Pros Very easy-to-use system that has helped up improve processes, reduce errors, and improve collaboration. The Binder feature has been especially helpful when specific policies need to be reviewed by outside committees and collaborators. Cons The revision process and revision numbering assignment are very easy to use. However, having sub revisions to differentiate between major revisions (a change in process) and minor revisions (correcting a spelling error) could be beneficial. The combination of a user-friendly interface and efficient administrative features have made a significant positive impact on our workflow. We do feel that we are getting value for our money compared to other systems that we reviewed. Pros AtriCure, Inc., has been using DocTract for 1-2 years, and it has been a fantastic addition to our policy management program. Our internal customers have found the user interface incredibly easy to navigate, making their experience with the portal categories seamless and enjoyable. We especially appreciate the search function. Launching the international local language option for portal categories has facilitated our global operations. From an administrative perspective, DocTract has proven to be a breeze. The system is intuitive and user-friendly, which has significantly streamlined our processes. The automatic version control and reminder emails are particularly useful, ensuring that document reviews are timely and never forgotten. Moreover, DocTract's customer service has been outstanding, They are always available for a face-to-face meeting to help us walk through any questions or issues. From the amazing platform itself, to the best account representative's and great customer support. What more could you ask for?! It may appear to be difficult at first to a first time user, but after learning the system, possibilities just seem endless as to how you can utilize this platform and make it work for you. Pros The capabilities of this platform and the way it can be utilized, seems almost endless. Being able to place all of our policies, protocols and manuals in one location is such a convenience to all of our staff, from front office, to providers, all the way to administration. Having 10 office locations and almost 300 employees that can access everything in DocTract instead of having a huge paper trail from office to office is so efficient. It has been such an easy tool to transfer our policy management to, and across the agency I have consistently received positive feedback which is what you want to hear when you introduce something new like this. We are also very appreciative of the team who worked with us. \[sensitive content hidden\] was very patient and a great support. Pros We were previously using a policy program from the US that was very expensive, but similar to Doc Tract. We have found since changing over that it was easy because the two systems were quite similar, however Doc Tract has a far more advanced search ability for content in the policies, we've had amazing customer support through the process of setting up, training us, and a friendly check in on how we are doing. We were able to easily set up staff to use the system, train them with the tools we were provided and had everyone up and running within a 2 month span. Staff have expressed to us that they love it, they love that its accessible when they are out in the community and need to refer to a policy or procedure when providing service so this has truly been a win for us and given everyone's tight budgets this was totally affordable in comparison to what we were paying in the US. Cons The only issue I have is that when you are transferring over your policies when you are setting the effective date of when they are created. So it automatically generates the renew date based on the duration you have it set. I understand there is an override section however, we had several policies that were past due and i was unable to set that date because it was in the past. I wish the date fields were a little more flexible for that. One more thing... When a policy goes to revise and you open it in word, i wish it would automatically track changes. I have a few 'owners' of the policies who constantly forget to trigger that and end up changing the whole document and not knowing what is new and what is old or revised unless i compare and highlight it myself. So just having it set to automatically open the draft document as tracking changes would be AMAZING!! They even gave us a special rate but it still was too expensive to keep and the pricing continued to go up drastically every year. We used to manually track all policies/workflows and it was very easy for the maintenance of policies to fall through the cracks. Once the initial setup of your policies in the system is complete, DocTract truly does all of the heavy lifting for you. I've also had a fantastic experience with their customer service. They are fast, friendly and incredibly helpful. We are very happy with our decision to go with DocTract for our policy management needs. Pros DocTract is extremely user friendly and the customer service is top notch! Our policies and workflows have never been more organized. It is so nice to be able to search the system at any given time, and quickly find the most updated policy. Not to mention, it allows you to require attestation on certain policies, which helps satisfy HR and HIPAA compliancy requirements. Cons From a policy approval standpoint, I would like to see the ability for the approver of a policy to edit/change a policy and still be able to approve/publish the policy without having to go through the entire policy approval process again (drafts/collaboration/approval).
