makes the process way easier to update the tasks wherever you are.Asana gives you detailed information area to fill about the responsible person of the task, add milestones for a big project, set the deadline, highlight the importance of it.

Cons

Email spamming, the marketing related notifications we get on our emails. It is time consuming, no one reads them, it takes extra time to delete each useless email received.

Pros

Forms creation and automation to starting a task on an assigned board is my favorite feature. It’s allowed multiples departments in our organization to use this as a request and ticketing system for getting things completed. Got an it request head to their link and submit what you need and they’ll get in touch. Boom. My team is able to do the same and so many others.

Cons

My least favorite feature was the Gantt chart timeline feature. They made some limiting choices on rules that can be set up for dependencies between tasks that essentially made it impossible for say one task to be dependent on two other tasks before it being completed. Ultimately, my team and I decided to pay for another Gantt chart service for traditional project management. I also do not like even looking at my tasks dashboard because the view of all my tasks is overwhelming and I feel it should be making it appear less overwhelming and more organized.

The most impactful tool in my opinion is how you can create a task and added to different projects. And also that you can create teams with people that do not belong to your organization.

Cons

Tasks updates and comments are the feature that need most improving. It does not have a good visual impact. Most scheduling features are available only in the paid version of the software.

### "Fantastic task management software!"

I started using this software at a previous job then, when starting here, quickly found out that not all task-management tools are created equal. The one we were using was not very functional and people tasks were constantly getting lost in the shuffle. The other website designer that started after me had also used Asana before so we started using it to manage the development of the site we were designing. We told another team about it and they started using it as well. It eventually caught on and we convinced the higher-ups to purchase an upgraded plan and implemented it company wide. There are so many great features. It's impossible to narrow down my favorite. But I will say that it makes managing tasks so easy and helps my addled brain stay organized and focused. There are different modes for how you view your tasks allowing users to choose one that they prefer. For example, there's a calendar view, a list view, a Trello-type layout, and more. I also LOVE that it's offers so much flexibility in how tasks are organized. You can set up different teams and assign certain people to be in those teams. Within the teams you can create projects, then breaks those down into tasks. Within the teams you can create multiple levels of subtasks - for example, a subtasks inside a subtasks inside the main task. This is a really great feature for me, being a website designer, because there are so many steps involved in creating a site.

Pros

What's not to like?! The customer service is great, there are multiple training videos to help you learn about all the different features and how to use them, it's GREAT for staying organized when you have a million different projects you are working on at once, it makes delegating projects and tasks very easy... Beyond all the great task-related features, one of my favorite things is the quirky animations - when marking complete on a task you'll occasionally get a celebratory animation (kind of a geeky, digital pat on the back) my favorite being a unicorn that flies across your screen. This is obviously not something that's necessary or a way to help users stay more organized, but it is fun and adds a little extra flair to the software. (Yes, it's the little things that excite me. 😆)

Cons

As with any software that is customizable and has a lot of features, there is a learning curve to using Asana. There are so many different settings and features, it can take a while to learn the ins and outs of using it. But, as I already said previously, they provide a plethora of training videos and have excellent customer service when you need to contact them. One specific thing I wish was different is how the repeating tasks are set up. As of now, when a task is set to repeat, the next task doesn't show up until the previous one has been marked as complete. It would be nice to see all the repeating tasks (especially in the calendar format) so you can get an accurate view of all the tasks you have coming up for the upcoming months. It's not a major inconvenience, but something I would suggest that the developers implement in a future update.

RingCentral is really set up for inner-office messaging but there are some task-management features built into it. But it did not work well for us when we used it to assign and organize tasks. It's set up like a message board so when tasks were assigned, often times they would get overlooked it forgotten about because the assigned tasks would disappear above a bunch of other messages that were posted afterwards.

Asana sincerely helped me live outside of my head. I didn't realise how much work-related stuff consumed the majority of my thoughts! I no longer check e-mails outside of work hours and find that I am able to relax a little more. I have all of my trust and confidence in Asana to remind me of expiration dates so I'm also able to clear up space on my desk! I love this app - big business, start-up, or small - you absolutely benefit from this program.

Pros

Asana is a great program if you work in an environment that handles a lot of projects. I used this application twice - once for a yoga teacher training school and now, for a law firm. I love how easily everything is laid out and it really helps me get out of my head and also let my coworkers know where I'm at in my projects, in case they need to take over! I really love the shared user face that allows all of us to remain connected but also lays out our projects in a very easy/manageable figure!

Cons

I don't have cons because we use it repetitively for basic features. I personally find it extremely user-friendly and haven't ventured too deep into what it could improve, unfortunately!

It makes my job much easier. It helps office staff be more self-directing, and it keeps us organized on our management team.

Pros

It's accessible from my phone or my desktop. I have several ways of accessing my "to do list" now - I keep on top of my work and projects I'm even peripherally involved in via the inbox. I can filter to just "my tasks" or I can specifically choose a project and view all of its tasks. I can check out the calendar view to see what's going on with a broad look, or I can view individual tasks and all of the subtasks to manage them at a narrower scope. This app connects our management team, some of whom are almost always in the field, so that we can all work together. It's practically eliminated the need for internal emails. We love it. It keeps all of our information relevant, quickly-accessible, and current. Everyone has the most updated news on all of the projects he or she is involved in, so it makes everything move much more quickly, especially in invoicing and business development. One company I work for uses the free version, and I freelance for a company who uses the paid version. It's free or inexpensive, and it works wonders. I like it better than any of the competitors I've tried. The customer service and development teams are pretty transparent and active on their user forums, so that's a plus, too.

Cons

The only thing that I don't like is that once you pick a format for a project, it can't be changed. You can choose to have project organized as a list or as a "board" (think of it like a page full of sticky notes). I have one project that has gotten a lot bigger since I created it, and it would be much better managed at this point as a list, but I'll have to replace it with a list-based project in order to do that. Not a deal-breaker, but definitely should be an option. They're aware of it, and it's on their priority list. I just can't wait til it's released.

its been great. i think the visibility and key indicators on tasks at a glance are helpful. our creative team has set it up so without clicking into the task, you can display the length of time they estimate to complete, what brand its for, what team its for, and what the task is. it easily connects to our other technologies.

Pros

Its more straightforward than JIRA. Though my team uses JIRA and Im not the owner for Asana, its easier to come in and understand whats happening. I think other teams find asana more approachable and less "scary". You cant customize it as much and it wouldnt be robust enough for my teams Product Management needs, but its perfect for the creative team and the brand team to manage their workflow. I think that when you are using the software for just your team and need other teams to plug into it on a need by need basis, Asana is the answer.

Cons

For my teams' personal needs its not complex enough. like any project management system, it can be hard to follow if you didnt originally set it up and dont use it daily. since i only go into look at tasks relevant to me, i can get lost in asana sometimes, though it is easier to navigate than jira. that being said, it is not as complex or customizable as jira. if you are working with developers and need to plug into github and do deploys, asana is not going to cut it.

Asana is one of the best collaboration softwares with highly functional task managements tools to assist teams in managing tasks. It is one of the most complete softwares that has been a great implementation to our research protocol approval progress. In order to start data collection from patient databases, a series of approvals need to happen before data collection can happen. Asana has allowed us to keep track of the approval progress and increase the efficiency of the team by performing other tasks. The Gant Chart is one of the features that is mostly use by our team, since it allow us to visualized the pending activity on our project and a status update as well. There are other features such as the calendar views, input forms, and Kanban board that allow the team to use the software in a variety of other project as well.

Cons

I strongly believe that Asana is a complete software use for project management and contains feature rich tools to enhance task management and keep track of the assigned task progress, however, the software can be overwhelming and complex for new user who have no experience. Maybe, a beginner orientation should be added to the software for new users to enhance their experience.

It's easier to run projects with a software that helps to improve the accountability of workers! A very good experience.

It has an intuitive interface and the process of assigning tasks is just simple and fast, I also love being able to change the view between timeline, dashboard, calendar, etc. Asana increases the productivity of departments and teams, we can all comment, collaborate, upload documents or content of any kind and track our progress in real time. To-dos are less forgotten due to notifications and deadlines with reminders. It's more flexible, you have everything at your fingertips and helpful menus, good shortcuts, integrations, and more.

Cons

Fortunately, working with Asana does not generate headaches, but going into details, sub tasks should have a certain limit, when there are many tasks and large lists of activities it can be a bit disastrous, although that also depends on the team members. -A better order/structure of sub-tasks, so it doesn't get messy as they increase.

What I like most about Asana's software is the ability to work remotely and still be able to constantly communicate with my team. Asana makes it feel like we are in a office but at home! Being able to keep documents, conversations, tasks, lists, etc. all on the software allows for everyone to be organized and all in one place instead of constant emails going back and forth with so many different people.

Cons

The only con to using Asana software is that it takes some time getting use to the set up and locating things but once you get the hang of it, it's a life saver!

Features are most likeable feature of this software. Creating projects, adding milestones, adding, and tracking tasks is efficient and easy and is very doable. Tracking activities on individual level and reporting backlogs and lags are efficient using this software. Reports are easily made using project templates and can be shared between different parties. Overall, Asana provides excellent project management capabilities to users and employees.

Cons

Frequent version updates are particularly challenging for any organization to address. Updates have sync issues with other systems, which leads to integration issues. The second issue is with customer support, which is slow and requires multiple calls to fix an issue. This process takes lot of time to understand the issue further leading to more deals in fixing the issue.

I love the fact that I can manage my Branding and Website design clients along with my social media management clients all in one space. I very rarely get emails from my clients now and all communication and planning take place in Asana. This seems to save me a lot of time and energy and stops certain requests and tasks from getting lost in lengthy emails. Being able to keep track of tasks within big projects is SUCH a game-changer. My clients and I are always on the same page and can always see where we are within the project. For my social media management clients – having one space I can manage them all and see all their content calendars is a huge benefit. Using tasks to plan the month and each post – assign to my client for approval – then reassigned back to me to be posted has really streamlined my workflow.

Pros

The most impactful feature for me is the ability to create separate projects for each of my clients and customise the layout to suite their projects. I love the face that you can now switch between the board, calendar, and list view as I use each for certain projects. The board view is perfect for my Branding and Website design clients as we can see the whole project laid out. While the calendar view is fantastic for my social media marketing clients where I can view the months and what content to place where during the month. It is so simple to use that even my less tech-savvy clients can use it and end up incorporating it into their businesses. I love that I can easily integrate it with my Google Office too.

Cons

The thing I least enjoy about Asana is the pricing. Am unable to afford the paid version with the awesome extra features but I do make do with the free version.

### "Could be so much better if listened to their users"

All of this made me look for "the source", I found Wrike and saw that everything Asana was releasing and charging more for it, was already availble in Wrike even before Asana. So we moved to Wrike and we're happier than ever ;-)

Pros

Asana changed the way we managed tasks and projects. The secret of Asana is the granular way you can create tasks. You start just typing the task name and decide what other information you should input and when. There's no friction at all, YOU are in control of it. With just the press of the "Enter" on your keyboard, another task os created, and so on. The magic happens when you start to input more info, the assignee, the due date, the custom fields, and much more. From a simple task list Asana becomes a powerful task management system.

Cons

Well, after so many great things I mentioned, it's clear that yourself and your team will evolve in task managment. The issue with Asana starts there. The need for more functionality becomes a pain, specially reporting, built in time tracking and things you discover other apps already offer for the same price Asana is charging you. The users start to complain a lot on the Asana Community, speccially after the removal of the dashboard feature (that needed an upgrade) and launch of the Portfolio feature , the upgrade Dashboard needed so badly... the thing is you could only get the the new feature paying double per user (the new Business Plan). Paying users started to lose trust in Asana after this, myself included. The thread about this is the one with most comments on the Asama Community forum. But after more than a year, customers only get canned responses. Another popular complaint is the one with hundreds of paying costumers asking Asana to remove a very disturbing colorful banner asking you to upgrade to the Business Plan. Everyone in yout team is gonna see it and even being a paid user there's no way of hiding it.
